Sect. 1 - ACADEMIC ADMINISTRATION Class Rank, Valedictorian/Salutatorian and Latin Honors Calculations - Graduating Class of 2020 Valedictorian/Salutatorian and Class Rank calculation for 2019-20 school year will be determined using the cumulative weighted numeric average (CWNA) earned at the end of Semester 1 in December 2019. • Using Semester 1 CWNA ensures no student group (Dual Enrollment or Advanced Placement) is differentially penalized or advantaged due to

grading concerns resulting from COVID instructional interruption. • Using the same Semester 1 CWNA for Valedictorian/Salutatorian, Latin Honors, and Class Rank ensures consistency in class rank and Val/Sal

designations. • Final Weighted Numeric Average recorded on the transcript will be calculated using the final grade for the entire course (semester 1 and

semester 2 averaged).

Final Grade Calculations for All Levels 12th grade Teachers will utilize the higher grade after evaluating both options: • Use Quarter 3 grade as the semester grade. • Accept & grade remote learning work and use to calculate Quarter 4 grades. Use Q3 & Q4 grades to calculate semester grade as would

normally occur. Any student who has a failing grade in both scenarios articulated above will receive an Incomplete. Summer opportunities will be provided for the student to attempt grade recovery in order to be a summer graduate. If the student is unable to successfully complete grade recovery before the start of the 2020-21 school year, he/she will be classified as a retained 12th grade student. 9th -11th grade (and students taking HS courses in MS) Teachers will utilize the higher grade after evaluating both options: • Use Quarter 3 grade as the semester grade. • Accept & grade remote learning work and use to calculate Quarter 4 grades. Use Q3 & Q4 grades to calculate semester grade as would

normally occur. Any student who would earn an F as the semester grade will be given an Incomplete rather than an F and will be provided options during the

Summer and/or the school year for unit recovery. • A student has until the conclusion of Semester 1, December 2020, to recover units and earn a grade. In the event this does not happen, a

student will receive his/her grade as calculated at the end of Quarter 4 with missing grades calculated into the average. K-8th grade Teachers utilize the higher grade after evaluating both options: • Use Quarter 3 grade as the semester grade. • Accept & grade remote learning work and use to calculate Quarter 4 grades. Use Q3 & Q4 grades to calculate semester grade as would

normally occur. Any student who would earn an F as the semester grade will be given an Incomplete rather than an F and will be provided options during the Summer and/or the school year for unit and learning recovery.

Retention Only a student who has been on a school’s academic concern list during Quarter 3 or before can be considered for retention. As such, no new student can be added as a retention candidate, so absence from school or inability to participate in remote learning experience will not impact retention.

Students who are recommended for retention will be offered face to face summer learning program in July (see dates in summer learning opportunity section). Location TBD

Students who attend will be re-evaluated at the end of the Summer School term to determine if they meet the criteria to move on to the next grade level.

For ESE students, an IEP team can make decisions in the best interest of students. In the event a parent requests retention, a committee comprising the child’s teacher(s), parents, and administrator will be brought together to evaluate the child’s progress and present levels, the parent’s concern, and make a decision based on the recommendation of the majority of the committee.

Sect. 2 - Summer Learning Recovery Opportunities Grades K-5 Students who end the school year with an Incomplete, or are recommended for retention, will be invited to participate in the Henry County Schools 3 week, face to face summer learning program in July. Operations: • Monday-Thursday, 8:00am - 2:30pm • July 6 - July 23 • Transportation will be offered • Breakfast and lunch will be offered through Summer Meals program

An individual learning plan for Quarter 4 unit-recovery will be provided by the student’s teacher in the course denoted as an Incomplete based on units needed for recovery, and the retention plan provided by the school committee will determine the plan for students who have been retained. K-5 Summer School is only available for learning recovery/retention support in Math and ELA. Virtual Unit Recovery Virtual modules will be available for specific units of instruction to complete unit recovery from Quarter 4, as needed for students to complete credits. This will be available to students who earned an Incomplete because they were unable to complete assignments during remote learning. Technology learning labs will be made available on-site at the face to face summer school locations for student access to technology if needed.

Grades 6-8 Students who either end the school year with an Incomplete, or are recommended for retention will be invited to participate in the Henry County Schools 3 week, face to face summer learning program in July.

Virtual Unit Recovery Virtual modules will be available for specific units of instruction to complete unit recovery from Quarter 4, as needed for students to complete credits. This will be available to students who earned an Incomplete because they were unable to complete assignments during remote learning. Technology learning labs will be made available on-site at the face to face summer school locations for student access to technology if needed.

Grades 9-12 Face-to-Face Unit Recovery Students who end the school year with an Incomplete will be invited to participate in one or more weeks of the Henry County Schools 4-week, face-to-face summer learning program in late June-July.

• Monday - Thursday for students identified as needing unit/grade recovery in the last term (Quarter 4), 8:00am-2:30pm • June 29 - July 23 • Transportation will be offered • Breakfast and lunch will be offered through Summer Meals program

Unit Recovery from Quarter 4 will be provided in the following content areas. A student will be able to recover units for one course area in a given week.

• Week One: Social Studies/Health & PE • Week Two: ELA/CTAE (selected broad offerings based on school data and student need) • Week Three: Math/Fine Arts • Week Four: Science/World Languages

Virtual Unit Recovery Virtual modules will be available for specific units of instruction to complete unit recovery from Quarter 4, as needed for students to complete credits. This will be available to students who earned an Incomplete because they were unable to complete assignments during remote learning. Technology learning labs will be made available on-site at the face to face summer school locations for student access to technology if needed. Impact Summer School Available for any student in need of full course recovery or initial credit.

Sect. 3 - School Year Learning Recovery Opportunities Grades K-5 Classroom Instruction for All Students For the first two weeks of the school year (Aug 3-14) teachers will provide a review of Essential Quarter 4 standards and skills from the previous grade focused on ELA and Math. Teacher will use existing assessments (F&P, MAP, District Formatives, etc.) to determine student-specific gaps in standards mastery and skills development. Unit Planning Guides will be revised to include a “Pre-Requisite Skills/Standards” section calling out those building-block standards and skills that will need to be intentionally planned for to address potential gaps specific to Quarter 4 of the previous year. Progressions will be adjusted to allocate additional time, as needed, for the prerequisite skills/standards, as well as to pace the grade-level content starting August 17th. Additional Support Time for Students with Remaining Learning Gaps from Quarter 4 Schools will provide additional support to students who were either, unable to attend face-to-face summer school, or are in need of additional learning recovery. This additional support will be provided through:

Extended school day • After School student support 2:30-4:30 • Utilization of EIP teachers placed on a flexible 8:30-4:30 schedule • Individual learning plans for students based on identified learning recovery needs from Quarter 4

Instructional Focus (IF) Students in need of learning recovery will be intentionally grouped into IF sections for support in the applicable content area (Math, ELA, Science or Social Studies). Unit recovery modules will be utilized to direct the learning on appropriate standards from Quarter 4. Instructional Focus (IF) support time is in addition to “Connections” classes, not in lieu of “Connections.”

Grades 9-12 Classroom Instruction Courses dependent on building block standards from the previous year’s content (i.e. some Math, CTAE, World Language and ELA etc.) will be addressed as follows. All other High School courses will remain as-is. Teachers will use existing assessments (MAP, District Formatives etc. as applicable) to identify student-specific gaps in standards mastery and skills development. Unit Planning Guides for each HS course will be revised to include a “Pre-Requisite Skills/Standards” section calling out those building-block standards and skills that will need to be intentionally planned for to address potential gaps specific to Quarter 4 of the previous course. Additional attention will be given to 9th grade courses to ensure understanding of 8th grade standards that spiral and provide a foundation for learning, particularly in Algebra I and 9th Grade Literature.

Progressions will be adjusted to allocate additional time, as needed, for the prerequisite skills/standards, as well as to pace the grade-level content starting August 17th. Students who received an Incomplete will be expected to recover units during summer (face to face or virtual), or during one of the times outlined below. All unit recovery is from Quarter 4 of the 2019-20 school year. Additional Support Time for Students Schools will provide additional support to students who were either, unable to attend face to face summer school, or are in need of additional learning recovery. This additional support will be provided through:

Sect. 4 – END OF YEAR ACTIVITIES

Senior Week & Graduation Ceremony • Henry County Schools has designated June 15-26 as Senior Weeks for all high schools. • During this time, schools will schedule and conduct recognition activities such as athletic/fine arts/club awards programs, etc. • Schools will conduct senior celebrations during this timeframe such as senior picnics/cookouts, yearbook signing, etc. • Baccalaureate may be scheduled during this time if planned and hosted at an offsite location. • Graduation ceremonies will be conducted during the week of June 22. District officials will determine specific date and time for each school

shortly. With all activities, including graduation, we will monitor CDC guidelines as it relates to large gatherings at that time and build parameters in compliance.

• Summer graduates will have their graduation ceremony on July 24 as previously scheduled. This ceremony will also be open to May graduates for those who were unable to attend in June.

Grades 9-12 Activities • Prom will be rescheduled to the weeks of June 15-26. District officials, in consultation with schools, will determine venue, date, and time and

share those details shortly.

• Other end of year school activities for 9-11 grade students that are specific to each school will be scheduled for dates in late July and the first week of August. This includes yearbooks, awards, and other year-ending/closing celebrations.

• Unfortunately, all field trips will be cancelled for the remainder of the year. Refunds will be furnished to students and families as applicable.

Grades K-8 Activities • End of year school activities for K-8 students that are specific to each school will be scheduled for dates in late July and the first week of August.

This includes yearbooks, awards, and other year-ending/closing celebrations. • Activities and traditions for transition years, particularly Kindergarten to 1st grade, 5th grade to 6th grade, and 8th grade to 9th grade will be

redesigned and rescheduled specific to each school for the last week of July and the first week of August. • Orientations for new Kindergarten students in elementary school, new 6th grade students in middle school, and new 9th grade students in high

school will be rescheduled by each school for the last week of July.

How will I return books, uniforms, and needed items? How will I retrieve my belongings, medicines, and needed items? How will I pay my debts and get reimbursements?

You may also check your school’s website for information related to rescheduled school activities and appointment hours. If you are not receiving information and updates shared via Infinite Campus, please send your current phone number and email address to your principal via email.

When will the last day of school be for students in good academic standing?

• For students in good academic standing the final day of the school year will be: • Seniors: May 8, 2020 • K-11: May 15, 2020

FAQs - School Items and Activities (cont.)

Will my student graduate if he/she has met state and district requirements for graduation?

• Yes. This will be recognized on their transcript at the end of the scheduled school year (after May 22, 2020).

What about the seniors who paid for their senior dues and prom? • Seniors will receive a full refund for senior dues if they do not participate in the rescheduled graduation. They will also receive a full

refund for prom if they do not participate in the rescheduled prom. The rescheduled prom will be held at an alternate location.

Will field trips be cancelled?

• Yes. All field trips scheduled for the 2019-2020 school year have been cancelled. Details and guidelines for reimbursements are under development and will be communicated as soon as possible.

If I owe money how do I pay this?

• Schools will conduct office hours in May / June for the purposes of fee collection and reimbursements; counseling/scheduling; return of textbooks, equipment and uniforms; teacher room prep; medicine retrieval; locker clean out, etc.

Will I be reimbursed for events and items that did not happen? How do I get this?

• Yes. Details and guidelines for reimbursements are under development and will be communicated as soon as possible.

What should I do if I need a transcript or letter of recommendation?

• Students should contact their school counselor via email to request either an official or unofficial transcript. Students should contact their counselor and/or teachers to request a letter of recommendation.

FAQs - 2019-2020 School Year

Should we still be working online even though the Governor canceled school for the remainder of the school year? • We are still continuing Remote Learning for the remainder of the scheduled school year. We are not using our physical school

facilities, but we are focused on creating the best educational experience for our students under the guidelines of the mandated shelter-in-place orders. Student work that is submitted will be graded.

• Students who are able to continue learning through Remote Learning are expected to continue attending, participating, and completing assignments based on their individual teacher and school schedule.

Am I allowed to go to the school when I would like?

• No. Your school will provide designated times for potential drop offs and designated school activities.

Will there be summer learning activities?

• Summer learning activities are in the planning stages. There will be more information forthcoming.

What if I am new to Henry County and have planned to enroll my child into school during this closure?

• Henry County Schools will be enrolling students remotely. Please refer to Henry County Schools website for more information or contact Leslie Cheatwood at [email protected].

FAQs - 2020-2021 School Year

How will we register for Pre-K/Kindergarten for the 2020-2021 School Year?

• Parents will be given an opportunity to register for Pre-K/Kindergarten. We are exploring a variety of options to meet this need. Further details will be communicated on the district website.

Will affidavit deadlines be extended?

• All families who have a current affidavit for the 2019-20 school year and who will reside at the same address will not need to renew their affidavit for the 2020-21 school year. Families who are new to the district, or who have moved and still require an affidavit, will have the opportunity to complete these prior to schools reopening in August 2020.

FAQs - Student Services

Will schools continue to hold IEP meetings?

• Yes, IEP teams should proceed with IEP meetings, including meetings to discuss transition (ex. 5th grade to 6th grade, 8th grade to 9th grade, etc.) during Remote Learning days. Teams can hold a phone and/or video conferences to complete required meetings. All required team members have to participate, and the parent must agree to have a virtual/teleconference meeting and be able to participate. If a parent does not agree or does not have access to participate, the meeting will need to be rescheduled for when school reopens.

How will my child's IEP services be made-up for these remote learning days?

• Remote Learning can serve as a model to provide a free appropriate public education (FAPE). The IEP team can consider any additional supports your child may need once school reopens.

My child was in the process of having a hearing and vision screening done as part of the yearly re-evaluation. When/how will this be completed?

• If an evaluation requires a face-to-face assessment or observation, the evaluation will be conducted once school reopens.

If I was scheduled for an evaluation, when will my child's evaluation be completed?

• If an evaluation requires a face-to-face assessment or observation, the evaluation will need to be conducted once school reopens.

My child has a new medical diagnosis. How to I tell my school now?

• Email your child's teacher or email the school administrator.

FAQs - Instructional Technology

What if my student has a technology issue with his/her assigned Chromebook?

• Your student should report any technology issues to his/her teacher. The teacher will then report these issues to the appropriate contact.

Will the district forgive fees owed for broken beyond repair and/or lost devices, chargers?

• Although most accidental Chromebook damage is covered through the Always Learning program, the district will cover all non-warranty damage. Until further notice, the district is suspending invoices for damaged devices and adapter replacements.

Will 3rd through 11th graders get to keep their devices over the summer?

• To promote continued learning over the summer, continue providing time to review 4th Quarter content, and help students with retaining skills learned throughout the school year, HCS students will keep their assigned Chromebooks over the break.

How and when will seniors and/or withdrawing students return their Chromebooks?

• Further guidelines will be given for this process. Pending the lifting of the Shelter In Place Ordinance, all Henry County Schools will designate appointment hours in May for students, parents, and staff for the purposes of retrieving personal items as well as returning textbooks, graphing calculators, and Chromebooks for 5th, 8th, and 12th grade students, inventorying of equipment and uniforms; fee collection, refunds, and reimbursements; counseling and course scheduling; medicine retrieval; locker clean out; drop off completed work, etc. The district will communicate all pertinent information as details develop.

Will K-2 be issued their iPads to do their work?

• Henry County Schools is not able to reconfigure K-2 student devices in order to make them usable off school campuses. Therefore K-2 devices will not be distributed during the remainder of the school closure. It is ok if your K-2 child is not able to access the digital resources being shared by his or her teacher during this time. We encourage daily reading at home as a great way to stay active academically. Additionally, we are preparing for focused instruction when we return to normal school operations that will support your child’s preparation for the next grade.

Can my child's camera feature be activated?

• We anticipate enhancements in the Google environment to enable greater classroom control over student cameras. When those enhancements are available, district leadership will consider enabling student cameras.

When/how will new 3rd - 12th students receive a Chromebook?

• Based upon availability, new students in grades 3-12 may be shipped a device. In order to be considered for a device, the parent/guardian must complete the request form. Information on obtaining request forms will be forthcoming.

FAQs - School Lunch Availability

Will Curbside, Pick-up school breakfast and lunch continue to be served over Spring Break?

• The district will continue with six sites for daily curbside meal pick-up from 11am – 1pm at Hampton Middle, Locust Grove Elementary, McDonough Middle, Oakland Elementary, Stockbridge Middle, and Wesley Lakes Elementary. Thanks to our community partnerships with Operation Lunchbox and the Chris Tucker Foundation lunch will also be served during Spring Break.

Will Curbside, Pick-up school breakfast and lunch continue after Spring Break? How will it be modified?

• The district will modify service to Monday and Wednesday and Friday only at the same six sites for curbside meal pick-up from 11am – 1pm at Hampton Middle, Locust Grove Elementary, McDonough Middle, Oakland Elementary, Stockbridge Middle, and Wesley Lakes Elementary. On Monday and Wednesday each child in the car will be issued 2 breakfasts and 2 lunches. On Friday each child will be issued 1 breakfast and 1 lunch.
