Introduction

TranSendCR® Plus makes it easy to send transcripts, exhibits, and video to your AD Summation clients using e-mail. Instructions guide you through selecting transcripts – including those synchronized with digital video les – linking them to exhibits, and sending them to the AD Summation client. You assign terms, called aliases, to each exhibit. A link to the exhibit, for use in AD Summation, is embedded in the associated transcript for each occurrence of an assigned alias. e following gure illustrates a transcript and linked exhibit.

Summation Clients Click on Embedded Transcript Links to View Exhibits

TranSendCR Plus bundles your transcripts, video synchronization, and exhibits together in one Summation Briefcase Format (.SBF) le. It automatically opens an e-mail message, with the .SBF le attached, that you can edit or send on to your AD Summation clients. ey simply drag and drop the attached .SBF le into the Transcripts folder in the AD Summation Case Explorer, and the transcripts and exhibits are loaded into the case automatically. TranSendCR Plus uses stringent encryption methods to assure con dentiality.

With TranSendCR Plus, your AD Summation clients get their transcripts and exhibits fast and ready to load. You get extra points for providing new service bene ts to your clients.

USING THE CLEAR AND HELP BUTTONS

!e TranSendCR Plus dialog box contains two additional buttons available during your TranSendCR Plus session:

! !e CLEAR button clears your current session.

! !e HELP button displays the AD Summation TranSendCR Plus User Guide in PDF format.

EXITING TRANSENDCR PLUS

To exit TranSendCR Plus, click the Exit TranSendCR button on the TranSendCR Plus dialog box. If you have not previously saved your session, you are prompted to do so before exiting the application. For more information, see Saving a Session.

2.! Click ADD above the Transcripts box to select your transcript(s). !e Select Transcripts To Add dialog box is displayed.

3.! Browse to the transcript(s) that you want to add.

4.! Select the transcripts that you want to load into the .SBF "le using one of the following methods:

! Click once on a transcript to select a single "le.

! Press and hold the Ctrl key to click and select multiple "les.

! To select a range of contiguous "les, click the "rst "le, then select the last "le while holding the Shift key.

NOTE: Click on a selected "le to deselect it, if needed. (Make sure you're holding the Ctrl key if you want to deselect only one "le. Otherwise, all selected "les are deselected.)

5.! When all the transcripts that you want to include are selected, click Open. !e transcripts are added to the Transcripts box on the Briefcase dialog box.

NOTE: To remove a transcript from the list, click the transcript "le name in the Transcripts box and click REMOVE .

6.! To load a previously saved session (optional), click LOAD . !e TranSendCR Plus Session dialog box is displayed.

Selecting Synchronized Video Transcripts

You can load synchronized video transcripts into TranSendCR Plus just as you do regular transcripts, and also link exhibits to them. AD Summation accepts synchronized video transcripts in the following formats:

! Sanction® II Transcript Database (*.mdb)

! TrialDirector® Case File (*.cms)

With the video synchronization !le loaded into AD Summation using an .SBF !le, and the video .MPEG !le in the client’s CD-ROM drive or network, AD Summation users can view the video synchronized with the transcript, search speci!c transcript text to locate the corresponding video, and make video clips that are linked to transcript text.

To add synchronized video !les in TranSendCR Plus, follow the steps to load a transcript described in Selecting Transcripts and Loading Sessions, and select the video !le that you want to load. "e following !gure shows an added video synchronization !le.

Selecting Exhibits

!is section explains how to add exhibits to your .SBF " le. AD Summation accepts scanned exhibits in the following image "le formats:

! multi-page .TIFF

! .JPEG

! .BMP

! .GIF

! .PDF image

To select exhibits:

1.! On the Briefcase dialog box, click the transcript to which you want to link exhibits.

2.! Click ADD above the Exhibits box to select the exhibits to link to the selected transcript. !e Select Exhibits to Add dialog box is displayed.

3.! Browse to the exhibits that you want to add.

4.! Select the exhibits that you want to load using one of the following methods:

! Click once on an exhibit to select a single "le.

! Press and hold down the Ctrl key to click and select multiple "les.

6.! Repeat Steps 1 - 5 for each transcript that will have exhibits associated with it. A red arrow is displayed to the left of the transcript and its associated exhibit to indicate that aliases have not yet been added. Proceed to Adding Aliases.

Adding Aliases

!is section explains how to add alias(es) to each exhibit. An alias is a word or phrase in the selected transcript that you want to serve as a link to the selected exhibit. For example, Exhibit No. 1 or Plainti!’s Amended Complaint.

!e following tips pertain to aliases:

! You must assign each exhibit at least one alias. Exhibits without aliases cannot be loaded into AD Summation with an .SBF "le.

! !e exact text of an alias must appear at least once in the associated tr anscript. For example, if the phrase Exhibit No. 1 is assigned as an exhibit alias but does not appear in the associated transcript, the exhibit will not be linked.

! Aliases are not case-sensitive.

! Use a phrase as an alias, rather than just a numeral. For example, Exhibit 5 instead of 5. !is provides an accurate context for the link.

To add aliases:

1.! Double-click the "le name of the exhibit which you want to link to the transcript. !e Aliases dialog box is displayed.

2.! In the box next to ADD , type the alias (word or phrase in the selected transcript that will link to the exhibit). (Double-clicking the transcript !le name in the Transcript box opens the transcript in Microsoft Notepad, allowing you to copy and paste the exhibit alias directly into the alias box. You can copy and paste words or phrases, but the copied text should not extend over the end of a line. You can add multiple aliases for each exhibit; for example, Plainti!’s No. 1 , Plainti!’s 1 , and so on.)

3.! Click ADD or press Enter. "e alias is added to the list on the Aliases dialog box, as shown in the following !gure.

NOTE: Because a given exhibit may be referred to in various ways throughout the testimony, for your client’s ease of use, link the exhibits to your index page using a phrase. For example: EXHIBIT PAGE Exhibit 1 5 Exhibit 2 10

4.! Repeat Steps 1 - 3 until you have added all of the necessary aliases for the exhibit.

5.! Click DONE when you are !nished, and repeat these steps for each exhibit. A blue arrow is displayed to the left of the transcript and associated exhibit !le names, indicating that aliases have been assigned for that transcript and related exhibits. A red arrow indicates that aliases are still needed.

NOTE: Your .SBF !le has not yet been created. However, you should save your transcript and exhibit !le selections and aliases at this point. For information, see Saving a Session.

Saving a Session

Once you have selected the transcripts and exhibits that you want to include in your .SBF !le, and have created aliases for each exhibit, you should save your session.

To save a session:

1.! On the Briefcase dialog box, click SAVE . "e Session dialog box is displayed.

2.! In the box, type the name that you want to use for the session and click SAVE . An .XML !le containing the transcript and exhibit !le names as well as the aliases is created in the Sessions folder in the TranSendCRPlus subdirectory under the Summation directory.

NOTE: If the session has been previously saved, a dialog box is displayed asking whether you want to overwrite the existing session by the same name. Click OK to overwrite the session.

3.! On the Briefcase dialog box, click DONE .

4.! On the main dialog box, a white checkmark is displayed next to the Select Transcripts and Exhibits icon, indicating that this step is complete, as shown in the following !gure.

NOTE: Saving a session preserves the transcript !le name, exhibit !le name and alias information you have selected so that you can later reload the session to add additional transcripts, exhibits or aliases as long as the underlying transcript and/or exhibit !les have not been moved in the meantime.

If there are any exhibits that do not have aliases assigned to them, a red checkmark is displayed, along with an Un-Aliased Exhibits! message, as shown in the following !gure.

To add aliases, click the Select Transcripts and Exhibits icon to return to the Briefcase dialog box and add aliases to exhibits. Exhibits must have assigned aliases in order to be brought into AD Summation through an .SBF !le. For more information about adding aliases, see Adding Aliases.

Securing the .SBF File

When you create an .SBF !le, TranSendCR Plus gives you two options for securing it:

! You can use AD Summation default encryption. "e .SBF !le can then be unlocked only when loaded into AD Summation.

! You can manually set a password (optional), and then provide that password to the client either by separate e-mail or by phone. "e .SBF !le can then be unlocked only by using the password.

Both options are described in this section.

NOTE: Regardless of the security option you choose, the .SBF !le is created when you click the Set Transcript Briefcase Password icon on the Briefcase dialog box. At this point, all transcript and exhibit !les that you have selected to included in the .SBF !le must be available to TranSendCR Plus (for example, residing on your computer hard drive or on a disk or CD that is currently loaded in your computer).

To secure the .SBF !le with AD Summation default encryption:

1.! On the main dialog box, click the Set Transcript Briefcase Password icon. A white checkmark is displayed next to the icon, indicating that this step is complete, and the text box remains blank. "e .SBF !le has now been crea ted, and the .SBF !le size is displayed.

To secure the .SBF !le with password protection (optional):

NOTE: If you password-protect a !le, be sure to supply the password to your client so that they may unlock the !le while loading it into AD Summation software.

1.! Type a password in the text box.

2.! Click the Set Transcript Briefcase Password icon again to set the password. A white checkmark is displayed next to the icon, indicating that this step is complete, and the text box displays the password. "e .SBF !le has now been created, and the .SBF !le size is shown.

NOTE: If you have any exhibits that do not have aliases, and you click the Set Transcript Briefcase Password icon, a message is displayed informing you that you have exhibits without alias information, and that these exhibits will be removed from the set. Click Cancel to return to the main dialog box to add alias information. (On the main dialog box, click the Select Transcripts and Exhibits icon to go to the Briefcase dialog box to add alias information. For more information about aliases, see Adding Aliases.) Click OK if you want to remove exhibits without alias information. "ese exhibits will not appear in AD Summation when your client loads the .SBF !le.

Changing TranSendCR Plus and E-mail Message Options

TranSendCR Plus creates an e-mail message, with the .SBF le attached, that can edited and sent on to a client.

To edit e-mail options before sending the message:

1.! Click OPTIONS on the TranSendCR Plus dialog box. e Options dialog box is displayed.

NOTE: Setting e-mail options is optional. To skip these settings, click Cancel, and move on to sending the .SBF. For more information, see E-mailing the .SBF File to the Client.

e following table describes the Options dialog box:

AREA OF THE DIALOG BOX OPTION OR BUTTON DESCRIPTION

Program Options Warn if Session Not Saved Select this option to have TranSendCR Plus prompt you to save your session.

Program Options Check Internet for Updates Select this option to have TranSendCR Plus check for new versions of the product. When the update button (light-blue circle) appears to the upper right of the TranSendCR Plus logo, click the update button to access AD Summation’s Web site for program updates. You must be connected to the Internet to access the program update feature.

Program Options Create Old TranSendCR Format Select this option if your client does not have AD Summation Blaze LG/Gold/iBlaze Version 2.5 or later or AD Summation Enterprise. The old TranSendCR format can send only one transcript and no exhibits. If you select this option, you will receive a warning when you attempt to send the message to your client.

AREA OF THE DIALOG BOX OPTION OR BUTTON DESCRIPTION

SBF File Options Email SBF as Attachment Select this option if you would like TranSendCR Plus to create an e-mail message, which you can edit as needed. Click Email Options to edit the default e-mail options (such as the e-mail subject line and message body). For information about the Email Options button, see Setting E-mail Options.

SETTING E-MAIL OPTIONS

When you click E-mail Options, the E-mail Options dialog box is displayed. Any changes that you make in this box will appear in every e-mail message that you create in TranSendCR Plus. Alternatively, you can choose to edit an individual e-mail message after it is created.

To set e-mail options:

1.! On the Options dialog box, click E-mail Options. !e E-mail Options dialog box is displayed.

2.! Specify the options for e-mail. Refer to the table below for more information.

3.! Click DONE to save your changes and return to the Options dialog box, or click CANCEL to discard your changes and return to the Options dialog box.

NOTE: If the DONE button is not visible on the screen, click anywhere on the E-mail Options dialog box and drag it to the center of the screen. Proceed to E-mailing the .SBF File to the Client.

Receipt Options Read Receipt Select this option to have a read receipt sent to you when the recipient opens the e-mail message. (This may not work with some e-mail systems.)

Auto Addressee Auto TO Select this option to set a default e-mail recipient for all TranSendCR Plus mail (such as your Billing or Production Department), and type the e-mail address in the text box. Separate multiple addresses with semicolons.

Auto Addressee Auto CC Select this option to set a default e-mail recipient for all TranSendCR Plus mail (such as to CC your Billing or Production Department), and type the e-mail address in the text box. Separate multiple addresses with semicolons.

Subject Text Box Click inside the Subject text box and change the text as needed. This text will be your new default subject line.

Message Text Box Click inside the Message text box and change the text as needed. This text will be your new default message text.

ATTACHING THE .SBF FILE MANUALLY

If you want to manually attach an .SBF "le to an e-mail message, copy it to a disk or burn it to a CD for delivery, or to archive the SBF "le locally for later retrieval, select Save SBF as File on the Options dialog box. (For more information about the Options dialog box, see Changing TranSendCR Plus and E-mail Message Options.) When you select this option, the TranSendCR Plus dialog box is displayed, with an option to select a location to save the Briefcase "le (see the "gure on the next page).

To specify a location to save the !le:

1.! Click the SBF Disk icon. "e Save AD Summation SBF File dialog box is displayed.

2.! Browse to the folder in which you'd like to save the .SBF !le.

3.! In the File name !eld, rename the !le as needed. (Be sure to retain the “.SBF” !le extension.)

4.! Click Save. A white checkmark is displayed next to the SBF Disk icon on the main dialog box.

5.! Click Exit TranSendCR . You can now copy the .SBF !le to a disk, write it to a CD, archive it on your local system or open your e-mail program, create an e-mail message, and manually attach the .SBF !le.

E-mailing the .SBF File to the Client

You are now ready to send an e-mail message with the .SBF compressed attachment (containing the transcripts and exhibits) to your client using an automatically created e-mail message.

NOTE: Messaging Application Programming Interface (MAPI) is an industry standard allowing products like TranSendCR Plus to take advantage of your e-mail program through Microsoft Windows. Not all e-mail programs are MAPI compliant. !ose that are (for example, Netscape Mail, Eudora, Outlook Express, and Microsoft Outlook) should interface with TranSendCR Plus seamlessly.

If you send e-mail using a WebMail system like MSN Hotmail, refer to the Changing TranSendCR Plus and E-mail Message Options section, select Save SBF as a File on the Options dialog box, and follow the instructions for creating your own e-mail message and manually attaching the .SBF "le.

To automatically create an e-mail message:

1.! On the TranSendCR Plus main dialog box, click the White Envelope icon.

Microsoft Outlook opens an e-mail message with the Subject line pre-"lled, a message containing ADSummation loading instructions, and the attachment already attached, as shown in the "gure on the next page.

2.! Type the e-mail address of the client in the To box of the e-mail message. You can optionally edit any of the other items (for example, to specify the witness's name and deposition date in the Subject line).

3.! Click Send to send the message. !e message is sent to the client with the .SBF "le attached. A white checkmark is displayed next to the White Envelope icon on the TranSendCR Plus main dialog box, indicating that this step is complete.

NOTE: If you’d like to be able to easily retrieve your SBF "le later on (for example, to send to new counsel in the case), before e-mailing the SBF, "rst save it as a "le (see Attaching the .SBF File Manually) and archive it on your system. !en reset the SBF File Options to E-mail SBF as attachment and e-mail the .SBF "le to your client.

When Your Client Receives the .SBF File

.SBF !les are easy to load into AD Summation. Your client simply drags and drops the .SBF !le into the Transcripts subdirectory of the AD Summation Case Explorer.

A series of screens walks your client through the loading and updating process. When your client clicks on an exhibit alias in the transcript text, the exhibit image is displayed in tandem with the transcript testimony.

In addition, information about each exhibit is automatically entered into !ve !elds within the AD Summation Core Database, saving valuable time for your client:

! DocID – Contains an EXH pre!x and consecutive numbering (such as EXH0000023).

NOTE: "e DocID number automatically assigned re#ects the order in which exhibits have been loaded into the Core Database via an SBF !le, not the actual exhibit numbers themselves. TranSendCR Plus does not enable you to specify a given DocID for a given exhibit when creating the SBF !le.

! DocType – Contains the exhibit's name as Exhibit for <transcript name>.

! DepoIDs – Contains the page and line number of all places where the exhibit is linked within a transcript.

! DepExh# – Contains the assigned aliases for the exhibit.

NOTE: If you assign an alias such as “Plainti$’s Exhibit 1,” this verbiage is displayed in the DepExh# !eld and provides a means for easily locating the record for Plainti!’s Exhibit 1 in the Core Database.

! DocLink – Holds the link/path to the image of the exhibit.

Your client can add additional text, issue codes, and so forth and can search through AD Summation's Core Database for information contained in any of these !elds.
