Project management

I both manage projects from the part of a executive user and IT-developing projects. Therefore a consequent coordination with the management is required.

Concerning the user area, I am responsible for coordinating the individual requirements. Those are balanced with the user as regards content. After the exact content is defined, the coordination is created concerning the statutory framework. Finally, the requirement is placed in the accounting organization. After the technical content is coordinated, the expense is estimated together with the developing department and a break-even calculation is worked out. My task is to find the easiest and most effective method during the negotiations with the developers. In all my projects, this procedure is the same. Together with my employees, the most effective procedure is chosen within the available resources. As I work out my approaches together with my employees, the highest possible motivation of my employees is ensured because finding a resolution is part of my employees and not an abstract work of art.

My philosophy of project management means to appoint each employee in the position where he or she can attain the highest possible achievement. Because of my long IT-experience, I am capable of fulfilling the professional requirements in the way that they can be fulfilled with a minimum expense. My consulting is to be aimed at solving the professional problem and does not follow hardware or software guidelines.

In my projects I was responsible for up to 30 external employees (freelancer). The decisive factor of success was the fact that we were capable of providing products always together on schedule which had to be completed in critical terms of time. In these periods, I motivated my employees in the way that the projects could be completed in time.

Because my field of experience covers all fields of business, I am capable of recognizing a problem at short notice and creating solutions. By implementing appropriate tools and procedures the projects will be successfully completed and completed on schedule. In my projects I’m the responsible for the budget, the employee and project plan.

Creating processing guidelines

At the beginning, the function volume of the individual systems is analyzed.The different systems’ intersections are determined and documented.

In addition, the requirements/applications are established and documented. This happens in close coordination with the operating department. Furthermore, it is determined which functions are multiply existent in the individual systems and which requirements/applications are covered by these functions..

On the basis of these results, processing guidelines for individual systems and information paths to integrate the systems involved are created.

It has to be analyzed which modules have to be centralized and which modules will have to communicate with the interfaces of the individual systems in the future.

The usage of a source administration tool is essential to prevent multiple processing in a program. This tool serves to control the following phases:

- processing- testing- testing special fields- integration testing- release of

- implementation

The usage of an implicational, functional and system database is also important.

In principle, it has to be analyzed which functions of special fields are necessary and in which way these functions can be completed by this application.

The task descriptions from the users’ point of view have to be connected with the objects of the individual systems.

When the task description has been created and the function volume has been set, this system will be analyzed which is the most appropriate to fulfill the task.

The last project contained the following systems:

In this project, the decision has not been made on the basis of which system is the most appropriate for this function but a strict division by systems was provided. If an insurance of property is involved, this function was integrated in INAS even double development on the host and on AS/400 was necessary for this.

my tasks The first development was completed on an IBM 5280 system. Bills of delivery were registered and printed daily. This application had to process its data very quickly because there was a period of only two hours between entering the last order and the beginning of the production. Loading and delivery started at night. There were goods which had to be produced and delivered at the same night, other goods were ordered and some of the goods were ordered in advance and produced in the following day. When the scope of the orders increased and the processing time took too long, the IBM system /34 software was installed. The order maintenance was added the sections production planning and planning of rounds. Financial accounting and a payroll accounting system were developed.Because of increasing orders, the system’s capacity became too low. Therefore, the IBM /36 were installed. The entire software was now developed in COBOL. PC’s were connected with the IBM /36 software and the clients placed their order via DFÜ with it. In the expedition, the production variances were registered and bills of deliveries corrected. The statistical data was improved. Three years later, an AS/400 was installed. The entire transaction was redesigned and redeveloped. The stock containing finished and intermediate goods was administered via data processing. Goods were automatically added to the supply book according to planning of the production. To places of production were connected via DATEX-P to the AS/400 software.This system was installed on a service date processing center in 1991 and in an wholesale bakery in Riesa.

project’s aim The implemented financial accounting had to be revised. I developed a large part of it in the early 80s with RPG II. The financial accounting had to cover several companies. The entry dialog had to be reduced to a one dialog. Until that time, different menu items had to be launched dependent on the position type. All accumulated requirements to a new Financial Accounting system had to be involved in the design.

features The ability to cover several companies had to be realized by renaming the filenames. Therefore a complete redevelopment of the accounting area was performed. Because it was an integrated system, the changes had to take minor effect on the whole system. The clientele and the supplier base were not changed. An appropriate interface for the debtor and creditor area was created. There was only a small amount of time left to realize this change. 20 MM had to be realized within six calendar months. The new COBOL-programs had to work accurately both on the AS/400, the /36 and the NCR-system without any changes.

I was the contact person und coordinator concerning any questions containing the new accounting system. I took over the hotline during the pilot phase.

my tasks The existing software covering storage and order processing was modified accordingly. At first, the doublets in the addresses were deleted and the subscriptions were balanced with the original stock (older than a half year). Variances were documented and reentered. The first delivery took place in time after three weeks. The invoice’s production was now continued. The most difficult task was to update the accounting software because the invoices generated by the previous system were not booked correctly. Therefore, the previous system’s errors had to be analyzed in order to develop an algorithm to correct the false entries. A mailing system was developed to evaluate the mailings’ success. The publisher not only delivered its subscribers but also delivered books (goods) to private persons and book stores. The book stores’ bills and statistics could be provided. Mass data capture took externally place via an ACCESS program which we developed. This took access to the master data of the AS/400 software. The system administered the subscribers, trial subscriptions, gift subscriptions and shipping of sample magazines. All incoming shipping lists could be managed including optimizing postage accounting.

Versicherungproject’s aim For an amalgamation of five property insurance companies,

standard software (INAS) was installed. This software had to be adapted to satisfy the needs of the company. This concerned above all the areas counter insurance, co-insurance business, claims settlement, contract management and creating policies. In order to migrate the individual company data, it was arranged that no data had to be lost (even it was not needed in the new system). Minimal requirements to the data could partially not be guaranteed. Therefore, a special contract management had to be developed and to be integrated into the existing modules counter insurance, pre-debiting premiums, premium adjustment and policy printing.

my tasks Analyzing the range of activities of the individual INAS modules. Working out guidelines of software changes and the modules which had to be recreated. Therefore, an extensive analysis of program codes was required. According to the individual programmers’ experiences, the fields of activity were defined. After having worked out the requirements with the special departments, I started to find a solution with the responsible programmers, which corresponded to the programmer’s skill. Therefore, one had to especially turn one’s attention to the available resources and to ensure the meeting of the deadline. Because many employees developed different modules and it was also an integrated user package, it was important to ensure that all employees were informed of possible influences. That was guaranteed by a weekly meeting, in which everyone was able to explain the possible effects to the INAS-system.

I was notified of all error messages of the current operation and they were analyzed accordingly. After the analysis a date was arranged to correct the error and the appropriate employee was appointed to correct the error. After the employee corrected the error and tested its changes, I and the special department ran an integration test. The integration test served to locate the effects on the changes to the whole
