1.2 Older Versions

Older Versions· EFS is now the flag ship product of Document Imaging Systems, Inc. Our previous products were

called Document Imaging Systems which while accurately descriptive, was sometimes difficult forsome to comprehend. We decided that Electronic Filing System was a better descriptive title andhere we are.

· We are the same company and support staff as before. EFS is the next evolution and is a naturalupgrade from the DIS-Imaging line of products. Everything is still based on inserting (stamping)searchable data into the PDFs documents. These Stamped or Smart Tagged PDFs can be indexedand searched for by just about any indexer on the market.

· Our previous products include:

· DIS-Imaging

· DISPro

· eMR-Imaging

· DIS

1.3 Terminology

EFS TerminologyThe EFS program consists of FOUR major components

· Licensing Server - The Licensing Server controls the licenses and is typically run on the samemachine as the Index Manager. If the Licensing Service is not running nothing will work. All of theIndex Services check into the Licensing Server so it aware of them and what indexes they have. The Desktops check into the Licensing Service and get the list of Index Services and Indexes. Youare typically licensed for one (01) Licensing Server.

· Index Manager - The Index Manager is the "Server" piece in that it manages the Indexes, Profiles, and Lists. These are typically administrative functions and once setup and tested, seldom change. The Index Manager allows you create Index Services which must check and register with theLicensing Service. Each Index Service has its own set of Indexes, Profiles, and Lists. You aretypically licensed for one (01) Index Manager.

· Desktop Labeler - The Desktop Labeler is installed typically at workstations and allows the user tocreate, label, stamp (save) PDFs into the EFS system. The Desktop Labeler also allows the user tosearch and view PDFs from the EFS. Desktops must check in with the Licensing Service to get alist of available Index Services. You are typically licensed for 1, 5, or x number of Desktop Labelers. This is a server based, concurrent licensing scheme.

· Desktop Viewer - The Desktop Viewer is installed typically at workstations and allows the user theSearch and View PDFs from the EFS. Desktops must check in with the Licensing Service to get alist of available Index Services. You are typically licensed for unlimited Desktop Viewers.

· Other Terms

· Index Services - You can create many Index Services on the same Server Machine. Each IndexServices has its own set of Indexes, Profiles, and Lists.

· Indexes - An Index is created to search a set of folders and PDFs. The Accounting Index wouldtypically search only folders with accounting type PDFs in them. A HR Index would typically searchonly folders with HR type PDFs in them.

· Profiles - Profiles are the true glue of the EFS system and everything revolves around them. AnAccounting Profile would dictate what information is to be applied to the PDF so that it can besearched for and found at a later time. Each item of information goes into Label Field such as Date,Account Number, Client Name, Document Type, etc. The Profile also dictates where the PDF isfiled within a customizable folder structure, and the construct of the PDFs file name.

· Lists - Lists are lists of associated data that is used to populate pull down menus for the ProfileFields to facilitate faster labeling and reduce keyboard errors. The Accounting Profile has a LabelField for Client Name. The Client_Name_List would contain a list of Client Names that can berecalled with a couple of mouse clicks or keyboard stokes and fills in the field data for you.

· Labeling - This is the process by which data is filled out into the Label Fields for a raw PDF.Example, you have scanned in an Accounting document, you choose the Accounting Profile andfill out the Accounting Label Fields as they pertain to this document. You fill in data such as date, document type, customer name, customer number, invoice number, and comments. This is theprocess called "labeling". Once the Label Data has been filled in (applied), the raw PDF is ready tobe Stamped and placed into the EFS.

· Stamping - Stamping is the process by which a raw PDF has the data contained in Label Fieldsinserted into it and it is renamed and saved into the EFS. It is at this point that the raw PDFbecomes a Smart Tagged PDF. Before the raw PDF is Labeled and Stamped, it is just raw material. Once it is Labeled and Stamped, it become a finished product, a Smart Tagged PDF.

· Raw PDF - A pdf created or opened from outside of the EFS. A PDF just scanned or opened fromsomewhere on your computer. A PDF that you want to Label, Stamp, and place into the EFS.

· Smart Tagged PDF - A PDF that has been Labeled, Stamped, and placed into the EFS. The LabelData has been inserted into the PDF at several places included its meta-data.

· Suspense Functionality - Suspense Functionality is active within the Hold Files Tab. When aPDF is opened and subsequently labeled and stamped, the original PDF is automatically removed,

1.4 Windows VISTA
