COMPANY PROFILE
SAGE PROJECTS LTD is a professional firm of Consulting Quantity Surveyors / Construction Project Managers. We are registered with the Ministry of Roads and Public Works [ M .O.R.&P.W.] and all Directors are members of both the Architectural Association of Kenya [ A.A.K. ] and the Institute of Quantity Surveyors of Kenya [ I.Q.S.K. ].
The company was initiated and registered in Kenya as a limited liability company in the year 2011. The service offered by the Company cover a wide spectrum i.e. Feasibility studies, cost planning, life cycle costing, Bills of Quantities, Tender Analysis, Cash Flow Forecasts and Final Accounts.

PRE-CONTRACT STAGE: QUANTITY SURVEYING EXPERTISE: Carrying out Feasibility studies and life cycle
costing; Preliminary cost analysis, advice, appraisals and 'Approximate Estimating' for early stages of the Project; Preparation of budget cost estimates for the proposed works including cost benefit analysis; Comparative costing during design stage to realize economic designs; Advising on cost saving measures during the construction of the projects including economics of various Building types, materials and modes of construction; Liaison with project team on cost savings; Advice on project Finance from lending institutions; Budgetary and Cost Planning and control/scheduling and related cost control techniques including cost check reviews; Preparation of tender documents including measuring, billing and developing work specifications & conditions of contract; Advice on project procurement options, tendering procedures for appointing Contractors and specialists and contractual arrangements; Initiating and participating fully in tendering procedures; Negotiating tender sums with contractors on behalf of clients; Tender evaluation, analysis and preparation of reports; Advice on type of contract to be entered into between the Developer and the Contractor; Preparation of contract agreements and documents; Reviewing insurance arrangements made by the Developer or the Contractor; Advising on economical contract administration approaches; Revising cost estimates
PROJECT MANAGEMENT EXPERTISE: Site identification and advising on purchase;
Assistance in establishing the brief; Concept design management and definition of the project scope; Appraisal development to ensure everyone is aware of what is expected of the project; Advice on terms and conditions for the appointment of other consultants, such as designers, services engineers, structural engineers and the like; Planning and Scheduling of the design, procurement and construction process; Design co-ordination including reporting on design meetings with regular updates on cost, information required, program/timing and legalities to ensure that designs are within approved client budget, specification and timing; Advise on design and specification in relation to cost and delivery time; Preparation of a master programme for the proposed works, both before and on site, key client decision period, statutory applications, cost checks; Arrangement of finance or the obtaining of expenditure requirements; Life cycle cost analysis - Advice on the life cycle expectancy and costs of constructed components; Advising on contractual implications of project management decisions including Contract/project Documentation; Pre-contract and consultants Co-ordination.
The Quantity Surveying Services Offered at Various stages of a Construction project Inception
POST-CONTRACT STAGE:
QUANTITY SURVEYING EXPERTISE: Preparation of cash-flow projections and forecasts for payments to contractors throughout the project to assist the clients in preparing their projects budgets; Valuation of contractors and specialists' works including preparing interim valuations /payments; Cost control throughout the project; Preparation of financial appraisals during the construction stages of the project to keep the clients posted on the financial position, including anticipated final account for the project; Advising on the avoidance and/or settlement of contractual claims and disputes including evaluation and settlement of such claims as they arise (contract dispute resolution mechanisms including arbitration); Evaluating and assessment of variations and Contractors' claims; Preparation of final accounts including Settlement of the final building cost or claims with contractors and sub-contractors; Regular cost checks throughout the above process; Attending of site meetings throughout the project period;
PROJECT MANAGEMENT EXPERTISE:
Managing, co-ordinating and supervising the contractors, artists and consultant team as required; Project cost monitoring; Preparing monthly situation reports on progress and costs of the works to ensure that the client is fully informed on progress from design stage throughout all construction stages; Site management : - Management related to the physical on site construction process including, administering regular progress meetings, confirming interim and final payments, Practical Completion and Making Good Defects procedures and completion; Employer's /Client representation: - Management and monitoring on behalf of Client; Advising on the avoidance and/or mitigation of implementation risks; Procurement and management of specified maintenance contracts.
COMPLETION STAGE:
PROJECT MANAGEMENT EXPERTISE: Assisting in collating as-built documentation and all necessary confirmations of statutory consents; Organizing, programming and assisting in inspecting completed works and, completion of any snagging or unfinished works by contractors and specialists; Project audit & evaluation; Commissioning.
CONSTRUCTION PROJECT COST EXPERTISE:
Preparation of tender documentation to enable quotations to be received; Analysis of tender information from Contractors, Sub-contractors and Suppliers; Preparation of detailed quotations and cost breakdowns; Preparation of specifications; Preparation of Bills of Quantities; Analysed Bills of Quantities pricing; Preparation of Material and Labour Schedules; Resource scheduling for a construction project and associated programme analysis; Reinstatement costs / Assessment for Insurance purposes - Survey, measurement and assessment of replacement costs of buildings and other constructed products for insurance purposes; Fire and other losses assessment, valuation and adjustment; Valuation of dilapidations; Contract Claim advise; Negotiating
Correspondence: Handling all correspondence regarding contract, Instructions, Notifications, Information, Variations, Certificates, Payments, Re-measurements, Subcontracts & Suppliers via Emails, Phone calls and verbal deliberations/discussions and maintaining an up-to-date correspondence log.
Payments/finance: Preparing applications for payments, follow up on valuations /payment certificates & Contractual payment
periods, Chase for approval of variations and payment therefor, Maintain & Update Payment Schedule, Financial appraisals, interest on delayed payments, interest on retentions and cost control with respect to Materials, Labor, Equipment, works done and overheads, and preparing final accounts, Preparation of site budgets and cost plans(both planning and as-built budgets) including preparation of cash flows and financial projections; and controlling and monitoring the budgets against actual work progress.
Variations: Analyze & Evaluate site instructions/variations & additional works in terms of: area affected by the order, if
ordered works have commenced/been programmed/are completely new; if the order caused stoppage or disruption to other operatives/equipment/subcontractors or if the order caused re-direction of operatives or equipment and to where/if the order affected sub-contractors/if the order require ordering of more materials and their delivery dates/if the order requires notice to the Engineer in accordance with a contract clause/ and if the order require a notice for claiming extension of time. And maintaining an up-to-date variations/instructions register.
Reports: Preparation of Monthly progress reports (Giving an account of Project/contract since commencement date) and
Situational reports (Giving an account of project/contract for a specific period e.g. weekly, fortnightly, monthly etc.) Program of Works: Preparation and managing Program of Works - Original/baseline program of works, impact Program of
Works for delays, updates, Percentage completion of works, revising Programs. Contracts: Advising, Subcontracting, drafting and Signing of Subcontracts, Subcontract awarding and administration,
receiving, analyzing and qualifying subcontract costing/quotes, Negotiating rates and sub-contract costs. Claims: Related to Extension of Time, Extension of preliminaries, Labor costs, revised rates, lost profits, Interest on costs,
Interests on retention. Site Meetings & site inspections: Deliberate on project matters, send / receive / deliver Requests For Information, Requests
For Approvals, drawings, changes and generally seek for action and feedback on all pending responses / approvals / information / detail, etc.
Co-ordination Meetings: Dealing with/solving technical issues, ensuring flow of information to all relevant parties,
consulting/deliberating with site supervisors / Agents / Contract managers and Engineers. Site Visit/tour: Recording progress, Taking progress Photos, solving site issues, managing planned against progress schedules. Re-measurements: Comparing actual work done with tendered work, Final accounts. Miscellaneous: Maintaining Correspondence Log, Drawings issue log, Site Instructions log and general Filing and
documentation.
