2015 Mid-Year Meeting
The Directory Oversight Committee –the DOC - is charged with establishing policies in the operation of AGIIS, the
industry recognized repository of common entity and product information.
We evaluate, prioritize, and execute enhancements in response to subscriber
and AgGateway project requests. We oversee the maintenance and care of the
data in the directory.

• AGIIS Enhancement Update• PCR 185-4 - Update Entity File formats PCR
• Released to production the weekend of May 16th
• PCR 183-5a Open Access to Product Directory
• Met with Product Functional Group on May 19th to review web pages and work flow for this enhancement.
• Working on authorization document and communication plan for product owners
• GLN Access Phase 2
• Expanding Access to Unique Identifier 8:00 – 9:30 am Thursday
• Developed approach and high level plan for implementation

• D&B Transition Lessons Learned – 7:30 – 9:30 am tomorrow.
• AG Glossary/AGIIS Collaboration • On April 29th Member Services met with the Ag Glossary working group to
discuss the possibility of adding AGIIS terms to the Ag Glossary
• Ongoing work will be required to reconcile terms which will require a review by the DOC.

• AgGateway Europe AGIIS Webinar Presentation• On May 6th and May 11th two webinars were held

• Animal Health Group Webinar• On June 24th we will have an exploratory call discussing AGIIS and the GLN.
• Standard & Guideline Unit of Measure Working Group• Documented UOM’s used in AGIIS in AgGateway Wiki
• Developed approach for when new UOM’s are needed for AGIIS
• Continue another phase to discuss UOM’s for AgGateway Open Standards
• Member Services will work to update missing X-12 UOM’s

• AGIIS Server Upgrades• Saturday June 13, 2015 - The AGIIS production web server which hosts
the website and web services will be upgraded and will be unavailable from 8AM - 5PM.
• Saturday June, 27 2015 - The AGIIS production server that the ftp software is hosted on will be upgraded and will be unavailable from
8AM - 5PM.

• Quarterly maintenance planned for 06/27/15• Subscriber Communication will be sent out 6/22/15
• Locatable Address Conversion System (LACS) - Entities in AGIIS will be updated with the physical addresses provided by the United States Postal Service that have been changed for 911 emergency system conversions.
• National Change of Address (NCOA) - Entities in AGIIS will be updated with the mailing addresses provided to the United States Postal Service by the USPS COA (change-of-address) form.

• RFI Average Cost Estimate: $2.5 million USD for development, $1.1 million USD annual support costs

• We assume that the ownership model of the Platform is similar to AGIIS - the industry owns the data, the hosting vendor owns the software - changing this assumption may change some of the cost and time estimates

The Basics• AgGateway negotiates 500 development hours per year to be used
for DOC-approved enhancements. Annual maintenance hours are billed directly to the contract outside these development hours
• The DOC can approve enhancements up to 100 hours per enhancement per year
• Enhancements over 100 hours can be approved but the DOC must consider alternate funding for hours over 100
• The Database Vendor has, at its discretion and the DOC’s approval, the ability to develop functionality that will improve operational support at no cost to AgGateway

Requesting Enhancements
• Anyone can submit a request
• Database Administrator is the Primary Point of Contact
• PPC maintains the Request List
• All requests must include:
• Requestor’s name
• Date submitted
• User Acceptance Testing contact information
• Explanation of the requested enhancement
• Statement of the problem solved or the improvement and value the enhancement brings to the directory

What Happens Next?
• Directory Administrator:• Logs the request and applies a preliminary estimate of effort to the
request
• Advises the requestor that their request is in the queue for review
• Advises the DOC chair/vice chair of the new request
• Compiles an impact statement to provide to the DOC along with the request
• Directory Oversight Committee:• Places the request on the agenda for review and discussion
• Must evaluate the request within 60 days of submission
• Advises the requestor of the date when the request will be reviewed and allow for their participation

The Dance of Prioritization
• Two Choices: Accept the request or not
• If the request is accepted it is assigned a priority status
• Requests are ranked based on industry impact and value
• Requests with high priority are resubmitted for detailed estimate
• DOC may commission task forces or use existing focus groups for additional review
Making it to the list does not ensure that the request will be completed

Active Enhancement Development
• Request for detailed enhancement indicates the DOC is ready to proceed with development
• The DOC is expected to approve detailed development estimates within 60 days of receipt
• The Directory Administrator manages communication to subscribers and the DOC throughout the development process
• User Acceptance Testing is scheduled as applicable

Alternate Arrangements
• A non-prioritized request or delayed request may be taken directly to the Directory Administrator by the requestor if:
• The requestor is able to fully fund the enhancement
• The enhancement development, testing and turnover does not impact activities already prioritized by the DOC
• The enhancement was not rejected because of policy violations
• The Directory Administrator must communicate such activities to the DOC - but the DOC is not obliged to perform additional due diligence
