Quick Price and Quick Quote Functionality for 1-Tier Partners



Pre-Release

Quick Price/Quick Quote functionality and Multiple Quote Upload were not available to 1-Tier Partners in CSCC.

Channel options in Preferences and in quoting were limited to 1T and DC. Distribution was not an option.

Post-Release 1-Teir Partners can: • Create a quick price • Create a quick quote • Select Distribution from the channel dropdown in

quick and standard flow and Preferences to purchase through a distributor as a reseller

• Use multiple quote upload when creating quotes through the distribution channel

Pre / Post Release – Quick Price/Quick Quote Functionality for 1-Tier Partners




Starting November 16, 2014, 1-Tier Partners will have access to Quick Price and Quick Quote functionality in addition to the standard quoting flow. They will also have the ability to act as resellers and create quotes through distribution.

1-Tier Partners will be able to:

• Access Quick Price/Quote from the secondary menu of the Estimates/Quotes tab

• Use Quick Price/Quote to obtain a quick price, compare service levels via Quick Price, and submit a quick quote.

• Create and submit quotes through a distributor as a reseller.

• Utilize the Multiple Quote Upload functionality for Distribution quotes.

• Select channel = Distribution in Preferences.

• Select a preferred distributor in Preferences.

Introduction

Important:

If you are ordering through the Distribution Channel, be sure the Distributor is aware of the transaction before ordering.

Pricing information shown as reseller will be different than what is shown for 1Tier quotes.




Quick Flow • Obtain a Quick Price/Quote on the service you are quoting by

only providing minimal information (i.e. Product Number or Serial Number, and Install Site)

• Create a Quick Price of up to 500 lines online (over 500 lines will be processed offline and sent via email)

• Compare pricing for multiple service levels

• Create quotes that contain up to 45 lines and/or 5 install sites (if over 45 lines and/or 5 install sites, quotes must be completed and ordered in Standard Quoting)

• Basic validations are performed on the quote during quoting. Full validations are performed after ordering.

Standard Flow • Create complex quotes that include: • Takeovers • Midterm Upgrades • Co-Termination • Non-standard quotes (e.g. over $3 Million)

• Create quotes that have more than 45 lines and/or 5 install sites

• All validations are performed on the quote before ordering

Important:

Quick Price/Quick Quote is not replacing the current Estimates and Quotes in standard flow. You can continue to use standard flow for all quoting and ordering functions. Quick Price/Quote is an additional option for creating estimates and quotes. It is not required.

4. Action menus allow you to make changes to the way information is displayed in the Product Table section or to edit line items. Action menus include:

a. Column/Rows – Select which columns to show in the Line Items and how you want to group the lines: by Site or by Service Level. This example is grouped by Site.

b. Expand/Collapse – select Expand All to view all lines or Collapse All to hide all lines. You can also use the expand arrows on individual lines.

c. Lines – Add, update, edit or delete lines. d. Access – Notify someone about the quick price e. Pricing – Compare prices for up to 6 different service levels.

Overview of Quick Flow Step 3: Quoting Header level information is carried over from the Pricing Screen. (same information as QSD) Additional header information includes:

1. Quote name, number, reference, status (Quote Status is Invalid Orderable because basic validations are performed but not full validations.)

Basic validations occur in real time. If you add or edit the BID, Channel or Intended User field, you will immediately see a popup notification that the validations need to be rerun.

When you click OK, the system will rerun basic validations.

1. Quote Actions menu – actions available from the Quote menu allow you to copy or cancel a quote or edit Install site contact information.

Note: If the channel is Distribution, the Proceed to Order button will be disabled. Use the Notify action to notify the distributor to complete the ordering process.

Preferences General

Enhancements to Preferences Preferences Estimates/Quotes

Preferred Distributor BID – If you frequently create quotes through a Distributor, you can select a preferred Distributor from the list in Preferences. This will auto-populate the Distributor information when creating quotes through Distribution channel.

Distribution is now an option from the Channel dropdown list.




1. Import Multiple Quotes tab is available from the secondary menu of the dashboard.

2. This functionality can be used only when quoting through the Distribution channel. It allows you to import multiple quotes at once.

3. Download a blank template by clicking Download Template File hyperlink. Steps for uploading a completed template are the same as uploading a single quote template on the Import/Export screen.

The Multi Quote Upload template includes the same fields as the single quote upload template plus the following additional header level attributes: (*indicates a mandatory field). A. *Quote Reference Number – Enter to identify the quote and group the lines per quote. (mandatory) B. Quote Number – for new, leave blank. (optional) C. New Auto-Error Resolution Errors

The following situations caused an error to occur and required a manual fix by the user.

• create and validate a quote and the currency does not match the currency on the target contract

• create and validate a new quote with an invalid begin date

Post-Release

When you have Automate Error Resolution enabled, the system will auto-correct the following errors:

• XXCSS_QOT_HDR_CON_CURR_DIFF- The currency of the target contract for this line does not match the currency of the Bill To ID on the quote

• SCDAT9019 - The Coverage Begin Date for new service must be today's date, at the earliest

Purchase Order Line Reference (POLR)



Pre-Release CSCC did not require Purchase Order Line Reference information to be entered when a Bill-to ID (BID) was setup for PO Line Referencing.

This is different from the CCW quoting tool where Purchase Order Line Reference is mandatory once a BID is enabled for PO Line Reference.

Post-Release

• The Purchase Order Line Reference (POLR) process in CSCC has been enhanced to bring parity with CCW. Selected partners are now required to enter Purchase Order Line Reference (POLR) values in the appropriate fields prior to submitting the order.

• CSCC will enter a default POLR value of 1 for all POLR-enabled Bill-to IDs. You can replace the default value with a customized POLR value by selecting a checkbox on the Order Quote screen.

• Detailed steps for entering a customized POLR value for quotes with less than 500 lines and quotes with more than 500 lines are outlined on the following slides.

Requirement for Bill-To IDs with PO Line Reference Enabled




PO Line Referencing helps customers and partners who receive electronic data interchange (EDI) invoices to match order lines to invoice lines. The system recognizes EDI-invoice customers and partners by their Bill To IDs and PO Line Reference eligibility.

Any Bill To ID with PO Line Reference enabled will go through an order booking validation to ensure that a PO Line Reference number is entered for all order lines. All order lines will require a PO Line Reference number be attached prior to order submission. If you don’t enter it, the system will enter a default value of 1. You can replace the default value with a unique POLR value, if necessary.

Enhanced CSCC PO Line Reference Process - Introduction



Purchase Order Line Reference (POLR) – Single Quote Less than 500 Lines


If the BID is POLR enabled and the order is less than 500 lines, the Order Quote screen will display the following information. 1. PO Line Informational Message advising

that the BID is POLR enabled and a default POLR value of 1 was automatically entered.

2. A Setup PO Line Reference checkbox. If you do not plan to use the PO Line Reference to reconcile invoices, you can keep the default POLR value. To keep the default POLR value and proceed with the order, leave the Setup PO Line Reference checkbox blank. Enter all other required information on the Order Quote screen and click Submit with PO Line Reference. The order process will continue as usual.

Reference field. PO Line Reference can be up to 6 characters, including special characters.

If the BID is POLR enabled and the order is more than 500 lines, the Order Quote screen will display the following information: 1. An informational message advising that the BID is

POLR enabled and a default POLR value of 1 was automatically entered. The message includes brief instructions on how to change the default value.

2. To keep the default PO Line Reference value, leave the Setup PO Line Reference checkbox unchecked.

3. Complete all other required fields and click Submit Order. Result: the order process will continue as usual.

Important Note! The order will not be processed further until you return to the quote, enter the customized PO Line Reference value and resubmit the quote.

If you want to replace the default PO Line Reference value with a unique value: 1. Select the Setup PO Line Reference

checkbox. 2. Click Submit Order. Result: The Order Quote

popup closes. 3. The Quote Summary Details screen displays

the error message “You have elected to enter PO Line Reference information for this quote. In order for your quote to continue processing you must enter PO Line Reference information after receiving email notification to do so.” The status of the quote remains Order in Progress.

Customized Sample Invoice with Quote Details



Pre-Release The Sample Invoice report does not include quote details. If you want a single report with sample invoice information combined with quote details, you have to download both reports separately and merge the required data.

Post-Release You can download a Sample Invoice report with quote information and customize the quote details by selecting specific columns.

The combined Sample Invoice with quote details report is only available online (quotes with lines less than 500).

Sample Invoices for quotes larger than 500 lines will be generated offline and will not include the quote details.

To download the Sample Invoice with Quote details, click the View Sample Invoice link from Quote Summary Details or Quick Quote. Result: the Sample Invoice Report popup appears.

1. Select the radio button for Sample Invoice with Quote Details

2. Select Standard or Customized. Optional: Select the checkbox for Major and Priced Minors to download all majors on the quote with respective minors having prices. If you don’t select this checkbox, the downloaded report will include all major and minor lines.

Automate Split Quote Process for Brazil Business Entity



Pre-Release In December, 2013 the split quote process was introduced for quotes created with:

• Bill To ID outside of Brazil and an Install Site in Brazil

• Bill To ID within Brazil and an Install Site outside of Brazil

You had to manually complete the Split Quote to fix Brazil Quote Errors action on the Error Details screen.

Post-Release The split quote process will be enhanced for quotes with the following bill to ID and install site combination:

• Bill To ID outside of Brazil with an Install Site in Brazil

• Bill To ID within Brazil with an Install Site outside of Brazil.

This enhancement will benefit a wider audience in March 2015 when Business Inclusion & Exclusion rules are enforced.

Automate Split Quote Process for the Brazil Business Entity




Current Process A SCoRE error is generated when a quote is created with:

A bill-to ID in the Brazil Business Entity (BE) and an install site outside of the Brazil BE

A bill-to ID outside of Brazil BE and an install site in the Brazil BE

To resolve the errors, the user must go to the Error Details screen, manually select the lines with errors and select Split Quote to fix Brazil Quote Errors from the Action menu. The errored lines are moved to a new quote based on the user’s selection.

Introduction Estimates and Quotes



As part of the November 2014 release, an enhancement to the Split Quote To Fix Brazil Quote Errors function will make it more generic and easier to split a quote with SCoRE errors. When an estimate or quote has a SCoRE error on any line, an informational header level message will appear on Quote Summary Details:

New Split Quote Process Estimates and Quotes



Follow the steps below to correct the SCoRE errors:

1. Go to the Error Details screen

2. Open the Action menu, select Split Quote

Resolving SCoRE Errors

3. Click GO. Result: The Split Quote popup appears.

4. Enter additional email addresses in the CC field, if necessary. CSCC will send a notification email when the new quotes are created.

5. Click Submit


Note: If all errored lines belong to the same Business Entity, you will not see the Split Quote option. To correct the error, update the Bill to ID.



After clicking submit, two messages will appear on the Error Details screen to inform you of the following:

1. The split quote offline request was submitted

2. If a Deal ID was on the original quote, it will be copied to the split quote:

Resolving SCoRE Errors, continued Estimates and Quotes



When the new quotes are created, you will be notified of the new quote numbers by email.

Process is Complete Email Notification Estimates and Quotes



An informational message will appear at the header level on Quote Summary Details for the original quote and also on the new quotes which are generated due to the split.

The above message will be available throughout the lifespan of the quote with the following conditions.

If you copy the original or split quote, (Copy Quote action) the Informational message will not be copied to the new quote created

If the original or split quote is cancelled, then the message will not be displayed on the cancelled quote (this is as-Is system behavior)

If you perform an additional Split Quote action on the original or split quote(s), the message will be refreshed to reflect the current/latest Split Quote details.

When the process is complete Estimates and Quotes



After the split, the original quote will display the split quote number(s) in the Activity Log on the History Tab.

Install Site Contract Notification



Pre-Release When a quote is converted to a contract, an order completion email is sent to the user who submitted the order.

Post-Release When a quote is converted to a contract, an order completion email can be sent to the Install Site contact(s) as well. This also notifies the contacts about the steps to be followed when the service on a covered product is required.

A new checkbox for Install Site Contract Notification is available to enable or disable this feature in User Preferences, Quote Summary Details and Quick Quote screens.

• CSCC will automatically send an email notification to the install site contacts when the quote converts into a contract and the following conditions are met:

1. An Install Site Contact has been defined and applied onto the Quote.

2. The Install Site Contract Notification checkbox is checked.

3. Service Level ordered is a Cisco Branded Service

• The notification email content will inform the install site contacts how to register for a Cisco.com user ID and how to request service support for their products. (See example on next slide).

• The email will contain an attachment with all contract information required to open a service case.

• This information includes product numbers, product names, serial numbers, service levels, coverage begin dates and coverage end dates.

• Prices will not be included in the email content or the attachment.

Install Site Contract Notification General Enhancements

Pre-Release • You can create contracts with only one service

level for many service programs, including SmartNet and SP Base. This does not enable you to create the most efficient or reflective contracts.

• You also encounter the SCCON5004 error when attempting to add two different service levels to the same contract.

• Additionally, when you generate contracts from a quote with multiple service levels, the contract splits, which leads to contract proliferation.

Post-Release • You can generate contracts with multiple service

levels within SmartNet and SP Base.
