Allied Price Upload
Allied Price Upload
The Allied Price Upload utility was cre-
ated to simplify the process of upload-
ing allied price changes and part infor-
mation into the DBS parts system. It
bypasses any customized programming
or tedious manual processes involved
with conventional price or part infor-
mation changes from allied vendors. In
four easy steps, you can:
Upload price changes
New part information
Part description changes
Core parts and pricing
Without the Allied Price Upload tool,
parts price updates for Allied suppliers
can be a very manual, time-consuming
task. If updates are not done via data-
entry, every time suppliers change the
format used for their price data, the
price update programs must be manual-
ly corrected to properly map supplier’s
data to the proper DBS fields, requiring
IT resources you most likely cannot
spare. Multiply this effort by the di-
verse number of suppliers, and you can
easily invest hours you do not have.
The Allied Price Upload tool can solve
this!
Features:
The product contains four major steps:
1. Determine the format the data is in. Choose between Excel, delimited (including CSV files), and fixed length files.
2. Assign the tags by mapping the data via an easy to use Windows-based tool; map the data fields on the supplier’s spreadsheet to the correct DBS Parts fields.
3. Set the parameters for the job submission. Pick the SOS you are uploading. Create the Price Master (NPR) records. Provide FTP information for the upload to your AS/400. Submit the job on hold, schedule immedi-ately or schedule for a specific date/time. Run the update in the test or production environment.
4. Click Run! Once you click Run, the Upload tool will convert the file, FTP the file to the AS/400, and schedule the Price Update job. Once the price update job is released, a conversion program will run followed by a price update program that will then up-date the price file (if selected) and the part master file in DBS.

CONSOLIDATION
Customer Consolidation
Does your Customer Name & Ad-dress file contain multi ple customer numbers/records for the same cus-tomer? Would you like to merge customer numbers into one given customer without losing any history? FDC Solutions’ consolidation product merges multi ple customer numbers for the same person into one target customer number. You simply pro-vide us with a list of customer numbers you need merged, along with the target customer number it should be merged to. On the DBS customer name & address file, obso-lete customer numbers are marked as “Flag Delete” and the customer information consolidated. We then review the files you select from a list of 40+ DBS files, find all cus-tomers that are now flagged for de-letion, and change the customer number to the target customer num-ber provided.
You Choose The Files Dealer can designate which of the list of files they want to change and/or exclude.
Areas normally reviewed are: Customer files, Sales Control Files, Customer Docs, Transaction files, etc. The total cost of the project is estimated to be significantly less than a DBSi 5.0 conversion plus includes a tighter, more stable core interface and plat-form. DBS 2.3.4 to CODA v11.3 iSeries solu-
tion, which is aptly named 2.3.11.
Pairing DBS 2.3.4 with CODA v11.3 on
the iSeries, this cost-effective and fea-
ture-rich solution gives DBS 2.3.4 deal-
ers options and will significantly pro-
long the life and supportability of DBS
dealers well into the future.
Keep your stable DBS 2.3.4 environ-
ment, while using all the functionality
included in the newest CODA Financials
v11.3 product, including the GUI – ena-
bled user interface.
This is all accomplished on the de-
pendable AS/400 platform, ensuring
minimal disruption to operations.
The integration to CODA uses FDC-
developed API's and CODA-published
XMLi. Its forward-compatibility ensures
future upgrades will not be an issue,
and the solution will be supported into
the future jointly by FDC for integration
and CODA for financials.
The total cost of the project is estimated
to be significantly less than a DBSi 5.0
conversion plus includes a tighter, more
stable core interface and platform.

EMS Parts Lookup
Dealer Cleveland Brothers of Harrisburg,
Pennsylvania, needed a way for their
Parts department to see what attach-
ments and work tools were in their
Sales department inventory before order-
ing items from Caterpillar. FDC Solu-
tions worked with them to gather re-
quirements, and eventually developed
EMS Parts Lookup to solve inventory
challenges all dealers face.
Challenges
Currently, Parts, Service and Sales de-
partments using DBS are unable to
search the entire dealership inventory
for specific attachments available for
sale. For example, the Parts counter
person may need a specific model of
brush cutter for a skid steer loader; the
Sales department may have a machine
on the lot already equipped with that
exact attachment. However, because the
Parts counter person does not have
access to this information, he orders
the brush cutter from Caterpillar.
This not only costs the dealership emer-
gency freight and service charges, but
may also cost them a customer if the
time to receive the part and complete
the order is excessive.
Solution The EMS Parts Lookup product pulls all
new items available for sale from EMS,
enabling the Parts/Sales manager to decide
whether to take a part from a machine in
the yard or order the part from Caterpillar.
This functionality could save the dealer a
substantial amount of money in service and
freight charges, and at the same time,
improve customer satisfaction.

•Freight charges are weight-based; in the event a weight value is not available, a freight charge calculation is determined by a percentage of the part’s value.
•Parameters abound at the customer lev-el, document level, and in the Freight by Weight module, even at the part level.
•Minimum and maximum freight charges can be established at both the customer and part level so you have control over the total freight your customer pays.
•In cases where you do not want to charge freight, you may bypass charges by customer number or shipping instruc-tions.
•Freight charges are applied on the origi-nal sale document, which works great for PartStore orders. It ensures that customers using credit cards will be charged up-front for the total price, including freight.

JOURNAL TRACKING
Mining Information from DBS/
DBSi
FDC Solutions’ Journal Tracking product
is the answer to mining information
from DBS/DBSi! Many third-party sys-
tems need to mine information from
DBS/DBSi files. Instead of changing
every DBS/DBSi program that looks at
the needed files, FDC’s Journal Tracking
System finds the journal for that data
and uses those journal entries to mine
the data for just the pieces of infor-
mation you need. Because DBS/DBSi
files are already journaled automatically
as part of core DBS, the overhead on
the system is extremely low, and there
are no changes required to DBS/DBSi
programs.
FDC’s Journal Tracking lets you specify
the file(s) and field(s) you want to
mine, and the Journal Tracking’s NEPS
jobs will run and mine the data from
the journals at a set interval. To ensure
efficiency, the system keeps track of
the last journal entry that was retrieved,
and the next time the NEPS wakes up,
it will only search for new journal en-
captured entry. These two processes en-
sure job efficiency by ensuring only the
desired data is extracted, and you will
not use up valuable system resources
scanning the entire journal each time
data is mined.
The selected journal data is then written
to an XML file in the IFS, which can be
then be sent to or used on various plat-
forms such as SQL Server, SAP, etc.

Inventory accuracy is top priority and
verified throughout the system:
If on-hand is changed in CHGP-
CINV, a Bin Location window will
appear so that you can indicate
how the total on-hand is distributed
among the multiple bin locations.
The sum of location quantities must
match the new on-hand
In case a document’ is ‘’cancelled
complete, or a shipping exception
is performed, the system will
prompt you to update the location
quantities in the Bin Locations win-

A location cannot be deleted until
its location quantity is zero
The application maintains total on-hand
quantity in the DBS store record. A
discrepancy report lists and a sync
batch job updates any parts where the
DBS on-hand quantity does not match

pricing strategies and unique customer situations
has become priceless. FDC Solutions’ product will

ing through a parameter-driven system that allows
you to keep pricing out of your IT department
and back in the hands of your Pricing Analysts

Pricing Module

A set of relational factors are used that allow
you to impact the price of parts. The relation-
ships can be as simple or complex as you need
them to be.
Major matrices include: Customer, Supplier, and
Commodity Code. In addition, there are a number
of other factors available for pricing. Some in-
clude part specific factors, customer overrides,
industry overrides, and division overrides.

PARTS RETURN/RESTOCKING
MODULE
Returns/Restocking Module
The Returns/Restocking module is highly
parameterized with override options,
reason codes and security passwords
that allow you to customize the system
to meet your needs. The module is
implemented through the use of the
DBS provided FDC hooks in the Coun-
ter/Shop Sale programs.
This module can reject any attempt to
return a non-stock, non-returnable part,
helping you to not be stuck with obso-
lete parts. The application also rejects
any part that was not purchased from
your dealership and automatically charg-
es the customer for any applicable re-
stocking fees. The policy can be ap-
plied to counter and shop documents.
Calculating Restocking Fees
Restocking fees are:
Determined by the part status (stocked
or non-stocked) and the days elapsed
since the date of the purchase (i.e.,
date on the sale invoice)
Charged as a percentage of the
original sale
Maintained at the store or dealership
level in the Return Parameters
Features:
At the time of sale, the name of the cus-tomer authorizing the purchase must be entered to ensure he or she is aware re-stocking charges will apply if the parts are returned
At return time, F13, Retrieve From Invoice,
must be used to retrieve the parts from a counter sale document
Once a part has been returned for a specif-
ic invoice, it cannot be returned again Parts must exist on the work order the
return is being created for Document date from the Work Order Parts
Detail screen (MNTWOPTS) will be used to determine the applicable restocking fee
If you choose to apply the returns policy,
transaction code 50 (Part Not Requisitioned) cannot be used
Document notes are written to record who
authorized the non-stock purchase, when the return policy is overridden, and who author-ized the override
Line item notes record the percentage of
the sale price that was deducted

Purchase Order System

the only comprehensive purchasing product

Items ordered on DBS Work Orders, Emer-

Documents
FDC Solution’s has developed a dynamic
interface between parts shop and counter
documents and Repair Bill of Materials
(RBOM) in DBS. The interface will allow
you to upload a list of parts from RBOM
and import it into the counter/shop docu-
ment. This saves time with order entry as
well as the headaches of dual maintenance
as you try to keep parts lists up-to-date
with RBOMs.
Existing Parts List Functionality
Using the F4 Parts List function in Coun-
ter Sales (CRTCTRSL) and Shop Requisi-
tions (CRTSHPRQ) in DBS, you can look
up, select, and populate the Parts/
Miscellaneous Entry and Review screen with
parts from a Repair Bill of Materials
(RBOM).
Pull One or More Parts From
RBOM
Once RBOM is selected, an inquiry screen
will appear with all parts on the RBOM
listed. If any of the parts listed on the
RBOM should not be imported to the
counter/shop document, the parts can be
deselected.

RBOM Replaced Parts
FDC Solutions’ RBOM Replaced Parts job
was created as an alternative to the DBS
Standard Job Repair Bill of Material
Change-Up Job. The FDCS job reviews all
Repair Bill of Materials (RBOMs) in DBS
for any replaced or discontinued parts, and
if any are found, it will update the RBOMs
with the replacing part numbers, assuming
the replaced parts are not in stock at any
of the dealership stores. If found in inven-
tory at any of the stores dealership-wide,
the part that has been replaced will not be
updated on the RBOM, ensuring you will
use up existing stock. A new report will
be generated, listing any parts that are
found in dealer stock.
Replaced/Discontinued Parts in
Dealer Stock Report Created
The FDCS RBOM Replaced Parts job gen-
erates a new RBOM Replaced/Discontinued
Parts in Dealer Stock report. The report
lists all RBOM items for a part and then
displays the store numbers where the parts
were found and the quantities available in
those stores.
In addition, the job creates four other re-
ports: SJ RBOM Change-Up Discontinued
Parts, One for One Replacements, Multiple
Replacements, and Indirect Replacements.
Inventory Examined to Determine if a Replacement is Needed
Instead of looking at the most recent month's demand or if there is a store rec-ord for the part, dealership-wide inventory is examined to determine if a replacement is needed. Inventory considered includes: On Hand, In Process, On Order, In Return, and Future Dated Order quantities.

stores before part is replaced on RBOM

Inventory can be included or excluded by store to include only those branches that have qualifying inventory

STANDARD JOBS PARTS REPRICE
Re-price Parts on Standard Jobs
FDC Solutions’ Standard Jobs Parts Re-
pricing product is the answer to updating
parts prices on standard jobs in DBS. The
process uses existing DBS Standard Job
Batch Re-price job SHJN4000S and the DBS
front end for selecting and re-pricing Stand-
ard Jobs. Based on the parameters selected,
the job re-prices the parts amounts on the
standard job, updates it with the most re-
cent changes to pricing policies and parts
price updates. The Standard Jobs Parts Re-
price module handles combined standards
and regular standard jobs. By installing and
using this module, you can ensure accurate
pricing for customer's quotes based on
standard jobs, thereby protecting your bottom
line.
Familiar Interface Selects and Re-prices the Standard Jobs
Minimal changes were made to the Standard
Job Mass Maintenance screen to allow you
to easily re-price parts on the Standard Job.
By typing R in the Parts Re-price field
(instead of Y/N as Core DBS requires), you
can now submit the job and the parts pric-
es will be re-priced using the current Parts
pricing and any FDC pricing that is in
place. Just like core DBS, the update can
be narrowed down to only apply to a single
standard job. If no filters are entered, all
standard jobs are re-priced.
Percentage Markup No Longer Required But Allowed
In DBS, you are required to enter a markup
percentage. With FDC’s solution, percentage
markup is now an optional field. If a
markup percentage is entered, the current
price will be calculated first using current
Parts pricing and any FDC pricing, and then
marked up by the percentage entered.

Updates to parts prices can be re-
ceived through the mailbox on a
daily basis. As a result, the parts
pricing on the standard jobs can be
quickly outdated
