Report on East Midlands Meeting – 17th June 2019

Midland Champs weekend 2020 – EMOA have been invited by EC&C to add an event alongside

the DVO Midland Champs event in February to provide a weekend’s orienteering. NOC have

agreed to add a Middle distance event on the Saturday.

Accounts - Mark Webster had reworked the accounts to better reflect the JIRCS monies and

status. JIRCS shows a total loss of £94.62, which is under the budgeted loss of £200. It was

noted that there will still be £600 outstanding from DVO for the Chatsworth map which will be

paid when the maps are used which is currently planned for CompassSport Cup Final in 2021.

This figure will need to remain in the accounts until then.

The loss for 2018/2019 will be around £800, mainly due to additional costs for the 50th

anniversary which had not been planned in the accounts. It was agreed that as stated in the

minutes of 11th June 2018 “EMOA should maintain a cash reserve of £10,000 in the current and

savings accounts (excluding the Junior Squad Deposit Account), to allow for the support of

major events.” This should continue as the aim of the budget and so Mark was asked to make

sure we maintained event levies and membership at a similar level to this year in the proposed

budget for next year.

BOF Qualifications Database - The BOF Qualifications Database seems to be out of date for

the officials in the region. The database maintains records of all current organisers, planners

and controllers. It was recognised that clubs should review the list of qualifications on the

database for their members (and especially ensure that lapsed members are removed). Clubs

will have to currently mail changes to the BOF offices to allow those changes to be applied to

the database. Coaches are also included in the qualification database but Hilary Palmer believes

they have just been verified so coaches should be up to date.

Need for new Officers – Two of the key posts on the committee will be vacant at the EMOA

AGM. We need a new Financial Secretary and we are still short of a Development Officer.

Please would members consider taking on these roles at the AGM. The posts do not entail large

amounts of work, so please consider volunteering. If you want more details on want the posts

require you to do, just contact one of the current committee.

EMOA AGM – Details of the AGM venue, date and time and in this EMEWS, A number of the

committee will not be able to attend due to being out of the country, so please could members

attend to ensure the AGM is quorate.

Shadowing and the competitiveness of parents – NOC had recently surveyed members and

one comment was that at some events parents were actively discouraged from shadowing their

children on the White / Yellow courses and then competing on their own courses. While for

major events this may be appropriate it was felt that we need to encourage parents and not

look to discourage them at level C and level D events.

However, when Hilary looked at the rules they do include:

9.14 The Organiser may permit the shadowing of one competitor by another person. Certain

competition rules may prohibit shadowing on certain courses. The competition rules explain how

the shadowed competitor’s result is to be recorded.

9.15 If you are the ‘shadower’ then you must have completed your own race before undertaking

any shadowing. There may be other restrictions imposed on the ‘shadower’ by the Organiser.

There is also:

12.1 The spirit of fairness and good fellowship is to be the guiding principle in all aspects of the

sport, including the interpretation of these Rules.

It was agreed by the EMOA Committee that in the ‘spirit of fairness and good fellowship’

organisers should allow shadowing of young children by parents at local and regional events

(including EMOA League events). In order to meet BOF rules it was agreed that EMOA would

apply for a rule waiver to allow shadowing at Level C and D events on White and Yellow courses.

After the meeting Hilary did apply for a rule waiver to EC&C and this was granted as a 12

month waiver from 1st September 2019 for EMOA events. The results of this waiver will then

be reviewed and it may even be that the BOF rule could be changed. The waiver will apply to all

EMOA clubs and all Club Fixtures secretaries will be informed of this change.

Future Possible Events

(i) 2022 - Midland Champs - NOC

Grimsthorpe - LOG have been approached to use the Grimsthorpe event in December as a

Junior Selection Race.

Midland Champs 2020 – DVO have lost permission for Shining Cliff for the Midland Champs in

2020. However, it has been agreed to use Longstone Moor instead. This has necessitated a

change of planner and organiser, though the controller remains the same. The changes were

approved by EMOA.

JK 2024 - Chris Phillips reported that for JK 2024 a number of clubs have been approached

to support the event. LEI will run one of the days. There is likely to be an overall paid co-

ordinator for the JK 2024 as a whole. The event is likely to be in West Midlands area but not

hosted by WMOA as such (though the local clubs will obviously help with permissions).

Sharing Best Practice - NOC’s urban event at Clifton campus had complex looping and before

the event the competitors were presented with an outline course so they understood the

complexity of the loops. The officials had thought that there may be a lot of disqualifications

as there were many controls and multiple loops. However, there were very few, and they believe

it was because people were well briefed in advance.

EMOA AGM – Mike will send out a publication before the AGM to be distributed to members

with last year’s minutes.

Dates and venues for future meetings - All meetings to be held at the Pace Room, St Mary’s

Church, Clifton Village, Nottinghamshire at 7.30 p.m. The next meeting is the EMOA AGM on

Monday September 23rd. The next committee meeting will be on Monday 18th November 2019.

All members are welcome to attend committee meetings if they wish to do so.

Orienteering Foundation Report (Pauline Olivant)

Latest news.

The Orienteering Foundation is supporting a club to make a booking for training as a

Charity to assist with costs.

The Orienteering Foundation has received 2 very generous donations from individuals.

The Orienteering Foundation is waiting to hear the outcome of the money raised through

the JK.

“My Donate” is no longer available, so the Orienteering Foundation will use Charities Aid

Foundation as main option for individual donations.

Producing and Banner and leaflets, look out for it at the JK.

The Orienteering Foundation now have an Ambassadors pack aimed at anyone interested

in being a conduit for information between the Foundation and Associations.

ISF World Schools Orienteering Championships 2019 Otepää, Estonia

28th April – 5th May

I was part of the older girls select team that was made up of 4 other girls from across England.

Knowing all the girls prior to the week helped me settle in quickly and concentrate on our job at

hand.

The next day was our first day running; the ‘training’ event. The aim of this event was to get

used to the terrain of the Estonian forests and the set-up of the whole competition in general.

Our team took it steady and went round together, exploring and adjusting to the very thick

undergrowth we would face for the whole week. We also got to see the stadium for the first

time which we would finish in both days.

First day of competing - the long distance event. After 5.5 kilometres of battling through the

green and marshes I finished 19th! With only a small hiccup at control 2 I smoothly sailed

through the course. By achieving my top 20 goal I was on a high for the rest of the week.

Second day of competing – the middle distance event. With a place of 27th I wasn’t as happy, I

couldn’t let it dampen my mood though as I reminded myself I was one of the youngest in the

age category. With most of my field being 17, 2 years older than me! A minute separated the

girl in 17th and I, that’s a place every 6 seconds. A bit annoying considering I made a minute

error at control 6.

Our ‘rest’ day was a cultural exploration day. After spending 3 hours in the amazing Tartu

AHHAA Science Museum we made our way to Tartu University. Earlier in the week 30 members

of the England team learnt a Morris dance, me included. We performed this as part of the

cultural performances that evening. We had an amazing time just enjoying ourselves. After

dancing we then sat back and enjoyed shows like the haka from New Zealand and a salsa from

Spain. Throughout the week we stayed with the Finnish, Spanish, Austrian, Belgian and French.

This gave us the opportunity to socialise and make friends, exchanging social media to stay in

contact in the future.

Our last event and our last chance to run in the Estonian forests was the friendship relay. We

were placed in randomly selected teams from every country; I was with an older Slovenian girl

and a younger Russian boy. We battled through the strong language barrier to successfully

complete the course and finish holding hands with huge smiles on our faces’. After the race was

over it was chance to swap some of our England kit for other countries. I swapped with a NZ

girl and a Latvian girl, both of which I had made friends with earlier in the week.

I feel very privileged to have been able to represent my country at the highest level and

perform the way I did. I learnt valuable skills I will hopefully be able to use at future

international events while also culturally gaining so much experience. The friends I made

throughout the week are countless, many of which I will see again!

Once again I'd like to thank EMOA for the grant which allowed me to go, I loved every second

of it.

EMJOS Summary Report - June 2019

Past Training

13th & 14th April 2019 - EMJOS joined the Yorkshire and Humberside Junior squad (and other

squads (NE, NW and WM), 75 athletes in total) for a training session based at Malham

(BOC2019 limestone terrain). Three areas of limestone training plus a fast head to head relay

back at the hostel. The training went very well.

Future Training

A training day is to be undertaken at Clifton Campus during the summer.

Selections to Junior Competitions

Harrington Leake was selected to attend Lagganlia this summer.

2 other DVO juniors have already reached championship standard this year.

Ben Squire and Rachel Duckworth have been selected for the Talent Training Squad.

The squad are preparing for JIRCS this year in Sheffield. One problem is that this is fresher’s

week for universities so any 18 year olds may not be able to attend.

The squad are looking for their next intake in September. Please contact Ant or Ann-Marie

Duckworth if have any potential new members for the squad.

DVO 50th Anniversary Event

On 10th May DVO celebrated their 50th anniversary with a dinner at the Mainsail Restaurant at

Carsington Water. You can see that some of the club do scrub up well when they are not at an

event.

The meal was followed on 15th June with their club championships on Carsington Pastures. The

event was set up to use the type of facilities that may have been around 50 years ago, so no

electronic punching, split times, etc.

So when you got to the event the first thing you were presented with was a control card

First thing to remember was the old control card, which you needed to punch with a pin punch

to prove you had been to the correct site. The control cards were card, and so having filled in

your name on the card the next thing you did was to take the control descriptions and write

them in to the boxes on your control card, so you didn’t have to look at them as you went round

a course, but had your details on your control card. Having completed this you then needed to

transpaseal your card (to make it waterproof). It is amazing how many orienteers still have rolls

of transpaseal in their drawers, even though we never have to use control cards normally!

Many competitors took the opportunity to wear their old orienteering suits

Then we get to the map. You didn’t get overprinted maps on waterproof material. The map was a

blank map and you had to make sure it was kept dry in a large polythene bag. Another thing you

used to keep in your drawer at home was a large number of different size polythene bags you

could use for events. There were events when we had wet weather where I found that water

got in to the bag and you ended up trying to navigate on a mush of paper, and often the ink

would run, and the map became almost unreadable.

The map though had to be marked up after you started and DVO kept that tradition for the

event. Time taken to draw your map

was part of the time for your

course so you became skilled at

transcribing the master map on to

your map as quickly as possible. My

map from Carsington is shown here.

I even started by drawing the start

and finish in the wrong place! Note:

I also transpasealed my

descriptions to the map.

I met at least three people as I

went round who had marked their

controls in the wrong place or who

had completely missed marking a

control on their map. It seems we

have lost the skills of marking our

courses on the map.

The DVO event did have one luxury

that we never had in the past at

events. The master maps were

located inside a tent, and even on

tables (see photo over the page). In

the past they were always just on

the ground and in the event of bad

weather you might have a large

plastic sheet covering them to make

sure that when you marked up your

map it stayed relatively dry.

Once stared you did have to make sure that the pin punches did actually work. The Carsington

event used the old aluminium stakes with two pin punches on. One of the things that has become

much easier for planners is the new stakes are much lighter to carry round when getting them

out before the event.

Finishing was also a bit different. You couldn’t just punch the finish box. You had to be timed

over the finish line. Someone had to make sure to have recorded your time against a number on

a sheet. You would then be handed a cloak room ticket. You would then remove your control card

and ensure that the cloakroom ticket was stapled to your control card which then disappeared

in to the finish tent.

Results did not normally appear for a few weeks. You always had to leave a stamped addressed

envelope in order to get them sometime in the following week(s).

One of the fun things about this was that the control cards had to be checked after the event,

and also calculate the time for the person. Most clubs had a night, often the night of the event,

when they got a lot of the members together to go through all the control cards and check the

pin punching was correct and calculate the times on the cards. This was often a good social

event.

Then it was time to get the cards in order and type the results up, then off to a local school

(often) to get the results printed and then stuff those results in to the stamped addressed

envelopes the competitors had left at the event. So you often didn’t know who had won the

event for a few weeks afterwards. Modern electronics has some huge advantages in terms of

getting results out, seeing your split times, and even uploading your GPS route on to

RouteGadget so you can see where you really went.
