2 Overview This document describes the 1502 enhancements for the HuRis Document Generator.

Detailed information about the new functionalities is available in the 1502 Admin guide.

3 Enhancements The following enhancements are part of the 1502 release:

3.1 Multiple selection of employees

This feature makes it possible to generate documents for multiple employees at once and automatically send the generated documents to the e-mail address of

the employee with the admin user in cc. Example: Select Template

3.2 Authorizations on role level (also for ESS and MSS scenario) with RBP This feature makes it possible to use the SuccessFactors Role Based Permissions (RBP) to control the permissions in the Document Generator. With the use of the

RBP roles and groups the customer can control this from the same place in SuccessFactors. To make it flexible we added specific permissions on the

Template groups so the customer can also make this Document Generation functionality available to Employees and Managers.

3.3 Option to generate PDF documents This feature makes it possible to directly generate a PDF document within the

Document Generator, beside the option to generate a Word document. Example: Output options

3.4 Hide menu options if you’re not authorized to start the selected process

Based on the assigned RBP roles a user will not see specific menu options if he or she is not authorized for this feature.

3.5 Automatic generation of texts and fields based on (contract)data in Employee Central (Smart Fields)

This feature makes it possible to automatically change text, images in the Word template based on all available data fields from SuccessFactors. For example a

different logo and text for company A or B or different text based on the job classification of the employee.

3.6 Fix for using different date formats This feature makes it possible to determine different date formats using a setting in the merge field in Word.

Example: Date Formats

Datafield current date is used in this example:

CurrentDate|F:d MMM yy will produce 30 Apr 15

CurrentDate|F:d MMMM yyyy will produce 30 April 2015

3.7 General enhancements - Possibility to make a field optional

For each merge field it’s possible to determine if the field is required or optional. For example a mailing address is not always used in the

datafields. With this switch the field will be blank if no data is available. Example: Optional field

Address_Mailing_City|?

- The result of the generation is now shown in a summary.

After generating a document, the result will be shown in a summary. It

will show the success and errors.

- Sending the document via e-mail (first version)

When generating the document, it’s also possible to send the document directly to the business e-mailaddress of the employee (PDF). In the next

release also the e-mailbody can be maintained.

- Saving back the document to SuccessFactors (first version)

When generating the document, it’s also possible to save the document to an own MDF portlet (for example personnel file). At this moment it’s only

possible to save the documents to one portlet. In the next release it will also be possible to assign the right portlet to a template so the documents can be grouped into different portlets (folders).
