Starting pointsIntroduction Each year Bovag organizes the Bovag Dealercongress. It’s the larg-est annual management-event within the automotive branche. Primarily the congress is meant for members of BOVAG Autodeal-ers. However importers, representatives of leasecompanies and suppliers are also visiting the congress. The Bovag Dealercongres is the place to be to meet relations and get inspired.

Goals To create unity and pride. To be proud of the carindustry, proud of the car. Sufficient opportunities to network. Transfer of information.

ProblemOver the last few years there have been doubts about the current concept. Should the congress not become more like an event? Would offering an experience not be more important than a ‘plain’ transfer of information? How do we create a bigger attendance (af-ter all the whole of the automotive-branche holds 40.000 people!)?

Should the Bovagcongres become a multiple day event? A road-show? An evening-event?TAnything goes as long as our goals can be reached.

Targetgroup Autodealers, leasecompanies, importers, suppliers . 95% male ‘in a suit’.

Sponsors A large part of the congress is sponsored. This happens in a variety of ways: advertisement, stands, banners, commercials, speakers etc

Budget 250.000€ (Tickets 75.000, Sponsors 150.000 and Bovag-contribu-tion 25.000)

Communication The communication path towards targetgroup (potential visitors and sponsors¬) should match with the concept. Both targetgroups can be reached by digital communication and are open to modern communication tools.

When the guest arrive on the big parking space ore on the station of Harlingen they will be picketed up by big buses to bring them to the port of Harlingen. When they arrive in Harlingen port they will be welcomed by the Bovag and will be escorted to the big boat the MS Friesland. On the boat the guest are provided with a drink and split op in two groups of 500 people. Group one goes to the upper deck and will listen to the speaker Luc van Bussel specialized in mobility and en-trepreneurship in the Netherlands speaks about resurrection of the automotive industry. The second group goes to guest speaker Mark Ward van der Mieden he drops a show about creating brand value among staff and the customers.

When the speakers are finished there is the opportunities for the guest to drink something and chat with their colleagues. Then the second round begin and the groups will listing to the other guest speaker.

Design

After they are finished the guest gets drinks and snacks until the boat arrived at Terschelling.

On Terschelling there is a wagon ride with horses, so the guest can see the most beautiful parts of the island. After this pleasant ride they go back to the boat end sail to Vlieland with a fast boat.

When they arrived in Vlieland there is a two minute walk to the beautiful hotel “ZeeZicht”. On the patio of the hotel that is lying on the beach, there is a big barbeque end live music with, inter alia, the big singers Waylon, Jeroen van de Boom and Ben Saunders winner of The voice of Holland. The guest can enjoy the music, the diner and the peace of the island.

After diner the guests goes back to the pork where the MS Fries-land is waiting for them. On this boat they are going to sail back to Harlingen pork. The dessert will be served at this boat and there are live entertainers en artist, the artist will make souvenirs for the guest by making caricature and portrait drawings. The guest gets something to drink and there will also be live music.

When the boat sails into the pork of Harlingen the buses are waiting for the guest, so they can take the guests back to their cars or the station.

For the people at home there is a possibility that they can in-teract with the guest by means of twitter. And the shows of the speakers will be broadcast live on the special site of the Bovag for the people who stayed home. With the twitter account the people that stayed home can ask questions for the speakers.

ConceptWhen we where brainstorming for this event, we quickly came out to motion. It makes it possible to go to other places, to discover the world en enjoy of different places. With the opportunities of motion there is much possible and you came further in life. The people of Bovag makes this pos-sible!! And they deserve what they give.

Communication

Direct-event

On the event the invited will receive a programfolder with the vision of BOVAG of the event, the activitties, times and places.

The key speakers will start with a message from BOVAG. It’s important to tell why the speakers are there and what their connection is to BOVAG. Unnoticed, BOVAG can bring over a message.

Their also will be poster at the event with information about the event and the activities during the day. The location and times are very important for the ultimate experience.

Post-event

After the event the visitors will receive a email with a thanks for coming and a idea for the concept next year. If it went well the concept will be back. It’s important to share the thoughts from BOVAG with the visitors. They will feel connected.

Pre event

The people who gonna be invited need to be invited. This goes partly through social media. Bovag creates a invite and sents these to the dealers who come to the event. Also the different compagnies who are adjoined to BOVAG. BOVAG makes an event on Facebook and inviteds the relevant people. On this page they see the theme of the event, the activities and the date.

BOVAG creates also a pre video about concept, show the people what they can expect. Make it attractive but at the same create curiosity.

We know that not every invited is active on social media. That’s why we also sent an email to all the invited, to make sure everyone gets invited. The video will be send attached to the email.

Posters and flyers will be hand out in the office.
