Your UNCW e-mail will serve as THE OFFICIAL MEANS OF COMMUNICATION FROM UNCW. It is important that you check your e-mail regularly for important information and updates from the campus throughout your tenure as a student.

Students receive 1GB of e-mail space (including ALL subfolders, calendars, etc.) which can be accessed directly at http://mail.uncw.edu.

Your e-mail address is your [email protected] (i.e. [email protected]). Usernames are created using your first, middle, and last initials followed by four random digits. You can look up your username at https://appserv02.uncw.edu/dasapps/sec/getid.aspx.

A variety of scholarships are available at UNCW, each with specific and unique criteria. While some are available to one or more students each academic year, others are renewable and only become available after the current recipient has graduated.

UNCW awards scholarships based on the competitive strength of your academic profile. Over the past decade, the number of UNCW students enrolling with strong records of achievement has increased significantly. We recognize that a number of highly qualified students may not receive a merit scholarship from UNCW. Consequently, we strongly encourage you to explore any and all possible sources of merit-based aid to optimize your chance of receiving scholarship money. P Consider Summer School at UNCW

Summer is on the HorizonFirst-year students have an exciting opportunity to begin their enrollment in July during the second session of Summer School (from June 23 through July 23, 2010).

Summer School provides the ability to jump start your education by completing up to two courses prior to the start of the fall semester. You can reduce your courseload in future semesters or even prepare yourself to graduate early!

Summer courses are the same courses you would take in the fall or spring semesters, but are condensed into just five weeks. Not all courses are available in the summer, check online for courses which will be available during Summer School.

If you are interested in beginning classes at UNCW in the summer, you must send an e-mail to [email protected] no later than April 23, 2010, requesting that your application be “backdated to Summer II”.

NOTE! If you intend to enroll in Summer II at UNCW, you must attend a June orientation session (this will be covered in Step 8).

P Pay your $100 Enrollment Deposit

In order to hold your place in the freshman class at UNCW, you must pay your $100 non-refundable enrollment deposit no later than 5 p.m. EST on April 30th electronically or postmark by May 1st.

Keep in mind that most of the additional steps that follow in the enrollment process require receipt of this deposit; so the earlier you deposit, the better.

P Fully-Contract for On-Campus Housing


6If you wish to live on campus, your $105 non-refundable housing contract fee and completed housing contract must be received no later than 5 p.m. EST on May 1st.

You can pay your housing contract fee with a credit card and complete the housing contract in one easy step using SeaPort. The Office of Housing & Residence Life encourages you to complete this step online. The housing contract can be found in the Guide to Living On-Campus at www.uncw.edu/stuaff/housing/documents/contract_book.pdf, for those families who do not wish to make an online payment.

This guide also includes detailed information about housing locations, floorplans, and other relevant information. A hard copy of this document will be mailed to all accepted students at UNCW.

Confirmation of the receipt of your completed housing contract will be sent shortly after you have remitted your housing contract and paid the non-refundable housing contract fee.

NOTE! On-campus housing is strongly encouraged. While not required, more than 90% of incoming freshmen choose to reside on-campus. P Set Up your Authorized User(s) & E-Refund Preferences

At UNCW, all bills are generated using a paperless system: e-Bill. You can still print a copy of your e-Bill if you wish. This system allows you to receive your bills and make payments to the university. To use e-Bill, login to your SeaPort account.

Authorized User Set up your parents or someone designated to review and pay your bill as an Authorized User. In accordance with FERPA (Family Educational Rights and Privacy Act), only students and authorized users will receive e-Bill notifications and access to billing information.

E-Refund PreferencesYou will need to set up your e-Refund preferences to determine how you would receive any student account refunds. Please refer to the Student Accounts Web site for detailed instructions on how to set up your refund profile. You may use a checking or savings account (do not use a credit union savings account), but keep in mind that your debit card number is not your account number.

Payment Plans Payment plans are available if you would like to pay your fees in monthly installments. For more information, visit www.uncw.edu/studentaccounts and click on “Tuition Payment Plan”.

Orientation is REQUIRED, as you will sign up for classes at that time. Register using your SeaPort account. For further instructions, visit www.uncw.edu/stuaff/transitions/orientation-signup-howto.htm.

For June orientation sessions, you must register no later than 5 p.m. on May 14th; for the August session, you must register no later than 5 p.m. on July 29th. For a complete schedule, see Step 13.

NOTE! Check your orientation confirmation carefully, as it may not be for your first-choice date. Students choosing to begin classes during Summer II MUST attend a June orientation date.

The cost of orientation is $130 for the June sessions, or $110 for the August session, including the cost of your materials, meals, and lodging on campus. Parents or guardians may attend for an extra $60 each for the June sessions or $50 each for the August session (parents or guardians are responsible for their own lodging).

9Room & Roommate PreferencesComplete your room and roommate preferences by May 18th. To do so, login to SeaPort and click on the on-campus housing link. If you do not submit preferences, your housing assignment and roommate will be chosen at random.

P Take your Placement Exams Before Orientation

Foreign Language Placement ExamAll UNCW students are required to take at least one course in a foreign language to complete basic studies requirements (some majors may require more).

The foreign language placement exam is offered online for French, German, Latin, and Spanish. Everyone should take the placement test, except:

Students who never took a high school course in • the foreign language that they intend to study at the university, or those who only took one course of that language in high school.Students who are transferring foreign language credit • from another institution.

Mathematics Placement Exam All UNCW students are required to take at least one course in mathematics to complete basic studies requirements (some majors may require more).

Information and test registration instructions for math placement exams will be available at www.uncw.edu/stuaff/transitions/orientation-parent-testing.htm in early February. In preparation for course registration, we strongly encourage that you take the placement test before coming to orientation. On-site testing may delay your course registration.

Most entering students must take the math placement exam if they have not completed their UNCW mathematics requirement. For test registration or administration questions, e-mail [email protected].

P Return your Immunization & Medical History Form

All students are required to submit a completed “Immunization & Medical History Form”. The form can be downloaded at http://www.uncw.edu/stuaff/healthservices/shc_records.htm.

There are three main parts:

Immunization Record• : You can have your doctor fill this form out and sign it, or attach a copy of an official immunization record.

PhysicalExamination• : All students who will be taking Physical Education will need to have had a physical within the past year.

ReportofMedicalHistory• : All students must complete these two pages. Students under 18 will need to have a parent or guardian sign the form.

NEW THIS YEAR!Beginning in Fall 2010, all students will need to have health insurance to attend UNCW. Students who have insurance will be able to waive the school-sponsored plan. Students without insurance will be required to purchase the school-sponsored plan. More details will be available in January at www.uncw.edu/healthservices.

IMPORTANT! North Carolina state law (§103A 152-157) requires all students complete this form and obtain all required vaccinations within 30 days of registration for courses. If you do not meet this requirement, you will be withdrawn from the university.

P Receive your Housing & Roommate Assignments


12Based on your earlier room and roommate preferences, the majority of students will receive their housing and roommate assignment by June 1st.

Housing assignments are generated on a first-come, first-served basis, so keep in mind that your roommate or first choice residence hall may not be your actual housing assignment due to our inability to accommodate every request.

This is a good time to get in contact with your new roommate(s), so you can get to know one another and discuss what each of you will be bringing on Move-In day in August.

Note that UNCW has a required two-week waiting period at the start of the semester BEFORE any reassignments can be made.

Check your orientation confirmation carefully, as it may not be for your first-choice date. Most students will take part in orientation in June, though a few choose to wait until August.

Orientation is a mandatory, two-day event for all incoming UNCW students that familiarizes you with the campus, allows you to meet with an academic advisor, and to register for your fall courses (and summer courses for students enrolling in Summer School).

What to BringBring comfortable clothes, a light jacket (some locations are chilly), comfortable shoes, an umbrella, and a notepad and pen to orientation; all other materials you need will be provided at check-in. Remember to bring a list of any recent AP/IB exams and in-progress coursework with you to orientation to ensure proper academic advising.

During OrientationDuring orientation, you will receive your UNCW One Card, choose a meal plan, receive your campus mailbox assignment, meet with an academic advisor, and register for classes.

This step only applies to students choosing to begin classes during Summer II. Fall e-bills will be sent at a later date (see Step 18).

Summer II e-bills will be generated on June 7th. The charges will include summer tuition and required fees, room and board, and any other applicable fees such as parking. Textbooks are not included in your charges.

Make certain that you have successfully created an e-Refund profile in Step 07 in the event that you are owed a refund from the university.

Financial AidIn addition to submitting a Free Application for Federal Student Aid (FAFSA), you must complete a separate “Summer School Aid” application online at www.uncw.edu/finaid in order to qualify for any financial aid during Summer II.

Also remember that you must accept or deny your awards, create and sign a master promissory note (MPN), complete entrance counseling, and fulfill any other outstanding requirements BEFORE classes begin in order to ensure your aid is disbursed in a timely fashion.

Final High School TranscriptThough most high schools will complete this action automatically, it is necessary that UNCW receives a copy of your final high school transcript, showing all senior grades and a verified graduation date.

Advanced CreditUNCW will also require official documentation of any advanced credit you may be eligible for. This includes: community college or university-level coursework completed while in high school, AP credit, and IB credit.

Official, sealed copies of your community college or university transcripts must be sent to UNCW in order to award this advanced credit. Additionally, official score reports for CollegeBoard or the International Baccalaureate Organization must be sent directly to UNCW to receive AP or IB credit.

IMPORTANT! Students scheduled to register for classes after August 10th have a bill due date of August 25th.

Financial AidKeep in mind that if you are due to receive any financial aid, your classes for which your are pre-registered will not be dropped for non-payment. Additionally, you may not see all of the aid you are due on your e-bill, depending on any outstanding requirements that need to be satisfied for your financial aid.

If you intend to use financial aid to pay for the cost of your attendance, your FAFSA must be received by 5 p.m. EST on July 15th. Otherwise, you will be expected to pay out-of-pocket for your attendance and be reimbursed by any aid you receive at a later date. Complete the FAFSA online at www.fafsa.ed.gov.

Student LoansBe mindful that if you are receiving any loans as part of your financial aid package, you must choose an approved lender, complete a master promissory note (MPN), and complete entrance loan counseling. This may be done online at www.uncw.edu/finaid.

Additional AwardsIf you receive any additional financial aid awards outside of UNCW, it is essential that you inform the Office of Scholarships & Financial Aid of these awards. Because these awards may alter exactly how much and what type(s) of aid you qualify for, it is important you inform UNCW of these awards in order to prevent possible changes to your financial aid package.

Once your FAFSA and other information has been received and reviewed by the Office of Scholarships & Financial Aid, your financial aid awards will be posted to SeaPort.

If you are receiving financial aid, it is extremely important that you periodically log in to your SeaPort account and check the overall status of your financial aid. You can accept or deny any financial aid awards you receive, or request to receive a partial amount of your award.

You should also ensure that necessary paperwork and other requirements are in place in advance of your payments and/or refunds. Not doing so may create significant delays in the processing of your financial aid.

Fall e-bills are due August 10th. Students pre-registered for courses should take one of the following actions to avoid having their classes dropped:

If you fail to take action, your classes will be dropped and you will have to add courses back when the drop/add period reopens on August 13th, with no guarantee of establishing the same schedule.

RefundsGenerally, a refund is the remaining balance after the cost of tuition, required fees, and room and board are subtracted from your overall financial aid award.

Your refund will be disbursed via your e-refund preferences beginning no earlier than the first day of classes, so plan accordingly for textbook purchases and other items you may need beforehand.

IMPORTANT! Financial aid should be resolved and posted to your student account by the August 25th drop/add deadline date to avoid class cancellation at that time. If you did not sign up for a full courseload, additional charges may be posted to your student account at a later time.

P Move-In for On-Campus Housing


21If you will be living on campus, August 14th is Move-In! You will receive additional details and materials from the Office of Housing & Residence Life over the summer. Because we know Move-In day can be somewhat stressful, here is a rundown of the process so you’ll be prepared when the day comes:

Prior to arriving on campus, clearly label all of your 1. belongings with your NAME, RESIDENCE HALL, and ROOM NUMBER.When you get to campus on Move-In day, University 2. Police will direct you (please make sure your Move-In placard is in the front window of your vehicle). Your first stop will be the check-in location that 3. corresponds to your residence hall, where you will receive your room key and obtain your Move-In paperwork. Once you have your key, you will pull up in front of 4. your residence hall so that your car can be unloaded (at least one parent/driver should remain with their vehicle at all times). UNCW volunteers will unload your belongings and 5. take them to your room (during Move-In 2009, a record 1,700 volunteers were on hand to assist our 1,950 freshmen with the effort).The vehicle driver will then relocate the vehicle 6. promptly to the proper parking lot as designated by university staff.By the time you get to your room, your belongings will 7. be waiting for so you can begin setting up your new room!

P Attend your Required Convocation


22Convocation is UNCW’s official academic welcome for the Class of 2014. First-year students will receive a small group assignment by e-mail from the Office of Transitions Programs to let them know where to report by 10:00 a.m. A faculty member will be there to welcome the group and offer his/her perspective on your success at UNCW. You will also meet your Seahawk Link at this time (see the Teal Ticket Companion for more information).

A short ceremony at the Clock Tower will include the unveiling of the Class of 2014 flag, a welcome from the SGA President and the beginning of your first “Trask Trek.”

At Trask Coliseum, the formal ceremony will include a welcome by the Provost and comments by the Chancellor. Lunch on the Hoggard Hall Lawn is provided after the formal ceremony.

Don’t forget to wear your orientation shirt or another favorite teal shirt for the official class picture to be taken during convocation.
