It is highly recommended if possible that you use a modern browser such as IE8 or above,
or one of the following free alternatives:

Dashboard
The dashboard is where you can view all your messages from trainers, local admins and
the super admin. You can also view the status of theories and workbooks. Click on the
buttons on the left to change between the different functions.
Messages
Listed here are all messages from trainers, local admins and the super admin. These will
typically include notifications of workbooks being approved or rejected.
By default, you only see the subject of a particular message. You can reveal the content
by clicking on its corresponding “Show” link.
To prevent cluttering your dashboard with old messages, you can click on the “Delete
message” link to permanently remove the message from your inbox.

New Message
You can send a message to your trainer by clicking on the “New message” button.
Enter a subject so the trainer knows what your message is about, and enter your enquiry
below.
When you are happy with your message, click the “Send message” button. If you would
prefer not to send the message, simply click “Cancel” instead.

Incomplete Theories
Clicking on this button will display a list of all the theories you have not yet completed. To
take a theory, simply click the corresponding “Continue” link.

Incomplete Workbooks
Message Types
Messages are divided into two types:
Group - messages can be viewed by all the trainers assigned to a trainer group. They can
also be viewed by the local admins for the area and the super admin. When a trainer or
admin responds to a message - for example, they approve a workbook approval request -
the message is marked as actioned and will no longer appear in the other trainers'
dashboard. This prevents multiple responses to the same requests.
Personal - messages can be viewed only by the person they were sent to.
Clicking on this button will display a list of all the workbooks you have not yet completed.
To complete a workbook, simply click the corresponding “Continue” link.

Expiring Workbooks
Clicking on this button will display a list of all your workbooks expiring within the next three
months. Workbooks are valid for one year from the date of approval, after which they will
be locked and new ones must be created.
Theoretical Training
Clicking on this tab will display a list of all the competencies you can take theoretical
training for. Just click on a competency to begin the training.

Training is split into a series of learning nuggets, each of which is further subdivided into
named sections. When you have completed a section it will be marked as such. When
you have completed all sections, the nugget will be marked as completed. You can re-
view completed sections by clicking on them in the left hand menu.
You can leave the site and return at any time. You will begin at the section you last
viewed.
When you have completed all sections of the training, you will unlock the ability to create
workbooks. Click on “View workbooks” to see a list of all workbooks created for the
particular comptency.
Workbooks
Clicking on this tab will display a list of all the competencies you can create workbooks for.
Just click on a competency to view your workbooks.
The “Select competency” dropdown is available on this page and all those nested under it,
and is a quick way to change between competencies. Simply select the competency you
want to view. You might also have to click the “Go” button.
The other dropdown lists all the children you currently have assigned to you. Select a
child code from the dropdown to view all the workbooks for that child. You might also have
to click the “Go” button.

Workbooks by Competency
This is the default workbook view that you will see if you click on a competency on the
Workbooks index page or if you select a competency from the dropdown.
The page lists all the workbooks for the specified competency, divided into Incomplete,
Complete, Submitted and Approved.
You can create a new workbook by clicking the “New Workbook” icon and selecting a child
code. This will create a brand new workbook.
If you have had a workbook for the specified competency approved within the last three
months, you will be able to clone specific questions. If you have had a workbook for any
competency approved within the last three months, you will be able to clone generic
questions. More details on cloning are in the View a workbook section below.

Workbooks by Child
This is the view that you will see if you select a child code from the dropdown, or click on a
child code on the Workbooks by Competency page.
The page lists all the workbooks across all competencies for the specified child, divided
into Incomplete, Complete, Submitted and Approved.
You can create a new workbook by clicking the “New Workbook” icon and selecting a
competency. This will create a brand new workbook.

If you have had a workbook for any competency approved within the last three months,
you will be able to clone generic questions. More details on cloning are in the View

View a Workbook
Workbooks are divided into three question types:
• Child-specific – questions that only relate to the child that is the subject of the
workbook. These questions are coloured blue.
• Specific -questions that relate to the specific competency. These questions are
coloured purple.
• Generic – questions that relate to all competencies. These questions are coloured
grey.
You can clone both specific and generic questions, which will save you a lot of time when
creating new workbooks.
If you have had a workbook for a particular competency approved within the last three
months, any specific questions in newly created workbooks for that competency will be
automatically completed.

If you have had a workbook for any competency approved within the last three months,
any generic questions in newly created workbooks will be automatically completed.
Child-specific questions are never cloned as they are specific to the child the workbook
relates to and therefore different for each workbook.
Completing a workbook
After starting a workbook, you should begin working through the questions in each section.
Questions come in several different types:
• Interactions – usually checking sections on a diagram or dragging and dropping
labels to the correct positions.
• Multiple choices, single answer – select a single answer from a list of possible
answers.
• Multiple choices, multiple answers – select multiple answers from a list of
possible answers.
• Re-order list – drag and drop items in a list to place them in the correct order.
• Sort into lists – drag and drop items to arrange them into two lists.
Complete all questions in a section to complete the section, and all sections in the
workbook to complete the workbook. Completed questions and sections will be marked
accordingly. You can leave the workbook at any time and your progress will be stored.
When you return, you will begin at the last question you viewed.
Submitting a workbook
Once you have completed all sections of a workbook, you will be prompted to submit it.
You will also be able to print off the child-specific sections and a form for your trainer to
sign.
Once your workbook is submitted you will be unable to edit any child-specific sections.
After approval, these sections will once again become editable.
If your workbook is rejected, you will receive a message from your trainer stating why

and providing instructions on what to do to correct the problems. The child-specific
questions will be unlocked so you can make the necessary changes. Once you have
made the corrections, you can re-submit the workbook.
