From August 2012 all visits requiring local authority approval
must be recorded and managed using the EVOLVE on-line
system. It is also recommended that this system is also used to
manage visits which only require HT authorisation.
The system operates the same as the current paper system. A
member of staff generated an electronic form which this then
submitted to the nominated Evolve Co-ordinator and Head
Teacher (for smaller establishments this role may be combined for
HT) for approval. If either adventurous or residential it is then
also submitted to the Authority for approval.
Each school must nominate an Evolve Visits Co-ordinator (EVC). This may be the Head Teacher or member of the senior
management team or where appropriate another nominated member of staff. The main role of the EVC is to ensure that all
Educational Excursions are planned operated and reviewed in accordance with the Safety and Good Practice in Managing Off
Site Visits (including Adventurous Activities) .This document replaces both the Handbook for Educational Excursions and is the
ELC guide to all activities taking place away from ELC premises. It is available on the EVOLVE website www.elcvisits.org.uk
Here you will find a range of certificated courses (all FREE) designed for any staff within
an establishment who are responsible in some way for the delivery, organisation and
authorisation of off-site visits.
These training requirements reflect current best practice and draw on guidance from
current National Health and Safety Guidelines for Educational Establishments , National
Governing Bodies and best practice across the Outdoor Learning industry.

Each school in East Lothian Council can access a number of outdoor teaching days
delivered by one of the Outdoor Learning Service teachers. The purpose of these days is
to provide a programme of outdoor activities that complement and extend the pupil’s
class-room based learning. The overall learning objectives and purpose of each school’s
programme should be agreed in collaboration between the class teacher and the Outdoor
Learning Teacher.
