❖ FCC Requirements1. This equipment complies with Part 68 of the FCC rules and requirements adopted by the ACTA.

On the cover of this equipment is a label that contains, among other information, a product iden-tifier in the format US:AAAEQ##TXXXXX. If requested, this number must be provided to thetelephone company.

2. This equipment uses the RJ11C USOC jack.

3. A plug and jack used to connect this equipment to the premises wiring and telephone networkmust comply with the applicable FCC Part 68 rules and requirements adopted by the ACTA. Acompliant telephone cord and modular plug is provided with this product. It is designed to beconnected to a compatible modular jack that is also compliant. See installation instructions fordetail.

4. The REN is used to determine the number of devices that may be connected to a telephone line.Excessive RENs on a telephone line may result in the devices not ringing in response to an in-coming call. In most but not all areas, the sum of RENs should not exceed five (5.0). To be cer-tain of the number of devices that may be connected to a line, as determined by the total RENs,contact the local telephone company. The REN for this product is part of the product identifierthat has the format US:AAAEQ##TXXXXX. The digits represented by ## are the REN withouta decimal point (e.g., 03 is a REN of 0.3).

5. If this equipment causes harm to the telephone network, the telephone company will notify youin advance that temporary discontinuance of service may be required. But if advance notice isnot practical, the telephone company will notify the customer as soon as possible. Also, you willbe advised of your right to file a complaint with the FCC if you believe it is necessary.

6. The telephone company may make changes in its facilities, equipment, operations or proce-dures that could affect the operation of the equipment. If this happens the telephone companywill provide advance notice in order for you to make necessary modifications to maintain unin-terrupted service.

7. If trouble is experienced with this equipment, for repair or warranty information, please contactRICOH CORP. CUSTOMER SUPPORT DEPT. at 1-800-FASTFIX. up.

2. Perform such activities in the off-peak hours, such as early morning hours or late evenings.

This product meets the applicable Industry Canada technical specifications.

The Ringer Equivalence Number is an indication of the maximum number of devices allowed to be con-nected to a telephone interface. The termination on an interface may consist of any combination of de-vices subject only to the requirement that the sum of the RENs of all the devices does not exceed five.

User Authentication

If user authentication (User Code Au-thentication, Basic Authentication,Windows Authentication, LDAP Au-thentication, or Integration ServerAuthentication) is set, the authentica-tion screen is displayed. Unless a val-id user name and password are entered,operations are not possible with themachine. Log on to operate the ma-chine, and log off when you finish op-erations. Be sure to log off to preventunauthorized users from using themachine.

Note❒ Consult the user administrator about

your login user name, password,and user code. For details about thevarious types of user authentication,consult the appropriate administra-tors.

❒ For user code authentication, entera number that is registered in theAddress Book as a login user name.

Note❒ To scan multiple originals using the

Auto Document Feeder (ADF), setoriginals in a stack.

❒ When sending a fax, the imageoutput at the other end depends onthe size and orientation of paperused in the receiver's machine. Ifthe receiver does not use paper ofthe same size and orientation asthat of the original, the fax imagemay be reduced in size, trimmed atboth edges, or divided across twoor more sheets. When sending animportant original, ask the receiv-er about the size and orientation ofthe paper in their machine.

❒ When sending an original of irreg-ular (i.e. custom) size or part of alarge original, you can specify thescan area precisely. See p.17 “Set-ting a Scan Area”.

❒ Custom size originals are scannedas regular size originals, so the re-ceiver may find extra blank mar-gins or edges of images missing. Ifyou specify a scan area, only thatarea is scanned regardless of theactual size of the original.

❒ To send an original longer than 420mm (17"), make either of the fol-lowing settings, and then scan theoriginal using the ADF (if a jam oc-curs, the original might becomedamaged because scanning doesnot stop in this mode):• Specify the area under “Scan Area”.

See p.17 “Setting a Scan Area”.• Select Long Document mode with

the User Parameters. See p.167“User Parameters”, FacsimileReference <Advanced Features>(switch 14, bit 1).

❒ Documents longer than 800 mm (32")must be sent by memory transmis-sion (immediate transmission maynot be possible).

❒ If an original jams, press the {Clear/Stop}key, and then carefully remove theoriginal.

❒ Make sure that all ink, correctingfluid etc., has completely dried be-fore placing your original. If it isstill wet, the exposure glass willbecome marked and those markswill appear on the received image.

❒ If you place an A4 or LT (81/2"×11")size original in the portrait orienta-tion, the machine rotates the imageby 90 degrees before sending. Seep.79 “Transmission with ImageRotation”, Facsimile Reference <Ad-vanced Features> .

❒ You can send the first page from theexposure glass then the remainingpages from the ADF. You cannotchange from the ADF to the exposureglass. When transmitting frommemory, see p.23 “Sending multi-ple originals using the exposureglass”. When sending immediate-ly, see p.29 “Sending multiple orig-inals using the exposure glass”.

❒ When using the Internet Fax func-tion, originals are sent at A4 width.Originals larger than A4 are re-duced to A4 width. If the receiver'smachine is compliant with the T.37full mode, originals are sent at thewidth specified in the AddressBook. See p.61 “T.37 Full Mode”.

Setting a Scan Area

Normally, a placed original is scannedaccording to the automatically detect-ed size. If a scan area is specified, theoriginal is scanned accordingly. Thus,originals can be sent without extraspace or blank margins. See p.215“Original Sizes Difficult to Detect”,Facsimile Reference <Advanced Fea-tures> .

❖ Auto DetectDetects the size of the first pageand scans all pages using that size.If you want to scan originals of dif-ferent sizes, use the Mixed Origi-nal Sizes function.

Transmission Modes

There are two types of transmission:• Memory Transmission• Immediate Transmission

❖ Memory TransmissionTransmission starts automaticallyafter the original is stored in mem-ory. This is convenient when youare in a hurry and want to take thedocument away with you. You canalso send the same original to sev-eral destinations. See p.24 “Broad-casting sequence”.

❖ Immediate TransmissionImmediately dials the destinationnumber, and while scanning theoriginal, sends it. It is very conve-nient when you want to send anoriginal quickly or when you wantto check the destination you aresending to. When using this typeof transmission, the original is notstored in memory. You can onlyspecify one address.

Switching between Memory Transmission and Immediate Transmission

Check the display to see which modeis currently active. You can changetransmission mode by pressing[Immed. TX] or [Memory TX].

Memory Transmission

Memory transmission mode has stan-dard fax, Internet Fax and IP-Fax.

Important❒ If there is a power failure (the main

power switch is turned off) or themachine is unplugged for aboutone hour, all the documents storedin memory are deleted. As soon asthe main power switch is turnedon, the Power Failure Report isprinted to help you identify delet-ed files. Simply turning off thepower by pressing the Operationswitch does not delete stored doc-uments. Scan Settings

You may want to send many differenttypes of fax documents. Some of thesemay be difficult to reproduce at thereceiver's end. However, the machinehas three settings that you can adjustto help you transmit the documentwith the best possible image quality.

❖ Resolution:Standard, Detail, Super Fine (op-tional)

❖ Original Type:Text, Text / Photo, Photo

❖ Image Density (Contrast):Auto Image Density, Manual Im-age Density (seven levels), Com-bined Auto and Manual ImageDensity

Resolution

Images and text are scanned into themachine by converting them to a se-quence of dots. The density of thedots determines the quality of the im-age and how long it takes to transmit.Therefore, images scanned at highresolution (Super Fine) have highquality but transmission takes longer.Conversely, low resolution (Stan-dard) scanning results in lower quali-ty but the original is sent morequickly. Select the setting that match-es your needs based upon this tradeoff between speed and image clarity.

❖ Standard (8 x 3.85 lines/mm, 200 x 100dpi)Select for originals containing nor-mal size characters.

❖ Detail (8 x 7.7 lines/mm, 200 x 200 dpi)Select for originals containingsmall characters or when you re-quire greater clarity. This resolu-tion is twice as fine as Standard.

❖ Super Fine (optional expansion mem-ory required: 16 x 15.4 lines/mm, 400x 400 dpi)Select for originals with very finedetails or when you require thebest possible image clarity. Thisresolution is eight times finer thanStandard.

Limitation❒ If the other party's machine does

not support the resolution atwhich you are sending, this ma-chine automatically switches to aresolution that is supported. Youcan check the resolution at whichyou actually sent. See p.162 “Print-ing Journal”, Facsimile Reference<Advanced Features> .

❒ Sending with Super Fine resolu-tion requires that the machine hasthe optional expansion memory,and the other party's machine hasthe capability to receive fax docu-ments at Super Fine resolution.

Note❒ The machine supports Standard,

❖ Text / PhotoSelect [Text / Photo] to send an orig-inal containing both a high-con-trast black-and-white image, suchas text, and a halftone image, suchas a photograph.

❖ PhotoSelect [Photo] to send an originalcontaining a halftone image, suchas a photograph or a color original.

Note❒ If you select [Text / Photo] or [Photo],

the transmission will take longerthan when [Text] is selected.

Mixing Scan Settings for a Multiple Page Original

When sending an original of severalpages, you can select a different im-age density, resolution, and originaltype setting for each page.Place the original, select the scan set-tings for the first page, dial, and thenpress the {Start} key as you wouldnormally. Then follow one of the fol-lowing two procedures.

Specifying a Destination

You can specify the destination usingone of four methods.

This section covers these functionsand others in more detail.

Note❒ The display shows the percentage

of free memory space for storingoriginals. Since fax numbers and e-mail addresses are programmed inseparate memory, dialing faxnumbers using the number keysdoes not change the percentage onthe display.

Entering a Fax Number

Enter numbers directly using the keypad on the right side of the controlpanel.

Note❒ Maximum length of a fax number:

128 digits.❒ You can insert pauses and tones in

a fax number. See p.40 “Pause”,p.40 “Tone”.

A Enter the fax number using thenumber keys.

Note❒ If you make a mistake, press the{Clear/Stop} key, and then enteragain.

Pause

Press the {Pause/Redial} key when di-aling or storing a number to insert apause of about two seconds.

Note❒ If you press the {Pause/Redial} key

at the first digit, the Redial screenappears. See p.47 “Redial”, Facsim-ile Reference <Advanced Features> .

❒ A pause is shown as a “-” on thedisplay.

Note❒ You can also program numbers in-

cluding pauses in the destinationlist.

Tone

This function allows a machine con-nected to a pulse dialing line to sendtonal signals (for example if you wantto use a special service on a tone dial-ing line). When you press the {Tone}key, the machine dials the number us-ing tonal signals.

Limitation❒ Certain services may be unavailable

even when using the {Tone} key.

Note❒ A tone is shown as a “•” on the dis-

play and the next numbers are di-aled using tonal signals.

Using the {Tone} key with On Hook Dial

A Press the {On Hook Dial} key.

B Enter the fax number using thenumber keys.

Entering an E-mail Address

When using Internet Fax transmis-sion, specify the e-mail address inplace of the fax number. See p.59 “In-ternet Fax Functions (by Specifyingan E-mail Address)”.

When bypassing the SMTP server

To bypass the SMTP server whensending fax documents, specify desti-nations as follows:

PreparationProgram the host name of the oth-er party on the DNS server in ad-vance. See “Using a Host NameInstead of an IP Address”, NetworkGuide.

Limitation❒ If the other party's IP address is not

registered on the DNS server, spec-ify the IP address at the domainpart of the e-mail address.

❖ Specify the other party's host nameSpecify a destination's e-mail ad-dress by adding the other party'shost name to the domain part ofthe e-mail address. Specify the ad-dress to the right of @ as follows:“host name”, “. (period)”, and “do-main name”.xxxx@host name of the other par-ty.domain nameExample: The other party's e-mailaddress is “[email protected]”and the host name is “HOST”;[email protected]

Entering an IP-Fax Destination

When using IP-Fax transmission,specify the IP-Fax destination (IP ad-dress, host name, or alias telephonenumber) in place of the fax number.See p.77 “Internet Fax Functions (bySpecifying an IP Address)”.

For example, if the receiver’sIP address is “192.168.1.10” andthe port number is “2100”, specify“192.168.1.10:2100”. Ask the net-work administrator for details.

❒ When you specify a host name, de-pending on the receiver’s networkconfiguration, you may need tospecify the host name and portnumber of the receiving machine.For example, if the receiver’s hostname is “tokyo.abc.co.jp”and theport number is “2100”, specify “to-kyo.abc.co.jp:2100”. Ask the net-work administrator for details.

❒ An alias telephone number is atelephone number available onlyin the network registered in thegatekeeper.

❒ Pay attention to the number of tele-phone number digits set in thegateway/IP address conversiontable to avoid transmission error.

Registering Entered Destinations to the Address Book

You can register a fax number, e-mailaddress, or IP-Fax destination to theAddress Book.When registering a destination direct-ly entered or displayed on the Redialscreen in the Address Book, [ProgDest]appears in the destination field.See “Fax Destination” and “E-mailDestination”, General Settings Guide.

Note❒ Depending on security settings,

[ProgDest] may not appear, andyou may be unable to register thedestination.

Using the Destination List to Specify Single or Group Destinations

When destinations are programmedin a destination list, you can specify adestination by just selecting a Desti-nation key from the destination list.The programmed name appears onDestination key.Pressing switches the destina-tion list between fax number, e-mailaddress, and IP-Fax number. If you program multiple destinationsinto a Group, you can send documentsto all destinations in that Group usingjust a few keystrokes. Destinationsprogrammed in a group are indicatedby .

for Memory Transmission; it cannotbe used for Immediate Transmission.The machine automatically chang-es to Memory Transmission whenyou use group destination.

❒ You cannot specify more than 500destinations for multiple groups.

Specifying group destinations

A Press the Destination key pro-grammed with the desired group.

Note❒ The destination list registered in

the desired group, whose typeis selected in step A, appears.

❒ To cancel any destination(s)among the group, press [UP-rev.] and [TNext] to displaythe desired destinat ion.Then, press the {Clear/Stop}key. You can also cancel atransmission by pressing thehighlighted Destination keyto deselect it.

❒ If a destination where a faxnumber, e-mail address, orIP-Fax number is not pro-grammed is included in thespecified group, the “Thespecified group con-tains some invalid des-tination(s). Do you wantto select only validdestination(s)?” mes-sage appears. Press [Select] tospecify destinations wherethe fax number, the e-mailaddress, or IP-Fax is pro-grammed. Press [Cancel] tochange the destination. If thedestination in destinationtype does not exist, you canprioritize a destination youwant to quote. dress, Fax Number, CompanyName, and Department Name)are those programmed in theLDAP server.

❒ Press each condition to displaythe entry field, where you enterthe necessary information.

❒ You can add one additional searchcondition for LDAP servers by speci-fying the Arbitrary Search Conditionunder Program/Change/DeleteLDAP Server under System Set-tings. See Network Guide for thedetails.

❒ The string you enter in the [Name]condition field is read as thefirst or last name, depending onthe administrator's setting. Forexample, to search for the name“John Smith”, ask the systemadministrator whether you shouldenter “John” or “Smith”.

Reception

There are two ways you can set up themachine to handle incoming calls:• Manual Reception (the optional hand-

set or an external telephone required)• Auto ReceptionYou can change the reception modeonly if a standard G3 line is used.You cannot change the receptionmode when a line other than the stan-dard G3 line (G3-2 or G3-3) is used.

❖ Manual ReceptionWhen a telephone call comes in,the machine rings. If the call is a faxdocument, you must switch manu-ally to facsimile mode.

Internet Fax Functions (by Specifying an E-mail Address)

The optional printer/scanner unit is required.

This machine converts scanned document images to e-mail format and transmitsthe data over the Internet.The e-mail sent by this machine can be received by another Internet Fax ma-chine. Instead of dialing the telephone number of the destination you want tosend to, you enter the relevant e-mail address. You can also print or forward received e-mail messages.

Limitation❒ To send Internet Fax documents, in the Facsimile Features menu, under E-

mail Settings, set [Internet Fax Settings] to [On]. However, documents can stillbe forwarded or delivered to Internet Fax destinations even if [Off] is selected.

❒ To receive Internet Fax documents, in the System Settings menu, in FileTransfer, under [Fax E-mail Account], set [Account] to [Receive].

❒ This machine must be connected to a LAN and set up correctly in order to useits Internet Fax functions. See “Connecting and Setting Up”, Network Guide.

Note❒ The Internet Fax function supported by this machine is compliant with ITU-

❒ You can receive e-mail messages with an attached TIFF-F image from com-puters.

Internet Fax Precautions

• Internet Fax communicates with a server over a LAN. It cannot communicatedirectly with other parties.

• When using a Transfer Request by e-mail, documents are sent at A4 width.Documents larger than A4 are reduced to A4 width. If the receiver is in com-pliance with the T.37 full mode, documents are sent at the width specified inthe Address Book. See p.61 “T.37 Full Mode” and p.212 “Acceptable Types ofOriginals”, Facsimile Reference <Advanced Features> .

• If a transmission is not successful, this machine usually receives an e-mail er-ror notification. See p.203 “Server-Generated Error E-mail”, Facsimile Refer-ence <Advanced Features> . However, e-mail error notifications may not betransmitted for various reasons. It is recommended that you confirm receiptof important document by calling the other party.

• The level of security for Internet communications is low. It is recommendedthat you use the telephone network for confidential communications.

• Voice communication is not supported over a LAN. • Internet Fax delivery might be delayed due to network congestion. Use Inter-

net Fax transmission that bypasses the SMTP server or a public telephone linefax whenever communication time is a concern. See p.70 “Bypassing theSMTP Server”.

• If you use this machine with dial-up connection, the Auto E-mail Receptionfunction accesses the provider's server via telephone line and may incur callcharges even if you do not receive e-mail. To reduce the frequency of serveraccess, specify a large E-mail Reception Interval. For the E-mail Reception In-terval setting, see “File Transfer”, Network Guide.

T.37 Full Mode

This machine is T.37 full mode compatible. T.37 full mode is an internationalstandard for Internet Fax transmission. (ITU-T announcement, RFC2532)When an Internet Fax communication is made between T.37 full mode compat-ible machines, the receiver side sends the return receipt (dispatched) in responseto the reception notice request attached to the sent e-mail. This return receipt in-cludes the receiver's reception capability information (compression type, papersize, and resolution). When the receiver is programmed in the Address Book asthe full mode destination, the sender side automatically registers the received in-formation in the Address Book. This allows you to send a subsequent InternetFax document to that receiver based on this information.

❒ If you use Internet Fax transmission, you can send documents to multipledestinations at once. However, if you specify full mode destinations, sinceeach destination may have a different reception capability, transmission isdone one by one in the specified transmission order.

❖ Returning a Return ReceiptWhen an e-mail is received, if the sender requests reception notice, the receiv-er sends a return receipt that includes the receiving machine's capability(compression type, paper size, and resolution).

❖ Registering the Received Reception Confirmation ContentsWhen the sender receives the return receipt that includes the receiver's recep-tion capability, the sender checks that the final recipient address sent is pro-grammed in the Address Book. If it is programmed as a full mode destination,the sender automatically registers the receiver's reception capability. The reg-istered reception capability is updated each time the sender receives new re-ception capability information. The sender can send documents to thereceiver based on this information.

❖ Requesting a Reception NoticeWhen the receiver's machine supports T.37 full mode and is programmed asa full mode machine in the Address Book, the machine requests the receptionnotice from the receiver. Then, the machine will receive the return receipt(sent) that includes the receiver's reception capability.

Note❒ If the receiver is programmed as the simple mode machine or not programmed

in the Address Book, the receiver's reception capability cannot be registered.❒ If you know the receiver's reception capability, you can set it manually. How-

Sending Internet Fax Documents

You can send Internet Fax documentsonly by Memory Transmission. If youspecify Immediate Transmission inInternet Fax, the mode is switched toMemory Transmission when one e-mail address or more is specified.

PreparationBefore using this function, the fol-lowing preparations are required:• Make the network settings in

the System Settings menu. See“Setting Up the Machine on aNetwork”, Network Guide.

• Program the sender to the desti-nation list and set “Use Nameas” to “Sender”. See “Fax Desti-nation”, General Settings Guide.

When sending documents, you canset e-mail options using [Sub TX Mode].You can set the following options:

❖ Enter SubjectAllows you to enter a subject forthe document you want to send.

Note❒ For convenience, program fre-

Important❒ If a power outage lasts about an

hour, or the machine is disconnect-ed from the power outlet for aboutan hour, documents stored in thefax machine's memory are deleted.If any document is deleted, thePower Failure Report is automati-cally printed out when the mainpower switch is turned on. Use thisreport to check which documentswere deleted. Simply turning offthe power by pressing the Opera-tion switch does not delete storeddocuments. ❒ You may not be able to send largefiles as e-mail, depending on e-mail environment conditions.

Bypassing the SMTP Server

You can send Internet Fax documentsdirectly to their destinations withoutgoing through the SMTP server. In-ternet Faxes are normally transmittedvia the SMTP server. However, withthis feature the domain part of thedestination's e-mail address is read asthe SMTP server's address and trans-missions bypass the SMTP server.Since this reduces load on the server,you can send faxes without having totake server to destination transfertime into account.

PreparationSet the port number for the SMTPserver to 25 in advance. See “FileTransfer”, Network Guide.

Limitation❒ To use this function, the other par-

ty's fax machine must be:• compatible with Internet Fax• connected to the same LAN as

this machine• have its reception protocol set to

SMTP❒ SMTP authentication set on the oth-

er party's fax machine is disabledwhen Internet Fax is transmittedusing this function.

❒ If an Internet Fax is transmitted fromthe other party using this function,even if reception is not successful,an Error Mail Notification is notsent to the sender.

❒ When an Internet Fax is transmittedusing this function, even if trans-mission is not successful, the errore-mail is not sent from the server.

Confirming Reception

When Reception Notice is set under“E-mail Options”, the receiver sendsback a reception notice message.Once the reception notice message isreceived, “OK” appears in the Resultcolumn of the Journal, allowing theoriginator to verify the transmissionwas received.

Limitation❒ The Reception Notice feature is only

available if the receiver supportsMDN (Message Disposition Noti-fication).

Note❒ If the fax is not received normally,

“Error” appears in the Result col-umn.

❒ Information regarding the last 200documents is recorded, but onlythe last 50 communications appearin the Journal. If you do not receivea reception notice message for oneof the last 50 communications fromthe receiver's machine, you maynot be able to confirm receipt usingthe Journal's Result column.

❒ If you specify mailing list address-es, do not set for Reception Notice.Otherwise, you will receive multi-ple reception notice messages frome-mail recipients, and the Resultcolumn will be overwritten eachtime a new notice message is re-ceived. However, if you receive areception notice message indicat-ing an error, “Error” appears in theResult column and will not beoverwritten, even if you subse-quently receive a reception noticemessage as “OK” following the er-ror message.

❒ Reception notice results are onlyshown in the Journal. The Resultcolumn in all other files, lists, andtransmission reports show “- -”.

❒ Reception notice messages them-selves are not recorded in the Jour-nal.

Canceling Transmission of an Internet Fax

When fax, Internet Fax, and IP-Faxdestinations are specified simulta-neously, as well as only a fax or IP-Fax destination is specified, you cancancel transmission using the samemethod.

Note❒ You cannot cancel transmission once

the original is scanned.

Before the Original Is Scanned

Use this procedure to cancel a transmis-sion before pressing the {Start} key.

Receiving Internet Fax Documents

You can receive e-mail documents byInternet Fax.There are two methods of receiving e-mail: Auto E-mail Reception andManual E-mail Reception.

Limitation❒ E-mail with attachments other than

TIFF-F format files cannot be re-ceived. Senders receive an Error MailNotification if their e-mail containsattachments. You can select whetheror not the machine sends this mes-sage with User Parameters. See p.167“User Parameters”, Facsimile Refer-ence <Advanced Features> (switch21, bit 7). However, TIFF-F docu-ments created by the Saving func-tion of DeskTopBinder ProfessionalLite can be received.

❒ If “Require Secure Password Authen-tication (SPA) for all client con-nections” is selected in Windows Server2003, reception is not possible.

Note❒ When Reception Protocol is set to

POP3 or IMAP4, you can set themachine to retain incoming e-mailor delete it from the server in “Sys-tem Settings”. See “File Transfer”,Network Guide.

❒ With User Parameters, you can havethe machine send the return re-ceipt in response to the receptionnotice request attached to the sente-mail. See p.167 “User Parame-ters”, Facsimile Reference <AdvancedFeatures> (switch 21, bit 1).

Auto E-mail Reception

When this function is turned on, themachine periodically checks the e-mail server for incoming e-mail anddownloads it as necessary.E-mail auto-reception should be set in“System Settings”. When you selectauto-reception, set the reception in-terval in minutes.See “File Transfer”, Network Guide.

Note❒ If memory runs out, e-mail will not

be received at the specified inter-vals. Reception will resume whensufficient memory becomes avail-able.

Internet Fax Functions (by Specifying an IP Address)

The optional printer/scanner unit is required.

The IP-Fax function sends or receives documents between two facsimiles direct-ly via a TCP/IP network. This function has the following advantages and is suit-able for communication within the same LAN:• Reducing communication costs• Communicating between IP-Faxes at higher speed than by standard faxIP-Fax uses SIP and H.323 as the network protocol.Specify an IP address or host name instead of a fax number for sending. Whenusing a gatekeeper, specify its alias telephone number. Specify addresses of thegatekeeper or SIP server (proxy server, register server, redirect server) as appro-priate in IP-Fax Settings in the Facsimile Features menu. ❖ H.323A multimedia communication protocol that sends or receives files via one-to-one communication over a LAN or the Internet.

❖ SIPA communication control protocol for Internet telephone that utilizes VoIP(which converts voice information to IP packets) and is equipped with func-tions such as creating, modifying, and terminating sessions with one or moreparticipants.

❖ Gatekeeper (VoIP gatekeeper)A gatekeeper manages devices connected to an IP network and converts aliastelephone numbers to IP addresses and performs authentication functions. Inaddition, a gatekeeper governs band (transmission rate assignment) and ac-cess control.

❖ Gateway (VoIP gateway)A gateway connecting a telephone network and IP network, it has functionssuch as protocol conversion for connecting these different networks, and alsoconnects communication devices (telephones, facsimiles, etc.) to a LAN orother network.

❖ SIP serverA SIP server mediates connection requests between devices connected to anIP network and is composed mainly of servers that have the following threefunctions:• Proxy server: Receives SIP requests and forwards them on behalf of the re-

questor.• Register server: Receives information about a device's address within an IP

Sending by IP-Fax

IP-Fax function uses TCP/IP (LAN orInternet), and the same procedures asthe standard fax function. Functionsavailable in both standard and IP-Faxtransmission can be used in generallythe same manner.By connecting the machine to a gate-way (T.38-compliant), you can sendto a standard G3 facsimile connectedto the public switched telephone net-work (PSTN) via TCP/IP.

PreparationMake the network settings in theSystem Settings menu beforehand.See Network Guide.

Note❒ To send via the Internet, the receiv-

er’s machine must also be connect-ed to the Internet. You cannot sendto a firewall-protected network.

Initial Settings and Adjustments

You can send information to the otherparty when transmitting or receivinga fax document. This information isshown on the display of the other ma-chine and printed as a report. The fol-lowing information can be sent.

Important❒ You can confirm programmed set-

tings from the User Parameter List.It is recommended that you printand keep the User Parameter Listwhen you program or change set-tings. See p.172 “Printing the UserParameter List”, Facsimile Reference<Advanced Features> .

❖ Fax HeaderThe Fax Header is printed as theheader of every fax you send. Youshould include your name in theFax Header.You can program Fax Header1 orFax Header2. When you send orig-inals using the destination list, youcan select which Fax Header isprinted on the document receivedby the other party.

Important❒ In the USA, the Fax Header must

contain the telephone numberof the line your machine is con-nected to. It will be printed onthe header of every page yousend. Required in the USA.

Note❒ You can register up to 32 characters

in the Fax Header.❒ You can use characters, symbols,

numbers, and spaces.

❒ You can set whether or not toprint a Fax Header using [FaxHeader Print] under Options . Seep.74 “Fax Header Print”, Fac-simile Reference <Advanced Fea-tures> .

❒ In program No. 1 you can regis-ter a preference about whetheror not the Fax Header is alwaysprinted. You will then switchthe setting using the Fax HeaderPrint function only when neces-sary. See p.130 “Registering apriority function using a pro-gram”, Facsimile Reference <Ad-vanced Features> .

❒ In the USA, law requires that yourfax number be included in theFax Header. Program the fax num-ber and switch on Fax HeaderPrint.

Programming Destinations in the Address Book

You can program fax numbers, e-mail addresses, IP-Fax numbers, and folderdestinations using Address Book Management in Administrator Tools in theSystem Settings menu. You can also register programmed fax numbers, e-mailaddresses, IP-Fax numbers, and folder destinations in a Group.

Note❒ When you press the {Facsimile} key to show the facsimile initial display after

changing the contents of the Address Book, the “Destination list / machinesettings are updated.” message appears. Press [Exit] to bring up the facsim-ile's initial display.

When the {Facsimile} Key Is Lit in Red

If this key is lit, press the key to enter the facsimile mode. Then, refer to the fol-lowing table and take the appropriate action.

Problem Solutions

The paper output tray is full. Remove the paper from the tray.

A facsimile error has occurred. The facsimile has a problem. Record the code number shown in the display and contact your service representative. See p.95 “Error Mes-sages and Their Meanings”. The copier will still function normally.

Out of paper Add more paper.

All fax documents stored in memory have been lost. Those documents include ones stored through Memory Transmission/Reception, Confidential Reception, Sub-stitute Reception, or Auto Document.

When about one hour passes after power to the machine is turned off, all fax documents stored in memory are lost. If any documents have been lost for this reason, a Power Fail-ure Report is automatically printed when the machine is turned on. If fax documents stored for Memory Transmis-sion have been lost, check the destinations and resend the documents. If fax documents received through Memory, Confidential or Substitute Re-ception have been lost, ask the senders to resend the docu-ments. If Auto Documents have been lost, reprogram them.

❖ FCC Requirements1. This equipment complies with Part 68 of the FCC rules and requirements adopted by the ACTA.

On the cover of this equipment is a label that contains, among other information, a product iden-tifier in the format US:AAAEQ##TXXXXX. If requested, this number must be provided to thetelephone company.

2. This equipment uses the RJ11C USOC jack.

3. A plug and jack used to connect this equipment to the premises wiring and telephone networkmust comply with the applicable FCC Part 68 rules and requirements adopted by the ACTA. Acompliant telephone cord and modular plug is provided with this product. It is designed to beconnected to a compatible modular jack that is also compliant. See installation instructions fordetail.

4. The REN is used to determine the number of devices that may be connected to a telephone line.Excessive RENs on a telephone line may result in the devices not ringing in response to an in-coming call. In most but not all areas, the sum of RENs should not exceed five (5.0). To be cer-tain of the number of devices that may be connected to a line, as determined by the total RENs,contact the local telephone company. The REN for this product is part of the product identifierthat has the format US:AAAEQ##TXXXXX. The digits represented by ## are the REN withouta decimal point (e.g., 03 is a REN of 0.3).

5. If this equipment causes harm to the telephone network, the telephone company will notify youin advance that temporary discontinuance of service may be required. But if advance notice isnot practical, the telephone company will notify the customer as soon as possible.
