1. Overview The Texas Higher Education Coordinating Board (THECB) requires that each public university and health‐
related institution with one or more doctoral programs on its program inventory to collect and publish
information on its website regarding the Characteristics of Doctoral Programs.
2. User Registration for the Online Reporting System Each program, in the list of both research doctoral and first‐professional doctoral programs, must have
at least one reporting user registered via web form: https://u.tamu.edu/DC‐access‐request
Having multiple reporting users per program is allowed. The user may be faculty/staff who can input,
review and approve the web forms, and will be responsible for the submission of the program
characteristics. Reporting cycle will commence once the user registration process is completed.
3. Project Timeline Date Description
Oct. 5, 2021 (Tue) Emails are sent to the GOC Deans requesting contact information for
users/submitters. GOC Deans will forward to programs.
Oct. 19, 2021 (Tue) Deadline for user registration. All users will be authorized after this deadline.
Oct. 21, 2021 (Thu)
Online reporting portal opens with the following forms available for the
registered users:
Core faculty selection: a list of graduate faculty members, who are
integral to the doctoral program.
Doctoral Characteristics: list of 18 measures characterizing the doctoral
program.
Users will be emailed with instructions on how to enter remaining
characteristics data.
Dec. 7, 2021 (Tue) Deadline for the reporting users to submit the reviewed data
Jan. 11, 2022 (Tue) Final reports are published to the Graduate & Professional School webpage
Review reporting status
Feb. 7, 2022 (Mon) Monthly GOC Deans meeting – announcement is made for the completion
status of the project, including any delinquent programs or outstanding issues.

1) Log into the User Request Form at https://u.tamu.edu/DC‐access‐request 2) Select Reporting Access for the program you will need access to.
(Optional) if you require granulated program data, such as individual UIN of students and faculty of the program, select Breakdowns option.
3) Select Submit Request button.
Receipt confirmation will be sent to the email shown.
Requested program will show under Pending Access.
When the access is granted, there will be a follow‐up notification via email.
After the access is granted, the program will show under Current Access.
7. Online Reporting System

1) Log into the online reporting system with NetID and password.

After logging in, links to two forms should be available. (Screenshot above)

Please contact doctoral‐[email protected], if you are
a) Unable to see either of the forms above
b) Unable to see the program that you are reporting for
c) Prompted with any other error message
3) Select Edit link for Core Faculty Selection form.
Detailed instruction provided in the following dedicated section.
This review MUST be completed prior to the Doctoral Characteristics form, due to the
reliance of the latter on the former.
4) After Core Faculty Selection form is completed, select Edit link for Characteristics of Doctoral
Programs form.
Detailed instruction is provided in the following dedicated section.
Once both forms are submitted, they can be viewed. (Screenshot below)

8. Instruction – Core Faculty Selection form

1) Review the Demographics information (Sex, Race) of faculty members in the list.
To remove faculty, select Delete. To edit demographics information, select Edit.
If a faculty member is unintentionally removed, please follow the Add step below.

2) To add a core faculty member not found on the list, select Search for Faculty to Add.
Choose Department from the selection list and select Search.
From the list of faculty members, check the faculty to add and select Add Selected.
Once added, you will be returned to the core faculty list view, discussed in the previous
step.
3) When review is completed, click Submit button.
4) If any revision is needed after the submission, click Recall option from the Core Faculty Selection
form. Once complete, click Submit button again and confirm that again and confirm that Is
Submitted field is showing True.
9. Instruction – Doctoral Characteristics form
18 characteristics (15 for first professional) are categorized into 2 types.
1) View‐only data: These are received from sources, such as Data and Research Services, or
Financial Aid.
Although not editable by the reporting users, if there are any questions or concerns,
please contact the doctoral‐[email protected].
In certain instances, there is an option to View Breakdown.
2) Editable data: These are collected from the program reporting users.
These are highlighted to be differentiated from the view‐only data.

example of view‐only data.
Figure 4b. Characteristic #4 shows the employment profile of the 3 most recent graduating cohorts of
the program. This is an example of Editable data.
3) Once completed, click Submit button.
4) If any revision is needed after the submission, click Recall option from the Characteristics of
Doctoral Program home page. Once complete, click Submit button again and confirm that Is
Submitted field is showing True.
