A: This lists all web pages you are allowed to edit. You can also create new pages from this menu.

B: News articles will appear on your homepage and in your /news page

C: Events will appear on the homepage calendar and on your /socialsevents page. Sport clubs should always tick the ‘sport’ Event Type, and societies the ‘societies’ one, as well as one or more of the options with underscores in – for a quick guide see http://www.bathstudent.com/pageassets/socs/committeehub/Socs-HTG-Events-1.pdf

D: You can send messages to different groups e.g. your standard membership, from the default email address of your society or sports club. If you want a specific mailing list set up e.g. to people who bought a certain product, put a request in to [email protected]

E: Lists all members of your society

F: Shows groups that have been set up (e.g. for mailing lists). Setting up a new list will NOT populate it (please ask suweb to set new ones up) but you can refresh existing lists from this section if required.

G: Photos will appear on your homepage and on your /gallery page

H: Signups and Polls can be added to your webpages by setting them up here and then using the relevant widget to display them on one of your web pages (see Web Page Editing section to learn more about widgets)

Web Page Editing

Editing your home page

Do NOT use the ‘Edit page’ option in the Controls menu unless you are competent with

HTML. Instead, leave the format of the page as-is, and edit each part with the icons. Note that at time of writing, you cannot change the big banner image yourselves – please send an image with dimensions 750px by 250px to [email protected].

Editing all other pages

Go to the page you want to edit and click ‘Controls’ then ‘Edit page’. If you want to set up a new page, use the ‘website pages’ icon on your admin screen then tick the box next to your homepage and click the ‘create child page’ button at the top of the page.

There may be a warning message above the editing box saying you do not have the current version of the page – this means someone else may have updated the page since you were last on it, and the system hasn’t automatically loaded it up for you. It is best to click this link, which ensures you are working on the latest version of the page. To keep with the look of the site, please don’t use ‘clip art’ images and ensure that anything you use is of a high resolution.

A: To see a visual representation of the page you want to edit, make sure the ‘Use WYSIWYG editor’ box is ticked below the main editing area. If it isn’t ticked you will be editing the HTML code, so only do that if you are confident with the language.

B: Basic text styling options like a word processor – note there is no underline function as this would look too much like a link.

C: Selecting this allows you to add a link to a different web page, or open a document. When the window is open, clicking ‘browse server’ to see all the documents you previously uploaded, or add a new one.

D: You can align images left and right, add spacing around them and change their size. Do not upload images straight from your camera and then resize them, as full size images are huge files and it will dramatically affect the page load time. Reduce the size of the image to a maximum of 800px wide before uploading.

E: Always host your video on YouTube – let us know if you want to add it to the main BathStudent account. Go to the YouTube video page, click ‘share’ then ‘embed’ and copy the code into the text field that appears when you click the YouTube icon on our editor. Once it is saved you should see a box with ‘iframe’ written in it on your editor. Right click and select ‘iframe properties’ to change its size.

F: To publish your page, click the ‘Save / Exit’ tab and then ‘Publish’. If you want to save a version of the page without putting it live, use ‘Save’.

G: Each time you save or publish your page, a version of it will be stored on the system in case you want to revert back or make a catastrophic error. Note that only the HTML saves in the history – if you are using the css or javascript tabs, only the current version of each exists.

H: Whatever widget you use, the first thing it will ask for is the Widget Name e.g. “events1”. Once you have saved the widget, go back to the text editor and type in the widget name inside curly brackets e.g. {events1} – this will then display the widget on the live version of the page. Further details of what each widget does and how to use them can be found here:

N.B. If you want to use CSS or Javascript in your pages, please contact suweb and we will adjust your permissions accordingly.

External websites We ask that you use the pages granted to your club or society on BathStudent.com as your only web space (excluding things like social media profiles). There may be a need for external web space if something essential to the running of your club/society cannot be achieved on BathStudent.com, but this must be approved by your SU Officer and by the Marketing and Communications team. Please also be aware that:

• The external web space will need to be hosted by Bath University Computer Services (BUCS)

• Any content that can be hosted on BathStudent.com should not appear on the external web space

The things we would need to know from you are:

• The proposed domain name of the web space • Why the website is needed for your club or society • What features do you need that are not available on BathStudent.com • How you will carry out the handover of responsibility to future committees

Quick Tips • Do NOT use Controls->Edit on your homepages, instead use the little Edit icons

dotted about – email [email protected] if you can’t see them • When using the Edit icons, you may find that the content editor has limited controls.

Click ‘Cancel’ then click the Edit icon again and more controls will appear. • If the content editor looks like code, tick the little box below the edit window that

says “Use WYSIWYG editor” and it will display in a more user-friendly way. • When linking to other pages on BathStudent.com you do not need to include

http://www.bathstudent.com • The ‘Heading’ styles should be used to structure your page (like they are being used

as the headings of each bit of this document). If you want to make a line of text stand out for any other reason, use an option from the Styles dropdown instead.

• Remove formatting - when pasting from a Word document, either paste it in to notepad first and then on to the web page, or paste it in to the editor, highlight the text and use the 'rubber' icon which says "remove formatting" when you hover over it. It may look like it did in Word, but the html will be messy and inaccessible, and the editor may well do funny things when you try to edit it.

• Image alt tags (for 'alternative' text) - if your image is purely decorative, leave this blank. If it has any text on it or is a logo, use the alt tag to repeat the wording/say what company it is/describe what is being shown (e.g. if it's a picture of a graph/pie chart).

• Images - resize them!! An image straight from a camera is far too big and will slow down the load time of the page so find a way to resize them. The page is 720px across, so an image should never need to be wider than this.

Products/tickets Speak to the Sports and Societies office to get new product and ticket sales set up. They will need to know:

• Product Name • Description • Price • When on sale (date + time) • When off sale (date + time) • Where on sale • Quantity • Per person limit • Who can purchase this product • Where can product be collected (if applicable) • Additional receipt text (if any) • Any customisations (e.g. small/large, text to add to the product)
