The following benefits are available to exhibitors.

Application for Exhibits

All exhibitors must submit the description, number, and size of exhibits by August 18, 2006.

As this application will be used for public data about the exhibits, please give notification

immediately if there are any changes.

FORM No.1        “Exhibit Registration Form”

Exhibits Using Hydrogen in the Venue

The presence of hydrogen in the venue is prohibited by high-pressure gas safety laws under

the fire prevention ordinances of the City of Yokohama. Exhibitors who require and will use

hydrogen in the venue must specify the details of their exhibit on their application and submit

by May 31, 2006. Exhibitors will be notified of the decision to permit or disallow exhibits or

exhibition methods after Pacifico Yokohama and the Nishi Fire Station evaluate them.

Please be aware that the transportation of hydrogen into the venue maybe disallowed based

on the results of the evaluations.

FORM No.2     “Hydrogen Use Application”

The EVS-22 Exhibit Guide, summarizing the exhibits will be produced and distributed to

visitors. All exhibitors are asked to send exhibit directory listing form specifying their name,

contact information, and a description of their exhibits by e-mail by August 18, 2006.

1. Definitions

The following terms used in this document are defined as follows:

1) Organizer: The Japan Automobile Research Institute

2) Exhibition: The EVS-22 Exposition (including ride & drive and parade)

3) Exhibitor: Companies, individuals, and organizations who have been allotted a booth at the above

exhibition, including representatives, employees, and agents of companies and organizations.

2. Suitability of Exhibits

1) Applicants for the exhibition must submit the list of exhibits including description and number in the

format and by the date specified by the organizer.

2) If the organizer judges the contents of an exhibit to be unsuitable for the exhibition, application for

exhibit space may be refused.

3. Exhibition Contract and Booth Allocation

1) Applicants receive the right to use exhibit space upon receipt of the Exhibition Confirmation Notice,

and payment of exhibition fees. If payment of fees is not made by the specified date, the application

shall be deemed to be cancelled.

2) Booth allocations will be determined by the organizer, taking into account the requests of the applicant,

exhibit space and shape, contents of the exhibit, availability of electricity, water and drains, physical

conditions of the venue, accessibility of walkways, etc.

3) The exhibitor cannot yield or lend the allocated booth to another party without prior notice in writing

to, and acknowledgment by the organizer.

4) The exhibitors must set up their booth by the deadline specified by the organizer. Failure to do so will

result in annulment of the reservation of exhibit space and the organizer will dispose the subject space

appropriately.

5) The organizer reserves the right to change booth allocations in cases where the organizer has judged it

to be in the interest of exhibition operations.

6) For tentative reservation of exhibit space, booth allocations will be made according to the descriptions

of article 3-2), which will be valid through April 10, 2006. Tentative reservation can be taken over into

formal exhibit contracts before the above deadline. Exhibit contracts from other parties will take

precedence over tentative reservations in all cases.

4. Rules of Exhibit

1) Exhibits and booth constructions must not block views for neighboring booths or the hall, or interfere

with the flow of visitors. Regulations regarding the size and positioning of booth facilities, decoration,

use of audio-visual equipment, and other items related to display and construction will be provided in

the exhibitor manual that will be prepared separately.

2) Exhibitors must submit and receive approval in advance from the organizer for booth design and floor

plan showing the construction of facilities and position of exhibits.

3) Booth facilities should be constructed in a safe manner so they do not interfere with visitors or

firefighting efforts during a natural disaster.

4) Detailed regulations and information on carrying in and out, booth installation, piping, electrical

wiring, rental services, etc. will be available in the Exhibitor Manual.

5. Protection of Visitors and Management of Exhibits

1) Exhibitors must always place at least one person at each booth to respond to customers, and manage

and maintain their own exhibits.

2) The organizer will provide security personnel to maintain and manage the venue. The organizer shall

not be liable for any damages to exhibits, facilities, etc., such as theft, fire and injury, occurring within

individual booths. Exhibitors are asked to prepare the necessary preventative measures individually.

3) In the case that one of the following occurs at the venue during the period of the exhibition or during

installation and dismantlement, exhibitors must immediately notify the organizer regardless of cause

or reason, and resolve the issue under their own responsibility. Should the organizer be required to pay

compensation to any victims, the exhibitor must compensate the organizer for the full cost:

(a) An accident causing personal injury occurs within the exhibitor’s booth, or an exhibitor or

exhibited item causes personal injury outside a booth.

(b) The exhibitor or exhibited item causes damage to a possession of a person other than the exhibitor,

inside or outside the booth.

4) Exhibitors must take out an insurance policy covering the items in the preceding situations.

6. Obligation of Restoring to Original State

Exhibitors must restore their booths to their original states and return them to the organizer by 18:00 on

October 29th after the end of the exhibition.

7. Restrictions and Prohibited Matters

1) Fire regulations of the city of Yokohama prohibit smoking, carrying of dangerous objects, or use of

open flame within the exhibition hall. Rules for the use of hydrogen within the exhibit hall will be

specified in the Exhibitor Manual.

2) Exhibitors must take precautions to limit inconvenience resulting from excessive sound, light, heat,

dust, gas, odor, vibration, or people used in demonstrations to visitors and other exhibitors.

3) The organizer reserves the right to remove or place limits on exhibited or distributed items, or cancel

demonstrations should they be judged to interfere with the operation of the exhibition.

4) Exhibitors must not advertise in their booths or in the vicinity of the venue in a manner that will

interfere with the programs of EVS-22 or the entire exposition. The organizer must be notified in

writing and give their approval in advance of the content, time, and location of any activities related to

exhibits that will take place within booths or in the vicinity of the venue.

5) Exhibitors can distribute their advertisements, printed materials, etc. only within their booth.

8. Admission to Exhibition

Registered symposium participants, visitors, and exhibitors will enter the venue in the following ways:

1) Registered symposium participants: Unlimited entry during the exhibition period.

2) Visitors: 1-day admission pass, JPY 500 (including consumption tax)

3) High school students and younger: Free

4) Exhibitors: 5 complimentary exhibitor badges will be provided for every 9 square meters.

The exhibitor badge will be valid for the duration of the exposition and during installation and

dismantlement.

9. Cancellation of Exhibit

1) Exhibitors must give notice of cancellation of application by registered mail, or mail with proof of

delivery. The postmark date will be the date of cancellation. Cancellation fees are as follows:

(a) No cancellation fee will be charged for cancellations on or before April 10, 2006.

(b) 50% of the exhibit fee will be charged for cancellations made between April 11, 2006 and June 30, 2006.

(c) 100% of the exhibit fee will be charged for cancellations made after July 1, 2006.

2) Cancellation of tentative reservations must be notified to the exhibition secretariat in writing. Tentative

reservations will be cancelled automatically if formal application for exhibit space has not been

received by April 10, 2006. Cancellation fees will not be charged for the cancellation of tentative

reservations.

3) If the exhibitor fails to take adequate and timely measures to rectify a violation of any provisions of

this document after being notified of such by the organizer, the organizer reserves the right to annul

the exhibit contract. In this case, exhibit fees will be handled according to the above. The organizer

will not provide compensation for any losses suffered by the exhibitors.

10. Cancellation of Exhibition

In the event of natural disaster, social unrest, emergency conditions, or any other unavoidable situations

which threaten the exhibition, the organizer may cancel the exhibition. In the event of cancellation, the

organizer will refund the exhibitors a proportion of the funds remaining of collected exhibition fees

minus necessary costs, corresponding to the proportion of their fee payment. The organizer will not

provide compensation for any losses caused by cancellation of exhibition.

11. Modification of Regulations and Detailed Regulations

The organizer reserves the right to modify the regulations and guidelines when deemed necessary.

Exhibitors will be additionally notified in writing of detailed regulations not covered by this document,

necessary rules for operation of exhibition, etc.

12. Interpretation of Regulations

Should a conflict in the interpretation of regulations and detailed regulations set by the organizer arise,

the Japanese version will prevail, and be subject to the discretion of the organizer.

13. Applicable Laws and Jurisdiction

1) The provisions of this document are based on, and to be interpreted and valid according to the laws of

Japan.

2) Any legal action regarding the provisions of this document will be under the jurisdiction of the Tokyo

District Court.

5555....Transportation of Vehicles for Display

Hybrid and fuel cell vehicles for display are prohibited from being moved in or out of the exhibition under

their own power. In cases where this is unavoidable, the following rules must be obeyed.

(1)Fuel tanks (including high pressure hydrogen gas) must carry only the absolute minimum amount of

fuel required to move-in and out of the vehicle.

(2)Sufficient safety measures must be taken to ensure that fuel does not leak from tanks during the

exhibition period.

(3)Booths must be equipped with fire extinguishers during the exhibition, and fire control measures

must be in place.

6666....Work Safety Considerations and Cautions

(1)Work must be performed within the booth area. Walkways in front of the booth, cargo entrances and exits,

emergency exits, and areas around fire extinguishers must be kept clear of materials and trash.        

Please do not hang or lean exhibit decorations or exhibited items from existing points, such as the venue

ceiling, columns, or walls. No direct construction or modification may be made to the ceiling, columns,

walls, doors, or glass, etc.

(2)Please smoke only in areas outside of the exhibition venue specified by the secretariat. Smoking during

work activities is strictly prohibited.

(3)Please prepare fire extinguishers and ensure safety for construction involving fire or dangerous materials.

(4)Please use only the minimum necessary amount of flammable paints and other such materials, and always

keep them in closed containers. Please remove paints and hazardous materials from the premises at the

end of each day.

(5)Please remove all leftover materials and waste from decorations and exhibits. If leftovers and waste are

found in the venue or the area, a disposal fee as well as compensation to other users, including losses to

businesses (other exhibitors and users of the facility) may be charged. Please take proper precautions if

there are risks of damage, staining, or flooding to the venue.

7777....Overtime Work

Work performed after 20:00 on October 21 or 22 requires an “overtime application.” Overtime will be

charged (exhibition hall: JPY 150,000 per hour) which will be divided by the number of companies applying.

All exhibits must be set and show ready by 12:00 noon on October 23.

8888....Carrying in & out, and Construction During the Exhibition(1)Decoration and construction work will not be permitted during the exhibition.

(2)In case of carrying in and out of exhibits during the exhibition, exhibitors should obtain permission from the

Two-level structures are prohibited. Where two-level structures are necessary, the approval of the fire

7777....Construction Relating to the Venue Building

The use of the hall’s ceiling, walls, vents, shutters, pipes, and lines for support is prohibited.

Direct construction or modification of ceilings, walls, columns, doors, windows, glass, beams, movable

barriers, vents, shutters, and within the pit are prohibited as below.

a. All use of tacks and nails

b. Carving, digging, or cutting (including direct contact of knives), gas welding, and chipping

c. Painting

d. Use of adhesives or bonding agents (netted weak double-sided tape only is permitted)

e. Hanging from ceilings and beams

f. Wiring or strapping columns

g. Use of columns for supporting signs, etc.

h. Decorating and exhibiting outside of the exhibition booth limits

The exhibition floor utilizes a radiating floor heating and cooling system. Pipes carrying hot and

cold water are built into the concrete floor. Therefore, unauthorized use of anchoring bolts and

the violation of rules specified by the secretariat may result in damage to the pipes, causing

massive flooding, affecting this event and others.Please do not use anchoring bolts without

authorization, or violate the conditions and requirements for their use. Violation will results in

immediate fines. If an accident occurs, the exhibitors in violation will be responsible for the

payment of major compensation for damages and losses.

6666....Floor Construction(1)Applications for construction of anchoring bolts, etc. must be submitted by July 31, 2006. Floors must

be returned to their original state after the end of the exhibition.

For outdoor exhibition spaces, the floor is tile. Installation of anchoring bolts, etc. and other floor

construction is prohibited without exception.

(2)Anchoring bolts will be available for a fee of JPY1,500 each, including consumption tax. The anchoring

bolts

(bolt knock type) have an internal screw diameter of either 10 or 12 mm, and three types of external

screw diameters: 8, 10, 12 mm. The insertion lengths of the bolts are 50 mm or less.

(3)Bolts must be cut at the floor after use. (Removal is prohibited.)

  (4)Please note that the unauthorized use of anchoring bolts, or the violation of usage conditions or work requirements will result in a fine.

8888....Fire Prevention Regulations for Display Materials

  (1)All diaplay materials must be fire-resistant, according to fire prevention ordinances.

(2)Please use materials approved by the Director-General of the Fire and Disaster Management

Agency, and marked with the “Fire Retardant Approved” label of the Japan Fire Retardant

Association.

(3)On either the day before the opening, or the day of the opening, the fire department will perform an

inspection. Any violations of regulations may be subject to removal or modification.

enquire regarding labels to the relevant manufacturers.

resistant. Please ensure compliant materials are used, as non-fire resistant

materials may be subject to disposal or modification by the fire inspector.

  1)Exhibit Weight Limits

    Exhibit items weighing more than 4.5t individually are not permitted in the venue.

2)Floor Pit and Surrounding Area Load Limits

   The weight/area ratio for items in the covered area of the floor pit and the area within 20cm of its

edge cannot be greater than 1t/1㎡. In cases where the ratio is exceeded, please reinforce the

area by extending the pit cover, etc.

(2)Please ensure that exhibit facilities will not fall or move during earthquakes, so as not to interfere

with evacuation or rescue measures.

(3)Please do not obstruct fire extinguishers, indoor fire hydrants, automatic fire alarms, emergency

alarms, and guide lights with decorations. Please do not arrange or place items to prevent their

use.

(4)Please remove exhibit waste and leftover materials. Any remaining materials will be disposed of

at the expense of the exhibitor.

(5)Any waste produced during the exhibition must be separated into “burnable” and “non-burnable”

trash, and disposed of in vinyl bags (prepared by each company) at the specified location (cargo

processing area trash collection, next to the hall.)

  For large amounts of trash, please take it with you from the premises and dispose of it outside.

    (6)For framing and other work requiring water, please use the specified water work area. (Do not

use washrooms and other venue facilities.)

(7)Secretariat staff may order changes to decorations during the set up and exhibition periods, if

violations are found.

  (1)Smoking

   Smoking is prohibited in the exhibition hall. (Smoking is allowed in the area specified by the secretariat.)

(2)The following hazardous items are prohibited from the venue:

a. Hazardous materials (gasoline, gas oil, kerosene, and any other flammable materials specified in fire

ordinances.)

b. Specified flammable materials (lacquer, putty, paraffin, and other flammable materials specified in fire

ordinances.)

c. Matches

d. Gunpowder and explosives

e. Flammable gases (propane, acetylene, hydrogen, and other high-pressure gases specified under storage

regulations.)

(3)The following uses of open flame are prohibited:

 a. Equipment using gas, liquid, or solid fuels that produce open flames or sparks, or have openly exposed high

temperature parts.

b. Items where sections become visibly hot (Not including toasters, hair dryers, and ovens, etc. where heated

components are directed at ovens, air passages, or are contained.)

c. Items where sections do not become visibly hot. Items where contact with a flammable material may cause

instant ignition (surface temperature approx. 400℃)

(4)Recharging of electric vehicles within the exhibition venue is prohibited. (Specified areas outside the venue must

be used.)

     11111111....Notifications for the Use of Fire and Hazardous ItemsThe above prohibitions may be lifted by the fire department if an application is made in advance, and approved. However,

smoking within booths will not be permitted under any circumstances. Exhibitors using fire or hazardous materials must

apply for exemption by May 31, 2006. All applications will be submitted to Pacifico Yokohama and the Nishi Fire

Department, and inspected. Only approved applications will be permitted. Fire department inspections will take place

during the exhibition, and if fire control and danger prevention measures are found to be inadequate, exhibitors may be

ordered to improve their measures or cease the use of the item in question. Exhibitors using hydrogen must submit

the form no.2, “Hydrogen Use Application.”

    12121212....Use of GasGas equipment may not be used in the exhibition hall. Exhibitors requiring a heat source should use electrical sources.

Smoke removal equipment adequate for the heat sources and amount of smoke anticipated must be prepared by the

exhibitor. Safety and smoke removal equipment should be listed on the construction plan, and will be approved after

inspection.

    13131313....Use of Audio Equipment

Exhibitors requiring speakers or musical instruments for exhibit performances should attach a diagram specifying the

location of speakers to be used, and submit a form by August 18, 2006. The organizer will evaluate the application, and

give permission if appropriate. Performances violating the conditions of permission and unauthorized performances are

prohibited. The organizer may place volume restrictions if a performance is judged to interfere with the operation of the

exhibition.

1)Plumbing and compressed air supply in the booth must be at the expense of the exhibitor.

2)Please use approved plumbing contractors.

3)All construction must be reversed and booths returned to their original state after the end of the

4)Where risk of interference or damage to exhibits and equipment exists due to loss of water or drops

in water pressure, exhibitors should take protective measures. The organizer will not be responsible

for any damage or cost.

5)Please ensure that adequate measures against leaks are taken.

※Be aware that disposing of oil, hot water, solids, and food in drains may cause stoppage and overflows.

① Inspections will be performed by the secretariat according to the ordinances of the Ministry of

Economy, Trade and Industry, Electrical Facilities Engineering Standard, and the City of Yokohama’s

Fire Prevention Ordinances.

②Contractors performing electrical construction in booths should connect to the main line after

inspection by the secretariat.

③In order to prevent electrical accidents, exhibition secretariat staff, and inspectors from the relevant

authorities will perform checks during usage. If any defects or deficiencies are found, the secretariat

may order replacement of materials, or changes or improvements in construction, and order the

stoppage of electricity until these are completed.

((((5555))))Precautions for Electrical Construction

①Confirmation of Construction

 Electrical contractors must construct without any changes from the plan submitted to the secretariat.

If any changes are present, the exhibitor should notify the secretariat and ask its permission.

②Electrical Construction License

 Contractors performing electrical construction must be carry their licenses to perform electricians’    work with them. Construction will be halted if contractors are unlicensed, or are not carrying their     licenses.

③Booth Electricity Distribution Panel

 1)Please use main switches or branched switches (current limiters are preferred) for more than 2

 circuits. The use of cut-out switches for the purpose of switching will not be permitted.

 2) Electricity distribution panels in booths must be marked with the name of the contractor with a

 contact number, or a name plate must be attached.

 3)Panels should be placed so that exhibitors and decoration contractors may easily find, check, and

 maintain them.

④Maintenance During the Exhibition

 Exhibitors must have an engineer on stand by, or agree with a contractor to provide accident

 prevention measures and accident response in the booth.

⑤Construction Materials

 1)Materials used in electrical construction should be new and of appropriate specifications.

 2)For electrical products controlled by law, use products marked with the approval of the Minister of

 Economy, Trade and Industry.

 3)Wiring in the booth must use VA cable or other compliant wiring. IV wiring is prohibited.

⑥Danger Prevention

 1)Please take measures to prevent injury or damage to people and assets. Please be especially

 careful of electrocution hazards.

 2)Lights, resistors, and other heat producing components must be placed away from flammable    materials.

 3)Please do not use branches or power bars excessively.

 4)Perform wiring and place equipment in consideration of the safety of visitors.

 5)Prepare wiring so it is not caught or trapped underneath exhibits or decorations.

①Deadlines for Booth Electrical Construction

  Electrical construction in booths performed by exhibitors must be completed during installation and

dismantlement period.

②Electricity Supply to Booths

 1)Supply Period

Power will be supplied from 17:00 on October 22, to 17:00 on October 28. (Planned)

 2)Supply Times

Power will be supplied from 8:30 until 30 minutes after the end of the exhibition. Please make sure

  to turn off the main switch before leaving.

③Staggered Operation

  Staggered operation of demonstration equipment may be requested depending on the total electricity

demand.

④Protective Equipment

 If damage to equipment may occur from power outages or drops in voltage resulting from power     supply issues or accidents, exhibitors should install protective equipment in advance at their own cost.

The secretariat will not be responsible for any damages by the above case. Exhibitors should make

preparations if constant frequency and voltage are required for demonstrations.

   Exhibits and products which will be immediately repacked and shipped after the end of the exhibition

(Ishikawa-Gumi). Exhibitors with bonded goods must apply by July 31, 2006. If an application is not

received by the deadline, the bonded goods may not be displayed or exhibited.

    If freight is being shipped directly to the venue, please designate the arrival date between the afternoon

3333....Requirement for Participation in the EV Parade and Ride & Drive(1) Must be an exhibitor at EVS-22

(2) A vehicle for the parade and ride & drive must be prepared in addition to the vehicle for exhibition.

(The parade vehicle and test drive vehicle may be the same.)

(3)For public road ride-and-drives and parade, the vehicle must have a registration number.

(4)Must be covered the necessary injury and damage insurance.

(5)Participation in the parade and ride & drive are free. Parking areas for the parade and ride-and-drivescars will be provided by the organizer free of charge.

(6)Electrical supplies and hydrogen fueling facilities will be provided by the organizer. Electricity and hydrogen expense will be charged to the participating exhibitors.

FREIGHT HANDLING IN JAPAN**********************************************************

A. Deadlines for cargo arrival in Japan

All items sent to Japan must arrive by the following dates :

Sea freight : Vessel must discharge in Yokohama port by Oct. 8-11,2006.

Air freight : Aircraft must arrive at Tokyo Narita Airport by Oct.15-17,2006.

B. Freight Charges

All items sent by sea or air must be Freight Prepaid.

C. Packing

1. All items for shipment must be divided into the following two Separately Packed

a. Category 1 : Bonded items

These items will remain in bond during the exhibition and will be re-shipped

Bonded items can be sold after the

exhibition only if they clear customs with due payment of duties and domestic

excise taxes, thus becoming imported goods.

b. Category 2 : Imported items (including consumables)

These items, which include brochures, samples, giveaway, and demonstration

materials as well as exhibits, which will be consumed during or after the

exhibition must clear customs before the exhibition for import into Japan.

Caution: It is of vital importance that bonded items and imported items be packed

(and invoiced) separately because of their different customs classifications.

2. It can not be overemphasized that packing must be exceptionally sturdy for both

sea and air shipment. Ishikawa-Gumi highly recommends re-useable bolted cases.

Although these may be more expensive than other cases, experience has shown that

cutting costs in packing can be a costly mistake if goods are damaged during shipment.

Upon receiving the Overseas Transport Application, we will send you the invoice and packing list.

Each invoice / packing list should be made out as per the attached authorized form

of EVS 22. It should be as precise as possible regarding descriptions,

quantities, unit prices, total amounts, net weight, gross weights and measurements.

The document must be in English with prices shown in U.S. dollars on a CIF Japan

basis, separate invoice / packing lists must be used for bonded items and imported

items (including consumables). The Exhibitor is cautioned to note that prices

indicated on the shipping documents must be reasonable. Problems in customs

clearance may occur if the customs officer judges the declared price to be

unreasonably low. Also, customs will not accept "no commercial value" invoices.

Prices must be mentioned for all items including catalogs.

1. Sea Freight

a. Documents must be sent in the following quantities :

1) Invoice/packing list : 5 copies

2) Bill of lading : 1 original and 3 copies

3) Brochure for each exhibit : 2 copies

b. Documents should be received at least 10 days prior to the berthing of the ship in Japan.

Please send the bill of lading by rapid courier as soon as it is received from the shipping

company.

c. Documents for items shipped by sea should be addressed to EVS 22 as consignee.

A consolidation bill of lading will take a long time to obtain cargo from the shipping agent.

2. Air Freight

a. Documents should be sent in the following quantities :

1) Invoice / packing list : 3 copies

2) Air waybill: 1 copy

3) Brochure for each exhibit : 1 copy

Note: The original air waybill and 4 copies of the invoice / packing list should

accompany each shipment.

b. Documents for items shipped by air should be addressed to EVS 22 as consignee.

G. Sending Advance Notice

The following information must be sent to Ishikawa-Gumi by facsimile as soon as

possible (in advance of the shipment). This information enables Ishikawa-Gumi to

promptly collect cargo. If the information is not received in advance of arrival,

the cargo may go into a customs warehouse for storage.

H. Insurance Policy / Certificate

An insurance policy / certificate should be purchased. Exhibitors should insure their

goods from the time they are dispatched from the office / factory until either being

returned to these premises or collected by buyers after the exhibition. Ishikawa-Gumi

Ltd. does not insure goods on exhibitors' behalf.

I. Customs Examinations

The customs office will maintain a temporary office at the show. Please note that

Japanese customs officers are thorough in their examinations. Normally, every case is

opened and the contents are carefully checked against the invoice / packing list.

Delays and extra charges may result if the contents and the invoice / packing list do

not match.

J. Bonded Exhibition Area

The exhibition site is officially designated a bonded exhibition area for the entire

period of the exhibition, including the moving in and moving out periods before and

after the exhibition. For those unfamiliar with the concept of a bonded exhibition

area, the system is adopted to enable the temporary landing (not import)of items into

Japan for the purpose of exhibition. Under the system, items are exempted from duties

and taxes on the condition that they will be exported from Japan after the exhibition.

Accordingly, bonded items may not be disposed of in Japan. They must be exported from

Japan after the show, or they must go through customs clearance to be officially

imported into the country. Violation of this regulation qualifies as a form of

smuggling. The sale, giveaway or disposal of bonded items in Japan is treated as a

serious matter, so exhibitors are cautioned to fully comply with the regulation.

Exhibitors will be free to give away only those items that are imported (paid duty

entries items) by the time of the exhibition and for which applicable duties and

taxes are paid.

K. Local / Imported Goods

All Exhibitors who will be shipping goods from local premises in Japan must contact

Ishikawa-Gumi Ltd., to arrange for the goods to be brought into (and taken out of) the

exhibition site.

L. Empty Packing Cases

After exhibit items are unpacked at the booth, the packing cases will be removed from

the exhibition hall. Cases for bonded items will be stored outside the exhibition

site and returned at the end of the exhibition.

M. Removal of Items from Exhibition Site

Before the close of the exhibition all exhibitors must submit a disposal instructions

form to Ishikawa-Gumi Ltd., in order to inform the agent of what to do with the exhibit

items after the exhibition, as follows :

1. "Re-ship".(to either the country of origin or any other country)

Re-shipping items after the exhibition may take some time for paperwork to be

completed and a suitable ship / plane to be found. Please bear this in mind when

planning the post-exhibition use of your exhibit items.

2. "Sell"(Sold)

Bonded goods to be sold must go to a bonded warehouse for customs clearance and

payment of duties / taxes. Please note that goods cannot clear customs at the

exhibition site.

3. "Consume"

All goods imported as items to be given away in Japan cannot be re-shipped in cases

containing bonded items. Separate export arrangements and documentation are

necessary because items once imported are treated as domestic Japanese cargo.

N. RE-EXPORT PROCEDURES OF EXHIBITS/EQUIPMENTS

***********************************************In Japan, the export of ordnance incl. Components and parts, requires an export license

from the ministry of economy, trade and industry (METI), as specified under the export

trade control order of Japan. The order Also applies to the re-export of such items brought

into the country for exhibition. Accordingly when items such as those mentioned above are brought

into Japan for exhibition, whether under ATA carnet, bond or normal importing procedures, their

re-export requires the permission of METI regardless of the re-export destination, whether it

be the country of origin or a third country. The aircraft ordnance division of METI shall make

the final determination of whether a product does or does not fall within the category of ordnance.

Product catalogs, specifications and other detailed information may be requested to make this

determination.

Caution: Atomic production-related equipment, chemical weapon and-related equipment’s,

and biological weapon and-related equipment’s are not permitted to exhibit.

Definition Of Ordnance

1. Exhibitors who are concerned export license must apply to METI prior to

re-export from exhibition site to overseas destination.

2. Ishikawa-Gumi Ltd., can apply for export license on behalf exhibitor.

In this case, exhibitor must complete a power of attorney to EVS 22 SECRETARIAT and

Ishikawa-Gumi Ltd. to authorized such action.

3. Approval for export license takes approximately 2 - 3 weeks.

4. Documents required by METI for export license.

a. Completed licenses application form.

b. Evidence of correspondence between exhibitor (exporter) and consignee in country

of destination.

c. Catalogue of exhibit materials.

d. Import declaration, Invoice, Bill of Lading or Air waybill copy(used for original

import to Japan).

O. Services and Fees

Ishikawa-Gumi Ltd., offers the following services between seaport / airport and

exhibition and charges for these services as indicated. Please note that all imported

goods are also subject to duty and a 5% consumption tax on CIF value.

1. In-bound (to Exhibition Site)

a. SEA FREIGHT (Port to Exhibition)

1) Loading and transport to warehouse, and removal of cases from

container (when required) at warehouse.

2) Unloading and preparation of customs inspection documents.

3) Loading and transport to exhibition site.

4) Unloading from truck at exhibition site.

5) Delivery to booth.

6) Use of lifting equipment.

7) Unpacking and placing items in booth (excl. machine setting-up).

8) Supervisor fee

Per M3 or per 1,000 kg, whichever yields the greater total. JPY15,000.-

(The minimum fee is JPY30,000.-)

Note: FCL shipment Container Minimum = 20’STD as 22.5 M3, 40’STD as 45 M3

Note: The minimum fee applies to each Exhibitor.

Note: For ocean bill of lading covering shipment more than FCL cargo,

please apply for an individual quotation.

A product used by armies directly in warfare. However, parts and equipment which are dual

use with commercial applications are not defined as weapons.

shipment weighing over 2,000 kilograms, please apply for an individual

quotation.

d. EMPTY CASE HANDLING CHARGES

5) Loading and transport to port via warehouse (Pending availability of vessel).

The fee for the above services :

Per M3 or per 1,000 kg, whichever yields the greater total. JPY15,000.-

9) Terminal Handling Charges (THC/TC) at Sea/AirPort

10) Container Demurrage (over free time at Container Yard)

4. Final Import Clearance from Bonded Status.
