1. INTRODUCTION AND MUSIC LEVY
Lourdes Hill College has a proud tradition of involvement in the Creative Arts, particularly music and
drama. The Extra-Curricular (EC) Music/Drama Department is an important part of the College. It
aims to provide opportunities for students to take part in music/drama regardless of skills or
experience, whilst providing challenges and varied opportunities for established musicians.
A once-a-year EC levy will be charged to every student enrolled in the EC Music and Drama
Program. The 2015 levy is $80 and must be paid up-front to the College as an Elective Activity
charge.

The EC Music Co-ordinator and Head of Faculty of Arts are responsible for the overall supervision of
the EC Music/Drama Department. The Extra-Curricular Music Co-ordinator is responsible for the day-
to-day running of the Extra-Curricular Music/Drama Department, with the assistance of the Music
Development Officer. The EC Music Co-ordinator liaises with the Music Development Officer
regarding tutors/conductors, parents (including members of the Friends of Music Society [FOMS]),
students, lessons, instrumental hire (organised and maintained by the Music Development Officer),
the formation and rehearsal of College ensembles, music captains, competitions and awards.

Tutors are employed by the College. As such, they are to be treated with the same respect as would
be bestowed on any staff member in the College. Tutors are expected to uphold the philosophy and
ethos of the College. At times, tutors are given the opportunity to conduct a group within the College
and are paid by the College for this service. All tutors/conductors are expected to have a current Blue
Card when teaching/conducting within the school. This card is issued by the Commission for Children
and Young People and Child Guardian. The Blue Card is a suitability card and a mandatory
requirement for people working with children.
4. PARENTS
4.1 COMMUNICATION
4.1.1 Annual Memo and Specific Notices/Permission Slips
Each year students are given a memo listing all information regarding music/drama performances,
concerts and events in that year. Please write these important dates into your diary so that they are
made a priority. Specific notices and permission forms are sent home via the student also. Parents
are requested to return forms and slips as quickly as possible either by mail, email or directly to the
Music Staff.
4.1.2 Networking
Parents of students involved in ensembles are encouraged to discuss assisting one another with
transport arrangements, so students don’t miss out on opportunities due to a lack of transport.
Students are asked to compile a list of names and phone numbers of those families in their
ensembles who live in or near their suburb. It is the responsibility of the parents to ensure their
daughter/s is on time for every rehearsal and performance organised.
4.2 PARENTAL RESPONSIBILITIES
4.2.1 Communication
Parents are to communicate directly with tutors regarding requests or concerns; however, general
questions may be asked of the Music Development Officer or EC Music Co-ordinator.
4.2.2 Withdrawal From Tuition
In order to be fair to other students, tutors and maintain a stable timetable, students may only
withdraw from tuition at the end of a term by filling out a ‘Ceasing Lessons Form’ (See
Appendix 3). If a student wishes to withdraw from tuition, tutors must be notified prior to the
holidays (at the end of the term the student wishes to finish), not during the holiday period.
The EC Music Coordinator and tutor must be informed in writing before the final lesson at the
end of a term. If this form is not received by the end of term (prior to the holidays), you may
be liable for the following term’s fees.
4.2.3 Fees, Invoices and Payment
Fees are set in accordance with the independent regulating body, the Music Teachers’ Association of
Queensland (MTAQ). All lessons are 30 minutes in length:
Instrument/Voice Private Tuition $32.50 per lesson
Theory Private Tuition $32.50 per lesson
Shared Tuition $19 per lesson per student
Dramatic and Performance Arts
Private Tuition $32.50 per lesson
Shared Tuition $19 per lesson per student
Vocal Ensemble Group Lesson $14.00 per lesson per student
(in addition to private voice lesson)
Extra-Curricular lessons are elective activities that must be paid up-front to the College before the
commencement of lessons. Parents will be contacted by the Fees Co-ordinator with the number and
type of lessons to be paid for.
Payment is via the following methods:
Credit Card – via the College website’s online payment portal using Mastercard or Visa.
Cheque or Cash – deposited in the Fees Box at Student Reception. Please note the name
and activity for your daughter with your payment.
EC lessons will be discontinued if payment has not been made in a timely manner.
4.2.4 Student Progress
If a tutor considers a student is not making sufficient progress, parents may be contacted. A reminder
notice will be sent home to parents (via email) if a student is absent without word.
4.2.5 Reports
A tuition report is available via TASS Parent Lounge once a semester (available during the week
after students finish school in Term 2 and Term 4).
4.3 FRIENDS OF MUSIC SOCIETY (FOMS)
Function - The Friends of Music Society consists of family members and friends of music/drama
students within the College. The group aims to support all events involving the EC Music/Drama
Department.
Activities - Members help organise and serve food for concerts and functions, organise raffles and
decorations for big functions and support each other and the music staff.
Meetings - Dates are noted in the College newsletter and calendar. Parents and friends are welcome
at any time. For 2015, FOMS dates are as follows:
Term 1 – Wednesday 4th March, 6.00pm (Duhig Hall)
Term 2 – Wednesday 6th May and 10th June, 6.00pm (Duhig Hall)
Term 3 – Wednesday 22nd July, 6.00pm (Duhig Hall)
Term 4 – Wednesday 7th October, 6.00pm (AGM 2016 – location TBA)
Additional meetings may be called if required.
5. STUDENTS
5.1 COMMUNICATION
5.1.1 Tutors
Students must note their tutor's contact numbers and email address in their College diary. Direct
communication with tutors is emphasised.
5.1.2 Daily Notices and Student Email
Important messages regarding rehearsals and meetings will be published in the morning notices
and/or via the student’s College email account. No excuse will be accepted for not reading these
notices. Music/drama students should read the notices and access their College email account every
day. If a tutor is absent, a note will be put on the designated room, advising the student of the
absence. The tutor will then organise a make-up lesson.
5.1.3 Notice Board
The Tutor Timetable Noticeboard is located in R11 and should be read regularly. Tutor timetables are
placed on these boards. Tutors are not expected to email timetables to students/parents.
5.2 RESPONSIBILITIES AND EXPECTATIONS
5.2.1 Lessons and Practice
Students must be on time for lessons and have their instrument, music and diary. The College diary
must be taken to every lesson so lesson times can be recorded either on the ‘Lesson Schedule’ form
(pasted in the diary) (see Appendix 2) or in the body of the Student Diary on the actual date of the
student’s lesson. Students must check their diary/daily notices and with their teachers for advanced
notice of exams, excursions and activity dates, and inform the tutor ahead of absences. Tutors are
not expected to make up lessons where students have only given notice of their impending absence
on the lesson day. Students must practise at home to advance proficiency. It is expected that
students practise daily; a practice routine must be established.
All students must sign in at Student Reception on their way to each Extra-Curricular lesson. This is
very important as a student’s whereabouts must be accounted for at all times.
5.2.2 Instrument Care
Storage
All students are expected to treat their instrument with respect, and in doing so, store them
appropriately at home, in transit and at the College. Storage is available in the R11 Student
Instrument Storage Room located on the first floor of Nyanza and in D21 (only on the shelving
provided). Instruments are not to be left in classrooms, at Student Reception or in corridors.
Due Care
Students must show due care of a College instrument both on the College premises and outside the
College premises. Students must be sensible and aware of their surroundings when using and
moving with their instrument. Instruments must be correctly placed in a safe place where no damage
can occur. School instruments must be placed in the designated music store room while at school
(on the storage shelves provided) and in a safe place at home. Instruments must be placed correctly,
ie cellos placed on their side and not standing up, guitars place on the shelf and not leaning against a
wall, etc. Instrument must be packed away securely (including straps holding the instrument in place
in the case), and the case closed and locked properly. If due care is not taken, parents will be liable
for the cost of any damage incurred.
Identification
Students with their own instrument must attach an identification tag with their name clearly marked
and record the make, model and serial number in their College diary. Each College hire instrument
has an identification tag.
Strings
Students hiring stringed instruments are expected to replace broken strings. Students must have a
full set of strings in their case at all times.
Reeds
Students must supply their own reeds for all reed instruments. Tutors will guide students as to the
most suitable reed for their current stage of development.
5.2.3 Ensembles
Once a suitable level of proficiency has been achieved on an instrument, every student enrolled in
the EC Music/Drama Program is encouraged to become a member of at least one ensemble, vocal
or instrumental. All ensembles are considered as a year-long commitment. Music/drama ensembles
are a team, with every member’s commitment being crucial to the ensemble’s successful ability to
perform. Students commit themselves to all performances and rehearsals.
Students must notify, by phone call or in writing, the conductor, the Music Development Officer or
the EC Music Co-ordinator of an expected absence before the affected rehearsal. If two rehearsals
are missed in a semester, the student risks losing her position in the ensemble. In accordance with
the College Mission Statement, each member is expected to approach fellow musicians with respect,
understanding and tolerance.
5.2.4 Commitment
Students are expected to approach their musical/dramatic studies with a sense of commitment. In
order for a student to maximise progress, lessons must be regularly attended, practice made routine,
rehearsals made a priority and performance and attire of a consistently high standard.
5.2.5 Performances
Once a commitment has been made to an ensemble, it is expected students attend all performances
as set out in the performance calendar.
5.2.6 Resources
Tutors will notify parents and students of resources required for lessons, for example original music
or blank CDs. Lourdes Hill College is a member of AMCOS and abides by their copying guidelines.
EC Tutors are prevented from photocopying.
6. TIMETABLING OF LESSONS
6.1 Lessons During Class Time
Taking part in the EC Music/Drama Department means all Year 7, 8, 9 and 10 students are
timetabled during class lessons on a rotational basis during school hours. Tutors are here a limited
time; therefore, lessons are subject to their availability. Being in the senior phase of learning, Year 11
and 12 students should aim to have lessons scheduled outside class time (morning tea and lunch
breaks). However, this cannot be guaranteed.
6.2 Leaving Class for Lessons
Students must not miss a whole class period in order to attend an EC Music/Drama lesson. Class
periods are 50 minutes, EC lessons are 30 minutes. This ensures students attend the first or last 10
– 15 minutes of class time; either the beginning or end of a class must be attended (please let the
Music Staff know if this is not occurring). The student should show the class teacher her Lesson
Schedule form (kept in the College diary) or the lesson day/time and tutor’s signature written in the
body of the diary in order to be released from class, excused from lateness or moving around College
grounds during class time. Lesson schedules are renewed every term and must be signed by the
student’s tutor each week. Students must also sign in at Student Reception before they go to their
EC lesson with the date, their full name and the start/end times of their EC lesson so that the College
knows where they are.
6.3 Lesson Time Changes/Absence and Notifying Tutors
The student must notify the tutor personally 4 days prior to any lesson time they are unable to attend
due to an exam, excursion or other activity. The tutor will arrange a new time, and this must be
written on the lesson schedule form. If the student is unable to attend a lesson due to unexpected
extenuating circumstances, tutors need to be notified personally by phone at a reasonable time the
day before the scheduled lesson (24 hours’ notice). No refund of tuition fees will be forthcoming if the
tutor has not been contacted in reasonable time.
6.4 Sudden Illness
If a student is suddenly ill, the tutor must be notified personally by telephone at a reasonable time the
day before the scheduled lesson (24 hours’ notice). Direct contact with the tutor by phone (not email)
is required.
7. INSTRUMENTAL HIRE SCHEME
7.1 College Instrument Hire
The cost of hiring an instrument is $240 per year. If electing to hire a College instrument, this must be
paid up-front to the College as an Elective Activity charge. No instrument will be issued without a
parent/guardian-signed contract being returned to the Music Department. To hire a second
instrument is $120 per year.
7.2 Hire Period
College instruments are hired on a yearly basis (depending on availability); however, it is always
desirable for a student to have their own instrument.
7.3 Damage and Insurance
College instruments are covered whilst signed out to students, both at home, in transit and on
College grounds. An excess of $1000 applies and is payable by parents to the College. In the event
of an instrument sustaining damage, being stolen or lost, the Music Department must be notified
immediately. Upon notification, the Music Department will issue the appropriate forms. If repairs cost
less than the $1000 excess, the replacement cost of the instrument is payable by parents.
8. ENSEMBLES
8.1 GENERAL INFORMATION
8.1.1 Involvement
Every student learning voice or an instrument through the College is encouraged to involve
themselves in at least one ensemble, vocal or instrumental.
8.1.2 Auditions (Chamber Singers, Concert Band 1)
Students are required to audition for a place in Chamber Singers and Concert Band 1. Students must
be having lessons on their instrument/voice. Auditions are held at the end of the school year.
Students are informed of auditions via the daily notices.
8.1.3 Ensemble Pre-requisites
To be involved in the following ensembles, students must be having lessons either here at the
College or outside of school: Brass Ensemble, String Ensemble, Clarinet Ensemble, Percussion
Ensemble (can be lessons on piano or another instrument – focus is on the confident reading of
notes and rhythms), Flute Ensemble. To be involved in Concert Band 2, it is preferred that students
be taking lessons on this instrument either here at the College or outside of school. Students who
currently don’t have private lessons must be able to play their instrument and read music
competently, have had lessons on this instrument in the past year, and must commit to regular
practice in order for improvement to occur. To be involved in the EC Drama Ensemble, students need
to be in Years 9-12 and having EC Drama lessons here at the College.
8.1.4 Music Uniform
For all performances in 2015, the members of Choirs, Bands and Music Ensembles will wear the
College Music Uniform: purple tunic top with white star, black music uniform trousers, black socks or
stockings, black closed-in flat shoes, and a white ribbon. Most items are available from the College
Uniform Shop. Second hand music uniforms may be available via the Second Hand Uniform
Catalogue. Parents wanting to sell their second hand uniforms are invited to list items available for
sale in this catalogue. The catalogue will be available for viewing through the Parent Lounge for
current families in the school and will be emailed to new families interested in buying second hand

8.1.5 Band/Choir Folders
Band and Instrumental Ensemble members will be given a purple music folder and Choir members
are given a black display folder. Each student must sign for this folder and keep it in good condition.
The cost of these folders is covered by the EC Levy. All sheet music must be returned at the end of
each year.
8.1.6 Performances
Students are expected to attend all rehearsals and performances as set out in the Performance
Calendar (see Appendix 1). Once a commitment has been made to an ensemble, it is expected that
students attend set performances.
8.2 VOCAL ENSEMBLES
8.2.1 Concert Choir Rehearsal: Tuesday afternoon 3:20pm - 4:20pm
This choir is open to all students in years 7 – 12 (no audition required). Choral skills are gained
through singing various styles of music. Students do not need to have been in a choir previously to
join.
8.2.2 Chamber Singers Rehearsal: Tuesday afternoon 4:25pm - 5:25pm
This group of vocalists from years 9 -12 are chosen via audition only. Students are auditioned at the
end of the previous year and at the start of the new year. Under exceptional circumstances, the
College does allow year 8 students to become part of this choir (should they be successful in the
audition process). This choir works with more challenging repertoire and is very rewarding for more
experienced vocalists. Students in Chamber Singers must be having private lesson either here at the
College or outside of school and be members of Concert Choir.
8.2.3 Other Vocal Ensembles
Students may choose to be a part of a small vocal group to extend their abilities. Students liase with
their vocal tutor at the College and organise a Group Lesson ($14 per student). Students must be
having private voice lessons in order to be a part of a vocal ensemble.
8.3 INSTRUMENTAL ENSEMBLES
8.3.1 Concert Band 1 Rehearsal: Thursday morning 7:30am - 8:20am
This group of instrumentalists from years 7 – 12 are chosen via audition only. Students must be
having lessons on their instrument (piano lessons are fine for percussion roles) either at school or
outside of school and are auditioned at the end of the year. Repertoire is varied (rock, jazz, classical,
film, contemporary) and appropriately challenging for the level of the players.
8.3.2 Concert Band 2 Rehearsal: Wednesday morning 7:30am - 8:20am
This band is open to all students from beginners onward. Students are encouraged to join this group
once lessons have begun and some proficiency has been achieved. To be involved in Concert Band
2, it is preferred that students be taking lessons on their instrument either here at the College or
outside of school. Students who don’t have private lessons must be able to play their instrument and
read music competently, have had lessons on this instrument in the past year, and must commit to
regular practice in order for improvement to occur.
8.3.3 String Ensemble* Rehearsal: Tuesday morning 7:30am - 8:15am
This ensemble is open to all students from beginners onward. Students must be having lessons on
their instrument either here at the College or outside of school and are encouraged to join this group
once a suitable level of proficiency has been achieved.
8.3.4 Percussion Ensemble* Rehearsal: Thursday afternoon 3.15pm - 4.15pm
This ensemble is open to all students from beginners onward. Students must be having lessons
either here at the College or outside of school (can be lessons on piano or other instrument –
rhythms and note recognition are vital) and are encouraged to join this group once a suitable level of
proficiency has been achieved. Students who learn piano are particularly encouraged to join this
group.
8.3.5 Flute Ensemble * Rehearsal: Friday morning 7:30am - 8:15am
This ensemble is open to all students from beginners onward. Students must be having lessons on
their instrument either here at the College or outside of school and are encouraged to join this group
once a suitable level of proficiency has been achieved.
8.3.6 Clarinet Ensemble * Rehearsal: Tuesday morning 7:30am - 8:15am
This ensemble is open to all students from beginners onward. Students must be having lessons on
their instrument either here at the College or outside of school and are encouraged to join this group
once a suitable level of proficiency has been achieved.
8.3.7 Brass Ensemble * Rehearsal: Monday morning 7.30am - 8.15am
This ensemble is open to all students from beginners onward. Students must be having lessons on
their instrument either here at the College or outside of school and are encouraged to join this group
once a suitable level of proficiency has been achieved.
8.3.8 EC Dramatic and Performance Arts Ensemble *Rehearsal: Monday afternoon 3.15pm -
4.15pm
This group is available to Years 9-12 students who are taking EC Dramatic and Performances Arts
lessons here at the College.
* These ensembles are assembled at the discretion of the EC Music Department and are
dependent on student commitment being of an adequate standard.
8.3.9 Rock Bands and Jazz Combos
Rock bands and jazz combos provide the opportunity for students to explore the music industry and
take on roles as managers, technical directors, music arrangers, songwriters and artistic directors, as
well as instrumental and vocal performers. These ensembles are run by students, with the occasional
help from music staff when required. A high degree of self-motivation, teamwork and application is
required.
9. EC CAPTAINS
EC Captains are nominated at the end of each year for the following year. Following nominations, the
nominees are interviewed by the music staff against set criteria. Upon completion of the interviews, a
decision is made by the music staff as to the allocation of the two captains. Each captain is inducted
at a College assembly.
10. COMPETITIONS, EISTEDDFODS AND EXAMINATIONS
10.1 Competitions and Eisteddfods
All performing groups are encouraged to enter competitions and eisteddfods, representing the
College. Information regarding solo instrument competitions is available through the student’s tutor.
Entry fees for soloists/duets/trios/quartets are payable by students.
10.2 Examinations
Music examinations are undertaken by most tutors at Lourdes Hill College. Examinations through the
Australian Music Examinations Board (AMEB) and Trinity College/Guildhall London (TCL) are
facilitated. Syllabi for the Royal School of Music (RSM) is also available.
10.3 Queensland Certificate of Education Credit for Examinations
Examination results may be recorded on the Queensland Certificate of Education (QCE) when
attempted in years 10, 11 and 12. These results can account for some of the twenty credit points
required to graduate. Please note that these results do not contribute towards a student’s OP in Year
12.
10.4 Accompanists
Students must organise their own accompanist for examinations (See MTAQ site). Please ensure
that your accompanist has a current Suitability Card. Music used by students for examination
purposes must be originals held by the student. This cost is incurred by parents.
11. AWARDS – POCKET SYSTEM
Extra-Curricular Music/Drama
General Expectations for students involved in Extra-Curricular Music/Drama activities
All students involved in Extra-Curricular Music/Drama are expected to:
participate actively in Extra-Curricular Music/Drama initiatives
behave in a way that brings credit to the College
commit to attending scheduled rehearsals. Absence from rehearsals and performances will only be accepted in the case of illness or extreme circumstances. In these instances, a dated letter from parents/ guardians is required to be submitted to the relevant conductor or EC Music Co-ordinator.
Pocket System
The Pocket System recognises commitment that exceeds these General Expectations.
One Pocket Award may be granted per student per year. Students who have received on Half Pocket would only be eligible for another Half Pocket in the following calendar year. Students who have received one Full Pocket would only be eligible for another Full Pocket after a further two consecutive semesters of commitment to Extra-Curricular Music/Drama.
The Music Coordinator or conductor shall clearly outline the General Expectations to students and parents via College website/Intranet/hardcopy.
The Music Coordinator will consult with the conductors to determine recommendations for the Half or Full Pockets and to also determine whether pocket nominations are to be withdrawn if there is any breach of the General Expectations.

Half Pocket Award (Purple)
A Half Pocket Award may be granted to a student who has committed to one of the top LHC Extra-Curricular Music/Drama groups for two consecutive semesters (Chamber Singers, Concert Band 1, String Ensemble, EC Drama Ensemble). In order to receive a Half Pocket in one of the top LHC Extra-Curricular Music/Drama groups, students are expected to:
commit to all scheduled performances (competitions, College and community events) If, on the very rare occasion, there is a clash between two LHC events, at least 4 weeks notification and a conversation with the Music Coordinator is required.
attend a minimum of 90% of scheduled rehearsal time. Full absence from rehearsals and performances will only be acceptable in the case of illness or extreme circumstances. In these instances, a dated letter from parents/guardians is required to be submitted to the Music Coordinator.
demonstrate excellence in their chosen field (see over page for examples of excellence )
exhibit good behaviour and a positive attitude in rehearsals
be actively engaged in rehearsals The two Extra-Curricular Music Captains will be awarded a Half Pocket if they fulfil their duties as determined at an interview with the EC Music Co-ordinator.
Full Pocket Award (White)
A Full Pocket Award may be granted to a student who has committed to two LHC Extra-Curricular Music/Drama groups for two consecutive semesters (one being Concert Band 1, Chamber Singers, String Ensemble or the EC Drama Ensemble). Students who have received one Full Pocket would only be eligible for another Full pocket after a further two consecutive semesters of commitment to Extra-Curricular Music/Drama. In order to receive a Full Pocket in Extra-Curricular Music/Drama, students are expected to satisfy the following in both groups:
