PLACEMENT LOGISTICS At Seneca College, students in the Child and Youth Care program conduct placements in their third and fourth semesters and again in their fifth and sixth semesters. Your CYC 347/357 are two days per week for the entire semester. The semester is 12 weeks long, although there are 14 weeks during which they can complete their placement hours as they have a Study Week in the middle of the semester and a Finals Week at the end.

For CYC 347/357 students should aim for a minimum of 14 to a maximum of 16 placement hours per week. You will need to consistently attend your placement. Please refer to the CYC manual for the policy on placement absences.

For CYC 447/457 you are expected to attend placement three days a week, Monday – Wednesday. Students should aim for a minimum of 21 hours and a maximum of 24 hours a week.

All hours are due at the end of each term. Students are not permitted to continue past the last day of the term. Hours also cannot be transferred between courses. Thus, any hours accrued during CYC 347/357 can only account towards CYC 347/357. You will track your hours every week in placement, and give your weekly log form to your Professor in seminar class.

HOURS Note: Hours are not transferable between courses / terms.

The hours are a minimum amount only; if you reach the minimum amount you are expected to attend to the last day of the term. You cannot finish early, before the end of the term.

PLACEMENT COURSES: CYC 347 – Seminar Class; CYC 357 – Field Placement CYC 447 – Seminar Class; CYC 457 – Field Placement

The seminar and respective placements are co-requisites; being unsuccessful in one means automatically being unsuccessful in both. i.e. if you do not pass CYC 347, you automatically do not pass CYC 357 and vice versa.

PLACEMENT OPTIONS – SECOND YEAR PLACEMENTS (CYC 347/357 AND CYC 447/457)

Your first placement occurs in your second year of the curriculum. CYC students conduct their first placement in an Education / School based environment. Most of these will be with a school board. Each school board has a different process in place. Most school boards have a centralized process that must go through your Field Placement Coordinator.

Your Field Placement Coordinator will visit your CYC 247 classes to explain the process for each board and you will need to submit an Interest Selection Form. Following this form, your request for a school board will be considered and next steps will be provided.

The following school boards have a centralized system that must go through your FPC: • Peel District School Board• Dufferin-Peel Catholic District School Board• Toronto District School Board• York Region District School Board

You should not be contacting any schools individually until you first hear from your FPC in your CYC 247 class on this process.

CONTACTING A SCHOOL Most school boards that we work with have a Centralized placement application process. This

process means that you must submit your placement request to your FPC, who will in turn work

with the School Board. The FPC will then provide you with the contact information of your

school and placement supervisor. Following this, you will have to email your placement

supervisor to schedule a ‘Meet and Greet’. A ‘Meet and Greet’ is NOT an interview; but it is still a first impression and it is important to approach it professionally.

Most school boards will require the following:

• Online safety training

• Vulnerable Sector Screening

An online safety training session will occur at the end of the CYC 247 term and it will require mandatory attendance to proceed with a school placement.

SENDING A PROFESSIONAL EMAIL Agencies will use your email to evaluate your professionalism. An email is the first part of your

first impression; it is imperative your email is professional, concise, appropriate, and states the required amount of information/ inquiry.

Some things to consider:

• Include salutations. I.e. Hello, Goodbye.

• State your name, program (Child and Youth Care) and purpose (student placement).

• Include the parameters of your placement. What days? When?

• In 2-3 sentences, state the reason why you are interested in this agency.

• Include your contact information and the best way to reach you.

• Send the email from your myseneca email account only.

• Send the email at an appropriate time (i.e. between 7:00 AM – 9:00 PM).

My name is Keri Graham and I am a student enrolled in the Child and Youth Care program at

Seneca College. Your information was passed on to me from my Field Placement Coordinator to

connect with you about my student placement. My placement is 2 days a week, Monday to

Tuesday, in the Fall term and Monday- Wednesday in the Winter term. My placement begins

September 14th 2020 and continues until April 20th 2020. I am interested to gain experience

working in a School and I have studied it in my program. I want to expand this knowledge and

support this population.

RESPONSE TIME AND PERSISTENCE Schools usually operate at full capacity and are very busy. This means that it can take them

some time to respond to your email. Sometimes they may miss your email and not respond at

all. Do not panic if your school does not respond to you; remember, they are busy! As much as

placements are valuable to them, a school will always prioritize completing their work first.

Thus, persistence can be the key to successfully confirming a placement.

Communicating with a School who do not respond:

MEET AND GREET Placements with a school board will be a ‘Meet and Greet’ instead of an interview. A ‘meet and

greet’ is meeting your placement supervisor for the first time and introducing yourself. While it

is not an interview, it is still a first impression and it is important to still approach it professionally.

Before the Meet and Greet

Know the School • Look at the school website. Review their mission, vision, values and program offerings• Use Google News to scan for any recent happenings and events in the surrounding school

community

Professional Communication is Key • Create a professional voicemail message for the phone number you provide to the school• Use your Seneca email address when emailing

Practice your Meeting Skills • Introduce yourself in a professional manner and try to establish rapport with your

placement supervisor• Prepare answers beforehand to common questions and main points you want to

communicate about your skills, experience, and interests• Be prepared to express why you are interested in doing your placement at the school. Think

about your learning goals, and how they align with the placement• Think about why you decided to do the CYC program and what makes you ready to enter

the field• Practice by doing a mock Meet and Greet with your Field Placement Coordinator, a friend,

or in front of a mirror

Give yourself Plenty of Time

• Arriving on time is crucial when making your first impression• Map your route beforehand and account for weather, transportation delays such as traffic,

and finding the placement• You want to aim to arrive approximately 10-15 minutes early

Bring necessary documents:

• WSIB Form• Placement Agreement Form• Vulnerable Sector Screening (VSS)• Health Screening• Additional documents such as online safety training

Dress for Success

• Plan to wear professional attire that is appropriate for a school setting. It is always better todress ‘up’ then to dress ‘down’. Once you start placement, you will have a better idea of thedress code.

• If you are unsure what is considered appropriate dress attire, contact your Field PlacementCoordinator, Career Services or your CYC Seminar Professor.

During the Meet and Greet

First Impressions Count • Be respectful and professional with everyone you meet. Display a confident and friendly

attitude the moment you arrive. Not doing so may impact the school’s decision to host youas a student

• Be prepared to shake hands with your placement supervisor. A smile and firm handshakewill show confidence.

Body Language and Communicate clearly

• Pay attention to any “fidgety” characteristics you may have and try to minimize them• Make eye contact with your placement supervisor when speaking or listening• Speak slowly and avoid words such as “um” and like”.

Demonstrate the Right Attitude

• TURN OFF YOUR PHONE.• Sometimes students may try too hard to “stand out”, and in doing so may give the

impression that they are aggressive, that they “know it all”, or may appear not open tolearn. Strive for balance between readiness to enter the field with an openness to be astudent and learn from the staff at the school

• It is okay to be nervous during the Meet and Greet. Do not worry if you start to stumble. Itmay be easier to just let them know that you are nervous as it can help break the ice for youand for them. They remember being in your shoes!

• Try to convey your excitement and interest in working with the school. Supervisorsunderstand that this is your first placement, and may look for attitude and fit, rather thanextensive work experience

Ask Questions and Finish Strong

• What would you like to know about the placement? Ask questions during and at the end ofthe Meet and Greet that will help you prepare and anticipate what is to be expected atplacement (roles, responsibilities, hours, see below for sample questions)

• Do not ask about the school mission and general services. It is expected that you have doneyour research prior to going to the school. Instead, ask more specific questions aboutprograms and services that demonstrate that you have done some research

• Ask your placement supervisor the best communication methods. i.e. Email, Phone, etc.• Restate your interest in the school and thank your supervisor for meeting with you

After the Meet and Greet • Send a follow up email stating it was a pleasure to meet and thank them for their time. In

your follow up email, include 1-2 sentences that you think you are a good fit for theprogram and look forward to starting your placement.

Sample Questions to Ask

• What types of experiences will students be exposed to?• Are any health tests/immunizations required?• What are the hours of operation and what are the expectations regarding the student’s

schedule?• What would my schedule look like?• What is a typical day look like?• What do you find most rewarding about working in this school?

Sample Questions your Placement Supervisor may ask

• Tell me about yourself• Why are you interested in this placement position?• What previous experiences do you have working in a school?

o Agencies understand that many students have not yet worked in the field. If you donot have previous experience, then speak to your knowledge, skills, and abilities thatare relevant to the placement. Remember, volunteer work is considered experience

• Please tell us more about your placement requirements (days, times, hours, evaluation,forms, etc.)

• Prepare yourself for future orientated questions such as:o What are your long-term career goals?o Where do you see yourself five years from now?

SAMPLE PLACEMENT ACTIVITIES You can work with your supervisor to develop a list of placement activities. Some sample responsibilities for students in placement could include:

1. Engage in therapeutic relationships with clients and/or families

2. Demonstrate effective intervention strategies that meet the needs and goals of your clients

3. Provide client support

4. Identify and access professional development opportunities that promote professionalgrowth

5. Participate in staff meetings

6. Facilitate peer group

7. Take part in program evaluation

8. Learn about community referrals

9. Observe and facilitate social skills training

10. Work with individuals and groups

11. Conduct behavioural observation and management

12. Complete mock reports

13. Reflect on the implementation of a behavioural modification program

APPROVAL OF THE PLACEMENT SECOND YEAR STUDENTS

Once a student has been provided with the school contact information (if they applied to a board that has a centralized placement process), the student needs to carry out a few important actions:

Contact the Placement Supervisor for a Meet and Greet.

Bring with you to the Meet and Greet your completed online safety training and yourVSS.

Inform the Field Placement Coordinator after the Meet and Greet. You must submityour Placement Agreement Form and WSIB form to the FPC.

When Placement begins, the placement supervisor will be provided with: The field manual The CYC Faculty Liaison contact information The Seneca Field Placement Coordinator contact information

The required forms are attached as appendices to this guide. The Agreement Form and WSIB form must be provided to the Field Placement Coordinator. Failure to do so could result in your placement being suspended and/or not approved.

PLACEMENT DEADLINES The Field Placement Coordinator will support the student in their field placement search process; however, it is imperative the student collaborate with the FPC. It is the expectation that the student has confirmed their placement by the last day of their CYC 247 course (unless school contact information is provided after this). Please note if your course is in the Spring/Summer your confirmation deadline is earlier. In the event you have not confirmed by the dates set in CYC 247, you must communicate this to the FPC and meet for a mandatory meeting.

The FPC reserves the right to suspend a student’s eligibility for placement in the event of the following:

(1) The student does not meet for their mandatory meeting with the FPC(2) The student does not communicate with the FPC in securing their placement in an

appropriate or timely manner(3) The student does not have a confirmed placement two weeks prior to the placement

start date(4) Placement Documentation is not received in a timely matter.

STEP ONE INJURY/DISEASE OCCURS Ensure the student has received first aid and/or call emergency services if necessary. Placement Employer is required to inform Seneca Field Placement Coordinator (FPC) (see Seneca Contacts pg.2), if either of the following occurs; if the unpaid student requires medical attention by a health care professional, and/or lost time from placement. The following steps need to take place within two days of the incident.

NOTE: If the student did not seek health care and no lost time at the placement, then the only form required is the Personal Injury/Accident report (PIA) (please request from FPC), once completed send to Marianne Cunningham, Manager, Accommodation & Disability, and Field Placement Coordinator.

STEP TWO REPORTING

If the Placement Employer is covered under WSIA the following is required: Within two days of learning of a work-related injury/disease the Placement Employer in collaboration with the Training Agency must complete the following three forms:

1. WSIB Form 7: (Employers Report of Injury/Disease) PlacementEmployer to complete all applicable fields then pass on toTraining Agency.

2. Letter of Authorization to Represent the Placement Employer3. Postsecondary Student Unpaid Work Placement Workplace

Insurance Claim*Upon completion of the above three forms email to students Field Placement Coordinator (FPC) (see contacts on page 2). If the Placement Employer is not covered under WSIA the following is required:

Field Placement Coordinator to ensure the Letter of Authorization to Represent the Placement Employer and the Postsecondary Student Unpaid Work Placement Workplace Insurance Claim forms are completed properly prior to sending them along with the Form 7 to Marianne Cunningham [email protected] or Tanya Davis [email protected] (see Seneca Contacts – on the left).

Ministry Coverage (WSIA & CHUBB Insurance)

WSIB FIRM # The Form 7 requires a WSIB firm #. There may be hesitation to provide this number as this is what WSIB uses for billing organizations; however, in this particular case the Government of Ontario, through the Ministry, pays WSIB for the cost of benefits it pays to Student Trainees enrolled in an Approved Program at a Training Agency during Unpaid Work Placements with employers who are either compulsorily covered (Schedule 1 or Schedule 2 employers) or have voluntarily applied to have WSIB coverage.

*The Ministry also covers the cost of private insurance with ChubbInsurance for Student Trainees enrolled in an Approved Program at aTraining Agency during unpaid Work Placements with employers thatare not required to have compulsory coverage under the WSIA. TheGovernment of Ontario provides such coverage to encourage theparticipation of employers in providing Unpaid Work Placements toStudent Trainees as part of students publically assisted post- secondary education.

In order to ensure timely submission of documents WSIB has levied fines in the past for late submissions. Please feel free to call us to ensure that each party completes the required steps by the reporting 48-hour deadline.

Process for Workplace Safety and Insurance Board coverage: The Ministry of Advanced Education and Skills Development (MAESD) has revised the Guidelines for Workplace Insurance for Postsecondary Students of Publicly Assisted Institutions on Unpaid Work Placements, see link here: http://www.tcu.gov.on.ca/pepg/publications/wsib-guidelines-2017.pdf Seneca College (Training Agency) is committed to working with our Placement Partner Organizations (Placement Employer) to implement the process outlined above for students enrolled in an approved Ontario college program completing an unpaid work placement (ie. Field placement) for the purpose of academic credit. In the event of an injury/disease incurred by the Seneca student, the Placement Employer shall inform the corresponding Field Placement staff immediately (within 24 hours) of the incident and is required to complete the forms outlined in the three steps above (page 1 and 2) within 48 hours of the incident. Please note that the MAESD requires both Seneca and the Placement Employer to enter their MAESD - issued Firm Number, this number must be shared with Seneca in order to complete an online claim form. For employers who are not required to have WSIB coverage, MAESD has private insurance from Chubb Insurers in place to cover students on unpaid work placements. Although cost of coverage for all students in an approved unpaid placement is provided by MAESD and not the Placement Employer, MAESD requires Seneca to confirm whether the Placement Employer has WSIB coverage. Please check one of the following:

The Placement Employer has WSIB coverage.

The Placement Employer does not have WSIB coverage.

Placement Employer Declaration The Placement Employer acknowledges; 1) Health & Safety and other relevant training/orientation (and ongoing supervision) to protect the Student from foreseeable hazards shall be provided at the beginning of the placement. 2) For students returning from an injury/disease we will work with Seneca Staff and the Student to implement anyreasonable accommodations to ensure a safe and timely return, and 3) By signature of an authorizedrepresentative, we confirm that we have read, understand the process above and confirm our commitment toreport any workplace injury or disease to Seneca College immediately, as outline above.
