ERASMUS+ PROGRAMME – GENERAL BRIEFING
Erasmus+ is the general name of the programme which makes it possible to participate in mobilities of education, learning and training in European Union member countries, European Union candidate countries, non-EU Programme and Partner countries in the framework of «Mobility programmes» such as Student Mobility for Studies, Student Mobility for Placement, Staff Mobility for Teaching and Staff Mobility for Training. Erasmus+ is organized by European Commission. Erasmus+ Programme also facilitates international academic projects such as Strategic Partnerships and Capasity Building Studies and Youth Programmes which are not academic, however are highly valuable and bring along social achievement.
Erasmus Programme started in 2004 and has celebrated its fifteen years anniversary in 2019.
Erasmus+ which internationalizes individuals and institutions and supports bringing up citizen of the World, is a highly important and successful project with over 20.000 participants.
ERASMUS+ PROGRAMME – GENERAL BRIEFING
In Erasmus+ Student Mobility for Studies, students that are qualified to participate in the mobility after successfully completing the selection process of the university, can study one or two semesters out of 4 years long bachelor’s degree education (according to terms of agreement that is signed with the receiving institution), in one of the higher education institutions that has an international partnership that is compatible with their department. The courses that students will take in the mobility, are determined before the mobility in their own university with a «learning agreement» and the courses that are successfully passed will account to course credit in their own institution. After successfully passing all of the courses during the mobility, 4 years long bachelor’s degree education isn’t prolonged.
The student that will join the mobility does not pay an education or tuition fee to the receiving institution. The student will receive a total grant to spend on for some or all of the accomodation and living expenses. The grant is calculated taking into consideration the living conditions of the receiving country and according to number of months by the Turkish National Agency. Other expenses except for living expenses such as; plane ticket, passport, insurance and visa fees will be covered by the student.
Student Mobility for Placement is carried out during summer months. Students apply themselves for the training opportunities that are announced every year, during certain periods on the web page of European Commission for Erasmus+ Mobility for Placement. Students are responsible for application and admittance process. Erasmus+ Office becomes involved only for grant application. Grant is given for Mobility for Placement too.
More detailed information on Mobility for Placement will be provided before the date of application; on March 2020 for students.
ERASMUS+ PROGRAMME – GENERAL BRIEFING
Erasmus+ Youth Programme; is a highly valuable non-academic programme which targets non-formal education and brings about important social achievements. The programme envisagesvolunteering for the participants in nongovernmental organizations between 8 weeks and a year especially in European countries. Participants must be under 30 years old. It supports the personal development of the participants and encourages them to find their place within the society.
A student can participate in a youth project during summer for 8 weeks with grant viaErasmus+ Office. The student can also participate again in a project with grant after graduatinguniversity until turning 30 years old for the remaining ten months.
More detailed information on Mobility for Placement will be provided before the date of application; on March 2020 for the students.
ERASMUS+ PROGRAMME – GENERAL BRIEFING
Our university, has been awarded of an ECHE on 27 September 2019, the necessary confirmation document to be able to participate in Erasmus+ academic activities.
Immediately after being awarded of an ECHE, we started working towards forming compatible partnerships with our departments.
Along with that; we started working towards nominating «Erasmus Department Coordinators» for every department in all the faculties, vocational schools and institutes within our university in order to form the right partnerships and prepare the learning agreements without any problem (so that students will not fail the courses in the receiving institution).
Erasmus Department Coordinators will be significant for the students in the future.
ERASMUS+ PROGRAMME – GENERAL BRIEFING
Information on formed partnerships and Erasmus Department Coordinators will be given on the «Erasmus Application Meeting» that will be held at the end of December 2019 and also will be announced on our website.
First selection of «Learning Mobility- Outgoing Students» will be carried out in February 2020, first student mobility for studies will be actualized starting from September 2020 (2020-2021 Fall Academic Semester).
ERASMUS+ PROGRAMME – GENERAL BRIEFING
Learning Mobility– to participate in the selection of outgoing students it is necessary to;
• Have studied at least two semesters (so that students can have a GPA)
• Have a minimum 2.20/4.00 cumulative GPA for undergraduatestudents,
• Have a minimum 2.50/4.00 cumulative GPA for graduate students,
• Have a sufficient language level (English).

Graduate students can not participate in the Erasmus mobility during thsesis stage, however they can participate in the Erasmus mobility for placement.
Rather than mobility for studies, mobility for training and youth programme projects are more appropriate options for vocational schools’ students since their study period is 2 years long and at their last semester, they need to pass the required courses and complete their training.
We advise all of our students from all different degree programmes to participate in the Youth Programme projects which are highly valuable non-academic programmes and they provide a chance to go abroad to study in areas of non-formal education to gain experience and social achievements.

FEBRUARY 2020 • End of Applications. • Conducting english exam and assigning grades. • Making of lists of Principle and Alternate Candidates by the Selection Committee.• Announcement of the lists (Via webpage and email – the list of the selected students will be
hanged on the door of the Coordinator Office).• Objection to the lists and conclusion of the objections. • Grant application for the new Project Period (Probably).• Submission of waiver forms (student mobility for studies- only the students in the principal
candidate list can submit waiver forms).

MARCH – APRIL 2020:• Start of the nominations of the selected students. • Nomination of the selected students to receiving institutions (Can also be online).• Preparation of the documents of «Learning Agreement» and «Course Equivalency Form» by the
selected students.• Getting a «Health Insurance Policy» by the selected students.• Opening an «EURO» account from a contracted bank (banks that have an agreement with our
university) by the selected students.• Signing the «Erasmus+ Higher Education Learning Mobility Grant Agreement» with the selected
students.• Completion of the «Online Language Support-OLS» exam by the selected students.
MAY – JUNE 2020:• Receiving the confirmation of the nominated students from the receiving institution.• Completion of the Passport, Insurance and Visa procedures by the students that received
confirmation.

JULY 2020:• Depositing 80% of the total grant into the Euro accounts of the selected students. (Remaining
20% of the grant will be deposited into the students’ account if the students successfully pass the courses in the receiving institution and complete their responsibilities upon returning.)
AUGUST – SEPTEMBER 2020:• Departure of the students that received confirmation from the receiving institution.
*** It is students’ liability to complete in due time and properly all the procedures regarding passport, visa, insurance and accomodation. Erasmus Office will provide administrative support regarding these matters.
*** All the expenses regarding passport, visa, insurance and accommodation are students’ liabilities; Erasmus Office does not hold a financial obligation to students except for conveying the grant given by the Turkish National Agency.

Students are fully liable to find training opportunities compatible with their learning outcome, apply and get confirmation for Erasmus Student Mobility for Placement.

Possible training opportunities; must be approved by the «DEPARTMENT COORDINATOR» beforeapplying to an institution! (to make sure learning outcome is in line with the curriculum.)
Department Coordinators, all things being equal, will be announced at the end of DECEMBER 2019 on Erasmus webpage.
Meeting for application to Student Mobility for Placement will be held in March 2020 and in-houseapplication, nomination and grant process will start for the students who received confirmation.

CHAPTER 1: DECISION MAKING STAGE
www.kent.edu.tr ERASMUS+ webpage, the announcements of the ERASMUS+ Office in the university, (B-Block, No: 202) and announcements via email and sms must be followed regularly.
Students should participate in ERASMUS+ Introductory Meetings and Application Meetings that are held every semester. Introductory Meetings are important for getting information on ERASMUS+ and deciding on whether Erasmus is for you or not. Application Meetings are important for knowing the course of action if you apply for mobility.
You have learned what is ERASMUS+ Learning Mobility, the prerequisites for participation and your responsibilities and have decided to participate. Now what?

CHAPTER 2: PARTICIPATION IN THE IN-HOUSE SELECTIONS
Students should bring 2 forms to the Erasmus Office on application dates that are announced on our ERASMUS webpage www.kent.edu.tr;
• “Learning Mobility Application Form” that can be found on ERASMUS webpaige www.kent.edu.tr
• Up to date version of your transcript of records. (Minimum 2.20 GPA for undergraduate students and minimum 2.50 GPA for graduate students are required.)

***Important Note 1 : Minimum 2.20/4 GPA for undergraduate students and minimum
2.50/4 GPA for graduate students are prerequisites regulated by National Agency’s
regulation; the institution you would like to go might demand minimum 2.50/4 GPA for
undergraduate students and minimum 2.75/4 GPA for graduate students; in that case even if
you are selected in-house nomination; the institution you would like to go may not give a
confirmation.
***Important Note 2 : Students MUST fill the application form with their Erasmus
Department Coordinators so that the receiving institution will be compatible with your
department and courses!!!

How many students can benefit from ERASMUS+ Learning Mobility every academic year is determined with agreements made with foreign universities.
While making the rankings of the selected students that have applied in-house; 50% of the cumulative GPA of the candidates and 50% of the english exam conducted according to ELS Standards will be taken into consideration.
Along with that; there are other criteria established by the Turkish National Agency that influence the grading of the candidate students, said criteria and factors that influence the weighted score are as follows:

Even Though student was selected to participate in the Mobility in
an earlier semester, they failed to waiver in due time that was
stated on the webpage and they didn’t participate in the Mobility
-10 points
Applying to two Mobility programme at the same time (which
mobility programme will receive the reduction of points will be
decided according to preference of the student)
-10 points
For students who are selected for Mobility: not attending the
meetings/trainings related to Mobility held by the Higher
Education Institution without a valid reason (in the event of
application to Erasmus by the student again)
-5 points
Not attending the language exam without a valid reason despite of
declaring they would attend beforehand (in the event of
application to Erasmus by the student again)
-5 points

After the rankings, nominations are decided according to order of preference of institutions of students with the highest grades. Principal and alternate lists are made for Erasmus+ Student Mobility for Studies. If you think there is a mistake in the lists, you can object to the lists in due time that is announced on our webpage. In the event that our university doesn’t receive a certain grant, selected students are in the «candidate» category. Nomination results are decisive only after the Center announces grant distribution.

After the in-house nomination process, you have gained the right to participate in Erasmus+ Student Mobility for Studies and study in one of the institutions you have chosen during the application period. Now what?

CHAPTER 3: AFTER THE NOMINATION – LETTER OF ACCEPTANCE FROM THE RECEIVING INSTITUTION – FIRST STAGE
You should visit the webpage of the university which you chose during the application process, with your Erasmus Department Coordinator.
You should get information from webpages regarding Erasmus+ Academic Calendar, the opportunities provided for Erasmus students, special conditions if there are any and most importantly Erasmus+ Student Application Forms and you should fill in those forms (online or not).

***Important Note: If the Receiving Institution doesn’t have their own application
forms; standard forms of European Union should be used.

CHAPTER 4: AFTER NOMINATION – LETTER OF ACCEPTANCE FROM THE RECEIVING INSTITUTION –SECOND STAGE
You should prepare the documents below and follow the written steps before departure.
1. LEARNING AGREEMENT FOR STUDIES – 2 ORIGINAL COPIES + 1 Photocopy2. COURSE EQUIVALENCY FORM – 1 ORIGINAL COPY + 1 Photocopy3. Health Insurance Policy4. ERASMUS+ HIGHER EDUCATION LEARNING MOBILITY GRANT AGREEMENT – 2 ORIGINAL
COPIES (You should open an EURO ACCOUNT with a contracted bank!)5. Online Language Support (OLS): Before and after mobility you are to take an online language
exam. You will receive an invitation in your email for this exam.

***Important Note 1: Grant Agreement is signed regarding the pecuniary support you will
receive as an Erasmus+ Mobility student.
*** Important Note 2: 80% of the total grant will be deposited in your EURO account before
your departure; upon your arrival 20% of the remaining will be deposited in your account.
*** Important Note 3: All the courses in the Learning Agreement are compulsory to
take.You are expected to pass successfully those courses. Failing the courses does not cause
a cut in the grant, however in the event of total absence from the courses, the remaining
20% of the grant will not be deposited in your account as stated in Grant Agreement.

In addition to this organization process,you should simultaneously research the required documents for student visa and requirements to obtain a visa from the country you will go on the webpage of the consulate/agency in Istanbul.

CHAPTER 5: AFTER RECEIVING LETTER OF ACCEPTANCE – PASSPORT AND VISA PROCEDURES STAGE
After getting the Letter of Acceptance from the Receiving Institution, you should:
Complete swiftly passport and visa procedures.
***If you do not have a passport you should get a passport, if you have one and the expiration date of your passport is sooner than the requirements of the visa, you should prolong the expiration date of your passport in line with the requirements of the authorities or renew your passport according to visa requirements.

***Important Note:
ALL OF THE PASSPORT AND VISA PROCEDURES FROM START TO END, ARE STUDENTS’ FULL
LIABILITIES. Erasmus Office is only liable to provide documents such as «letter of
acceptance» for passport and visa procedures. Apart from that, Erasmus Office has no
occupational, financial and pecuniary obligation regarding passport and visa procedures. All
expenses arising from passport and visa procedures and completion of those procedures
properly in due time are entirely students’ liability.

CHAPTER 6: AFTER ARRIVING AT THE RECEIVING INSTITUTION; DURING THE MOBILITY:
Within 15 days after arriving at the receiving institution, you should get the“CONFIRMATION OF ARRIVAL” form filled by the Erasmus Office in the receiving institution and email it to [email protected].

***Important Note 1: All the courses in the Learning Agreement are compulsory to
take. You are expected to pass those courses successfully . Failing the courses does
not cause a cut in the grant, however in the event of total absence from the courses,
the remaining 20% of the grant will not be deposited in your account as stated in
Grant Agreement.
***Important Note 2: If you need to make alterations in your Learning Agreement
for Studies about the courses you had selected before leaving;you need to contact
both the PERSON RESPONSIBLE in the receiving institution and the Department
Coordinator in İstanbul Kent University, fill in the part of the “During Mobility” of
the agreement and after getting the necessary signatures you should email the
document to [email protected] in 5 weeks following your departure at the
latest!

CHAPTER 7: COMPLETION OF MOBILITY AND RETURN TO COUNTRY OF ORIGIN; POST-MOBILITY:
After completing ERASMUS+ Student Mobility for Studies and returning to Turkey, THE DOCUMENTS YOU MUST SUBMIT TO ERASMUS OFFICE IN 15 DAYS AT THE LATEST :

1. CERTIFICATE OF ATTENDANCE: It is a document that shows which programme you attended to and when you attended to it when you were abroad. You should get it signed and sealed at the receiving institution and submit it to our Erasmus Office.
2. TRANSCRIPT OF RECORDS: It is the record of the ECTS credits of the courses you took abroad. You should get it signed and sealed at the receiving institution and submit one original copy to our Erasmus Office and one original copy to your department.
3. “AFTER MOBILITY” PART OF THE LEARNING AGREEMENT
4. OLS RETURN EXAM RESULTS: Upon arrival you should complete second OLS exam and submit the document of your result to our Erasmus Office.
5. FINAL REPORT: You will receive an email which contains «Online Student Mobility Report» from our Mobility Tool system. You should fill in that document and submit it to our Erasmus Office.

***Important Note 1: AFTER COMPLETING ALL THESE PROCEDURES, THE REMAINING 20% OF
YOUR GRAND WILL BE DEPOSITED TO YOUR ACCOUNT.
***Important Note 2: You should submit two documents to the Secretariat of Faculty: Transcript
of Record which shows your grades and the courses you took in the receiving institution that you
studied in the framework of ERASMUS+ and Course Recognition Form that you filled in, signed
and got the necessary signatures.
