Claims Procedure

1. Check customer contract to verifya. Expiry date. b. Expiry kilometres. c. That services have been carried out at your dealership (or within your group) at the required intervals.

2. Is the component covered?Check the parts covered listing in the contract.

3. What is the estimated cost?Is that cost within the “Claim limits” in the customer’s Contract? Should the repair cost exceed the limit of liability, advise your customer immediately. The customer must pay any amount exceeding the contract limit of liability. Remember too, that service items are not covered, even as part of an authorised repair.

4. Phone Harrier National on 0800 700 004Phone for an authorisation number before beginning repair. Harrier’s expert consultants will confirm that the contract remains in force (ie. not cancelled, expired, etc.) and the component is covered under the Plan.

5. After the repairClose the finalised Repair Order (R/O) and charge to your dealership’s internal in-house Mechanical Protection Plan account.

a. Email the final Repair Order (R/O) to [email protected].

b. Harrier National will check and validate the Repair Order for final approval.

6. Claims accountingApproved claims are paid from your Dealership claims fund reserve. At the end of each month an Approved Claims report will be distributed to your management. Approved claims should be transferred from the internal in-house Mechanical Protection Plan account to the claims fund reserve.

To ensure your claim is processed as quickly as possible, please follow these steps when making a claim.

Please noteThis Plan is not designed to repair faults existing at the date of sale of the vehicle, or within the statutory or factory warranty periods.

Repairs approval outside your metropolitan areaOn a very rare occasion, a claim will occur outside your area. The repairer should contact us on our 0800 700 004 number. We will confirm that the contract is current, the part is covered and the amount is realistic, and we will then contact your Service Manager and obtain an order number. You will treat it as a normal sub-let, phone it in to our office and get a claim number. The repairer will be requested to send his R/O to you. You will send your R/O to us. We will vet the R/O and include it in our monthly report. Your administration department will then remit payment to the repairer. Note: if the repairer contacts you direct, please phone us and obtain an authorisation, in the normal way.
