Background In autumn 2014, GS1 Sweden started a user group to develop an application of GS1’s Trade Item Information for lighting products. The aim is to create a common platform to streamline procurement and maintenance of lighting products. The platform provides a user-friendly standard for trade item information together with

attribute classification according to ETIM. The common application was approved in May 2016 as the result of the user group’s work. During this process, several companies have been involved in different ways. Some companies have chosen

to participate in user group meetings to present their views and thus contribute to the progress of the work. Others have received meeting minutes to keep up to date with the discussions and get a picture of the project’s progress. All forms of interest and involvement have been welcome.

Introduction A challenge for the lighting sector is keeping track of the large number of items. Product development for lighting products is often very fast and new variants quickly replace older ones. One example is improving energy efficiency using LEDs. To be able to follow product development, reliable and up-to-date information about items is needed.

GS1 develops standards for the flow of goods and information. These standards enable the identification of products and places. GS1’s barcodes allow information to be quickly and reliably transferred from items to computers. This information can then be shared by all actors in the supply chain. Examples of actors in the supply chain are electricians, electrical consultants, contractors, wholesalers, buyers, suppliers, lighting designers, end users and manufacturers.

Reduced costs and more time The sector does not have common routines and working methods for handling information about lighting products, cables, software for peripheral equipment, fuses, etc. This results in high costs and considerable

time spent on handling orders, incorrect deliveries and claims. By simplifying and standardising the process for handling trade item information, the amount of manual

processing is reduced. This leads to lower costs and frees up time for all for development marketing and sales.

High quality trade item information gives credibility and competitive edge since the

information is part of the product.

International standard GS1’s trade item information is a global solution for the electronic exchange of information about products. For the supply chain to work efficiently, it is essential that all actors have the same, correct information about

the attributes of an item such as function, colour, dimensions, weight and item number. This information is sent electronically and all products have a unique identity in IT systems which streamlines the information flow. Receiving trade item information in advance means that the buyer can prepare a warehouse location, shelf space and systems. Logistics can then be optimised and handling the physical item is quicker and easier. The

GS1 trade item number, GTIN, is used worldwide for identifying such things as luminaires, lampposts and light sources. Correct trade item information and labelling is critical for all actors.

Correct information about a product simpli-

fies planning, ordering, delivery and handling and is a prerequisite for correct maintenance.

Correct information reduces costs and can provide a competitive edge through the delivery of high quality trade item information.

operation and maintenance planning.

Barcodes enable all actors to quickly and accurately scan and identify items. The barcode contains a GTIN

Basic concepts in GS1’s standards

Identify GS1 identification standards are used to number such things as items, places, parties and

shipments. Companies throughout the world use the standards to streamline their goods and information flows.

Capture GS1 data capture standards enable information to be quickly and reliably transferred from objects to computers. They are used throughout the world to label such diverse things as cornflakes packages, clothing, hospital beds and railway waggons.

Share Using GS1 standards for information sharing, business partners can simply and efficiently exchange such things as item information and orders as well as track deliveries in real-

time.

GS1’s standards are based on data being captured and exchanged automatically, reliably and

accurately between different actors’ IT systems. The following is a somewhat more detailed

description of how such things as Company Prefix, trade item number and barcodes enable

products, services and places worldwide to be identified and tracked.

GS1 Company Prefix To be able to used GS1’s numbers your company must subscribe to a GS1 Company Prefix. The Company

Prefix gives you access to a range of unique numbers that you can use to identify and barcode packages and pallets.

The number in the example is 735053850019. The Company Prefix defines your number series which only your company has. This is followed by the sequence number and finally a check digit.

A GS1 Company Prefix comprises 6-9 digits. The more sequence numbers that are going to be used, the shorter the Company Prefix you will be assigned. If more than one million numbers are needed, a company

can be assigned several Company Prefixes.

Identification using GS1 standards GS1’s standards are used to identify and label products, places and actors as well as capturing and sharing information automatically.

Trade Item

GS1’s definition of a trade item is: Any item (product or service) for which there is a need to retrieve

predefined information and that may be priced, ordered or invoiced at any point in the supply chain. The definition includes services and products, from raw material to finished goods, all of which have predefined attributes. A trade item can be a blister pack with one light source, a box with 10 light sources or a pallet with light sources.

GLN

Companies that send or receive trade item information need to be uniquely identified. This means that information is always sent to the correct recipient and that the recipient can be sure who the information comes from.

GLNs (Global Location Numbers) are used worldwide for the unique identification of companies. A GLN provides a link to company information such as name, address and telephone number.

GTIN

GTINs (Global Trade Item Numbers) are used to assign products, packages and services unique article numbers. Encoding a GTIN in a barcode enables it to be read by a scanner. The trade item number can also be linked to more information about the item in a database. This simplifies planning, procurement, delivery

and handling as well as being a prerequisite for correct maintenance. Encoding the GTIN in a barcode or RFID tag enables it to be read by a scanner or RFID reader.

GTIN management

It is important to be careful when items are assigned trade item numbers. Two items that differ must have different item numbers. Every item which differs from another in respect of design, content or configuration must therefore be assigned a unique trade item number. If an item is changed then its trade item information is often also changed. GS1 has rules for which changes

to an item require it to be assigned a new GTIN. Example of changes that require an item to be assigned a new GTIN.

Is a consumer and/or trading partner expected to distinguish the changed or new product from

previous/current products?

Is there a regulatory/liability disclosure requirement to the consumer and/or trading partner?

Is there a substantial impact to the supply chain (e.g., how the product is shipped, stored, received)?

GS1’s GTIN Management Standard is developed in cooperation with companies primarily in the grocery and retail sectors. The means that the rules are mainly focused on consumer products and that some rules are not relevant to the lighting sector.

Labelling Encoding a trade item number in a barcode or RFID tag enables it to be read with a scanner or RFID reader. Which label type is appropriate depends on the information to be read and how the label will be used. Trading partners must agree on how items should be labelled.

Barcode labelling These barcodes are suitable when the barcode only contains a GTIN:

EAN-13 is used for items which will be scanned at the point of sale QR Code is often used to link to a website ITF-14 is easy to print on an uneven surface and is therefore used for direct printing on corrugated

board amongst other things.

These barcodes are suitable when the barcode contains a GTIN together with other information such as date,

serial number or batch number:

GS1-128 is used among other things for labelling packages and logistic units such as pallets GS1 DataMatrix is a small and robust barcode. It can also be etched on metal.

RFID labelling An RFID tag is suitable when information needs to be read at a distance or when several units are read at the same time. It can even be made resilient to wear and water. An RFID tag can contain a GTIN together with

Trade item hierarchy It is critical that each level in a trade item hierarchy, for example consumer unit, case and pallet, is identified with its own unique GTIN. When ordering, it is important to distinguish between a package of a case and a

pallet. The more computerised communication between trading partners becomes, the more important it is that different units can be easily distinguished.

When trading between supplier and buyer, for example manufacturer and wholesaler, the buyer needs information on all items and the relationship between items contained in other items. The relationship is described by stating which level in a trade item hierarchy an item is at. The items that the buyer needs information about are split into three levels:

base level case level pallet level

Each item at the different levels is assigned a GTIN. Trade item information is sent for every GTIN, since they have different attributes.

Base level

Base level is the lowest level of a trade item hierarchy. A trade item at base unit level contains no items identified with a GTIN. Examples of items at base level are a light source in a blister pack or a luminaire in a

box.

A trade item hierarchy can contain several items at base level, for example if there are several different items packed together.

Case level

Case level is the middle level of a trade item hierarchy. A trade item at case level can contain items at base level or other items at case level. An example of an item at case level is a box of six blister packs of light sources or a case with six 6-packs of

light sources. There can be several case levels in a trade item hierarchy.

Case level is not always used, for example when the item at base level is large. An example is luminaires individually packed in boxes and delivered on a pallet.

Pallet level

Pallet level is the highest level of a trade item hierarchy. A trade item at pallet level contains other items but is not itself contained in another trade item. Examples of items at pallet level are a pallet of cases containing

light sources or a pallet of boxes containing luminaires.

Orderable unit, despatch unit and consumer unit A trade item can have different logistical attributes related to how it is intended to be sold and distributed at different stages in the supply chain. Every trade item can have attributes indicating that it is an orderable unit, a despatch unit or a consumer unit.

Orderable unit

The trade item is ordered from the supplier by a wholesaler, store, or similar. Every trade item hierarchy contains an orderable unit. In some cases, there can be several orderable units in the same hierarchy.

Despatch unit

The trade item, usually a pallet, which is physically delivered from the supplier to the wholesaler or customer. There is always at least one item which is a despatch unit in a hierarchy. Usually the pallet level item is the despatch unit, but if the trade item hierarchy consists of only a base level the base level is the despatch unit

Consumer unit

The trade item is intended to be sold to a consumer at the point-of-sale in a retail store.

Attribute classification according to ETIM For lighting products GS1’s standard for trade item information is used together with attribute classification according to ETIM. ETIM is a system used in several European countries to classify and describe attributes of lighting products. ETIM Sweden maintains the Swedish translation of ETIM and coordinates the Swedish market’s requirements for changes in ETIM.

Trade Item Information Trade item information is specified for every item in a trade item hierarchy since logistic information such as dimensions, weight and quantities differ. Information provision can be mandatory, optional or conditional on certain conditions being met. Trade item information is master data that must not be changed between

production runs. This section gives an overview of trade item information for lighting products. The specifications for trade item information for lighting products describe the content in detail and should be used for implementation together with this document.

Trade Item Information – Attributes The attributes in Trade Item Information are described in this section. The attributes are grouped in logical

groups in a hierarchical structure. The attributes are described by an attribute number, for example T0153, an attribute name, for example Document command, a definition and sometimes additional descriptions.

T0153 Document command

Definition Code indicating if the information is an addition, deletion or a change.

Description

Code indicating if the information is for a new item, deleted item, changed item or corrected Trade Item Information. Note that the document command applies to the whole trade item hierarchy.

New: Used when one or more items in the trade item hierarchy are new and are being declared for the first time. Also used when the pallet level item is new and the case and base level items are unchanged. Deletion: May be used when the information provider of trade item removes

Trade Item Information from his system in order to allow the buyer to make a corresponding deletion. Only to be used when the item is known to the buyer. Only to be used when the buyer has previously received information from the supplier that the trade item is to be discontinued (given in "T4015 Discontinued date time"). Change: Used when one or more items in the hierarchy is changed, but no

item has been corrected. The change does not require that the item is

allocated a new GTIN, according to GTIN Allocation Rules. An example of change is the life span, or the dimensions of the product.

Correction: Used when the Trade Item Information of one or more items have been corrected. Correction means that previously submitted information was incorrect and is corrected, without any change in the item itself, for example correction of a spelling mistake in the item name.

Description Name of the party who has created the business document. The information provider is the party who creates, changes, maintains and is responsible for the Trade Item Information. The Trade Item Information shouldn't therefore be changed by other parties.

T0157 Stacking factor

Definition Maximum number of items that can be stacked without damaging the goods.

Description Some items can be damaged if they are stacked with heavy items on top of them. It is therefore essential to know how sensitive an item is to being crushed in order to plan how the packages should be transported or placed on the store shelf.

The attribute is used for specifying the maximum number of trade item packages that can be stacked without damaging the goods. The stacking factor should be specified for the current trade item level. Use this attribute in combination with “T3848 Stacking factor type code”. This

combination is repeatable depending where in the supply chain the trade item

should be handled.

Example For example, if the maximum stack is three packages, then the value is ‘3’. If no further pallets may be stacked on a pallet, the stacking factor is 1.

T3848 Stacking factor type code

Definition Indicates the supply chain process that the particular product may be stacked

in.

Description From a supply chain perspective these values can differ from a storage perspective, truck transport, rail, etc. If a retailer is shipping between warehouses or store, they need the information to support their supply chain.

Use this attribute in combination with “T0157 Stacking factor”. This combination is repeatable depending where in the supply chain the trade item should be handled.
