INTRODUCTION A. Message from St. Paul’s University College Greetings, Welcome to St. Paul’s Graduate Apartments at the University of Waterloo! It is our pleasure to welcome you to your new home as you pursue your studies. St. Paul’s Graduate Apartments exist to provide graduate students, visiting faculty, post docs and their families with positive, safe, and convenient housing while completing graduate work. The Tenant Guidebook is designed to provide you with useful information about the apartment building. The guidebook includes information on services, facilities, safety, policies & guidelines, administrative process, and useful contacts in Waterloo. To gain a full understanding of the apartment community we ask that you read the contents carefully. GENERAL INFORMATION A. Staff / Contacts A faculty & staff list is located on the “About St. Paul’s” section of the website: www.stpauls.uwaterloo.ca. B. Communication Communication to tenants of the building takes many forms. The College strives to provide clear and frequent communication to the tenants. Regular communication may take the following forms: Grad Apartment Monthly – A monthly newsletter distributed by email to all tenants of the building. Hard copies are available by the mailboxes in the laundry room. Emails – Important notices or personal requests are sent via email from the College. Please keep your email address current by informing the Student & Guest Services of any changes. Posters – Various announcements and notices to the tenants of the building are placed on bulletin boards located in the building. Valuable information is also available on the St. Paul’s website at www.stpauls.uwaterloo.ca. The main college telephone number is 519-885-1460.

SERVICES A. Student & Guest Services The Student & Guest Services is located in the main building of St. Paul’s University College. The office is open from 8:30 a.m. to 12:00 noon and from 1:00 p.m. to 4:30 p.m. Summer hours begin on May 1st, and result in a lunch closure from 12:00 noon to 1:00 p.m. and the offices closing at 4:00 p.m. Services available include: rent and suite payment, parcel pick up, parking pass sales, faxing, and general inquiries. Payment options for rent or suite fees are cheque, money order, cash or debit. All other services can be paid by the above options or credit card (Visa, MasterCard, and American Express). All credit card transactions are subject to a $10 minimum. The Student & Guest Services staff is ready to serve you and answer your questions. B. Parking Parking is available to tenants on a term by term basis. Term parking passes can be purchased at Student & Guest Services and are sold on a first –come, first-serve basis. Refunds are not provided for parking permits. All sales are final. Daily parking passes can be purchased from the Pay & Display machine located in front of the main building. You must display a valid parking permit at all times. Violators will be ticketed or towed at their own expense. St. Paul’s takes no responsibility for damages or theft of vehicles or vehicle contents on St. Paul’s property. C. Cleaning All hallways, common areas (fitness area, TV lounge, games room, and 5th floor lounge) are cleaned regularly according to a maintenance schedule. When using a common area please clean up after yourself. It is the expectation of all tenants to regularly clean and maintain their unit using their own cleaning supplies. D. * Be sure to include your unit number. Tenants’ mailboxes are located on the first floor in the laundry room. Larger items will be kept at Student & Guest Services and you will be notified by a yellow parcel pick up ticket in your mailbox. St. Paul’s accepts mail/packages/deliveries during posted Student & Guest Services hours for the convenience of tenants. However, St. Paul’s University College is not responsible for lost or stolen mail/packages/deliveries received. The College only signs for packages addressed to tenants listed on our tenant list.

Mail is forwarded to St. Paul’s through uWaterloo. This can extend delivery dates. Even if a package has been signed by uWaterloo, it may take several days to reach the College. St. Paul’s will only hold mail for one month after a tenant leaves and only if a written request is submitted to Student & Guest Services before leaving. It is the responsibility of the tenant to make necessary arrangements for proper forwarding of all mail. E. Internet – ResNet All units at St. Paul’s are wired for ResNet. ResNet is a self-setup internet program. Instructions for card installation and network configuration are available on our website. A ResNet package, including a description of the connection process, is available upon arrival. Note: The use of ResNet is governed by the current user policy of uWaterloo not St. Paul’s University College. If you have a problem with the ResNet in your room fill out a ResNet Problem Solving Form available in the Laundry Room or at Student & Guest Services. F. Telephones

People can contact you by calling your 10 digit phone number. Making local or toll free calls Lift handset, wait for a dial tone, enter “9” to access a line, dial 10 digit local number. Toll free calls must be dialled using “1” preceding the toll free number. Making long distance calls A third party pre-paid calling card is required to make long distance calls. Follow the instructions provided by the card vendor. Long distance cards are available for sale at Student and Guest Services. Checking Voice Mail In your unit, dial “700” to access the voicemail. When the voicemail answers, enter your voicemail pass code when prompted. (Your first time password is 0327). You can now play your messages or delete them as necessary. A stuttered dial tone indicates that you have an unheard message. From outside your unit dial 519-772-8700 to reach the automated attendant. When the voicemail answers dial “9” followed by your extension number. Enter your voicemail pass code when prompted. For help call the St. Paul’s Telecom Customer Service line at extension 290 and leave message. Frequently asked Questions (FAQ) are online at http://www.stpauls.uwaterloo.ca/residence/current_resident/info/telephone.html G. Cable Television Each unit is wired for cable connection with Rogers. Please contact Rogers directly at 1-877-557-6033 to arrange for cable service.

H. Tenant Concern Tenant Concern Forms allow tenants to bring concerns to St. Paul’s in a constructive manner. The form allows one to provide a documented primary concern. Tenant Concern Forms are available in the Laundry Room or at Student & Guest Services in the main building. I. Food Service / Convenience / Coffee Shop Watson’s Eatery - is located in the main college building. Watson’s provides excellent meal service for breakfast, lunch and dinner. Full, partial & mini meal plans can be purchased at Student & Guest Services. The Convenience Corner - in Watson’s is stocked with snack foods, beverages, toiletries, and basic household items. Payment options include cash, debit or credit. Watson’s Mug – located in front of Lecture Hall 105 offering fair trade organic coffee & tea as well as cold drinks, sandwiches, pastries, fresh fruit and snacks. FACILITIES A. Maintenance Requests When something is broken, malfunctioning, or in need or repair please fill out a Maintenance Request Form. Forms are available in the Laundry Room and need to be submitted to the Student & Guest Services in the main building. Your request will be entered into a system and addressed as promptly as possible. Maintenance Request forms must be completed to have the issue processed. Unfortunately, we cannot accept phone in or email requests for maintenance requests. B. Emergency Facilities Requests Facilities related items that are time sensitive (for example floods, sustained loss of heat, key loss) should be brought forward at Student & Guest Services during regular business hours. For after hours emergency facilities support please call 519-591-8994. C. Laundry The laundry room is located on the first floor of the building and for exclusive use of St. Paul’s Apartment Tenants. Laundry cards can be purchased from Student & Guest Services in the main college building and loaded with a desired dollar amount. Payment options include cash, debit, or credit. Please report broken or malfunctioning machines by submitting a Maintenance Request Form to the Student & Guest Services Centre.

D. Garbage It is the responsibility of all tenants to place their bagged garbage in the dumpster located at the front of the building. Please ensure garbage goes directly in to the dumpster and the lid is closed. Please do not put your apartment garbage in any of the lounges or common room containers. E. Recycling It is the responsibility of all tenants to place their recycling in the recycling containers located at the front of the building. Each apartment is provided with a blue recycling bag to assist you in transporting your recycling. F. Fitness Area The fitness area is located on the third floor in the television lounge. There are a two cardio machines as well as free weights and mats. Please follow the posted guidelines. Please report broken or malfunctioning machines by submitting a Maintenance Request Form to Student & Guest Services. St. Paul’s is not liable for any injury or illness caused by or associated with use of the fitness area. G. Games Room The games room is located on the sixth floor. There is a pool table, foosball table, and table tennis. Please follow the posted guidelines. Report broken or malfunctioning equipment by submitting a Maintenance Request Form to Student & Guest Services. H. Television Lounge The television lounge is located on the third floor of the building. Please follow the posted guidelines. There are comfortable chairs and couches as well as a big screen TV and video players for videos. Please report broken or malfunctioning equipment by submitting a Maintenance Request Form to Student & Guest Services. I. Bicycle Storage Bicycle Storage is located on the first floor of the building. There are a limited number of bike racks available for tenants to store their bikes. St. Paul’s assumes no responsibility for theft or damage of tenant bicycles. Please report broken or malfunctioning equipment by submitting a Maintenance Request Form to Student & Guest Services. J. Service Entrance Service Doors are located beside the front entrance of the building. There is a double door and moving cart that allow tenants to move in large items such as mattresses and couches. To access the service entrance contact Student & Guest Services. To have the service entrance opened after hours and on weekends please make arrangements in advance through the Student & Guest Services during regular business hours.

K. 5th Floor Lounge & Balcony The fifth floor lounge and balcony is the largest lounge space in the building with a beautiful view of the campus. There are comfortable chairs and couches as well as a full kitchen complete with a fridge stove microwave, and wireless internet. This is a great space for hosting events, parties, or an informal get together. Please follow the posted guidelines. Report broken or malfunctioning equipment by submitting a Maintenance Request Form to Student & Guest Services. If you wish to book the lounge for a special event or get together please make your request in writing to: [email protected] .You will then receive either an electronic confirmation or decline email to your request. Only those tenants who have received an electronic confirmation will be eligible to pick up a key from Student & Guest Services prior to your booking. For weekend bookings please ensure you pick up the key before 4:00 p.m. on Fridays. Please note that each tenant is allowed 2 single day/evening weekend bookings per month and will be placed on a wait list for any subsequent bookings in the same month. Tenants using the space are responsible for tidying and cleaning up after any event. Please be mindful of sound after 10:00 p.m. SAFETY A. Security Security is the responsibility of each tenant in the building. Please do not allow strangers in the building and ensure the main door and side door of the building gets closed securely. When you leave your unit please lock the door. To keep the building secure never prop open external doors. If you feel threatened or unsafe at any time, remove yourself from the situation and contact uWaterloo Campus Police at 519-885-4911. B. uWaterloo Shuttle Service The On Campus Shuttle runs out of uWaterloo Police Services from 7 p.m. till 2 a.m. daily. The shuttle will pick up students, staff and faculty on campus and take them to other locals on campus at no cost. The number for the On Campus Shuttle is 519-888-4949. The Off Campus Shuttle runs out of Turn Key Desk in the Student Life Centre. Students go to the turn key desk and sign up in advance for rides that leave on the hour between 7 p.m. and 1 a.m. This service is provided 7 days a week and you are required to show your WatCard. The turn key desk can be contacted at 519-888-4434. C. Health Emergencies www.healthservices.uwaterloo.ca uWaterloo Health Services 519-888-4096 is open Monday-Friday with a doctor on call at all times. D. Fire Safety In case of fire or an alarm it is important to empty the building quickly and in an orderly manner to avoid panic. There are unannounced fire drills each term. Know alternate exit routes from your unit. In case of fire:

Sound the alarm immediately. Alarms contact the Waterloo Fire Department immediately

Leave the building immediately.

Make certain windows and doors are closed behind you.

Go immediately to the form-up area which is the Renison University College parking lot

Do not re-enter the building until permission is granted by the Fire Department POLICIES & GUIDELINES A. General Expectations The Graduate Apartments at St. Paul’s is a diverse community of students, post-doctoral fellows, faculty, visiting scholars and their families. All tenants are expected to respect the rights of other tenants to live in a peaceful environment that is conducive to studying. B. Noise Level The Graduate Apartments at St. Paul’s is reserved as a quiet building at all times. Every activity that takes place must be done with consideration and respect for neighbours. Quiet enjoyment is a priority for all tenants of the building. C. Pets Any domestic pet or animal, bird, fish or reptile brought into or kept in the building is the responsibility of the tenant. The tenant is responsible to ensure that any pet or animal is quiet and does not disturb other tenants in any way. There are no pets allowed in any unit identified as a shared suite. Pet owners will be responsible for any damages caused by their pet. D. Smoking The entire Graduate Apartments building is a smoke free environment. Smoking is also prohibited on St. Paul’s property except in the designated smoking area. Smoking in the building will result in recorded violations which will affect your ability to renew your agreement, and potentially lead to eviction. The designated smoking area is located at the picnic table between the Graduate Apartments and the main college building. This policy applies throughout the year in all weather.

E. Tenant Violations Tenant violations are recorded to keep track of any behaviour or action that is not consistent with the set expectations of the Graduate Apartments Building. These violations may include: noise complaints, smoking violations, late payment of fees, and any other violations of rules and regulations set by St. Paul’s University College. This recorded information may be used to determine suitability for renewals of lease agreements and contracts for units in the building. F. Bed Bugs Should a case of bedbugs be confirmed, no refund or reduction of rent or fees will occur and tenants will not be relocated due to the increased risk of spreading the pest. Bedbug eradication can be a lengthy process and it may take repeated actions to treat the bedbug problem. CONTRACTS & FEES A. General Information All administration of your rent and fees takes place at the Student & Guest Services located in the main college building. If you have any questions or concerns regarding your lease or tenancy agreement, please arrange an appointment with the Residence & Financial Services Coordinator. B. Payment of Fees The payment of fees is outlined in your tenancy agreement for your convenience. Apartments -Rent is due on or before the 1st of each month. Shared Suites -Term fees are due on or before the 1st day of September, January and May.

Interest is charged on overdue fees.

C. Contract Withdrawal

Your apartment lease or suite agreement is a binding legal document and tenants of the Graduate Apartments are required to fulfill their contractual obligations. Details on when and how to withdraw from your contract are on the website: www.stpauls.uwaterloo.ca. Cancellation fees are applied and a minimum written notice of 60 days is required.

Sobey’s grocery store is located at the corner of Fischer Hallman Road and Columbia. The store is open from 7:00 a.m. to 11:00 p.m. daily. Sobey’s: 450 Columbia St. West 519-880-9143 Food Basics grocery store is located at the corner of University and Fischer Hallman. The store is usually open from 9:00 a.m. to 8:00 p.m. Food Basic’s: 851 Fischer Hallman Road 519-570-2500 Farah Foods is a convenience store that carries various grocery items. The store is typically open from 7:00 a.m. to 11:00 p.m. with extended weekend hours. Farah Foods: 50 Westmount Road N. 519-725-2375 B. Banks Scotia Bank Machine conveniently located in Watson’s Student Centre at St. Paul’s Open daily 8:00 a.m. to 8:00 p.m. CIBC bank is located at the University of Waterloo Student Life Centre. D. Shopping Malls There are 2 major shopping malls in Kitchener/Waterloo. Conestoga Mall is in Waterloo, and is approximately 30 minutes via bus and 10 minutes via car. Fairview Mall is in Kitchener, and is approximately 60 minutes via bus and 20 minutes via car. Please refer to the Grand River Transit maps for information on which bus to take. Both malls are open until 9:00 p.m. during the week, 6:00 p.m. on Saturday, and 5:00 p.m. on Sunday.
