ChemTracker (CT4) Getting Started
New User:
1. Submit the following request form to receive a username and password: https://ehs.mit.edu/site/content/chemtracker-user-request-form
Existing User:
1. Go to MIT EHS ChemTracker website: http://ehs.mit.edu/site/content/chemical-inventory
2. Click on ChemTracker 4.0 Login link
3. Enter your ChemTracker Username and Password* and login

Getting Started
Click the following Function buttons to perform the following:
o Home: to go to the main CT page
o Search: to retrieve chemical inventory
o Add: to add chemical
o ChemInfo: to find specific chemical information and SDS
o Help: to get additional information on the use of CT
Click the User Profile button to logout of ChemTracker

Function User Profile
View Chemical InventoryStep 1: Click the button.
Step 2: Enter PI/Chemical Owner by Last Name then select name from dropdown.
*You may add additional search criteria to narrow your search result.
Step 3: Click the to view results.
OPTIONAL: Click to create a desired Chemical Inventory Template which can be executed from your Home page.
Step 4: Click button to start search again.

Action
Click the following Action buttons to perform the following:
o Show/hide columns: to display the columns you want
o Change: To convert between metric and English
o Save as search template: to save search criteria
o Details: to see additional information and modify, duplicate and delete functions
o Download: to data to Excel

Detail View:
Action
Click the following Action buttons to perform the following:
o ChemInfo: to display chemical information from ChemTracker’s Reference Database
o SDS: to conduct a Google search for the chemical safety data sheet
o Show/hide columns: to display the columns you want
o Change units: To convert between metricand English
o Modify: to bulk modify or edit details about 1 or more chemical
o Duplicate: to duplicate chemical
o Delete: to delete 1 or more chemical
o Download: to data to Excel
Action
Add Chemical to InventoryStep 1: Click the button.
Step 2: Enter the required fields.
*If this is your first time adding a chemical, click for future use.
Step 2a: Enter your chemical by Product Number and indicate the number of containers. You may wish to enter the exact location (i.e. fridge), bay/bench or shelf or enter additional information in the other fields.
*UDF = User Defined Fields: you may use this fields to enter lab specific information such as a lab members name who is responsible for the chemical.
Step 3: Click the button.
Create a Search Template
Step 1: Click the button.
Step 2: Enter PI/Chemical Owner by Last Name then select name from dropdown.
*You may add additional search criteria to narrow your search result.
Step 3: Click and name your search template
Step 4: Click button.

Execute a Search Template
Step 1A: Click the button.
Step 1B: Under the “Execute Saved Search Template” click on the template name (ex. Veal)

Step 1: Click the button.
Step 2: Enter owner, department and building in the required fields section.
*You may add additional field information such as location, bay/bench or shelf.
Step 3: Click and name your add template

Step 1B: Under the “Execute Add Inventory Template” click on the template name (ex. Veal-N52)

Modify, Duplicate or Delete a ChemicalStep 1: Search for your PI’s Chemical Inventory which requires editing or modification:
1A) Click the button and enter the required characteristics
OR1B) Click the button execute your saved template.
Step 2: Select a specific Chemical row to edit. You may select as many rows you wish to modify.
Step 3: Click the to see the Details View of the Chemical(s) selected. Note: If you would like to
modify all row, do not select the row, click on the upside arrow next to the details button to see the “details for all data.”
3A) If you selected more than one row you will need to click on specific Chemical row to edit.
Step 4: Click on the desired functional button at the bottom page:

Modify Chemicals to Current Date
Step 1: Modify the desired information. Note: Editable fields will appear as white boxes or drop downs.
Step 2: Click “Save” to save changes or “Cancel” to exit without saving changes.
Step 1: Select the desired row(s) or if you want to update all chemicals do not select any rows.
Step 2: Click the upside down triangle next to the “Modify” button
Step 3: Select “Modify select rows to Current Date” or “Modify all to current Date”

*If you have reviewed your PI’s chemical inventory and no modifications are needed, modify all your chemicals with a “currentdate” to indicate to your Lab group/EHS that you have reviewed the inventory and it up-to-date.

Duplicate or Delete Chemical Inventory

Delete a Chemical
Step 1: Select the desired row(s).
Step 2: Click the “Duplicate” button
Step 3: Enter the number of duplicate records to create
Step 4: Click “Save” to save changes or “Cancel to exit without saving changes
Step 1: Select the desired row(s).
Step 2: Click the “Delete” button.
Step 3: Click the “Yes, delete it” to delete record or “No” to exit.

Export Chemical Inventory to ExcelStep 1: Search for your PI’s Inventory:
1A) Click the button and enter the required characteristics
OR1B) Click the button execute your saved template.
Step 2: Click the button at the bottom of the Summary or Details View.
*This will download all columns from the view into Microsoft excel.
