Datamine Usage
• More than one Datamine can be opened at a time
• Menu options in Quantum while Datamine is open remain accessible
Data Mining Tips
• When filtering …
• Use formatted date field for filtering (CCYYMMDD)
• Be sure to use upper case as Data Mine is case sensitive
• Be careful of AND/OR when using multiple lines
• ‘OR’ condition starts the filter rules anew
• Wildcards can be used: _ (underscore) = single character % = multiple characters
Data Mining Tips
• Rename fields for nicer report headings – fields are listed alphabetically
on Filter tab so be aware when searching for fields!
• Minimize a Data Mine to work with another Data Mine
• Create separate security gates for Data Mine areas using Enhanced
Security
• When working with large amounts of data, use the black arrows to see
the next or last 50 items (Keystone DM)
• Quantum Data Mines can be saved and shared for others to view/run
Why you will love it and can’t wait to get started !
• Create custom reports that fit your specific needs
• Export report to analyze your data
• What can I DM on ?
• G/L, A/R, A/P, Units, Parts, Point of Sale and Service
How do I know what category to select ?
• Define what you are after
• Remember what menu did you use when looking up data and pick the category that matches it
• Example, I want to know my Parts sales
• From a Parts inventory perspective – choose Parts inventory
• From a POS perspective – Choose POS Detail or Summary
• Define the difference
How do I know what fields to select –what do they all mean ?
• The field name is how or where you see the data in the specific
system menu
• If you aren’t sure what it means or if you may need it, include it
• Selections are interactive
How do I change the sort order ? Can I rename the fields?
• Can I change the sort order in DM or do I have to wait to export it to Excel?
Both!
• Can I rename the field so it makes sense to me? Yes.
• However, if you rename it, make sure it makes sense to someone else
Advance Filter
• Narrow down your system data to a manageable report
• Enter your filter criteria (use capitol letters)
• Some common tips:
• Parts: I want quantity on hand but don’t show me any parts that have zero.
* You can use Greater than zero OR Not equal to zero if you want to catch the negative on hand parts
• G/L: I want to find a certain dollar amount in my Wholegoods GL accounts.
*You can use Transaction amount Equal to. New filter. Edit code Equal to W.
*Or use Is in. You can list the G/L accounts you want your reporting to consider
How does the ‘AND’ filter work ?
• Data will be retrieved only when both test conditions are true.
• Example: if a data filter specifies that the color must be blue AND the vehicle type must be a truck, then only data on blue trucks will be returned
How does the ‘OR’ filter work ?
• Data will be retrieved when either test condition is true
• Example: if a data filter specifies that the color must be blue OR the vehicle type must be a truck, then data on any blue unit and all trucks will be returned
• Can be used to break test filters into more than one search
What is a Wildcard ?
• Several of the filter tests for Keystone Data Mine queries allow a percent sign (%)
and an underscore (_) to be used as wildcards
• % is a wildcard for multiple characters
• _ is a wildcard for a single character
• P1%4 could return P114, P141, and P10004 as results. The field will start with P1
and contain a 4 in one of the positions that follows
• P1_4 could return P1D4, P124, and P194 as results
Don't overuse wildcards. If another filter test will do, use it instead
Wildcards:
• Pay careful attention to the placement of the wildcard symbols
• You might not get the correct information
• When using wildcards, try not to use them at the beginning of the filter string
• Slow to process
How to save my DM and re-run it later
• Click the save icon on tool bar
• Under query options, you can save your DM and set it to run automatically and
export to Excel when you open it
More tips are available on the DIS on-line help under the System/Datamine options
Keystone vs Quantum
• Are the options the same? Yes
• I have saved DM files in Keystone, can I move them to Quantum? Yes
• I have saved Quantum DM files, can I move them to Keystone ? No
• Quantum allows you to make your saved DM files public (or private)
allowing anyone in the dealership to select and run the DM
Keystone vs Quantum
• Can I put a security gate on Datamine categories. Yes
• Keystone DM are saved to your PC
• Quantum DM are saved to the IFS directly on the AS400 and are included in
Backup
DMs are still ‘owned’ by user profile, if you disable a system profile,
they are no longer accessible
