Background & Participants The School of Engineering offered a project work to 4 foreign exchange students and 2 Finnish-speaking students at Oulu UAS (see more below.) As coordinators and supervisors worked Bastian Fähnrich and Lauri Kurkela. The following students were recruited and took part in the entire project: Diana Frate (Romania, Politehnika University of Timisoara) Marius Stan (Romania, Politehnika University of Timisoara) Vlad Socaciu (Romania, Politehnika University of Timisoara) Miroslav Hajnos (Slovakia, Matej Bel University) Katja-Maaria Kilponen (Finland, Oulu University of Applied Sciences, School of Music, Dance and Media) Joni Saastamoinen (Finland, Oulu University of Applied Sciences, School of Music, Dance and Media) The project was derived from the need to document the Conference in International Affairs in Finnish Higher Education Institutions (in Finnish Korkeakoulujen kansainvälisten asioiden hallinnon kevätpäivät) by means of audio, video and enhanced ppt material (see below: Tasks a, b and c). The conference is organised annually on a national level in one of the university cities of Finland. In 2009 it was in Oulu from 4-6 May, at the Oulu University of Applied Sciences and the University of Oulu. It was carried out in a joint effort by the Centre for International Mobility (CIMO, http://www.cimo.fi), the Oulu University of Applied Sciences and the University of Oulu. It gathered approx. 400 experts in international affairs from higher education institutions all over Finland, and they met and work together by means of network meetings, info events and stands, keynote presentations, sessions, workshops and round table gatherings. The sessions and round tables followed tracks with reference to a particular topic, for example, integration of foreign degree students etc. The conference language was Finnish/Swedish, but some sessions and keynote presentations were delivered in English. Meetings & Team Work Kick-off meeting: Thursday, 19 March at 14.00 in the room 1432 (meeting room 2, close to the library of the School of Music, Dance and Media). Other meetings were negotiated within the team and subteams. Intermediate Meeting: Wednesday, 29 April 14.00 - 16.00 in the room 1432 (meeting room 2, close to the library of the School of Music, Dance and Media). Evaluating the project in progress, finalising tasks and practical arrangements relating to the conference. Final meeting: Tuesday, 26 May 14.00 - 16.00 in the room 1432 (meeting room 2, close to the library of the School of Music, Dance and Media). Presentation of results, evaluation of project regarding objectives, workload, outcomes, teamwork etc. were dicussed. See also screenshot below, from Google Docs). Further meetings were arranged among the participating students, and other means of communication than face-to-face gatherings were used, such as Google Docs etc. Here’s a screenshot of Google Docs from the supervisor’s point of view (Bastian Fähnrich):
However, the meetings and communications haven’t proven as efficient as initially planned due to a lack of commitment (time constraints on behalf of partipants) and different (individual and cultural) approaches to team work and communication. The challenge of clarifying roles and taks within the team at various stages of the project was overcome at times in face-to-face meetings, but regarding finalising the tasks some misunderstandings occurred in addition with technical difficulties, which eventually lead to a delay in accomplishing the tasks on time. Throughout the project the team and supervisor encountered also difficulties to get information (contact details of session speakers etc.) from the conference agency and steering group. This caused also delay, and unfortunately recordings of an English-medium session and another one on an important topic (tuition fees) couldn’t be carried out. The participants expressed a wish (final meeting) to receive more guidance on behalf of the supervisors, and it was agreed that this could have been achieved by an additional intermediate meeting. However, the team members had been informed regarding tasks in various ways, for example, the planning document and via the mailing list ([email protected]).
The enhanced PowerPoint presentations (ppt) and recordings (audio, videos) had to be completed two weeks after the conference (21 may 2009), and they had to be submitted to Konffa (Paula Kustula). However, due to technical and other difficulties the timetable had to be stretched considerably. The project reports had to be returned to Lauri Kurkela and Bastian Fähnrich latest by 6 June 2009. According to these, the participants recognised the challenges of this project (and porject work in general) but concluded that the project on the whole has given them a lot of learning opportunities and they’ve managed to acquire new technical skills, intercultural compentence and team work. The entire project lasted 18 March – 8 June 2009, and its workload corresponded to 3 ECTS credits, that is approx. 80 hours of work in the team and/or individually, including meetings etc. See also http://www.oamk.fi/english/exchange_opportunities/ects/about/ > ECTS Credits The students received a certificate (in English) and the credits were transferred as planned (see below) as 3 ECTS cr after successful completion of the project tasks. In addition, the payment (compensation) was dealt with by the students (tax cards) together with the Finance Office of Oulu UAS’ School of Engineering. Learning Objectives Student understands the principles of project work and learns to carry out a project from the planning phase till the final results. At the same time student develops a better understanding of the field and subject of the project in question. The project at hand is especially designed to use new technologies in higher education (see also above and below, project reports).
Language The language used in the project is English. Some tasks may be related to the Finnish language, but they will be tailored that no Finnish language skills are required.
Contents The contents of the project is defined and tailored according to students' field of study and the individual project requirements set by the School of Engineering and the student's home university (see as follows, above and below).
Methods Individual and group work: planning the project, defining tasks (individual and/or collaborative), acquiring and reading literature and other sources relating to the project tasks, selecting appropriate tools and familiarising with technological equipment, creating a timetable, carrying out the tasks, devising a project, attending meetings with team members and supervisors etc.
Tasks (a) Audio Recordings of Occasions and Enhanced PowerPoint Presentations The students’ tasks is to create audio-enhanced ppt’s from occasions (session or keynote and existing ppt material) by using Adobe Presenter and/or BB Flashback Express etc. Other enhancements can be done too, for instance, graphics, cursor movements etc. The completed ppt’s will be published on the website of the conference within two weeks after the conference. The idea is to cover all keynote presentations and a few sessions or round table gatherings of the tracks pertaining to the conference. The practical ways to approach the presenters and technology to be used has to be agreed upon with the supervisors of the project (see below). Unfortunately, permissions couldn’t be received in one of the English-speaking sessions, and also of sessions with very interesting topics such as tuition fees.

(b) Video Recordings of Occasions The students’ tasks is to create videos (raw material and edited versions) from occasions by using a video camera, sound recording and editing equipment. The videos will be published on the website of the conference within two weeks after the conference, either on the Oulu UAS server or on YouTube. The practical ways to approach the presenters and technology to be used has to be agreed upon with the supervisors of the project (see below). The interviews must be fairly short, they should be funny, serious and/or witty - the student and team may use their own creative means. Each topic may cover 1-3 minutes of edited video. The completed videos will be published on the website of the conference within three weeks after the conference. Topics:

(d) Project Report Each student had to pepare and hand in a report of the project, that is one (1) A4 page written text, including the description of project tasks and the way these were met, including the self-evaluation of the project as a learning process, teamwork, use of technology etc. The report could be also done as a video production, photo journal or by other creative means, individually or as a group effort. It had to be returned to Lauri Kurkela and Bastian Fähnrich by 6 June 2009 (see assessment above).
Requirements Student completes a project according to the agreed requirements and tasks. Required project documentation and specific tasks are agreed upon at the beginning of each individual project.

Prerequisites Expertise and interest in relevant areas and social skills in carrying out the project individually and as a team member.
Assessment Pass / fail. All participating students will receive a reference letter, and the project work will be mentioned in the transcript of records of the exchange students according to ECTS. Finnish students may credit the project work in their degree programme either as free-choice or compulsory studies etc., and are advised to consult the head of their degree programme and/or international coordinator.
