WELCOME!2 | ARMA METRO NYC 2016 SPRING CONFERENCE

Dear Members, Colleagues and Friends,

Welcome to the 20th Anniversary of our annual ARMA Metro NYC Spring Educational Event, and once

again, we are happy to present our program at the Executive Conference Center in Times Square, the

crossroads of the world. Our special keynote speaker this year is the Emmy and Edward Murrow award

winning CBS News correspondent Michelle Miller. Ms Miller has anchored the CBS Evening News in

addition to providing significant reporting on the celebrated programs CBS This Morning and CBS Sunday

Morning with Charles Osgood.

Once again, this year’s lineup features many renowned presenters, timely and thought provoking topics

grounded in the Generally Accepted Principles developed by ARMA International. Our theme this year is

“Innovation & Inspiration, RIM & IG – The Time is Now!” I am particularly excited to dive into the data lakes

presentation by Ron Hedges and Galina Datskovsky.

Our programming has been underwritten by the generous support of our many sponsors, but most

event, but throughout the year. As this is my last Spring Conference as President, my opportunities to

express my gratitude to them for their dedication are dwindling, so let me do so once again.

Dear Members, Friends and Guests,

On behalf of ARMA Metropolitan New York City Chapter’s Board of Directors, WELCOME to our 2019 Spring Conference!

Our conference theme this year is Gateway to Information Governance. For as long as I can recall being involved in ARMA, I’ve been hearing fellow members say the phrase “it’s an exciting time for the association”. Around the time that I joined the ranks was the introduction of electronic records into the mainstream RIM vernacular; there were corporate recordkeeping scandals and ensuing fallouts in case law; revisions to the Federal Rules of Civil Procedure; “Web 2.0” and its vast effects on data; the economic crisis of 2008 and a renewed focus on the need to revamp our medical systems of record; "the cloud"; and most recently, breakthroughs in artificial intelligence that promise to revolutionize how we interface with our devices and our data.

And it’s true, those were all exciting times in their own rights, and have given rise to so many new offshoots that can be rolled into Information Governance. But I believe we are still at the cusp of nothing short of a revolution.

Faced with shifting demographics and the rapidly accelerating development of highly sophisticated technologies, I can’t help but feel that the nexus of our transformation - as not just an association, but an entire industry - has yet to be fully realized. We truly are standing right at the Gateway to Information Governance. At this time, our technology is poised to hyper scale in its ability to process all this data whose growth rate has been expanding for decades. And the point where data goes from being an impersonal, obscure concept, to what it naturally aspires to be - information, is where we make that evolutionary leap. This is the metamorphosis, where we go from piggy banks to hedge funds. Data becomes information. And information can be harnessed. It can be consumed, understood and exploited.

I subscribe to the notion that there is an inherent natural balance in all things, and particularly in complex systems. I believe there is a cycle; an ebb and flow; a lifecycle, if you will. Rapid advancements like the one we’re in can easily become the proverbial runaway train, eventually demanding a counterbalance to stave off its own self-implosion. The question is, will we be the creators of our own destiny, assertive enough to apply the lessons we've learned through the years of lifecycles and governance frameworks? Or will the counterbalance be a more nefarious event, and settle things on our behalf?

We live in times of renaissance. We are compelled to be creative, flexible and forward-thinking in our approach. We have a solemn responsibility to get it right, because our very relevance in this burgeoning global conversation will be scripted by the actions we take today, as ambassadors of the discipline of Information Governance. The manner in which we educate, collaborate and cooperate in this point of inflection will determine whether the power of the information we harness will be used to do things like cure cancer, or to foment the next world war.

So with that thought, I invite you to take in all that this day has to offer. Engage, learn and interact with your fellow thought leaders and practitioners in this field. From practicing attorneys and judges to federal law enforcement authorities, to global IG heads and Chief Privacy Officers, and everyone in between, the level of knowledge and expertise present in this building today is unparalleled.

As you may have seen, we have unveiled a brand new event app - aptly (get it?) named Gateway 2019. With the app you can access the schedule, speakers, exhibitors, other attendees and more - all at the tip of your fingers. You can stay up to date with all of the conference details, including exclusive messages, and participate in games and social activities while facilitating your educational experience.

I would be remiss if I failed to recognize the herculean efforts of our Conference Task Force, Board of Directors and volunteers. Nobody gets paid for doing any of this. Most of us have to balance full-time jobs on top of personal responsibilities, and still, the results are nothing short of spectacular. So if you see or speak to any of our amazing volunteers (check out the full list of names in the event app), don’t feel shy to say THANK YOU. This is a labor of love for us, and we would welcome the feedback!

We have used the Executive Conference Center as our event venue for several years, and there is one reason above many others why we always end up back here - the people! Tony Adia and his staff are always attentive and helpful, and we are most grateful for the warm welcome we receive here every year.

Last but certainly not least, none of this would be possible were it not for our business partners, whose financial assistance spins the wheels of innovation and energy at the Chapter. Stop by all the exhibit booths, ask questions and engage. Don’t forget that they are an integral component of our industry's collection of experts and thought leaders, and they have amazing insights of their own that you will likely benefit from.

Lawyers almost invariably carry electronic devices. These devices can store or access client confidential information. What protections do attorneys have when they cross international borders with those devices? Can law enforcement access content of those devices? Moreover, clients may have electronic information located outside the United States. Record retention is a fundamental responsibility of RIM professionals, but retention schedules can be time-consuming to prepare and difficult for users to understand and apply. This session will discuss retention concepts and practical methods that can simplify schedule development, improve user acceptance, and facilitate compliance. Topics to be covered will include uniform retention periods, flexible retention periods, aggregation of record series, elimination of event-based retention triggers, and policies that replace schedules for specific types of records.

HOW TO IMPLEMENT AN ENTERPRISE INFORMATION LIFECYCLE MANAGEMENT PROGRAM WITH A VIEW INTO CRITICAL DATA PROCESSESJAMES DAWSON, CSSLP, IGP

Business and government entities create, store, and use electronic data at a staggering rate. That rate is driven by, among other things, the ever-increasing volumes and varieties of data. However, there may come times when data becomes obsolete or unreliable or simply inaccessible. In such circumstances, it may become a liability rather than an asset. For all these reasons – including those imposed by new regulatory regimes such as the GDPR – there may be circumstances when data should be minimized or disposed of. This session will examine the challenges posed by “old” data and how that data might be disposed of without regulatory or litigation-related risk. Topic include: •The role of information governance in deciding whether certain information should be retained and for how long; Restrictions on retention imposed by laws such as the GDPR • Reconciling retention and disposition: What can be done to be “reasonable” when making disposition decisions to avoid the imposition of sanctions

James will discuss how he has developed and implemented the approach and strategy for Data Risk, Governance and Enterprise Information Lifecycle, in a $12 Million-dollar program that that mitigates major risk issues and matters requiring attention (MRAs) for financial services and insurance organizations such as Freddie Mac, UBS, Aon and others. HOW TO LEVERAGE CALIFORNIA CONSUMER PRIVACY ACT FOR INFORMATION GOVERNANCE MARK DIAMOND

The California Consumer Privacy Act (CCPA) is coming quickly, promising real penalties not just for California companies, but also those in New York and across the United States. This new law invites significant litigation for non-compliance and has other states gearing up with similar or harsher laws. CCPA requires many companies to classify, secure, produce and delete privacy information that is potentially scattered across the enterprise. Closer inspection of CCPA reveals that achieving compliance is primarily an Information Governance activity. Will CCPA become a catalyst that finally brings attention and funding to neglected Information Governance programs? In this discussion, Mark Diamond from Contoural will provide an overview of CCPA and review the essential Information Governance processes required to support it.
