Philip Delaney, managing director at Dairyglen, describes the company’s transformation from a home-based business to a small-business provider of all things ice cream. “When the com-pany was small, we were able to keep control, because the family was active-ly involved in running every aspect of the business,” says Delaney. “however, as we grew, brought in more staff, and started to adopt more of a management role, we felt the instinctive control we’d had in the past slipping. that was the catalyst for deciding we needed a new system to help us.”

Finding a Flexible Management Solution

Dairyglen did its homework, discussing possible solutions with an external con-sultant, the company that supported Dairyglen’s existing accounting pack-age, and Dairyglen’s own accounting team. after being pointed to the SaP® Business one application, Philip asked

Dairyglen’s accountants for their opinion. they told Delaney, “You can’t go wrong with SaP.”

Business one, iiS demonstrated the application and Dairyglen immediately saw its potential. according to Delaney, the ability to continually drill down to find information, and the integration with Microsoft Word and Microsoft excel, were particularly impressive.

Preparing for a Successful Implementation

Dairyglen began the implementation by cleaning its database. “it was a lot of hard work,” says Delaney. “But it was absolutely critical if the implementation was to be successful.” iiS played a significant role in the implementation, configuring the new system and train-ing the users.

the partner also helped in setting up mobile inventory management, so that each of Dairyglen’s delivery vans is effectively a miniwarehouse. as stock is sold, the transaction is recorded and then uploaded directly into SaP

Dublin, ireland–based Dairyglen Products ltd. began as a family business that outfitted retailers, hotels, fast-food outlets, and restau-rants with total service solutions for delivering soft-serve ice cream, milk shakes, and other consumables. When Dairyglen decided it needed a more proactive way of managing its rapidly expanding business, the wholesale distributor of retail dairy equipment and supplies looked to SaP for help.

Scooping the Major Benefits

implementing SaP Business one has brought Dairyglen significant efficiency improvements. “We tried to set up the vans as warehouses in our previous system, but we just couldn’t do it,” recalls Delaney. “now, we not only track inventory by van, but we also have complete confidence that the data is correct.”

two other areas where efficiency gains have been made are in sales and pur-chasing. “one accountant is process-ing over 1,000 invoices a month, plus doing all our purchasing,” comments

Delaney. “Without the SaP Business one application, that just would not have been possible.”

improved business processes also carried a side benefit, reaping €5,000 a year savings on postage. instead of

invoicing as sales are made, Delaney explains, “SaP Business one enables us to print batches of invoices, grouped by customer. today, we send the in-voices for a whole month to customers at one time. as a result, we save on postage without impacting our cash flow.”

reporting has also improved. Delaney particularly likes the standard variance analyses he can do for products and customers. in addition, year-on-year comparison reports of customers’ purchases give him real insight into their purchasing behavior.

as Dairyglen expands its business into slushed ice machines, which are sup-plied free on loan, Delaney is thankful for the asset management functionality

in SaP Business one. using it allows Dairyglen to track movement of ma-chines and other equipment and, as a result, retain greater control.

might shy away from it, thinking it’s for bigger companies – but it’s not

expensive, and it’s a comprehensive business tool for any company that

really wants to understand how it is operating.”

the company continues to increase its portfolio of products, which now in-clude fresh ground coffee, and strong retail brands that include frutina slush, hawaiian shaved ice, and Smooch real dairy ice cream and milk shakes. “SaP Business one has given us a solid platform on which to grow the company,” says Delaney. “We are confident that we can double or triple our business with the same administra-tive overhead.”

Running the Business with a Comprehensive Business Tool

“i would recommend SaP Business one to any business of our size,” con-cludes Delaney. “People might shy away from it, thinking it’s for bigger companies – but it’s not expensive, and it’s a comprehensive business tool for any company that really wants to understand how it is operating. the only caveat is, to get the maximum value from it, you really have to think carefully about how you want to run your business at the setup stage.”
