Getting Started

You will need a Google account (as will all other collaborators) in order to create and edit documents.

www.google.com/accountsYou can also use this account to access Gmail, iGoogle, Google Sites, etc. If you already use Gmail, you already have a Google Account. Signing up for a Google Account doesn’t automatically sign you up for Gmail.

Access Google Documents by logging in: – directly at: docs.google.com – from the Google homepage: www.google.com

What Can I do with Google Docs?

• upload Word documents, spreadsheets, presentations that are stored online

• invite others to view and/or edit these documents

• chat in real-time while working simultaneously

• publish your work online

Creating a Document

Select type of New document to create or choose a file to Upload – uploaded file choices: txt, doc, rtf, odt, sxw, ppt, pps, csv, xls, ods

Editing Your Document

Use the WYSIWYG editor tools to create or edit your document, making sure to save any changes if your document is not set to be automatically saved.

Managing your DocumentsTo see a list of all your documents, click on Docs home.

Check the box next to the chosen document in “Docs Home” and select Share or click on if you are currently in the document.

• Enter the participant’s email in the box (must have a Google Account to be able to edit.)

• Designate participants as collaborators (full editing privileges) or as viewers (viewing only) & choose advanced permissions.

• Click to send email notifications to participants regarding document (not necessarily needed…participants will automatically see document on their Docs Home page.)

To publish, preview or see a list of revisions, check the box next to the chosen document on the Docs Home page and select or use the buttons available on the document’s

page.

• If more than one person is viewing or editing a document, a popup box will appear with their names.

• With spreadsheets and presentations, the chat feature can be enabled by clicking .

• Access the shared sample documents and practice making changes to them.

• Upload or create your own documents and share them with others.

• Try to edit a document someone else has shared with you

• Use the chat feature if you are working on a spreadsheet or presentation with someone else
