1. Title of Proposal
1.1. Empanelment of Vendors of UPS Systems.
2. Objective of the Proposal
2.1. Empanelment of Uninterrupted Power Supply (UPS) System Vendors for supply,
installation and maintenance of UPS of specified capacity and installation for the
branches/offices/ATM Sites of Union Bank of India in Guwahati Region covering N-E India.
3. Scope of Work
3.1. Bank will float Limited Tenders among the empanelled vendors for supply, testing,
installation and maintenance of UPS of specified capacity and configuration. Detailed
specification of UPS will be given along with each tender. Selected L1 vendor is required to
supply, test, install and maintain the UPS as per RFP terms & conditions. UPS are to be under
warranty for three years. L1 will be decided on the basis of TCO [Total cost of ownership].
4. Eligibility Criteria

1 Should be in Designing, Manufacturing, Installation and Maintenance Services of UPS systems of various ratings. (submit proof)
2 Should have ISO 9001 Certification (submit certificate)
3 Annual Sales Turnover in UPS business for the last three years should be minimum ` 40 Lakhs for each year(Submit audited balance sheet)
4 The company should be making profit during the last three years. (Submit audited Balance sheet)
5 Should be empanelled with at least two Public Sector Banks for supply of UPS. ( Submit empanelment letter)
6 Should be registered with respective Authorities for Taxes. (Proper document need to submitted)
7 Should have proper Service Support Centre at RO headquarters and branch/ATM locations of the Guwahati region covering N-E India. (Submit Proof- Support Centre address, Telephone nos. & staff strength)
8 There should be no adverse records with other banks or our Bank(any region).
5. Empanelment Procedure
5.1. Vendors satisfying the eligibility criteria will be short listed and will be empanelled with
the Bank after due scrutiny of documents submitted by the bidder.
5.2. Empanelment is only for Guwahati Region covering the states of Arunachal Pradesh,
Assam, Manipur, Meghalaya, Mizoram, Tripura and Nagaland.
5.3. The empanelment will be valid for two years or till completion of the next empanelment
process.
6. Removal of vendors from Empanelled List
6.1. If the service provided by the vendor is found to be unsatisfactory or if at any time it is
found that the information provided by the vendor is false, the Bank reserves the right to
remove such vendors from the empanelled list without giving any notice to the vendor. Bank’s
decision in this regard will be final.

8.1. Application with documents as per the Check List appended is to be addressed and
submitted to

On or before 17.01.2020, 2:00 PM. If any applicant sends the application (filled EOI document)
by POST / COURIER and if the said document reaches after the time specified above, the
applications will not be considered.
8.2. The responses should be submitted in a structured format as per the checklist appended
and all pages are to be numbered serially. All pages are to be signed by person/s on behalf of
the organization duly affixing the company seal and the person so signing should have
necessary authorization / PA to do so. Applications containing false or inadequate information
are liable for rejection. (Copy of Power of Attorney or Authorization Letter from the company
should be furnished along with the Application)
8.3. Any alterations, erasures, overwriting, blanking out or discrepancies in figures etc. may
render the EOI submission as invalid.
8.4. Any non-relevant / unnecessary documents should not be submitted along with the
application.
8.5. All information provided should be specific to the requirements mentioned. Detailed
clarification should be provided later in case of necessity.
8.6. All pages are to be numbered and signed by the authorized signatory.
8.7. Right of acceptance is reserved with UNION BANK OF INDIA.
9. CHECK LIST
The following documents are to be submitted by the applicants
1. Covering Letter -as per Annexure I
2. Applicant's Profile - as per Annexure II.
3. Note briefing the Company's experience / expertise in Supply, Installation, Commissioning
and Maintenance of UPS.
4. List of major clients and the quantum of orders with approximate value executed to various
organizations, including at least two Public Sector Banks – as per Annexure III.
5. Details of the Service Centres as per Annexure IV.
6. Technical specification of the UPS as per Annexure – V.
7. Copy of Audited Financial Statement for Last three years.
8. Copy of latest Tax Clearance Certificate.
9. Copy of ISO 9001 Certificate.
10. The documents in support of Eligibility Criteria, wherever required as mentioned in this
EOI.

If required, all units supplied can be tested for the followings. Vendor has to make necessary
arrangement for the same without any additional cost to Bank.
1. Bidder has to submit complete details of battery backup with AH calculation.
2. VAH rating of batteries for the above capacity can be tested at any time during the warranty
period of 3 year.
3. UPS will be connected to full bulb load and operated with mains disconnected at any time
during the warranty period of 3 years.
4. Duration of backup time of more than 220 minutes for 4 hour case.
5. Output voltage to be within 230 =/- 5% during the above backup time.
We undertake to supply the UPS systems conforming to above specifications.

6. The approved vendor have to supply & install the batteries 40 AH ratting or above for 7.5 & 10
KVA UPS.
