This involvement and mutual understanding makes a significant difference to the environment of the Academies and greatly enhances the Academies core activity of teaching and learning. JOB TITLE Estates Support Manager

EMPLOYER University of Brighton Academies Trust

LOCATION/S Academy Trust offices, Secondary Academy and Primary Academy sites – across East and West Sussex

SALARY AND WORKING HOURS Single Status Grade 8 to 9 £22,074 to £26,705 pa

Subject to qualifications and or experience.

As the post requires travel between locations it qualifies for a mileage based allowance.

37 hours per week, 52 weeks a year

RESPONSIBLE TO Estates and FM Director

RESPONSIBLE FOR Developing relationships, management and monitoring of academy based estates staff.

MAIN PURPOSE OF THE JOBTo provide Estates & FM (EFM) support services to academic partners.

To support the Estates and FM Director and the Department in the management and delivery of EFM services.

Monitor and assist in the development of SLA’s and KPI’s linked to department and contractor performance and output.

Audit statutory and mandatory compliance in all Health and Safety matters. Including assessment and monitoring, and reporting to the Estates and FM Director any safety concerns.

Identify and assist in staff training and support including staff induction, Performance Management and CPD.

Line Management responsibilities and support for academy based staff.

Work with the Estates and FM Director to develop and identify good working practice and its implementation across the Trust

MAIN TASKS / KEY RESPONSIBILITIES

1 Provide EFM services to the Trust estate across its Primary and Secondary Academies and Trust offices as required.

2 To provide assistance and information to stakeholders in line with departmental objectives and responsibilities including;• Responding to queries in respect of EFM support services• Prioritising queries, deal with or escalate as required• Circulating and collating management information between stakeholders • Point of contact for Contractors, Staff and Visitors• Developing, implementing and reviewing good practice

3 Use and adapt record keeping by providing reports on performance against Standards (KPI’s) including;• Following good practice in Auditing, Record Keeping, and Review and follow up• Work with the Estates and FM Director to define, agree and expand SLA’s and KPI’s across the Trust estate• Maintain an accurate and up to date asset register for Academies and ancillary buildings

4 Follow good practice in the assessment, implementation, recording, and development ofHealth and Safety including;• Working with the respective stakeholders to ensure Health and Safety compliance

• Keeping, Recording and advising on H&S training and development• Reporting any concerns raised following H&S inspections and Risk Assessment• Assist with preparation, implementation and review of Trust risk assessments

5 Co-ordinate, advise and where applicable deliver project works in relation to SLA’s and EFSA guidelines including; Lead on Trust funded capital projects Procurement of Trust funded capital projects Support academy funded capital projects Contract Management

6 Promote good working practices in EFM and service delivery. Disseminate good practice to stakeholders, colleagues and partners• Record good working practices as Departmental Policy and guidance on working• Staying up to date with developments in FM to implement and promote new and good Practice

7 Carry out Line Management duties and responsibilities including; Performance Management Target setting Identifying training requirementsFinancial responsibility and control of specified local estates budgets including; budget setting Authorisation of expenditure Budget monitoring and reporting

8 To provide a customer focussed, professional service to all internal and external clients and build strong robust working relationships with peer groups and senior managers

9 To work with minimum supervision and with excellent Time Management and prioritizing principles

10 To carry out all activities in line with the Trusts policies for Health and Safety and Equal Opportunities

11 To participate in professional development activities and performance management activities as required

12 To undertake other reasonable duties as directed by your line manager
