Getting Started

FSDirect is a facility scheduling system that allows GISD staff and approved community members to submit requests for the use of GISD facilities.

Understanding Setup Requirements When a schedule is entered within FSDirect, certain Setup Requirements can be selected. This is a way for the person scheduling the event to request support services for the event. When a particular service is requested, a task is assigned to the appropriate Service Provider. Service Providers provide event support for the following areas:

• Custodial: This option is selected when custodial services are requested for an event. This task routes to the campus custodial supervisor or to a District custodial coordinator, depending on the location selected.

• Event Setup: This option is selected when GISD personnel are asked to setup for an event. This task routes to the campus custodial supervisor, a District custodial coordinator, or a theater technical director, depending on the location selected. The service description box should include details about the setup requirements (such as how many tables/chairs are needed, table configurations, bleacher requirements, theater setup, etc.). Requesters may provide additional information as a file attachment to the schedule.

• Heating/Ventilation/Air Conditioning: This option is selected when HVAC is requested for an indoor event. This task routes to the facilities department, campus custodial supervisor, or a District custodial coordinator, depending on the location selected and whether the location is on manual or automated controls.

• Lighting (Outdoor): This option is selected when athletic field lighting is requested for an event. This task routes to the facilities department. They will schedule outdoor lighting that is on the controls system.

• Personnel: This option is only to be used by the Athletics Coordinator when scheduling a facilitator to work an event.

• All IT Services route to the Technology department for support.

Getting Started

Email Notifications When a task has been assigned to you, you will receive an email notification 7 days before the event. This email will have information about the event and the task that needs to be performed. If multiple tasks have been assigned to you for the event, you will receive an email notification for each task. These tasks will be shown on your Home page when you log on to FSDirect.

You can click on the link at the bottom of the email to access FSDirect and see more information about the task.

Logging In

How to Log In

UPDATE: The log in process has now become easier! You will use your GISD email address and password to log in to the system.

• Go to https://login.schooldude.com/sso/default.aspx?acctnum=184920274&productid=FSD.

If you are already logged in to your GISD Gmail (Google email) account, you will be taken directly into the system. Otherwise, you will be prompted to log in.

• Log in with your GISD Gmail account. o Enter your GISD Email Address (@georgetownisd.org). o Click Next.

o Enter your Password (GISD/District password). o Click Sign in.

Service Provider Home Page

Service Provider Home Page As a Service Provider, you can log in to FSDirect to manage the tasks that have been assigned to you and see what events are scheduled throughout the District.

The image below shows the view from the Home tab.

Viewing & Completing Tasks

Viewing & Completing Tasks When a task has been assigned to you, you can view and complete the task from the Upcoming Events section of your FSDirect Home page.

In the Upcoming Events section:

• Select a Location from the dropdown menu. • Select a Start Date and End Date. The date range cannot span more than 7 days. • Click Refresh. This will show you all of the events that are scheduled to occur at the selected Location

during the selected date range.

• To mark a task as complete, click the Complete button.

Viewing & Completing Tasks

• To see more details, click on the task. This will take you to the Add/Update Task page. (This is also the page you will be taken to if you click on the link at the bottom of your email notification.)

On the Add/Update Task page:

o You can change the Status of the task. For example, if you have completed the task, you can change the status to “Complete”.

o If you need to assign the task to someone else, you can select a user from the Assigned To dropdown.

o If you would like a reminder: Check the Yes, send me a

reminder email notice box. Select a Remind in option or

choose a Remind on Date.

o Click Submit to save your changes.

In addition to the Upcoming Events section, you will also see your upcoming tasks on the right side of the Home page in the To Do Tasks sections.

• Click Done to complete a task in this section, or click on the task to view more details.

Viewing & Printing the Calendar

How to View the Calendar To view the Calendar, click on the Calendar tab.

• You can select the month/year you’d like to see at the top left.

• You can also use the dropdown menus at the top right of the screen to select a specific location, room, etc. Remember to click the Refresh Calendar button.

The calendar will default to Month View. To change the view, hover over the Shortcuts menu and then select a different view.

Viewing & Printing the Calendar

When viewing the calendar, you can:

• Hover over the event title to see the time of the event. • Click on the event title to see more details about the event. • Click on the date to see a Daily View of the Calendar. • Click on Next Month > at the bottom right to see upcoming events for next month.

How to Print the Calendar To print a Calendar Report, click on the printer icon next to Print This! at the top left of the screen.

Viewing & Printing the Calendar

Go through steps 1 – 14 to decide what information you would like to print. Not all steps are required. Required fields are indicated with an orange, vertical line.

Here are some suggestions to get started: 2. Select a date range. 4. Select a location (such as your campus). 11. Select PRINT EVENT TASKS. This will show all of the tasks for each event, which will be very helpful.

Click the Print button at the bottom when you are ready to create the report. A new window will open up with the report. You should be able to save the file and print it. Note: If you want to make changes, close the window, make adjustments, and click Print again. You can try different selections until you are happy with the report.

Viewing & Printing the Calendar

Here is an example of a report that you can print. It shows the schedule ID, date, location, room(s), start/end times and setup/breakdown times, as well as all setup requirement details for each event.
