EXHIBITORS TERMS OF AGREEMENT

ACCEPTANCE TO EXHIBIT: A confirmation will be emailed to the exhibiting company upon

receipt of the order form and payment. Acceptance is based upon availability The Bureau

Telecommunicatie Post & Utiliteiten (BTP&U) reserves the right to reject any application for the

expo.

ARTWORK AND MATERIAL: Logo to be used in conference newspaper must be sent to

[email protected]. Logo must be in vector, EPS or PDF format. JPEG, TIFF, PNG and BMP

(min. 300 dpi) are also acceptable. BTP&U reserves the right to determine the suitability of all

material that does not meet its editorial or digital criteria. Exhibitor is responsible for providing

all information, digital artwork, and material to meet specifications.

BADGES FOR EXHIBIT PERSONNEL: Two badges (one each) will be provided for on‐site exhibit

personnel and will be placed on the table of your designated exhibit space.

CANCELLATION OF EXHIBIT: Exhibit booth cancellations must be made in writing. Cancellations

received on or before March 22, 2012 will be refunded the fee less 50%.

EXPO HOURS: The expo will take place in an area of the Exposition Hall of the World Trade

Center Curaçao. The expo will be open on all conference days. The expo hours will be on

Thursday March 29th from 4:00 pm till 8:00 pm, Friday March 30th from 4:00 pm till 8:00 pm

and on Saturday March 31st from 2:00 pm till 5:00 pm. On Thursday there will be a festive

opening of the expo at 4:00 pm, which is also the end of that conference day.

FEES AND PAYMENT: Payment of fees must accompany a BTP&U Exhibitors Agreement and

Registration Contract. Full payment must be received upon reservation.

INSTALLATION AND REMOVAL OF EXHIBITS: Please refer to exhibitor’s package below for set

up and break‐down of exhibit booth days and times. Exhibitors shall be responsible for the

delivery, setup and removal of equipment and display material to and from the exhibit booth

area.

PROMOTIONAL MATERIAL DISTRIBUTION: Advertising and promotion materials may be

distributed form the exhibit booth only. No materials may be placed on seats, attached to walls

(excluding the booth wall), ceilings, or woodwork in the conference facility, or left in public

places or breakout rooms for distribution.

PROTECTION OF FACILITY PROPERTY: Exhibitors will be held responsible for any damage done

to the building by them or their employees. The use of tape, tacks, nails, screws, staples, or

mastic on any wall surface, woodwork, floor, or window inside the facility is prohibited.

SECURITY: On‐site staff of exhibit booth is optional. Exhibit area is open to public and will not

be secured or monitored by the BTP&U during exposition. It is the exhibitor’s responsibility to

pack and remove all items at value prior to leaving the exhibit booth unattended. After closing

of the exposition and the conference, no one will have access to the exhibited items. The World

Trade Center security is in charge of the security at night.

LIABILITY AND INSURANCE: The BTP&U, the conference facility, the employees or

representatives thereof, and other organizations and persons connected with this conference

shall not be held responsible for any injury, loss, or damage that may occur to the exhibitor or

employees of the exhibitor or their property from any cause whatsoever, prior to, during, or

subsequent to the period covered by the exhibitor contract. Exhibitor should place their own

insurance to cover all contingencies. The exhibitor agrees to indemnify those listed above

against any claims or such loss, damage, or injury. Upon signing the registration form, the

exhibitor expressly releases the foregoing institutions, individuals, and committees from any

and all claims of loss, damage or injury. This also includes the period of storage prior to and

following the conference. Small articles of value should be properly secured or removed for

safekeeping prior to leaving the exhibit unattended. Exhibitor assumes entire responsibility and

hereby agrees to protect, indemnify, defend, and save BTP&U, and its employees and agents

harmless against all claims, losses, and damages to persons or property, governmental charges

or fines, and attorney’s fees arising out of or caused by exhibitor’s installation, removal,

maintenance, occupancy, or use of the exhibit/conference premises or a part thereof.

ADDITIONAL RULES AND REGULATIONS required by the conference facility World Trade Center

Curaçao is provided enclosed. Please refer to the relevant rules and regulations for exhibitors.

Price

USD 500,- per hardwall booth in the exhibition area in the exhibition hall of the World

Trade Center Curaçao.

More than one booth can be rented.

Logistics

3 x3 m Syma hardwall booth (panels are 1 m wide and 2.50 m high). Exhibits must be

contained within the space rented.

The dates set for for set up and break‐down of exhibitor items will be respectively

Wednesday March 27th and Sunday March 31st.

Mentioning on the conference website

Possibility to have a presentation of products and/or services in a separate conference

facility room during exhibition hours. Beamer and screen will be made available.

Exhibitor is required to bring own laptop. Further information regarding available time

span per exhibitor will be made known after confirmation. These presentations are free

for both the conference participants as well as the general public

Miscellaneous

Two complimentary booth staff passes (restricted pass, offering entrance to exhibit area

only; lunch and receptions - open for conference participants - are not included).
