How It Works 1. Workforce travelers enroll in CLC’s
CheckINN Card program. 2. Members present their CheckINN
Card to the hotel at check in. 3. Hotels ―swipe‖ the CheckINN Card
to authorize the stay against the member’s registered credit/debit card.
4. Hotels notify CLC Lodging of the member stay. CLC Lodging bills the CLC discounted member rate, as displayed on the member’s online account or provided by CLC, taxes and fees to the registered credit/debit card.
5. Members receive an e-mail invoice statement showing the total amount billed.
6. The invoice statement is posted to the member’s online account.

Temporary CheckINN Card Vouchers for New Accounts 1. New members can use a temporary
CheckINN Card voucher for 21 days until the permanent CheckINN Card arrives.
2. Members print the temporary voucher and present it to the hotel at check in.
3. If several stays are required, members can print multiple temporary vouchers to take with them on their travels.
4. Members can View, Print or E-mail the temporary voucher from the online account.

Accessing Member Rates Member rates are available from CLC Lodging from the online account or via CLC’s mobile apps. . 1. Members click on “View
Your Rates” to view member rates for a 2-week period. Member rates are updated weekly, each Sunday.
2. Members see the hotel’s Lowest Published Rate, the member rate and the savings.
3. Member rates displayed on the online account or provided by CLC are billed to the credit card (not rates provided by hotels.)

Order Lodging Directories
Order a Print Hotel Lodging Directory 1. Members can order a print version
of the hotel lodging directory by clicking on the Order Lodging Directory/Insert on the ―My Account‖ tab.
2. The lodging directory displays hotel information, plus hotel rate ranges as $ signs with the $ indicator ranging from the lowest rate ($) to the highest rate ($$$$$).

Checking In 1. Members present their CheckINN Card to the
hotel at check-in. 2. Hotels using CLC Lodging’s electronic
WebCheckINN system and ―swipe‖ the CheckINN Card to authorize the stay against the account holder’s registered credit/debit card.
3. Members may see an authorization amount on their credit card account, which is not a billing but an authorization of availability of funds only.
4. Hotels processing CLC Lodging’s stays manually will take an imprint of the CheckINN Card at check-in.
5. Members may be asked to provide a credit card for incidentals only. Rooms, taxes and fees are billed directly through CLC Lodging.
6. Members may be asked to provide proof of identification.
7. Hotels will ask members to sign either a registration card, a hotel folio or voucher.
Checking In
Check-in Questions Members experiencing any questions at a hotel can call our Traveler Support Center for immediate assistance. When should members call? • The hotel states they do not
accept the CheckINN Card although they are listed as a participating hotel.
• The hotel is unsure how to process the CheckINN Card.
• The hotels states they have no room availability when the member has made a reservation.
• The member’s CheckINN Card is declining at the hotel.

Checking Out 1. Hotels present a hotel folio* at check-out or
members may request the folio from the hotel. 2. Members are encouraged to review the hotel’s
registration card, folio or voucher and to sign it to validate the length of stay before checking out.
3. Hotels notify CLC Lodging of the member’s stay. 4. CLC Lodging processes the stay and bills the
member’s registered credit/debit card. 5. The member rate billed is the member rate
displayed on the online account or provided by CLC Lodging—not the rate provided by the hotel.
6. Members receive an e-mail invoice statement from CLC Lodging with a detailed breakdown of the charges:
• Lowest Published Rate • Member Rate • Member Savings • Taxes • Transaction Fee • Total Charges

charges. Members are billed the 20-40% discounted
rates as displayed on the online account or provided by
CLC at the time of stay.
CLC Lodging invoice statements are e-

2. Members select the number of cardholders to add.
3. Members can create 5 new cardholders at one time.

stolen cards at no charge from the ―My Account‖ page.
2. Members select ―Replace‖ to the right of the cardholder’s name.

2. Members can add, edit or delete a credit card.

Create Group Owners 1. Members can add sub-accounts,
or Group Owners, to the account. 2. This allows sub-accounts to
register under the main account using a separately registered credit card.
3. Hotel stays for individual Group Owners, and cardholders within the group, are billed to the separately registered credit card.
4. Members invite Group Owners to enroll under the main account by clicking on Create New Group Owner and completing the e-mail invite.
5. Group Owners follow the e-mail instructions to enroll under the account registering a different credit card.

Admin Groups, Group Owners & Cardholders Admin Group: The primary account administrator has full administrative capability for the main account and the group owner accounts.
Group Owner: The Group Owner is registered with a different credit card and can add cardholders to the sub-account. The Group Owner has administrative capabilities for his/her Group Owner account and cardholders only.
Cardholders: Cardholders have no administrative capabilities, but have a Traveler Login ID. Cardholders can access the hotel search tool by logging in with their first initial, last name and employee ID.

Viewing Lodging Transactions 1. Members can view their lodging
transactions by clicking on the ―Account Activity‖ page.
2. Members can search for transactions by Stay or Invoice Date.
3. Transaction details show the hotel’s Lowest Published Rate, the member rate, stay savings and total charges.
4. The member’s registered credit/debit card is typically billed within 5 business days of the stay if the hotel uses CLC’s electronic WebCheckINN billing system.

Referring Associates 1. When members refer friends,
colleagues and work associates, the $9.95 membership fee is waived when they enroll.
2. Members provide the associate’s name and e-mail address, and an e-mail is sent to the associate inviting them to join the CheckINN Card program with the member’s unique referral code.
3. Members can print referral cards from the Refer A Friend page and distribute at trade shows or conventions.
