Account. Select this option also to

start a Smart Account request on

behalf of your Customer.

Enter the Account Name.

If needed you can Edit the Account Domain Identifier (optional - requires additional approval time).

In the Edit Account Identifier dialog box, change Domain Identifier (edit top-level domain or add a prefix).

Click OK to confirm the new Domain ID.

Verify the Account Name and edit if required.

At this point you can click Continue to proceed with the Smart Account request (see previous slide).

If you choose to edit the Account Domain Identifier at the time of Smart

Account request, Cisco will contact you to complete the approval process.

optional at this stage).

Tick the checkbox to select to

provide this information now.

• Country

• Address

• City State/Providence Region*

• Zip/Postal Code*

Note: If state/province and/or zip code/postal

code does not apply, please enter ’NA’

Smart Account, however the items

purchased cannot be used by the

The information from your Cisco.com profile is used to verify your identity when the request is sent

to the Smart Account Admins for review.

Please ensure that your Cisco.com user profile is updated.

Cisco Software Central (CSC)Request Access to an Existing Smart Account – Domain Identifier

You can validate whether a Smart Account

exists by entering the Domain Identifier, so

that you can place a request to get access to

an existing Smart Account.

If you enter the wrong Domain Identifier, an

error message will be displayed.

When a correct Domain Identifier is entered,

the corresponding Smart Account will be

displayed.

The Domain Identifier is the unique ID that

is tied to a Smart Account so it is

important to know the Domain Identifier of

the Smart Account for which you are

requesting access.

When a new request for access is placed for a Smart Account, an email is triggered to all the existing

Smart Account Administrators.

Once a request is placed, an email

is sent to all Admins.

In the scenario in which two

Admins access the request at

same time, once the first takes

action, the second gets a real time

message stating that the request

has been acted upon.

Cisco Software Central (CSC)Request Access to an Existing Smart Account - Access Request Approval

A Smart Account Administrator has two

options:

A. If the request came in from someone

within their own organization (or a

known Partner) they can approve the

request. If you are not sure, you can

contact or email the person concerned.

B. The Administrator can decline the

request if they feel the request is invalid.

In case of an approval, the Administrator will

need to decide the access level.

A Partner can also place requests to access their Customer’s

Smart Account so that they can access and manage the

Account and entitlements on Customer's behalf.

Within Customer’s Smart Account, a Partner does not have the

ability to:

• Accept a Smart Licensing Agreement on behalf of the

Customer

• Be granted a Smart Account Approver role

• Remove a Customer Admin and their privileges.

A Smart Account Administrator can also view and access all the requests from the Access Requests

If a request is pending, the Admin can click on the hyperlinked option to access its details.

Account name can be modified by Account Approver or Administrator in Account Properties tab.

Transaction Based auto Virtual Account Creation is Allowed by default, but can be turned off by SA Admin.

Smart Account Search by Email ID can also be enabled or disabled by SA Admin.

The Account Name should reference the

Company Name, to mirror the Domain of the

Account Owner’s Company.

E.g. If the Domain is Cisco.com, the Account

Name should be Cisco.

Transaction Based automatic VA Creation will

allow (or not allow) for the automatic creation of

Virtual Accounts as part of ordering transactions,

given that the order is for a company and the end

user on the order has the same email domain

(e.g. @company.com) as the Smart Account.

Smart Account Search using member Email ID:

this setting will allow authorized Partners to

search for your Customer Smart Account in

Cisco Commerce by Email ID (address) of know

members of this Smart Account.

In the Virtual Accounts tab, click New Virtual Account to add a new Virtual Account.

Enter a Name and Description for the Virtual Account.

You have to set the Commerce Access Level: select Public or Private*.

Click Save.

Public: the Virtual Account will appear in the

search results of the Cisco Commerce Tools.

Private: the Virtual Account will not appear to

any user in the search results of the Cisco

Commerce Tool. But if the exact Virtual Account

Name is entered manually, such private Virtual

Account can still be assigned to quotes and

orders.

You can create multiple Virtual Accounts within one Smart

Account.

• Create multiple Virtual Accounts within your Smart Account to subdivide your assets and ensure role-based access control.

Virtual Accounts should be used to enable access control

for licenses.

• Virtual Account Users are only assigned to a Virtual Account, so they can only manage licenses in that Virtual Account.

Cisco Commerce Search

• Public Virtual Account names are visible for Partners in the Cisco Commerce (CCW) Smart Account search.

• Private Virtual Account Names are not visible in Cisco Commerce search, but can be assigned by Partners at the time of Quote/Order by typing the exact VA name.

Upon selecting New User, a pop-up appears: Step 1, Identify New User. You can enter the email ID

or CEC ID of the new Smart Account user and then select Search. The system verifies whether a

profile has been set up for them or not.

Smart Account User Virtual Account User

Similar to a Smart Account Admin, this

role allows access to all Virtual

Accounts. A Smart Account User can

perform licensing activities, but cannot

create new Virtual Accounts or perform

User management activities.

Similar to a Smart Account User, but is

limited to the Virtual Account the User is

assigned to – they can perform license

management activities, but cannot add

new users to their assigned Virtual

Account.

Can only approve Smart Account legal

agreements on behalf of the Account

Grant Partner Access to Manage Smart AccountYou can grant Partners access to manage your Smart Account and your licenses by adding them as a User.

There are 4 user roles that you can assign Partners to:

Role Access Level Select this when…

Smart Account Administrator Partners can view and manage license inventory for

the entire Smart Account, and can also perform

Account management activities.

You can select this option if only one Partner will be

managing your entire Smart Account, and also if the

Partner needs to manage Users and Virtual Accounts on

your behalf.

Virtual Account Administrator Partners can view and manage licenses only in

specific Virtual Account(s) for which they have been

granted access. Partners can also manage Users in

the assigned Virtual Account(s).

You can select this option if the Partner will be managing

licenses in specific Virtual Account(s) but not within all the

Virtual Accounts. Please note that the Partner will also be

able to manage Users for the assigned Virtual Account(s).

Smart Account User Partners can view and manage license inventory for

the entire Smart Account.

You can select this option if the Partner will be managing

your entire Smart Account, but you would like to keep

control over the Account management activities (adding/

deleting Virtual Accounts and User management).

Virtual Account User Partners can view and manage license inventory for

assigned Virtual Account(s).

You can select this option if the Partner will be managing

licenses within a particular Virtual Account, but you would

like to keep control over adding or deleting Users within

that Virtual Account.

Please note that by authorizing a Partner User to access your Smart Account, you implicitly acknowledge that it will enable the Partner User to

access all the information within the Smart Account that includes Licenses, Devices, etc.

In addition, please note that as a Customer you are responsible for all the actions performed by your Partners, which includes any licensing

transactions as well.

Smart Account User Security and DeauthorizationEmployer Deauthorization

Previously, after an individual has left their Partner / Customer Organization, the Smart Account

Administrators could remove that User from their Partner / Customer Organization’s own Smart Account.

However, they could not remove that User from other external Accounts i.e. End Customer’s Smart

Accounts, that he/she had access to.

Example: [email protected] was part of ‘Serviceprovider.com’ Smart Account as well as two

external accounts such as ‘EndCustomerA’.com’ & ‘EndCustomerB.com’. After John has left the

Organization, the Smart Account Administrators of the company removed John from ‘serviceprovider.com’

Smart Account, but they could not remove him from the other End Customer Smart Accounts, since they

did not have visibility to John’s access to those Accounts.

Now, when there is a change in the employment status or in the CCO Email ID for any User within a Smart

Account, the Smart Account Admins have visibility of that employee’s external Smart Account accesses, so

that they can revoke access if required.

There are two use cases applicable for Employer Deauthorization:

John has left his

Organization but did not

update his CPR primary

email address to his new

company email ID.

The Smart Administrators of

‘ServiceProvider.com’ account

will now have visibility to

John’s internal & external

Smart Account accesses.

The Smart Administrators of

‘ServiceProvider.com’ can remove John

from all external Smart Accounts, i.e.

EndCustomerA.com’ and

‘EndCustomerB.com’ if John is no longer

affiliated with the Organization

John has left his

Organization but did not

update his primary email

address in his

Cisco.com profile to his

new company email ID.

The Smart Account Admins of

‘ServiceProvider.com’ Account

will now have visibility to

John’s internal & external

Smart Account accesses.

The Smart Account Admins of

Upon removal, the User and all the Administrators of
