OVERVIEW – UNIVERSITI KEBANGSAAN MALAYSIA AT GLANCE

The idea for an institution of higher learning for the Malays was first mooted at the 1903 Rulers’

Conference, or Durbar. The Malay intellectual Za’ba, wrote about such a need in the

newsletter Lembaga Melayu in 1917. A movement, and subsequent debates, among Malay

intellectuals, for the setting up a university using the Malay language as the medium of

instruction in the institution of higher learning was formed in 1923 when another Malay thinker

Abdul Kadir Adabi, submitted a memorandum on the matter to the HRH the Sultan of Kelantan.

Howeverthe effort came to nothing due to many obstacles and resistance from the colonial

authorities.

Nevertheless from 1957 until 1967, a resurgence of nationalism revived the idea, and in 1968

Malay scholars formed a steering committee to bring the vision of a national university to reality.

A slew of meetings on cultutal and political exchanges eventually secured an agreement from

the government of the day. The efforts to realise a Malay language-based institution in all

subjects bore fruit and resulted in The National University Of Malaysia (UKM), in May 18 1970,

which opened it’s doors in Lembah Pantai Kuala Lumpur. The first batch of 190 undergraduates

and 1 post-graduates registered at 3 faculties; Science, Arts and Islamic Studies.

In 1974, UKM set up a campus in Kebun Kawang, Papar. Later the place was renamed

Limauan by the then Sabah Chief Minister Tun Datu Mustapha Datu Harun. The campus

housed the Science and Natuiral Resources faculty, which was moved to Bukit Padang, Kota

Kinabalu in 1980. It later relocated to Menggatal, Tuaran in 1990 along with the faculty of

Developmental Science which originally was based in the main campus of Bangi. With the

formation of of University Malaysia Sabah in 1994, UKM’s Sabah campus was officially closed

in 1996 and the faculties permanently located back tio the main campus in Bangi, Selangor.

UKM has since seen tremendous growth in being able to provide an increasing number of

places of learning for the people as well undertaking research in various disciplines and fields of

study. It now has 13 faculties, a Graduate School of Business (UKM-GSB), as well as 16

research institutes of excellence in education.

UKM has also set up UKM Holdings Sdn. Bhd, operating as a commercial entity to benefit from

all the expertise it has while also generating income for the University.

The university’s main campus in Bangi, Selangor Darul Ehsan spans an area of 1,096.29

hectares approximately 35 kilometres from Kuala Lumpur. The campus is situated in a valley

surrounded by hills and greenery, providing a serene and conducive environment for learning

and knowledge exploration. The faculties and institutes housed in the main campus are the

Faculty of Economics and Management, Faculty of Engineering and Built Environment, Faculty

of Islamic Studies, Faculty of Science and Technology, Faculty of Social Sciences and

Humanities, Faculty of Law, Faculty of Education, Faculty of Information Science and

Technology, Graduate School of Business (UKM-GSB), Institute of Malay World and Civilisation

(ATMA), Institute of Environment and Development (LESTARI), Institute of Malaysian and

International Studies (IKMAS) Institute of Microengineering and Nanoelectronics (IMEN),

Institute of System Biology (INBIOSIS), Institute of Solar Energy Research (SERI), Fuel Cell

Institute (SEL FUEL), Institute of Islam Hadhari (HADHARI), Institute of Ethnic Studies (KITA),

UKM Medical Molecular Biology (UMBI), Institute of Climate Change Studies (IKP), Institute of

Visual Informatics (IVI) and other centres of service.

UKM was appointed as one of the four research universities of Malaysia in 2006 based on it’s

excellent record in research for 40 years. That recognition has gained further ground when the

Malaysia Genome Institute (MGI) and the International Institute of Global Health, United Nations

University were set up at the university. Its areas of research were further consolidated and

enhanced with the identification of eight niche areas; Challenges to Nation Building, Sustainable

OVERVIEW – UKM-GRADUATE SCHOOL OF BUSINESS

History of UKM-Graduate School of Business UKM-Graduate School of Business upholds its tradition of prioritizing quality and excellence in Business education and research, a legacy it inherited from the Business fraternity in Universiti Kebangsaan Malaysia, Malaysia’s national university. Chronology of Developments Leading to UKM-GSB’s Establishment:

Universiti Kebangsaan Malaysia (UKM) formed the Faculty of Economics and Administration in 1972. At this time, ‘Business Management’ existed as a unit besides ‘Economics’. Courses for the Bachelor of Business (BBA) programme began to be offered.

The Business Management Unit then transformed into a faculty under the dynamic

leadership of its first Dean, Professor Dato’ Dr. Nik Rashid Nik Ismail (May 1979-Sept. 1980, July 1981-May 1982).

The maiden batch of 105 graduates received their degrees in 1978/ 79, becoming

Malaysia’s pioneer BBA graduates from a local public university. Thereafter, this faculty under the name of Faculty of Business Management, made

remarkable progress in successive stages of development, under the able leaderships of Professor Dr. Hamzah Ismail (June 1982 - May 1984), Professor Dr. Ismail Rejab (June 1984 - May 1986), Professor Dr. Hamzah Ismail (June 1986 - June 1987), Professor Dr. Barjoyai Bardai (July 1987 - Sept. 1988), Assoc. Prof. Datuk Dr. Kamaruddin Shariff (Sept. 1988- August 1993), Professor Dr. Aziz Abdul Hamid (Sept. 1993 - August 1995), Assoc. Prof. Dr. Muhammad Muda (Sept. 1995 - June 1998), Professor Dr. Zakaria Ismail (June 1998 - April 1999) and Professor Dr. Takiah Hj. Iskandar (April 1999 - Feb. 2005).

On 1st April 2004, Pusat Pengajian Siswazah Perniagaan (PSP) (The Graduate School of

Business) was created as a School under FEB’s management. PSP at this time acted as the graduate arm of this bigger faculty, with the appointment of Professor Datuk Dr. Noor Azlan Ghazali as its Chair from 1st April 2004, succeeded by Professor Dr. Rahmah Ismail from 15th March 2005. This chair position changed to Professor Dr. Noor Ghani Md. Nor (when Professor Rahmah was appointed Deputy Dean of the new faculty), and later to Professor Dr. Fauzias Mat Nor, from 16th April 2007.

On 1st October 2007, Lembaga Pengurusan (the Board of Management of) UKM approved the establishment of UKM-Graduate School of Business as a separate entity from the Faculty of Economics and Business, with Professor Dr. Fauzias Mat Nor, appointed on 1st January 2008, as its first Dean. This new entity conferred with autonomy status, is officially named UKM-Graduate School of Business (UKM-GSB). Starting 1st December 2011, Professor Dr. Izani Ibrahim was appointed as a new Dean until now.

It is entrusted to manage the D.B.A., M.B.A. and M.Acc. programmes, leaving the Master of Economics and Ph.D. (Economics) programmes to be run under the Faculty of Economics and Business’s School of Economics. UKM-GSB reports to Tabung Amanah (Trustee Committee) that reports directly to the Honourable Vice-Chancellor.

First semester intake (July 2008) of new students managed directly by UKM-GSB. The new Ph.D. (by thesis) programme with specialisations in Accounting, Marketing, Management (Organizational Behaviour/ Human Resource Management, Strategy, Operations) and Finance, began to be offered, along with the new improved DBA (with coursework and dissertation).

PROGRAMME OF STUDY

Master of Business Administration (MBA)

Coursework

Students have to register and pass 48 units/credit hours of coursework including CELP i.e., Corporate Experiential Learning Programme applicable to full time students only. All courses must be completed with a minimum C grade and a CGPA of at least 3.0 (out of 4.0) in every semester. CELP is a form of executive level business attachment for MBA full-time students for 14 weeks The programme presents valuable opportunity for students to gain first-hand company experience, explore potential career interests and establish network which may open doors for future employment.

Specialized Master (MOHRM/ MIBF/ MAFI/MoM)

Coursework and Dissertation (Mix Mode)

Students have to register and pass 45 units/credit hours including core courses, research courses and successfully complete a dissertation. All courses must be completed with a minimum C grade and a CGPA of at least 3.0 (out of 4.0) for in every semester. Students have to register for dissertation in every semester after completing all the required coursework.

Doctor of Business Administration (DBA)

Coursework and Thesis (Mix Mode)

Students need to achieve a minimum grade of B for every course taken (all coursework 38 units) and a cumulative grade point average (CGPA) of at least 3.0 (out of 4.0) to remain in the program. DBA Comprehensive Exam is taken after the student has completed all course requirements in the DBA programme. Essentially, this examination tests whether a student has acquired the minimum level of competency for independent research at the Doctoral level. Specifically, it tests a student's ability to reflect upon, integrate and synthesize knowledge across the various courses taken within each of the 'Major' and 'Minor' fields. The exam comprises two papers, with Paper 1 covering the 'Major' area and Paper 2 covering the 'Minor' area. Upon receipt of official notification, students who have passed both papers of the comprehensive exam may proceed with the thesis proposal defense. The thesis for DBA counts for 31 units.

Doctor of Philosophy (PhD)

Thesis (with coursework as pre-requisite)

Students need to pass all required courses (5 ‘Research Skills’ + 3 courses in the specialization

area chosen from Management, Marketing or Finance) to be eligible to advance to the thesis

research stage. Since courses are pre-requisites to support thesis research, students will get a

'Pass'/'Fail' grade for each course taken. After passing Independent Study Project, students can

proceed with the thesis proposal defense. The thesis for PhD counts for 69 units.

UNIVERSITI KEBANGSAAN MALAYSIA (GRADUATE STUDIES) REGULATIONS

In the exercise of the powers conferred by Section 18 of the Universiti Kebangsaan Malaysia (Graduate Studies) Regulations, the Senate of Universiti Kebangsaan Malaysia enacts the following Regulations: 1. Short Title and Commencement

1.1 These regulations may be cited as the Evaluation Regulations and Other Regulations related to Graduate Studies Programme and shall be enforced on July 2008;

1.2 These Regulations shall apply to all students who are undertaking or about to

undertake a programme which confers the Master degree, Doctor of Business Administration degree or the Doctor of Philosophy degree, commencing from the date of the enforcement of the Regulations.

2. Entry Requirements

2.1 Entry Qualifications

A candidate who applies to enroll in a Graduate programme shall have obtained the following qualifications:

2.1.1 Master of Business Administration Programme

a) Bachelor Degree with a good Cumulative Grade Point Average from Universiti Kebangsaan Malaysia or any institution of higher learning recognized by the Senate with a minimum of two (2) years working experience at post-bachelor degree level; or

b) Bachelor Degree with a very good Cumulative Grade Point Average from Universiti Kebangsaan Malaysia or any institution of higher learning recognized by the Senate and without working experience at post-bachelor degree level; or

c) Bachelor Degree with a very good Cumulative Grade Point Average

from Universiti Kebangsaan Malaysia or any institution of higher learning recognized by the Senate with a minimum of two (2) years working experience at post-bachelor degree level;

d) other qualification equivalent to a Bachelor Degree and other

qualification or experience recognized by the Senate;

2.1.3 Doctor of Business Administration Programme

a) Master Degree from Universiti Kebangsaan Malaysia or any institution of higher learning recognized by the Senate with excellent achievement at Master/Bachelor Degree levels in fields related to the Economics/Business/Commerce Discipline; or

b) other qualification equivalent to the Master Degree and other

qualification or experience recognized by the Senate;

c) foreign applicants whose native language is not English and locals applying for admission who intend to write their thesis/dissertation in English language, should demonstrate good command of English (either TOEFL score of minimum 550 (paper based) / 213 (computer based) / 79 (internet based), or IELTS-band 6.5.

2.1.4 Doctor of Philosophy Programme

a) Master Degree from Universiti Kebangsaan Malaysia or any institution of higher learning recognised by the Senate with excellent achievement at the Master/Bachelor Degree levels in fieldsrelevant to the intended specialized area of the thesis within the Business discipline, and submission of a research proposal; or

b) other qualification equivalent to the Master Degree and other qualification or experience recognized by the Senate;

2.2 Requirement for Malay Language

A foreign candidate shall undertake two Malay Language courses which are equivalent to six units as provided by the University. Exemptions may be given to candidates who have undertaken the equivalent Malay Language courses organized by other bodies recognized by the Senate.

3. Application

3.1 Application Process

3.1.1 Application shall be made in appropriate forms and addressed to the Dean of the Graduate School of Business.

3.1.2 Each application shall be referred to the Graduate Studies Committee for consideration.

3.2 Deferment of Studies

A candidate who has been accepted but has not registered may opt to defer his studies for not less than one semester and not more than two semesters by submitting a formal letter to the Dean of the Graduate School of Business within four weeks from the date of registration. The offer shall be considered as null and void if the candidate fails to submit the deferment letter within the time stipulated.

4. Registration and Fees

4.1 Registration at the Beginning of a Semester

A candidate who has been accepted shall pay the fees and register at the beginning of every semester, for the duration of the studies. A candidate shall not be allowed to register after two weeks from the commencement of the semester. Registration of a candidate who fails to register in any semester without a formal consent in writing for suspension of studies from the Dean of the Graduate School of Business shall be considered null and void.

4.2 Registration for Candidate who has Submitted Thesis or Dissertation

A candidate who has submitted the thesis or dissertation shall proceed with registration as a graduate student until the dissertation or thesis evaluation is completed, without having to pay any charges.

4.3 Registration for Candidate who has not Registered for a Long Period of Time

A returning candidate who has not registered for a long period of time (not exceeding two (2) semesters for a full-time study and not exceeding four (4) semesters for a part-time study) may appeal to resume studies and shall pay an application fee of RM200.00 and late charge fee of RM30.00 for each semester the candidate fails to register. 4.3.1 The duration for which the candidate does not register shall not be taken

into consideration as part of the maximum requirement for a candidate to be qualified for the conferment of a degree.

4.4 Nature of Registration

4.4.1 A candidate shall be given a choice of undertaking the programme, either

on a full-time or part-time basis, calculated from the date of the first registration until the studies is completed.

4.4.2 A part-time candidate who undertakes the studies by only completing a thesis or dissertation shall prepare a schedule (for meetings with the Supervisor or the Graduate Supervisory Committee) of not less than twenty contact hours for every semester.

4.4.3 A candidate who is working shall provide evidence from the employer

stating that permission has been granted to undertake the studies.

4.4.4 In a particular situation, a candidate may apply to the Dean of the Graduate School of Business to change the nature of registration from full-time to part-time basis or vice versa.

4.5 Suspension of Registration

4.5.1 A candidate who has registered may apply to suspend the registration on reasonable grounds. The duration of the suspension shall not be taken into consideration as part of the stipulated duration of studies. A written application to the Dean of the Graduate School of Business shall be submitted within two weeks after the commencement of the semester.

4.5.2 Suspension shall only be allowed for not less than one semester and not

more than two semesters for the duration of the studies.

4.5.3 A candidate, whose suspension of registration is allowed, shall not be considered as a registered student of the University and shall not be eligible to use the facilities provided by the University except to seek for advice to resume the studies.

5. Types of Studies

5.1 A candidate may choose from one of the types of studies below (subject to the types of studies offered):

5.1.1 taught course only; 5.1.2 thesis (with pre-requisite courses);

5.1.3 taught course and dissertation;

5.2 To be qualified for the conferment of a degree, a candidate shall obtain units of

taught courses and/or thesis and/or dissertation, of not less than 30 units for the Master Programme and not less than 60 units for the Doctorate Programme and pass all the stipulated examinations.

6. Duration of Studies

6.1 Master Programme by Taught Course

6.1.1 The duration on a full-time basis is between three to six semesters; 6.1.2 The duration on a part-time basis is between five to eight semesters.

6.2 Master Programme by Taught Course and Dissertation

6.2.1 The duration on a full-time basis is between three to six semesters; 6.2.2 The duration on a part-time basis is between five to eight semesters.

6.3 Doctor of Business Administration Programme

6.3.1 The duration on a full-time basis is between ten to twelve semesters; 6.3.2 The duration on a part-time basis is between twelve to fourteen

semesters.

6.4 Doctor of Philosophy Programme

6.4.1 The duration on a full-time basis is between nine to twelve semesters;

6.4.2 The duration on a part-time basis is between twelve to fourteen semesters.

7. Taught Course

7.1 Type of Taught Course Registration

7.1.1 Compulsory Registration Compulsory registration means the registration of courses required in order to obtain a Degree. Courses that are registered under compulsory registration shall be considered in determining the Grade Point Average for the candidate's studies. Compulsory registration shall be made up of core courses, major courses and elective courses.

7.1.2 Registration Without Grades

If deemed necessary, a candidate shall be required to undertake a prerequisite course without grade, which shall only be graded as a‘Pass’ or a ‘Fail’.This course grade is not considered in determining the Grade Point Average. For courses without grades, the units shall be considered in determining the taught course workload for every semester.

7.1.3 Audit Registration

A candidate may register to enroll in any courses as ‘Audit’. Courses that are enrolled as audit shall not be considered in determining the Grade Point Average and generally shall not be considered as fulfilling the requirement to obtain a Degree unless otherwise provided. A candidate who enrolls in the courses as audit is required to adhere to provisions regulating class attendance, examination and other class regulations. Units for these courses shall not be considered in determining the coursework workload for each semester.

7.2 Workload 7.2.1 Taught Course Workload

For a candidate who undertakes studies other than the type in sub regulation 5.1.2 (thesis with pre-requisite courses), the total number of taught course units allowed to be taken during a particular semester is between nine to eighteen units for a candidate on a full-time basis and between three to nine units for a candidate on a part-time basis. The maximum unit value shall not include units for research. For the final semester, the Dean of the Graduate School of Business may allow exemptions from the minimum and maximum limit stipulated.

7.3 Choice of Courses

A candidate who chooses coursework registration shall make a choice of courses to be taken after discussing and obtaining advice from the Academic Advisor / Supervisor.

7.4 Malay Language Course

A foreign candidate shall be required to register for a Malay Language Course as stipulated by the University.

7.5 Course Registration

Courses taken for any programme of studies shall be registered within two weeks from the commencement of each semester.

7.6 Class Attendance

7.6.1 A candidate shall be required to attend all lectures/tutorials/seminars for taught courses registered. Attendance shall not be less than 70% for a candidate to be eligible to sit for an examination. A candidate who has attended less than 70% shall not be eligible to sit for an examination for that particular course and shall be given an ‘E’ grade.

7.6.2 A candidate who has registered for a course but does not attend classes

and does not apply for discontinuation will be given an E grade for that particular course.

7.6.3 Examination results of a candidate who has attended and sat for the

examination for courses that are not registered shall not be considered. 7.7 Add, Drop and Withdrawal of Courses

7.7.1 A candidate may add courses during the first two weeks of each semester and drop courses no later than the fourth week of the semester.

7.7.2 A candidate shall be allowed to drop a course after the fourth week until no later than the tenth week with the approval of the Dean of the Graduate School of Business. Courses that are dropped shall be given the WD (Withdraw) grade and shall not be taken into account in calculating the Grade Point Average.

7.7.3 In reference to 7.7.2, all outstanding fees associated with courses

withdrawn shall be fully settled.

7.7.4 Any drop or withdrawal of courses shall fulfill the requirements of the minimum and maximum number of units required for each semester.

7.7.5 A candidate that has registered for any course but does not complete and apply for withdrawal shall be given an ‘E’ grade for the course.

7.8 Transfer of Unit

A candidate who has undertaken graduate courses in other universities recognized by the Senate may apply to transfer part of the units that have been obtained for similar and equivalent courses currently undertaken by the candidate. The maximum total number of units that may be transferred is 18 units. The application shall be submitted to the Dean of the Graduate School of Business.

8. Thesis or Dissertation

8.1 A candidate shall not submit a thesis or dissertationwhich has been previously presented to the University or other universities, but any part of the work may be included, provided that the part inserted be cited clearly.

8.2 If agreed by the Supervisor or the Graduate Committee, a candidate shall be

allowed to publish papers on his/her writings while undertaking the programme, subject to the condition that the papers shall contain adequate acknowledgement to the University.

8.3 Thesis for the Doctor of Philosophy degree shall not exceed 100,000 words in

length, while the dissertation for Doctor of Business Administration degree shall not exceed 80,000 words in length. A dissertation for the degree of Master’s Programme with taught course mode shall not exceed 30,000 words in length. The total number of words excludes footnotes, quotation, attachments, formula, tables, illustrations and others.

8.4 Permission to write a thesis exceeding the stipulated total number of words may

be obtained by applying to the Dean of the Graduate School of Business not less than three months before the thesis or dissertation is due for evaluation.

8.5 Thesis or dissertation shall be written in either the Malay or in English language.

The abstract should be written in both Malay and English language. An application to write the thesis or dissertation in English shall be made through the Head of Programme for consideration and approval from the Dean of the Graduate School of Business.

8.6 Regulation for thesis or dissertation writing as contained in The UKM Style

Guide must be adhered. 8.7 A candidate is prohibited from any act of plagiarism, and disciplinary action will

be taken and if necessary result in termination of candidature, conforming to clause 16 (c) of this Regulations.

8.8 A candidate who is submitting a thesis shall:

8.8.1 inform the Dean of the Graduate School of Business in writing three months before submitting the thesis or dissertation for evaluation; and

8.8.2 obtain a written approval from the Supervisor, Main Supervisor and Co-Supervisor or Chair and Graduate Supervisory Committee Members beforehand.

8.9 A candidate shall submit two copies of the thesis or dissertation that have been

approved by the Graduate Examination Committee to the Graduate School of Business at the end of the Programme.

8.10 A thesis or dissertation may be published as soon as the approval is obtained

from the University. 9. Supervising a Graduate Candidate A graduate candidate shall be supervised either by an Academic Advisor or a Supervisor

or a Graduate Supervisory Committee.

9.1 Academic Advisor

9.1.1 A candidate who undertakes taught courses shall be guided by at least one Academic Advisor appointed by the Graduate School of Business. An Academic Advisor shall be appointed from members of the academic staff, who is under the employment of the University.

9.1.2 An academic advisor shall be responsible for advising the candidate on

courses taken and for monitoring the progress of the candidate while undergoing the taught course.

9.2 Supervisor and Graduate Supervisory Committee

9.2.1 A candidate who is conducting a research and preparing a thesis or dissertation shall be guided by a Supervisor, or Main Supervisor and Co-Supervisor, or a Graduate Supervisory Committee, who shall be appointed by the Dean of the Graduate School of Business.

9.2.2 When a Co-Supervisor is appointed, the Main Supervisor shall be given a

greater responsibility. The Co-Supervisor shall assist the Main Supervisor.

9.2.3 A Graduate Committee shall consist of a panel of at least three members

including a Chair. The committee members shall consist the Chair in the duties of research supervision and assessment.

9.3 The Supervisor, Main Supervisor and the Chair of the Graduate Supervisory Committee or Academic Advisor shall be appointed from members of the academic staff, who are under the employment of the University.

9.4 An academic staff who is seconded to other institutions, who has resigned or

retired from the University, or a qualified individual from other institutions, may only be appointed as a Co-Supervisor or a member of the Graduate Committee, except under certain circumstances based on a special agreement.

9.5 If under any circumstances, the Supervisor, the Co-Supervisor or the Academic

Advisor is unable to carry out their duties, the Dean of the Graduate School of Business shall appoint another academic staff to take over for a period of time deemed necessary.

9.6 If necessary, a candidate may apply to change the Supervisor or Co-Supervisor

or Academic Advisor appointed, with his own choice. The application shall be made to the Dean of Graduate School of Business for consideration and approval, not later than three semesters after the appointment has been made.

9.7 Report of Supervisor/Committee Members

The Supervisor, Main Supervisor or the Chair of the Graduate Supervisory Committee shall submit a confidential progress report of the candidate to the Graduate Studies Committee and a copy of the report to the Dean of the Graduate School of Business at least once every semester for the duration of the studies.

10. Examination

10.1 Master's Examination for a candidate undertaking ‘taught course only’ shall consist of:

10.1.1 examination on every taught course undertaken for each semester;

10.2 Master's Examination for a candidate undertaking ‘taught course and

dissertation’shall consist of: 10.2.1 examination on every coursework undertaken for each semester;

10.2.2 a dissertation which shall be examined by an External Examiner and

Internal Examiner if the dissertation unit exceeds 40% of the overall units of the programme. If the dissertation unit is 40% or less than 40%, the dissertation shall only be examined by an Internal Examiner; and

10.2.3 an oral examination for the candidate to defend the dissertation before

the Oral Examination Committee.

10.3 Doctor of Business Administration Examination for a candidate who is undertaking a study programme of “taught course and dissertation” shall consist of: 10.3.1 examination on every taught course required to pass with minimum grade

of B;

10.3.2 comprehensive examination;

10.3.3 assessment and approval of the dissertation research proposal before the student qualifies to advance to dissertation level;

10.3.4 writing and presentation of the dissertation research proposal for approval, not later than 2 semesters from passing the comprehensive examination. A candidate shall be given ‘probationary status’ for the following semester until he/she submits this proposal for assessment. A candidate who fails to submit this proposal during the semester which he/she has been given the probationary status, shall be discontinued from undergoing his/her studies. A candidate shall not be given probationary status in two consecutive semesters;

10.3.5 the dissertation research proposal that has to be presented up to only two

times, within two semesters after passing the comprehensive examination;

10.3.6 the dissertation research proposal that will be examined by an

independent assessor;

10.3.7 presentation of the dissertation research-in-progress at a doctoral colloquium prior to dissertation submission;

10.3.8 a dissertation which shall be examined by an Internal Examiner and an

External Examiner; and

10.3.9 an oral examination for the candidate to defend the dissertation before the Oral Examination Committee.

10.4 Doctor of Philosophy Examination for a candidate who is undertaking a study

programme of “thesis (pre-requisite courses)” shall consist of:

10.4.1 examination on every pre-requisite course required to pass with a grade of P (Pass);

10.4.2 assessment and approval of the thesis research proposal before the student qualifies to advance to thesis level;

10.4.3 writing and presentation of the research thesis proposal for approval, not later than 2 semesters from passing all the pre-requisite courses. A candidate shall be given ‘probationary status’ for the following semester

until he/she submits this proposal for assessment. A candidate who fails to submit this proposal during the semester which he/she has been given the probationary status shall be discontinued from undergoing his/her studies. A candidate shall not be given probationary status in two consecutivesemesters;

10.4.4 the thesisresearch proposal that has to be presented up to only two

times, within two semesters after passing the pre-requisite courses;

10.4.5 the research thesis proposal that will be examined by an independent assessor;

10.4.6 presentation of the thesis research-in progress at a doctoral colloquium

prior to thesis submission;

10.4.7 a thesis that shall be examined by an Internal Examiner and at least one External Examiner; and

10.4.8 an oral examination for the candidate to defend the thesis before the Oral

Examination Committee.

10.5 A Graduate Examination Committee consisting of the Vice Chancellor, Dean of the Graduate School of Business, Head of Programmes and Academic Advisor/Supervisor/Chairperson of the Graduate Supervisory Committee shall be set up to deliberate on the examination results and if satisfied, certification shall be verified to the Senate for the conferment of a degree.

11. Taught Course Evaluation

11.1 Awarding Grade Point

Grade Point for each semester is awarded for taught course and other assessments that have been carried out throughout the semester and for the semester’s final examination.

11.3 Grades given without Grade Point

11.3.1 P/F (Pass/Fail) is a grade given to a candidate who undertakes a course for which the result is not graded but is given a "Pass" or a "Fail" only;

11.3.2 IC (Incomplete) is a grade given to a candidate who has not completed

the requirement of the course due to appropriate reasons. A candidate shall complete the requirement at least within two weeks after the following registration is made in order to obtain the full evaluation and grade.

11.3.3 IP (In Progress) is a grade used for a course or a project that exceeds

one semester to be completed. It shall not be given any point value but the unit shall only be calculated in determining the general unit for each semester and not for the purpose of evaluation requirements for the conferment of a degree. Unit and grade value for the course or project shall only be taken into consideration as means to calculate the total unit for a degree requirement and the average value when the IP symbol is substituted for the grade.

11.3.4 AU (Audit) is a grade given for a candidate who registers, attends the

course and sits for the examination for a particular course but the grade value shall not be awarded and the symbol shall only be recorded if the candidate passes the course.

11.3.5 WD (Withdraw) is a grade given to a candidate who withdraws from a

course with permission from the lecturer and the Dean of Faculty between the fourth to the tenth week of the semester.

11.3.6 PE (Postponement of Examination) is a grade given to a candidate who

has applied to postpone the examination under clause 13.1. A replacement examination shall be held as soon as possible depending on the student's health condition.

11.4 Unit and Grade Point Average Calculation (GPA)

11.4.1 A course which is registered as compulsory as provided in Regulation 7.1.1 shall be accepted for calculation in fulfilling the unit requirements. Courses that are undertaken as audit, without grade, or receiving IC, IP or

WD grade or courses that are dropped, shall not be included in the unit calculation.

11.4.2 Average Grade Point shall be determined using the methods below:

a) Semester Grade Point Average (SGPA)

Total Grade Point (grade point × course units) for all courses divided by total unit for all courses undergone for each semester.

b) Cumulative Grade Point Average (CGPA)

Total Grade Point (grade point × course units) for all courses divided by total unit for all courses undergone until the end of the calculation. The formula to determine the Average Grade Value is as follows:

11.5 Academic Achievement Status and requirements for Continuation

11.5.1 A candidate's academic achievement status shall be determined based on the CGPA for a certain duration of studies and shall be determined based on the table below:

11.5.2 A candidate shall obtain a CGPA of at least 3.0 in every semester. A candidate who obtains a CGPA of less than 3.0 shall be given a probationary status for the following semester to improve his performance

to at least CGPA 3.0 at the end of the semester. A candidate who fails to improve his performance during the semester which he had been given the probationary status shall be discontinued from undergoing his studies. A candidate shall not be given a probationary status two times consecutively throughout the duration of his studies.

11.5.3 A candidate shall be allowed to repeat a course. Courses that are given E

grades may still be considered in determining the SGPA and CGPA until the candidate repeats and passes the course. If a course is repeated, the latter grade shall be taken into account for the purpose of calculating the total overall grade for the programme even though the grade obtained beforehand is lower.

11.6 Comprehensive Examination

11.6.1 Once the candidate has passed the examination as in 10.3.1, it shall be compulsory for the candidate to sit and pass the comprehensive examination, to be qualified to present the research dissertation proposal for approval. A candidate who has not completed the required coursework shall not be allowed to sit for this examination.

11.6.2 A candidate shall only be allowed to sit for this examination twice. For the purpose of the comprehensive examination, the break between semesters shall be considered part of the previous semester.

11.6.3 The Comprehensive Examination Sub-Committee shall be set up on an

ad-hoc basis to deal with matters concerning the examination. The Committee shall consist of not less than three members, including a Chair, who shall be a appointed by the Dean of the Graduate School of Business based on their expertise. The duties of the committee are:

a) preparing the examination questions and examining the answer

scripts; and b) preparing a report for the Dean of the Graduate School of

Business on the candidate’s performance in the examination for presentation to the Graduate Examination Committee.

12. Conferment of a Degree A Master or Doctorate Degree may be awarded to a candidate who has:

12.1 fulfilled the requirements of the Graduate Studies Act; 12.2 fulfilled the requirements of the Graduate Studies Regulations;

12.3 been verified to be conferred the degree by the Graduate Examination

Committee and approved by the Senate; and

12.4 paid all fees and charges as stipulated.

13. Postponement of Examination

13.1 Conditions for Postponement of Examination

13.1.1 A candidate who is ill or unable to attend the examination for any other related reasons may apply to the Dean of the Graduate School of Business to postpone sitting for the examination. The application to postpone the examination for a particular course shall be made within 48 hours after the examination is held.

13.1.2 An application to postpone sitting for an examination for medical reasons

shall include a certificate from the attending doctor who shall be a government doctor, the University medical officer or the University panel doctor. Application based on other reasons may be considered at the discretion of the GSB. A replacement examination may be arranged based on the merit of each case.

14. Appeal Against Examination Results

14.1 Appeal to Reconsider the Examination Results

14.1.1 A written appeal to reconsider any examination results shall be addressed to the Dean of the Graduate School of Business by the candidate within four weeks after the official announcement of the examination results. Any appeal made exceeding the time limit shall not be considered.

14.1.2 Every appeal submitted shall state clearly the course or courses for

reconsideration.

14.1.3 A non-refundable fee of RM50.00 for each course reconsidered shall be enclosed with each appeal.

14.1.4 When an appeal is received, the Dean of the Graduate School of

Business. The Dean of the Graduate School of Business, after discussing with the Head of Programme, shall appoint a panel of examiners to reconsider the examination results.

14.1.5 The panel of examiners shall consist of the Head of Programme, the

examiner for the course and at least one other examiner in the same field.

14.1.6 The verification of the panel of examiners shall be submitted to the Dean of Graduate School of Business for consideration. The Graduate School of Business’s decision regarding the reconsideration of the examination

results shall then be submitted to the Senate for its approval before disclosing it to the candidate, should there be any change.

14.1.7 Each decision made by the Graduate School of Business in accordance

with this procedure and approved by the Senate is final. Any appeal against the decision shall not be entertained.

14.2 Appeal Against Termination of Candidature

14.2.1 A candidate whose candidature is terminated due to failure in fulfilling the requirements of a programme may submit an appeal against the termination.

14.2.2 A candidate who has been terminated from a programme shall be allowed

to appeal against the termination of candidature subject to the following conditions:

a) improvement in academic performance (CGPA improves and

obtains at least 2.90); b) the candidate is allowed to repeat the course to improve the

grade; and

c) the candidate is capable of obtaining a CGPA of 3.0 after repeating the particular course.

14.2.3 Each appeal shall be submitted to the Dean of the Graduate School of

Business within four weeks after the official announcement of the examination results. A non-refundable fee of RM50.00 shall be levied on each appeal. Any appeal submitted exceeding the time limit shall not be considered.

14.2.4 When an appeal is received the Dean of the Graduate School of Business

shall refer the matter to the Head of Programme and shall appoint an Appeal Committee to consider the matter.

14.2.5 The Appeal Committee shall consist of the Chair of Graduate Studies

Committee from Graduate School of Business to act as the Chairperson, Head of Programme and one Graduate School of Business member who was involved with the candidate’s studies, together with the Registrar or his representative who acts as the Secretary.

14.2.6 The committee shall have the authority to:

a) accept or decline an appeal; b) make decisions for all the appeals that have been considered; and

c) verify the decisions which have been made for all the appeals that have been considered and verify, if any, appeals which have not been given any consideration to the Graduate School of Business.

14.2.7 The verification made by the Committee regarding the matter shall be

submitted to the Dean of the Graduate School of Business for the presentation to the Senate for approval.

14.2.8 Each decision made by the Graduate School of Business in accordance

with this procedure and approved by the Senate is final and any appeal against the decision shall not be considered.

15. Terms and Conditions to Repeat Taught Course and Special Examination

15.1 Repeating a Taught Course

A candidate who fails a compulsory registered course shall repeat the particular course.

15.2 Special Examination a) A candidate who has completed the unit for the purpose of obtaining a

degree shall be allowed to sit for a special examination during the final semester. The special examination shall be held not exceeding one month after the official announcement of the first examination results.

b) A candidate who is in the Regulation 15.2 (a) category shall be allowed to

sit for a special examination only once for a course that he fails. 16. Termination of Candidature

Subject to the approval of the Senate, candidature may be terminated at any time if the candidate is deemed to: a) contravene the Act and Regulations of Graduate Studies;

b) contravene any law for the time being enforced in Malaysia; c) behave in an unacceptable behavior including any act of plagiarism and other

unethical conduct; d) fail to show satisfactory progress in his/her studies; e) experience mental or serious emotional problems; f) take part in activities in contravention of the Universities and University Colleges

Act; or

g) making contact with external examiners who are involved in the evaluation of

his/her thesis or dissertation. 17. General

1.1 Unless otherwise provided, each application and appeal with regards to the Act and Regulations made under this Act shall be submitted to the Dean of Graduate School of Business through the Supervisor/Co-Supervisor/ Chair of Graduate Supervisory Committee and Head of Programme.

1.2 The Regulations and all their interpretations made by the Senate from time to

time shall be enforced on all registered students on and after the enforcement date.

1.3 The Senate shall have the power to take appropriate action if a candidate is

found to be disclosing false information regarding his candidature.

1.4 The Senate may allow any exemption that is considered appropriate from the requirement of the Regulations.

STUDENT SERVICES

ACCOMODATION

UKM provides on and off-campus housing for both local and international student. For student who are interested or wish to live on campus the type of room allocated is single and twin sharing , while off-campus housing are for married student (apartment /residential unit).

Students are advised to apply for accommodation before they arrive on campus. Application form for accommodation can be retrieve from student’s affairs website: www.ukm.my/jppel. All rooms or accommodation approval is subjected to its availability.

On campus housing, student’s rooms are furnished with basic facilities such as closet, table, chair, bed and mattress. Wi-Fi is also available at a minimal fee which already included in the hostel fees. Other facilities offers to student on campus are cafeteria, self-service laundry, convenience store, sports & recreation, etc.

While off-campus housing, students are also provided with similar facilities but Wi-Fi is only limited to common area. The apartment/residential unit is between 10-15 minutes from the main campus and is well guarded by university’s security personnel.

LIBRARY

UKM Library offers an online database as follows:

i. the use of the library system in client-server VIRTUA. ii. functions of cataloging and online public catalog (OPAC). iii. users can access the online catalog (online public access catalog (OPAC) via the

Internet with Web browsers Internet Explorer or Netscape Communicator. iv. The system of borrowing and returning through a computerized system. v. procurement module Dobis / Libis and serials module implemented. vi. Library users can access the records of materials in the library through the terminal

provided in the library and also the personal computer using TN3270 telnet program.

UKM library also provides Wi-Fi Zone, discussion room, theater room, carrel, lockers, photocopying service, the 24 hours of reading area and room for the disable. Besides that, UKM library provides Siber@PTSL which offer facilities of 150 computers. Library clients can access the internet and the extended services of e-mailing, scanning and printing. Typing facilities are also provided at the premise. E-journals and CD-Roms are provided for clients with no charges and flexible time of accessing. UKM-GSB also provides facilities for students such as discussion rooms, carrel, student center,

computer lab, prayer room and student cloakroom.

INTERNATIONAL STUDENT SERVICE DIVISION (ISSD)

International Student Service Division (ISSD), Centre of International Relations provides services for prospective and current international students such as immigration information, academic counseling, support services, and student activities. ISSD was established to provide centralized and efficient services for international students in UKM. It began operating as an independent center on November 1st 2011, first located at Ibu Zain International Student House, and now at the 5th floor of the PUSANIKA building. The functions of the center include the following: 1. Processing various types of visa applications for students and their dependents. 2. Organizing student activities and functions at the university, national and international

levels. 3. Counseling students on various welfare needs such as accommodation, health issues,

career and counseling, and other matters related to students’ needs. 4. As a One Stop Center for international students. Besides that, ISSD also provides a platform for the international students to mingle and experience sharing among intra- and inter-associations through International Student Association. The International Student Association will have activities planned and done by the association itself throughout the year. Furthermore, the International Student Association will also support activities hosted by the International Student Center such as International Food Festival and International Culture Night.
