ELMS Module DescriptionsAdministrator/Student/Preceptor/Site InformationEach user has a unique account providing access to the system. Accounts are created manually or through a batch upload. Relative information is stored with each user including custom filter settings.

Competency Tracking with SignoffOnce a custom competency list is established, students can then submit entries for a specific competency. Demographic data, comments, Likert scale, file attachment, and custom defined fields can be captured, which are sent to their preceptor for signoff and confirmation comments.

IncidentsIncidents can be entered by students or their preceptors. Incidents typically are negative experiences by either a preceptor or student. Administrators are immediately alerted to all incidents and can log any follow up notes.

Research CenterStudents can research preceptors/sites based on various filters and preferences. Site descriptions, site documents, site requirements, and the site location are all available to the student during their research. The research center can be opened prior to the site selection process.

Reporting SuiteAll data entered into RXpreceptor can be easily reported on through our reporting suite. Various filters allow for segmented reporting. All reports are sortable by column on screen, and all reports are exportable to Excel and/or Word for additional manipulation.

Student/Preceptor Activity HistoryCommunications or activities related to students/preceptors can be captured, helping to organize your interactions. This is an excellent reference point for collaboration between program administrators.

Resource LibraryDocuments and/or URLs can be uploaded and made available to specific user groups. Document folders can also be created to help organize uploaded files/URLs.

SurveysCreate custom surveys to collect information from Student, Preceptor, or Employers. Surveys are e-mailed through the messaging center and can be completed via a link within the e-mail sent.

AbsencesStudent absences can be entered by students or their preceptors. Preceptors can also immediately alert administrators of an absence and provide any additional comments.

Preceptor/Site RequirementsA custom list of preceptor/site re-quirements is created for school specific requirements (affiliation agreement, site contract, etc.) Documentation with expiration can be added for each requirement. Requirement expiration alerts let you know when action is needed.

Job BoardThe job board can be used both internally and/or with student ac-cess. Preceptors may also submit jobs through their RXpreceptor account, which enter the approval process for administrators. A stand alone URL is created and can be posted to give unrestricted access to your branded job board.

Graduate Placements/WaiversIdentified placements can be recorded including date of hire, company, supervisor, job title, salary, hours/week, conversion from externship, notes and file attachment. Employment verification surveys can also be sent to the graduate’s employer. RXpreceptor accounts are not required for survey completion.

Scheduling with Smart Match LotteryUtilizing current preceptor/site availability, student selections/preferences and the preceptor ranking tool, students are matched to sites in a random and fair lottery. Additional tools allow for student ranking to ensure higher ranked students receive schedules first. Manual scheduling is also available.

Timesheets with Signoff Time tracking allows students to enter the date range, hours worked, comments and a file attachment which is then sent to their preceptor for signoff and confirmation comments. e-mail alerts can be established to allow pre-ceptors to click a link within an e-mail to approve or deny submitted hours.

Messaging CenterCommunicate with your users via the messaging center. Isolate a group of users (Student/Preceptors/Administrators) using a va-riety of filters and create a custom message which can include attachments. This communication is logged for future reference so you know exactly which message was sent to which users.

EvaluationsTypes of evaluations include preceptor/site of student, student of preceptor/site, and student self evaluations. Evaluations are comprised of sections, questions, and comments. Creation is very flexible including custom scoring menus. Evaluation alerts are sent via e-mail with clickable links for the eval taker to bypass system login. Extensive reporting is available.

Student RequirementsA custom list of student re-quirements is created for both school-specific externship requirements (copy of CV, state intern license, etc.), and those required from specific externship sites (immuniza-tions, background check, etc.). Documentation with expiration can be added for each requirement. Require-ment expiration alerts let you know when action is needed.

Availability SubmissionsCapture specific availabil-ity for each preceptor/site. Availability for school-defined dates and the number of students that can be accom-modated are submitted for approval to administrators.

Site Selections with PreferencesUtilizing the research center, students make site selections including their preference. Administrators limit the total number of selections for each type of externship. Additional settings allow students to see current availability and competition from other stu-dents for the site.

Assessment Documentationn Reflective Journaling

Each observer can create individual reflections for each outcome/competency over time. A timestamp is also applied to each reflection entered.

n Likert Scale/Scoring Range Reflections can also have an associated score applied at the time of the reflection. A historical score snapshot is also recorded each time a new score is added to show scoring progression.

n Artifact Attachment Reflections can also have a document/URL attachment applied. This can include anything from a document, sound clip, video, or PowerPoint presentation to back up the reflection and scoring.

Curriculum MappingEach library that is created such as Competencies, Outcomes or Curriculum can be mapped a variety of ways. You can map one library to another, or you can map to our pre-existing standards libraries specific to your programmatic needs. Pre-existing standard libraries include state, regional, and national standards for a specific program.

Each map can also be reversed. This provides a detailed gap analysis showing how, for example, your current curriculum covers your specified outcomes/competencies.

Each mapping record can optionally describe the level, pedagogy, and assessment types which are defined by each school program individually.

Course EvaluationsCreate custom course evaluations within RXoutcome and apply them to specific courses. Students who are enrolled in the course have access to complete the course evaluation anonymously. Administrators and faculty can view aggregate reporting for course evaluation results without viewing student information.
