I nt roduct ion
We are pleased to announce that Edexcel has been accredited to offer onscreen on-
dem and test ing for Level 1 and 2 Funct ional Skills qualificat ions in English and
m athem at ics. Learners will be able to take onscreen on-dem and tests in Funct ional
Skills English (Reading and Writ ing) and m athem at ics from 4 th April 2 0 1 1 .
This guide has been produced to help you with all adm inist rat ive act ivity you are
likely to encounter when using the Funct ional Skills onscreen tests for your learners.
Our offer to you – Onscreen On-dem and English and
Maths Levels 1 and 2
The onscreen test m ay be taken at any point in the year by arrangem ent with
Edexcel. Registered learners can be booked onto the onscreen test any t im e up unt il
two hours beforehand. There is no regist rat ion fee; cent res are only charged for
learners that com plete the test .
Cent res will need an internet connect ion to download the software needed to unlock
tests and upload results. The software can be installed onto any m achine. I nstallat ion
of the software required for the test is free. An internet connect ion is not required
during test ing, thus increasing test securit y.
Test results will be available via Edexcel Online within four weeks of Edexcel receiving
the test file. Learners can be entered to re-sit on the sam e day the init ial results are
received, ‘‘after that ’’ – it is left open to cent res want ing to book a resit pr ior to
results otherwise. The tests can be taken in a non- t radit ional exam environm ent ,
m aking the tests m ore engaging for learners.

Level 1 and 2 Funct ional Skills
Subj ect details
The qualificat ions are graded ‘Pass’ or ‘Fail’. However, only ‘Pass’ grades will appear
on cert ificates.
Mathem at ics is a one test qualificat ion. Once a pass is achieved, learners are
autom at ically cert ificated.
English consists of three separate units; Speaking, Listening and Com m unicat ion,
Reading and Writ ing. Once all three units have been successfully com pleted a pass
will be issued and a cert ificate generated.

Speaking, Listening and Com m unicat ion claim s can be found on the relevant pages in
this guide.
Transfer of credit is possible for English, unt il August 2011 only. During this period,
units from the pilot qualificat ions m ay be used for awards in the new specificat ions.
There is no t ransfer of credit possible from the pilot to the new specificat ion for
Mathem at ics.

I f your cent re does not current ly offer Edexcel Onscreen tests ( for any qualificat ion) a
Technical Requirem ents Form will need to be com pleted before you can part icipate in
the online assessm ent m odel. This form can be found at www.edexcel.com / onscreen-
new.
Alternat ively, you can contact us on 0844 576 0024 where you will be able to speak
to one of our Onscreen Technical Advisors. I f you require technical support our
Onscreen Technical Advisors are available from 08: 00 to 18: 00 Monday to Friday
(excluding bank holidays) .

Enterprise SiteManager
The Enterprise SiteManager is an
applicat ion which is downloaded from
www.catglobal.com / Edexcel. This can be
installed onto any m achine. The software
is used to unlock tests and upload results.
Adm inist rator
The Adm inist rator software is also downloaded and
installed by logging onto www.catglobal.com / edexcel.
This is the applicat ion used by learners to sit
exam inat ions, and is installed over your Local Area
Network (LAN) using files created autom at ically during
the Enterprise SiteManager installat ion.

Register ing Learners
To register learners you will need to login into Edexcel Online. I f you do not have
login details please contact the Edexcel Online team on 0844 576 0024.
Select the FS/ Diplom a tab at the top of the screen.

To register your learners for either the Funct ional Skills English or Funct ional Skills
Mathem at ics test , select Register candidate
You will then be required to enter the enrolm ent date for your learner. Once entered
you should confirm that this inform at ion is correct by t icking the box and select ing
Next .
N.B. The SRF opt ion should be set to ‘No’

After select ing Next , you should have a drop down list of courses to register your
learner for.
Now you have chosen your desired program m e, the opt ion whether to register
individual or bulk learners should be available.

To register learners individually you will be expected to com plete all m andatory fields
(excluding ULN) as shown below.
On com plet ing a learner’s details sim ply select Add which will provide you with a
sum m ary of details just subm it ted. At this stage, we ask that you review your
learner ’s details. I f your subm it ted details are correct sim ply select the Register
but ton.

On com plet ion of register ing your learners, you will then be able to pr int off a
Confirm at ion report by clicking on the Confirm at ion Report but ton at the bot tom of
the page.
Below is an exam ple of a Funct ional Skills confirm at ion report .
For those wishing to register large groups of learners, the bulk regist rat ion process
enables 2 0 0 learners to be registered at the sam e t im e.
To register learners in bulk you will be required to com plete the regist rat ion
tem plate.

The m andatory fields for the regist rat ion tem plate are shown below:
• First nam e
• Last nam e
• Gender
• Date of Bir th (DOB)
On com plet ion of enter ing your learner’s details onto the tem plate, you will be
required to upload your tem plate and again review your learner’s details.
To confirm your learner details select Register . You will then be able to pr int off a
Confirm at ion Report by clicking on the Confirm at ion Report but ton at the bot tom of
the page.

Test Bookings
After regist rat ion is com plete you can book your learners st raightaway for an
onscreen test . Approval is required before you can m ake an onscreen test booking. I f
your cent re needs to get approval please contact the approvals team by em ailing
To schedule onscreen tests you m ust have installed Prom issor software. I f your
cent re does not have Prom issor installed you will need to com plete the Onscreen
applicat ion form found on www.edexcel.com .
On the Edexcel Online website select the Book a test funct ion on the bot tom left
hand side of the page under FS Onscreen Test ing .
You will need to com plete both the Test setup and Refine learner fields:

A venue code (also referred to as the Prom issor I D) is allocated to each installat ion of
the software in the form of three let ters and three num bers i.e . ABC1 2 3
Note that when select ing the test date and t im e, the earliest a test can be scheduled
is 2 hours in advance.
The Refine learner funct ion allows you to choose which registered learners you wish
to sit the test . All fields can be used to search for learners but they are not
com pulsory. Click next when you are ready to proceed.
The next screen will confirm your test booking details and supply you with a list of
registered learners filtered by the refine learner search. You can use the colum n
headings to search and choose to view a different num ber of learners per page.
You can choose how m any learners you wish to view per page. The list can also be
sorted by heading.
Select the learners who will take the test by com plet ing the t ick box next to the
learner nam e on the left -hand side.
Select the learners you would like to enter for the test and click on Subm it .

The learners have now been booked and will each have a unique Usernam e and
Password.
To print out the usernam es and passwords select either the Attendance Register or
Learner Confirm at ion of Test Entry .

Viewing and Am ending Test Bookings
To am end test bookings you will need to navigate to the View / Am end test
booking funct ion on the left hand side of the screen.
To com plete the Booking search sect ion, you can use as m any or as few of the
search cr iter ia as you like.
When ready click Next to find your test booking.
Once your booking has been located, you will be given a range of opt ions as shown
below:
To edit the test booking, sim ply select the Am end but ton.

You will then be given the opt ion to edit the venue, test t im e and date of the
booking. When you have finalised your am endm ents, click Subm it to update.
To m ake am endm ents to a specific learner, click the num ber under Count of Reg .
This will direct you to the list of the learners entered for your part icular test booking.
At this point it is possible to add to or delete learners from the test booking, or to
edit the test booking details for an individual learner.
You also have the opt ion to edit the venue (Prom issor I D) , test t im e and date and
add or rem ove addit ional t im e for individual learners by clicking Am end . Once you
have m ade your am endm ents click Subm it to update your test booking. The
At tendance Register and Learner Confirm at ion of Test Ent ry docum ents will be
autom at ically updated.

Preparat ion for the Test
Navigate to the Enterprise Site Manager ( ESM) Server Start up on your
workstat ion. Select Start then Brow ser on the dialogue box.
Login to the ESM Server.
Please Note: Usernam es and passwords are case sensit ive.
Once you have logged in, you will be in the I nbox (shown below) where all your
scheduled tests will init ially first appear 3 days before the scheduled date. You m ust
be connected to the internet to download your learner bookings.
I n order to allow learners to begin test ing, you will need to select the test (s) that you
will be adm inister ing. This is done by clicking in the t ick box next to the learner. An
Unlock but ton will appear at the bot tom of the page. This needs to be selected. The
learner status will then change to unlock.
Learners’ tests can be unlocked up to 4 hours before and up to 4 hours after the
scheduled test t im e. This m eans they can log in and take the test within the 8 hour
window.

To prevent technical problem s on the day, we st rongly advise clearing your
workstat ion’s cache before every test as well as taking a diagnost ic test pr ior to the
test date. As an addit ional m easure, you should ask your I T team to m ake sure of
the following on each learner’s workstat ion:
• Each learner PC/ login should have FULL read write perm issions to the
ESM_Test_Cent re folder
• Each learner PC/ login should have FULL read/ write perm issions to the
Adm inist rator folder on the C: \ Program Files\ Prom issor

Laptop Test ing
Cent res can use laptops to adm inister the onscreen tests.
You can do this by either installing both the ESM and Adm inist rator software onto one
Laptop or by using a wireless network if taking m ore then one laptop out at any one
t im e. Please contact our technical support team on 0844 576 0024 for guidance on
correct ly installing the software.
I f you intend to use the laptops to test without a connect ion to the internet ,
addit ional steps m ust be taken to ensure a successful test ing session. The tests m ust
be scheduled in advance whilst a connect ion is available.
Before taking your laptop offline, you will need to m ake som e sim ple checks:
• have learners been scheduled for the correct tests
• are all learner usernam e and password details available
• are all tests showing in your inbox with the correct date and t im e
• m ake sure all test content is downloaded by following the inst ruct ions given
below.
Log into your ESM and select Dow nload Regist rat ions.
To ensure all test content has successfully been downloaded, navigate to the top
r ight -hand corner of your ESM and select Configure .
This will take you to a pop-up screen where you should then select File Transfer . I n
this screenshot click the Dow nload TDF but ton. By clicking this but ton, you will see
the TDF files downloading. As soon as all the TDFs say Available , your tests are
ready to be taken offline.

Taking the Test
The tests adm inist rator m ust unlock the scheduled tests using Enterpr ise
SiteManager.
Once each learner’s test has been unlocked, open up the Adm inist rator software
and provide each learner with their login details.
These login details can be provided using the pr int out from Edexcel Online.
Learners can then log in:
As soon as the learners are logged in they should be able to view their await ing test .
The learner will see welcom e pages stat ing their details, the test details and any
specific inst ruct ions they m ay need to follow.

Just before the learner starts, the system will show the learner a br ief tutor ial of all
the available but tons.

This but ton enables you to exit the test at any t im e. Note that once you click on this
but ton you will not be able to go back into the test , even if you had not finished it .
The ‘Exhibit ’ but ton displays any addit ional informat ion the candidate m ight need e.g. a
form ulae list .
The ‘Next ’ but ton allows you to go to the next quest ion.
The ‘Previous’ but ton allows you to go to the previous quest ion.
This but ton flags the current quest ion for review. The but ton appears light if the
quest ion is flagged. The quest ion can then be reviewed later by select ing it from the
review window.
The ‘Review' but ton displays a window that enables you to review quest ions already
viewed, indicat ing those answered and flagged.
To review all items ensure the ‘view flagged quest ions only’ checkbox is unchecked.
Double-click on the quest ion num ber to go to the quest ion you want to review.
The ‘Help’ but ton shows the help screen that you are current ly using. During the test
the t imer cont inues while you are looking at this screen.
The ‘Tim e’ but ton will show the t im e you have taken so far in the bot tom r ight hand
corner. Clicking this icon displays or hides the t im e.

When the learner is fam iliar with the Adm inist rator software, they can start their
test .
I nvigilators m ust ensure that learners check that their nam e and test details are
correct before com m encing the test .
During the test , learners will receive t im e alerts at 30m ins, 15m ins and 5m ins
rem aining unt il the end of the test . The prom pts will be displayed as follows:
As soon as the learner finishes their test or the allot ted t im e has expired, a sum m ary
of quest ions answered will be displayed. I f the total t im e allot ted for the test has not
elapsed, the learner can review their answers and return to the test if they wish to
change any of their answers.

Now that all answers have been reviewed the learner should select OK and wait
pat ient ly for the invigilator.
Once the test is finished, to close the Adm inist rator program , you will need to
select Cancel on the login screen followed by File then Exit .

After the Test
Once the Test is over, Log back into the ESM Server . All the tests are now in the
Outbox . Select all of them and click Upload Results at the bot tom of the screen.
This ensures that the learners’ tests are sent to Edexcel.
Cent res m ust keep all evidence of at tendance sheets that are produced at the end of
the tests for every learner present . These are to be used as proof of at tendance and
should be stored in cent res for all learners for two m onths after the tests. The
at tendance sheets m ay be requested at any t im e during this period by Edexcel.
N.B. Please upload all tests to us on the day of the exam , once all learners have
finished. I f this is not possible, please upload the tests as soon as possible or contact
us on 0844 576 0024.

Special Requirem ents / Considerat ions
For our new Funct ional Skills onscreen tests, we ask that all Access Arrangem ents
requests (subm it ted at least 5 working days before the day of the test ) and all
special considerat ion requests (subm it ted within 2 working days of uploading your
learner ’s onscreen tests) are sent to our Special Requirem ents team
(special.requirem [email protected])
As part of the onscreen test we now include a tool that allows colour filter ing
(working in a sim ilar way to a coloured overlay) and a low vision aid / m agnifier that
som e candidates m ay find useful.
These enhancem ents do not replace the guidance given on the JCQ website
(ht tp: / / www.jcq.org.uk/ j cq_top_ten/ index.cfm) .
For learners that require Access Arrangem ents ( including addit ional t im e over 25% )
for their Funct ional Skills tests, cent res will need to be approved by Edexcel through
the relevant JCQ applicat ion process.

Fees Explained
Cent res are only charged for learners that com plete the test . Cent res will be charged
for every test file uploaded.
Re-sits for English and Maths are pr iced at the cost of the or iginal test .
Please refer to the Fees booklet located on www.edexcel.com for inform at ion about
individual units.
I nvoices
We will issue invoices weekly. Both paper copy and online invoices are available. To
access invoice details online please follow these inst ruct ions:
• Log into Edexcel Online – www.edexcelonline.com
• Click ‘Hom e’ link at the top of the page
• From the m enu sect ion (at the left hand side of the page) click ‘View I nvoices’
• Click ‘View Sum m ary I nvoices’
• You are then presented with two ways to search for invoices. The first (default )
opt ion allows a search by invoice num ber. Alternat ively, enter two dates to see
all invoices produced during the specified period.
You will be provided with a sum m ary, including the following inform at ion:
I nvoice num ber
• I nvoice descript ion
• Date issued
• Date due
• Am ount
You can also see the contents of the invoice by clicking on the 'View' but ton on the
relevant statem ent . By using this funct ion you can view the subject , or program m e,
and any candidates to which the invoice applies. Any invoices showing a m inus figure
are credit notes.
Please note that this inform at ion is only available to users with the new ‘I nvoice
Enquir ies’ profile act ivated. Your Edexcel Online Adm inist rator can change user
profiles if required.

Subm ission of learner achievem ent for English Speaking,
Listening and Com m unicat ion (ENC01 and ENC02)
Cent res can subm it a claim for the Speaking, Listening and Com m unicat ion unit
provided they have registered on OSCA and been through the reference m aterials.
For further inform at ion regarding register ing on OSCA and the reference m aterials
please see the OSCA Handbook or log in to Edexcel Online.
You can subm it m arks for the speaking, listening and com m unicat ion unit on Edexcel
Online. You will need to click on the FS Onscreen Test ing tab from the m enu on the
left and then select Speaking & Listening Claim from the drop down m enu.
Once you have selected Speaking and Listening Claim from the m enu, you can
either search for a specific candidate or a group of candidates by level.
Once you have selected which candidate(s) to subm it claim s for, a list of candidates
will appear (as shown below) .

Once you have subm it ted all your claim s, a confirm at ion window will appear
confirm ing the num ber of candidates you are m aking claim s for.
After confirm ing your claim s, a sum m ary window will appear.
Once confirm ed, all subm it ted learners will disappear leaving only the outstanding
learners that have not had their speaking, listening and com m unicat ion claim s
entered.

Viewing onscreen result s
To view a learner’s onscreen results you will need to log in to Edexcel Online.
Select the FS/ Diplom a tab at the top of the screen.
There are two ways to view your learner’s onscreen results on Edexcel Online:
• View results by test booking
• View results by candidate
You will then be required to select View results by test booking
I n order to view results, you will be required to com plete the booking search opt ions
(sim ilar to the fields required to schedule an onscreen test ) .

Once you have entered your desired test booking details, you will be able
to view a sum m ary of your test .

By select ing the test booking of your choice, you will have the possibilit y
of creat ing your own pass list , by clicking on the Create Pass List but ton.
Another alternat ive is to use the View results by candidate facilit y which enables
you to search all onscreen results for a specific learner.
Once selected, you have the opt ion to search for a part icular learner or by a group
of learners from a specified regist rat ion year or program m e.
I n the exam ple below, I have chosen to search results for all learners that have
taken the Funct ional Skills Mathem at ics onscreen tests.

By select ing the learner of your choice, you sim ply have to select the
View Results but ton which will then list all onscreen results for that learner.
N.B. in the exam ple below, Jane Cole received a score of 1 7 out of 4 0 for her
Mathem at ics level 1 test .

Results
Com ponent results
Cent res will receive a Not ificat ion Of Perform ance (NOP) detailing individual
com ponent results for m aths and English.
Qualificat ion results

Cla im ing Cert ificates
Once a learner has com pleted and passed all the necessary units to obtain the
funct ional skills qualificat ion, our system will autom at ically issue a cert ificate.
Cert ificates will norm ally arr ive in cent res within 10 working days after results have
been issued on Edexcel Online.
You no longer need to return uncollected cert ificates to Edexcel. You m ay dest roy
them , confident ially, after 12 m onths from date of receipt .
Spiky Profile
A spiky profile is only possible for the English Funct ional Skills qualificat ion and is
sim ply where a learner has been entered for different units at different levels… i.e

Mixing Paper and Onscreen test results
I f your cent re has learners that wish to m ix paper and onscreen results you will need
to provide the following inform at ion.
• Learner details ( first nam e, surnam e, gender, date of bir th)
• Onscreen Funct ional Skills regist rat ion num ber
• Learner’s paper based UCI num ber and exam session
Where learners have achieved the Funct ional Skills qualificat ion by com bining units
from the paper based test with units from the Onscreen tests, cert ificates will not be
issued autom at ically.
Unt il August 2011 only, learners m ay also com bine units from the Pilot qualificat ion
(FE101, FE112, FE103, FE201, FE212, FE203) with onscreen units.

Post -Result s Services (Funct ional Skil ls Onscreen Test ing)
Please note that Enquir ies about Results requests can only be subm it ted by
sending an em ail to [email protected] .
The em ail needs to include the following inform at ion:
• Cent re num ber
• Regist rat ion num ber
• Test / unit code
• Date of test
The window for cent res to apply for the Post Results services below opens on the day
a result is issued for a test and closes 10 calendar days after the result was issued.
Cent res are advised to subm it applicat ions at the earliest opportunity, as applicat ions
cannot be m ade after the window has closed.
All Post Results applicat ions received outside this window will not be accepted.
Below is a list of Post Results services available for Onscreen Funct ional Skills.
EAR Service 1 : cler ical re- check
This service const itutes a re-check of all cler ical procedures which lead to the issue of
a result . This service m ight be considered when anom alous results have been issued
for one candidate, com pared to the rest of the cohort .
This service includes the following checks:
all parts of the scr ipt have been m arked
the totalling of m arks
the recording of m arks
the applicat ion of any adjustm ents
the applicat ion of grade thresholds.
We aim to com plete the enquiry within 20 days of acknowledging the request .
The fee for this service is £10.30.
EAR Service 2 : Post - results review of m arking
This service will include:
the cler ical re-check (EAR Service 1)
the review of m arking of units/ com ponents by a senior exam iner
Please note that Service 2 is available to individual candidates
Results for each candidate will be reported separately.
We aim to com plete the enquiry within 30 days of acknowledging the request . The
fee for this service is £23.20.
