EMPLOYEE SELF SERVICE (ESS) USER GUIDE – DESKTOP USERS
LOGGING ON, ONBOARDING AND
VIEWING YOUR PROFILE
Logging On
Your log on details will be contained in your system launch letter/email.
The first time you
log into self-
service, you will
be asked to
change your
password.
Make sure you
set a password
you will recall,
including
characters,
numbers and
special characters
e.g. @, #, ! etc to
make sure it’s
also secure.
NB: If you forget your password, call the HR Service Delivery team on the number below to reset it.
Onboarding
As part of
your
onboarding
onto the
system,
there is a
‘Checklist’
to complete
that enables
us to ensure
we have up
to date and
accurate
data.
The page below is what you’ll see when you click on the checklist widget (‘widget’ is another name for
‘icon’, ‘tab’ or ‘menu item’).
Go through by clicking on each section in turn and checking/completing the information requested.
When reviewing the ‘Next of Kin Details’ please ensure you update the information and keep it updated at
all times by checking and completing this page.
In the comments field, you can put alternative contact details for your next of kin, as applicable.
As you complete each of the screens, a green ‘completed’ box will appear, and the profile completion
percentage will increase.
We capture diversity information, aka ‘Equal Opportunity Information’, so we can monitor the diversity of
our workforce to continually strive to improve diversity and inclusion. Work your way down the screens and
please don’t forget to ensure we have your current nationality, which is a mandatory field. We need this to
fulfil our reporting obligations.
NB! This screen has a scroll-down bar – please make sure you scroll right down to the bottom and
hit the green ‘save’ button before exiting from this screen as you will lose your inputs or changes.
On the ‘Bank Details’ screen, check your details and amend them here. Any amendments will be applied
immediately.
Upon saving your updated details, you will be asked for your password again. Type in your password and
hit the green ‘confirm’ button for your changes to take effect.
The final two tabs relate to our obligations under the ‘Working Time Directive’. You will need to read the
policy information and confirm that you have read and agree to the policy then press the green ‘Save’
button. You may have done this previously, however, this is to ensure we have up to date information.
Once you have completed this, the final tab will ask whether you wish to opt in or opt out.
Click on the drop-down arrow and then date your response by clicking on the calendar. Then press the
green ‘Save’ button.
Once you have completed this, you have completed the onboarding information and your completion
should read 100% at the top of the page.
Once you’re happy that all the information in the onboarding screens is correct, scroll down the front screen
ensure you’ve checked the box that states ‘I have carefully reviewed and completed all items listed
above to the best of my knowledge’ and press the green ‘Complete Onboarding’ button.
Viewing Your Profile
Once your profile checklist is 100% completed the onboarding screen will disappear and will be replaced by
your employee dashboard when you next log in. If you want to update any of the details on your profile,
you’ll need to do this from your ‘Employee Dashboard’ or by clicking on your name top-right. Here’s
how to access your Profile via your dashboard after you’ve logged in:
At the top of the screen is the main menu bar. Click on the drop-down arrow next to the CoreHR logo. You
will see this widget – this is your route into the employee self-service portal:
When you click on the ‘Employee Dashboard’ widget, your profile page is the first screen you’ll see. If you
are an employee, you’ll see your pay date, any time off that you’ve booked and your key contractual service
details.
If you need to change any of the details you submitted during the onboarding process, click on the blue ‘My
Profile’ button top right or on the drop-down arrow next to your name in the top menu bar. This will take
you to your personal profile screen where you can view and make changes to your personal details that
you previously saw in the onboarding screens when you first logged on.
This is an example of a next of kin screen viewed by clicking the ‘My Profile’ icon/widget. It contains the
same information that you will have seen/completed on the onboarding screens.
There are other parts of the profile page that are available for you to add to, including learning and
development information. It is entirely up to you what you complete here.
The information we need will have be gathered in the Onboarding Screens.
