About your assessmentsThis unit requires that you complete four assessment tasks. You must complete all tasks to achieve Competency for this unit.

Assessment Task Overview

Assessment Task 1: Written questions

Students must correctly answer all 4 questions to show that they understand the knowledge required of this unit.

Assessment Task 2: Project There are three parts to this task:Part A – Students are required to complete an analysis of

the current business and document standards.Part B – Students are required to design and develop a policy template. Students are required to review feedback and update the policy template accordingly.

Assessment Task 3: Demonstration Students are required to develop a set of instructions on document use and standards. Students are required to provide training on how to use macros.

Assessment Task 4: Case Study Students are required to complete a document review strategy.

When the post was published to a wide audience on the platform, the colleague was horrified to see her name on there.

SCENARIO 3

Tara and Sean had a deadline to make that day. They worked on important client documents required for a case they were representing at court the next day. By the end of the day they were not able to meet their timeframes so decided to stay back and work at the office late until they finished. Due to them leaving quite late and being tired, Tara who was responsible for locking up failed to lock the door properly. When they came back in the next morning, they were alarmed to find out the office had been broken into and the files on their computers had been completely wiped. They did not have a backup of the information.

c) Explain what Tara and Sean could have done differently to prevent this from occurring.

Scenario

Tammy is the administration officer at a local health clinic named Happy Health. The clinic has been taken over by new management who would like to re-vamp the business. Part of the new management plans include updating their policies and procedures, and re-branding their documentation to give themselves a more modern and refreshed look. The clinic is quite outdated, from the furniture, technology and equipment as well as inner décor. The look and feel of the clinic

business have never been updated in any way, as the previous owners were not too keen on change. They saw these activities as a waste of time and resources that would have been more disruptive than worthwhile to the nature of the business.

While the new management team focus on renovating and updating the clinic’s physical environment, they would like Tammy to lead the administrative team in the management and update of the clinic documents. They have allocated a budget for marketing and this initiative is a project under that resource allocation. Tammy is responsible for establishing document standards for the business, the design and development of templates, developing document text, training staff to show them how to use the documents and devising a document review strategy to keep documents consistent.

Management have provided Tammy with the following brief:

The clinic does not have any documentation standards

Documents should look fresh, clean and modern

Font and sizes should be easy to read for both patients and staff

The corporate colours of the clinic are blues and greens

The software they use to develop their documents is Microsoft Word and PowerPoint

Staff are middle aged and older and are not comfortable with using complicated technology or functions.

Tammy has approached you to assist her with this project since you are the most experienced in document management amongst staff. You will need to help her with the design and implementation of the new documents for the clinic.

There are a range of workplace policies that will need to be updated, however management would like one policy re-developed with new standards before updating the rest. They have provided you with existing policy information required to be used in the new template, as well as some brief standards they would like you to follow when developing the template. 1. You are required to design and develop the policy template using the information provided.
