    Understanding Exchange Connector

2Point Messenger Series Exchange Connector Option consists ofthe following components:

Exchange Connector Runs as a Windows service. It handles the delivery for fax, voice, and pager messages between Exchange Server and theMessenger Host Server.

    Exchange ConnectorAdministrator Tool

A Microsoft Management Console snap-in DLL that providesmanagement facilities for the Messengers Exchange Connector.

    Active Directory User

    Management Tools

Provides user and mailbox management capability using theActive Directory Users and Computers management.

    Message

    Synchronization Tool

An optional service that is used in cases of deployingVOICEserve. It handles the certain message synchronizationevents between the Exchange message store and the Messengermessage database when both were setup to store the fax andvoice messages. See Appendix for more information.

When these components integrated with the Messenger and theExchange Server, they will move outbound voice, fax, and pagermessages to the Messenger Server for delivery. Inbound voiceand fax messages will be routed from the Messenger Server tothe Exchange Server based on each mailbox association.

    One ExchangeConnector perMessenger HostServer

You can install more than one Exchange Connectors for 2PointMessenger Series, but each connector can only interact with oneMessenger Host Server. (In other words, you can have oneExchange Server talking to several Messenger Host Serversthrough several Exchange Connectors.)

    Exchange Connector Message Queues

The Exchange Connector manages three queues in the ExchangeSystem Manager that move messages into and out of Exchange:

    Exchange Connector Option Guide 5

  • 8/6/2019 Exchange Connector Option Guide

    14/46

    Understanding Exchange Connector

    MTS-OUTMessage queue for outgoing messages.

    MTS-INMessage queue for incoming messages.

    OutgoingTemporary queue for outgoing messages.

    Sending Messages from Exchange

When you compose and send fax, voice, or pager messages inExchange, the following process occurs:

    1. Exchange puts the outgoing fax, voice, or pager message inthe MTS-OUT message queue. (It recognizes the messagetypeMSGR, FAX, VOICE, or PAGE.)

    2. The Exchange Connector creates a job in Messenger forsending the message, and temporarily moves the item to theOutgoing queue.

    3. If Messenger completes the job successfully, the ExchangeConnector sends a sent message back to Exchange andremoves the item from the Outgoing queue.

If the job fails, Exchange Connector sends an error message backto Exchange.

    Managing the MTS-OUT Queue

Messengers Exchange Connector performs all of the attachmentrendering to create fax pages for each message in the MTS-OUTqueue. Depending on the number of messages submitted andthe number of pages in each fax message, this rendering processmay take a while.

The Messenger administrator can delete and examine thedetailed properties of any message in this queue. However, noone can view the fax pages of any message.

To examine the properties of the selected message:

    1. Right click the selected fax message to display a pop-upmenu.

    2. Select the Properties option to display the MessageProperties dialog box.

There are two panes in the dialog. Select either the General tabor Advanced tab to examine the message information.

    Receiving Messages from Messenger

When Messenger receives a fax or voice message, the followingprocess occurs:

    1. The Exchange Connector continually monitors theMessenger mailboxes and puts any incoming fax or voicemessage in the MTS-IN message queue.

    2. Exchange puts the incoming fax or voice message in theusers mailbox and removes the item from the message

    queue.

If the job fails, Exchange sends an error message back to theExchange Connector.

    Managing the MTS-IN Queue

Inbound fax messages do not stay in the MTS-IN queue verylongjust until Messenger can route them. Normally, you willnot have time to examine and delete any fax messages in thisqueue.

As long as there is routing information in an inbound faxmessage, Messenger will route it to the specific mailbox fromthis queue. If there is no routing information in the inbound faxmessage, Messenger will send it to the Exchange Connectoradministrators mailbox.

It is highly recommended to fully install Messenger Server anddeploy other Communications Servers before installingExchange Connector Option.

    Installation Requirements

The target system must have the following minimumconfiguration and requirements.

    License Keycodeoptions

Since Exchange Connector is an Option of Messenger Series, youmust obtain a license Keycode that includes the ExchangeServer Integration option in order to install it.

You can find out if your existing license has this option bylooking into the Licenses Option Details dialog from yourSystem Resources License entry in Messenger Administrator.

If your current License Keycode does not have the ExchangeServer Integration option, you can obtain one and simply add itinto your License list. You are then ready to proceed.

    Setting Exchange Connector Properties

The Address Space properties also let you assign specifictelephone numbers and a relative cost to each address space thatyou define. This information lets you send faxes to particular faxservers using Least Cost Routing (LCR).

Note: Please see the later section on more LCR information.

For example, you might have two Messenger hosts, but only oneof these hosts might handle long distance faxing using anInternet fax server. Exchange Server will check the Address

Space lists, and send fax messages to the Exchange Connectorthat has an address space with a Type of FAX, an Address of+1*, and a Cost of 10, but send all other faxes to theExchange Connector that has an address space with a Type ofFAX, an Address of *, and a Cost of 20.

For a fuller explanation of address spaces and least cost routing, see Using Least Cost Routing in Exchange Connector, below.

For examples of the address formats used by Messenger, seeMessenger Address Formats.

    Default Address Spaces

The installation for Exchange Connector automatically adds twodefault address spaces for two basic address types:

MSGRwhich can be used for fax, pager, and voicemessages.

    31/46

    Setting Exchange Connector Properties

FAXwhich can be used for fax message types. (Outlookuses the FAX message type if you send a fax using anOutlook contact.)

Both address spaces have an address of *, which means thatany message of either type will be submitted to the MessengerHost Server.

Messenger also accepts VOICE and PAGER address types. Theywill be added

    To add a message type:

    1. On the Address Space tab, click the Add button.

    2. Enter the following information:

Address Type. The acceptable types are MSGR, FAX,VOICE, and PAGER. Messenger adds MSGR and FAXaddress types automatically because they are the most likely

ones used from Outlook. (Messengers compose form willuse the MSGR type for all messages.)

Address. This is generally used to screen area codes so youcan do least cost routing for faxes.

You can use two wild card characters in addresses:

    # takes the place of any single character in a string. Forexample, +1 (8#0) includes any area codes startingwith 8 and having any second number.

    * takes the place of any number of characters. Forexample, +1 (800)* includes any numbers with 800area codes.

Cost. This is a relative cost of using this address space. Thecost must be between 1 and 100 (with 1 as the lowest cost).

Using Least Cost Routing in Exchange Connector

Using Least Cost Routing in Exchange Connector

Exchange Connector provides Messenger with the ability to doleast cost routing (LCR). This topic demonstrates how LCR canbe used with two 2Point Messenger Series host servers.

    Scenario

Assume that your company has two Messenger Servers:

One Messenger Server has an Advanced Fax Server with faxboards connected to local phone lines.

You want to use this fax server to fax within your local areacode and to another adjacent area, and you want to use it for

    800 number calls.

The other Messenger Server has an Internet Fax Server.

You want to use this fax server for all other long distancefaxing (which, in this case, is the same as all other faxing).

The following table describes the various faxing conditions, andassigns a relative cost to each one. Note that the cost must bebetween 1 and 100, so the cost values are relative costs based ondifferent call types.

    Outgoing calls Server Cost

Toll free numbers (800) Advanced Fax Server 1

Local calls same area code (604) Advanced Fax Server 1

Local but out-of-area code (250) Advanced Fax Server 10

All other fax numbers Internet Fax Server 60

All other fax numbers Advanced Fax Server 70

Note also that we want to be able to fax any number using eitherfax server (in case one isnt working), so, when we set upaddress spaces in Exchange Connector, we will include an allother fax numbers entry for both Messenger hosts. In this case,we are assigning a lower cost to the one that we want to use bydefault.

  • 8/6/2019 Exchange Connector Option Guide

    33/46

Using Least Cost Routing in Exchange Connector

    How Exchange Evaluates Addresses

Exchange uses a relatively simple string comparison whenmatching destination addresses and routing rules. It allows the

wild card characters * (for zero or more characters) and # (forone character). This inflexibility makes routing rule design moredifficult in some cases.

For example, phone numbers in Outlook contain a spacebetween +1 and the area code. However, you may need to addanother set of rules to handle phone numbers without the spaceor to combine two cases using wild card characters.

Entering addresses for the Internet Fax Server

From the chart above, we can see that this Exchange Connectorneeds an address space for faxes with any area code, but at ahigher cost than the other host can send local faxes. Note, however, that faxes to Messenger can have a FAX or a MSGRtype, so we have to create two address spaces to handle thesetwo fax types.

We will also assume that this Messenger Server is going tohandle all specifically-designated VOICE and PAGER types, sowe will also add an address space for each one of these types.

(Voice and pager messages can also be sent using the MSGRtype. In these cases, theyll choose the Messenger Serveraccording to our fax rules.)

    Type Address Cost

    FAX * 60

    MSGR * 60

    PAGER * 20

    VOICE * 20

Entering addresses for the Advanced Fax Server

For the local fax server, we have to add rules that specify:

Lower costs for local calls than specified for the Internet Fax.

Using Least Cost Routing in Exchange Connector

As with the Internet fax, we will enter address spaces forFAX and MSGR types to cover both methods for specifyingfaxes. We will also specify three ways to enter phonenumberswith or without a space after the +1, and with

    or without the brackets ().

Higher costs for all other faxes than the Internet fax.

In this case, well enter addresses for FAX and MSGR types only.

    35/46

Using Least Cost Routing in Exchange Connector

    Remember:

Exchange will select the rule that has the lowest cost, not thefirst applicable rule.

    For example, a phone number +1 (604) 555-1111 will fit a +1(604)* and a * rule, but the +1 (604)* rule will be chosen.

Always create a rule entry with an address format consistingof a single asterisk (*). This is the fallback rule to ensure thatall outgoing faxes are handled even if they do not match anyother rule.

    Address Formats Used by Messenger

You can send a one-time fax, voice message, or pager messagefrom the standard Outlook compose form without using anaddress book. This is called a one-off address.

Simple Example of a One-Off Address Format for Sending Faxes

You can send a fax to Jack Green by entering the following linesin the To field of an Outlook e-mail:

    Jack Green[FAX:+1(201)555-7777]

    Or (with spaces)

    Jack Green[FAX: +1 (201) 555-7777]

More Complex Examples of One-Off Address Examples

You can also send other types of messages, or provide morerouting instructions or information in the address:

    Jack Green[FAX: +1 (201) 555-7777 /a=MSGRIPFAX]

This fax will be sent using Messengers Internet fax servicerather than using a fax server with local phone lines.

Appendix A: Use Fax Numbers from the GlobalAddress List

Exchange exposes and processes recipient addresses through anaddress type. By default, AD users are populated into the GALand from the GAL exposed through an address type (EX, X400,etc). This unique address type signals the Exchange server touse the internal MTA to move a message to an internal mailboxwhen so addressed. The GAL can also host other address typesthrough special proxy addresses including SMTP (User orContact). It is possible to extend the GAL to also support theFAX address type as well, but these are uniquely dedicatedaddresses apart from the AD user entity. What Microsoft doesnot do is pass through the fax property within AD to the GAL asa FAX address type. I believe as you do, that they should havedone this - but did not. There is no way to programmatically or

otherwise tell the GAL to suddenly become a fax address bookfor the AD user objects that are there. The low-end Microsoft FaxServer that comes with Microsoft Small Business Server isalso affected by this design in leveraging the GAL.

Outlook Contacts as an address book - in contrast to the GALexposes both the email address (up to 3) and the fax address(Home and Business). It is also limited however and will notexpose pager or voice numbers for addressing even though thatdata is there. For your situation, the Outlook Contact database isappropriate for fax. It is my assumption that you wish to have acentral fax database that all can make use of. Of course, you canmanually create the fax contact entities in your GAL, but theywill not relate to your AD users or if your desire is for a publicfax address book, you may want to use a public Contactfolder. You may wish to consult Microsoft's knowledgebase touse a shared fax address book in this manner:

As with yourself, if there is a way to access Outlook in such away that the compose process and the native address book

interface exposed a FAX address type for the standard GALusers, we would publish it. There are third party tools that willauto-download your GAL into a contacts folder. You may beinterested in looking at these solutions. Although we have nottested it ourselves, one that appears to have promise is reportedto work with Outlook Contacts and with Windows Mobiledevices.
