1 Creation of item master data for target market Sweden Sweden has a data pool for storing item master data for the Swedish retailers like we have here in Denmark. The Swedish data pool called Validoo is owned by GS1 Sweden. "MyValidoo" is a service portal belonging to Validoo Item (the data pool), and you must be registered here. In addition there is a measurement service called Validoo Q-Lab, and it is a requirement from the Swedish retailers that samples of the products created in the data pool must be sent to Validoo Q-Lab for quality assurance.

2 About this document The purpose of this document is to explain how you correctly create data for the Swedish market. A food product is created in order to show how relevant nutritional information should be provided in addition to the data that is required to enter regardless of product type.

3 Creation of the base unit In the following, it will be described how you create the base unit. The base unit very often is the same unit sold to the end consumer in the supermarket – in this document referred to as the consumer unit.

In the next screen ’Basic data’ the attributes GTIN, Trade Item Unit Descriptor Code, Target Market Country Code and Is public must be filled in. Please choose ‘Private’ in the attribute Is Public. Afterwards you have to choose a data recipient in the attribute Data Recipient. This is the first company that is to be able to receive your data on the product. You will later on be able to choose more recipients.

When you have filled in the attributes as shown above, please click the button <Next>…

Now you have to choose a GDSN Trade Item Classification (GPC Brick Code). Please click the field under the header of the attribute.

3.1 Validation When entering the screen ’Core Data’ a validation report is automatically shown on the right hand side listing all the errors / missing required data.

Under every error description there is a button. By clicking this button, you will be led directly to the attribute needing maintenance. It is in fact a good idea to use this facility when correcting data. In this guide, all screens and attributes relevant for Sweden will be described. The first screen described is ’Core Data’

3.2 The screen ’Core Data’ Attributes in ’Core Data’ have to be filled in as follows… Attribute name Fill in with Is Trade Item A Base Unit

3.3 The screen ’Target markets and trade partners’ In this screen, you can add more data recipients (customers).

3.4 The screen ’Duty Fee Tax Information’ In the following you can see how you indicate VAT information for target market Sweden.

3.5 The screen ’Trade Item Data Carrier And Identification’ In the screen ’Trade Item Data Carrier And Identification’ the barcode symbol printed on the packaging must be indicated.

The GTIN of the consumer unit is 13-digits. You need to fill in the attribute Data Carrier Family Type Code as shown above. A list of allowed codes is found here: http://www.gs1.se/en/our-standards/Technical-documentation/3.1/t0187-data-carrier-family-type-code/.

3.6 The screen ’Trade Item Measurements’ In the screen ’Trade Item Measurements’, you must fill in all attributes shown in the scheme below. Please use ’Gram’ as unit of measure for gross- and net weight. Please choose millimeter as unit of measure for width, depth and height.

Width The facing of the consumer unit determines the width that must be given in millimeter.

Height The height is indicated in millimeter.

Depth The depth is indicated in millimeter.

Gross Weight The gross weight is indicated in gram and is the total weight, where the weight of the empty packaging material is included.

Net Weight The net weight is the weight of the net content in the packaging. Please indicate this weight in gram.

Net Content The declarated net content on the packaging of the consumer unit must be indicated here. Allowed unit of measures are: Gram, pieces, microgram, milligram, milliliter, square meter and cubic meter.

Drained Weight If there is a drained weight printed on the packaging label of the consumer unit, this weight is to be indicated here. The drained weight must be less than the net weight and must be indicated in gram.

3.7 The screen ’Packaging Information’ In this screen, the packaging type code as well as the packaging material information of the consumer unit is given.

Packaging Material Type Code In this attribute you have to choose a code for the packaging material that the packaging of the item is made of. Only a limited number of codes/types are allowed to use. The list can be seen here: http://www.gs1.se/en/our-standards/Technical-documentation/3.1/t1188-packaging-material-type-code/.

Packaging Material Composition Quantity The weight of the chosen packaging material given in gram.

3.8 The screen ’Nutritional Information’ In the screen 'Nutritional Information' the declared nutritional content on the label of the consumer unit must be filled in. The screenshot below shows how you indicate kilojoules and kilocalories. Then press x number of times on the button <Add another group +> corresponding to the number of times that there are other nutritional components in the product. For example, fat, of which saturated fatty acids, carbohydrates, of which sugar, protein (PRO-), salt, nutritional fibers, etc. The chart below the picture shows, which fields that must be filled in in the screen 'Nutrition Information'.

3.9 The screen ’Trade Item Lifespan’ You indicate durability information as shown below. In the attribute Minimum Trade Item Lifespan From Time Of Arrival, please enter the number of days guaranteed left on the product when it arrives at the customer’s warehouse. In the attribute Minimum Trade Item Lifespan From Time Of Production the total number of days must be indicated.

3.10 The screen ’Delivery Purchasing Information’ The only field that you need to fill in the picture shown below is Start Availability Date Time, which informs the customer(s) from when they can order/buy the product.

3.11 The screen ’Food And Beverage Ingredient’ In the attribute Ingredient Statement, the ingredient list must be given in Swedish with Swedish as language code. Please start the ingredient list with “Ingredienser: “.

3.12 The screen ’Variable Trade Item Information’ In the screen shown here below, it must be indicated whether or not the item is a variable measure product. Please fill in the attribute Is Trade Item A Variable Unit. If the answer equals TRUE, the attribute Variable Weight Allowable Deviation Percentage must be filled in with a percentage value.

3.13 The screen ’Packaging Marking’ The attribute Is Packaging Marked Returnable must be filled in with FALSE, unless there is a deposit mark on the packaging. In Trade Item Date On Packaging Format Name it must be described in what format the expiration date or best before date is expressed.

In the attribute Trade Item Date On Packaging Type Code it must be chosen, what kind of date marking is printed on the label. Please choose between ”Best Before Date” or ”Expiration Date”. In the attribute Packaging Marked Label Accreditation Code you can fill in what kind of marks is printed on the packaging. It can be different environmental marks or organic marks. If there are multiple marks printed on the packaging label, it is necessary to add more lines. Please use the button <Add another group+>. Attribute name Fill in with Is Packaging Marked Returnable FALSE, unless a deposit mark is printed on the

packaging. Trade Item Date On Packaging Format Name In this attribute it is expressed how the date

marking is printed on the packaging. For example: dd.mm.åååå, eller ddmmåå.

3.15 The screen ’Trade Item Description’ In this screen, you will have to fill in the attributes Brand Name, Description Short and Functional Name. It is important to obey the specific Swedish rules which apply to these three attributes. The rules are described in the table below the screen image.

Brand Name The Brand Name is the ”family name” of a range of products. This is the superior name. Please write ONLY the brand name and nothing more in this attribute. It can be up to 70 characters long.

Description Short The text indicated here may only have a length of 18 characters. It is used to create the shelf edge till-roll text. The brand name cannot be indicated in this text.

Functional Name A description in Swedish of up to 35 characters can be given. Do not write the brand name. Do not write

3.16 The screen ‘Trade Item Size’ In Descriptive Size a textual description of the net content is indicated. Please remember to choose the Swedish language code. The text must be equal to what is indicated in Net Content.

4 Creation of the CASE level After the creation of the base unit /consumer unit, the creation of the packaging item (CASE) follows. This unit is ordering unit, invoice unit and dispatch unit.

Please notice that the pallet information IS NOT indicated on this level, because a GTIN-coded pallet must be created on top of the CASE. Please see ”Creation of the GTIN-coded pallet level”, page 33.

When the creation of the base unit has been finalized, two errors will occur saying that the attributes Is Trade Item An Invoice Unit and Is Trade Item An Orderable Unit are missing. Please ignore these errors, because they will disappear as soon as the CASE has been created.

Please click the button <Add to packaging> in order to create the CASE level (packaging item).

In the screen ’Basic data’ you start filling in the GTIN of the CASE in the attribute GTIN. Please choose ”CASE” in the attribute Trade Item Unit Descriptor. The remaining attributes in this screen have been filled in with the same information as on the base unit. Click <Next>.

4.1 The screen ’Additional data’

In the attribute Quantity the number of base units/consumer units contained in the case must be indicated. In the screen image above it is indicated that there are eight units contained in the CASE. Please click <Next>.

4.2 The button <Hierarchy>

By clicking the button <Hierarchy> a graphical drawing of the packaging hierarchy is shown. You can navigate between the different units in the hierarchy by clicking either <CASE> or <Base Unit or Each>. The light blue colour informs you that you are working on the CASE level now.

4.3 The screen ’Core Data’ In the screen ‘Core Data’ the attributes are filled in as shown below. Please notice that the attribute Is Trade Item A Despatch Unit is marked in red, because the chosen value ”TRUE” requires the indication of Stacking Factor in the screen ’Trade Item Handling’. Please see The screen ’Trade Item Handling’”, page 31.

4.4 The validation report The validation report is always shown by default, but can be hidden by clicking the button <Errors>.

It is useful to click the buttons under the various error messages, such as the <Depth>. If you do that, you will be directed straight to the attribute Depth in the screen 'Trade Item Measurements'.

4.5 The screen ’Trade Item Data Carrier And Identification’

4.6 The screen ’Trade Item Measurements’ In the screen ’Trade Item Measurements’ width, depth, height and weights must be filled in on the case level. Please use grams for weights and millimeters for depth, height and width.

Width The width of the case containing x numbers of base units. The width must be indicated in millimeters.

Height The height of the case containing x numbers of base units. The height must be indicated in millimeters.

Depth The depth of the case containing x numbers of base units. The depth must be indicated in millimeters, and the depth is always the longer side, when the height has been determined.

Gross Weight The gross weight of the packaging item (CASE) which contains x numbers of base units. The gross weight is the total weight of the case including the weight of the packaging material + the sum of the gross weights of all the contained items.

5 Creation of the GTIN-coded pallet level When sending item master data to the Swedish market, it is a requirement that all packaging hierarchies contain a GTIN-coded pallet, where the pallet information must be indicated. Do only indicate the pallet information on this GTIN-coded pallet, and not on the base unit or case level.

7 Status of the published data to Sweden In the screen ’Messages’ you can see a status of the data sent to the different target markets. Please notice that only the top level GTIN is shown in this overview table, and in the case with Sweden this is always the pallet GTIN.

As seen in the example above, the data sent are waiting for confirmation. It can take between 20 minutes up to several hours before a confirmation message is received from the buyers (data recipients) depending on the traffic. The status will change to one of the four possibilities here below:

• Waiting for confirmation (= Data have been received by the data pool, but no confirmation has been sent back from the data recipient so far).

• Synchronized (which means that the data have been received and accepted by the data recipient).

• Received (which means that the data have been received and accepted by the data recipient).

• Review (There are errors which need to be corrected).

If it says ”Review” under ’Status’ this means that there are at least one error, which needs to be corrected. Click on the little arrow symbol to the left of the item line to escalate the error list. Data need to be corrected and published again.

7.1 Excel sheet containing the Swedish attributes and code lists GS1 Denmark has prepared a special Excel sheet containing a list of all fields that may / must be completed for the Swedish market. In the same Excel sheet are code lists that show exactly which codes are accepted on target market Sweden.

The Excel worksheet also contains a mapping between Swedish attribute names and Danish Trade Sync names making it easier to find the required Swedish attributes in Trade Sync.
