1. Meeting started at 6:23 PM Monday, Mar 7, 2016. Quorum was present.

2. Minutes from February Planning Meeting were moved to be approved as written by Scott. Seconded by Eva and voted by all. Therefore approved.

3. Progress on Goals. Jim reviewed the progress on goals. He also updated that David Wight resigned his position. Education goals, have had 2 of the 5 webinars as planned. 6 board members went to training. Social event is planned. Publicity is going on that. PayPal and Event Bright are not set up yet.

4. In reviewing action item number 51, Pete discussed the fact that while the PayPal is set up, there is an action that needs to take place before every event.

5. Discussion around a signup sheet should be required for all events, notice to Arrangements Chair. This is used as a backup as proof of attendance for those that may lose their RUs sheet.

ASQ AUSTIN EXECUTIVE BOARD MEETING Mar 7, 20156. Pete provided Treasurer’s report. (See Appendix A) Completed actions, Paypal is setup, it is

connected to [email protected]. In process actions is to get Secretary a Debit Card and on the bank accounts. Also working on ACC invoice. Plan to provide a plan to actual comparison for our business plan. He has all the inputs to build it. Look at last numbers on goals for section allotments. Averaged $650 a month last year for recurring revenue. Beginning balance in Feb $16,775 and ending was $15,981. Something to discuss, talk about gift cards. We bought gift cards we didn’t need but will use. Where are the left over gift cards?

7. Jim mentioned that we got called out by ASQ headquarters for something in the 2016 plan. This topic was raised at the section leadership training meeting. Turns out everyone has the same problem. Need to get statement from old PayPal account from Francisco.

8. Norma reviewed education committee meeting. (See Appendix B). We should post the next event on November 4th on the website. Norma said that we don’t have the details. Has been researching with speakers. There was a discussion about the quality level expected and desired in regards to the speakers. Will talk to attendees of the Fellow’s Luncheon at the World Quality Conference.

9. Eva recommended a call for speakers. Jim asked Scott to start a discussion on the LinkedIn to find out how who our members would like to hear from. Todd can also add it to the email regarding the event this Saturday.

10. Norma discussed the need for more publicity for the webinars. Positive feedback for the last webinar. Cindi is working on the process. We need to have tighter controls of who registers and who attends, with a disclosure on the website. Can add text fields to PayPal to collect this information for RUs.

13. Scott Reviewed the VOC report. (See Appendix E)

14. Jim discussed the leadership training. It was good but not as good as years in the past. It was a walk through ASQ. Jim’s big takeaway. Other sections are having a tutorial and a meeting. .3 for each part of the meeting. We can give more RUs per the research that they gave.

15. Jim requested names for someone to replace David Wight as membership chair.

16. Jim discussed the lack of publicity. We really have to get the publicity process streamlined. This may be a learning curve for Cindi, and it ties into the other function of the website. Several people are on a learning curve with the website.

17. Pete mentioned that there are things that have to happen tonight to get the PayPal linked on the site for the Hockey event.

Here is the education committee status report: 

1)   November ASQ 1414 Educational event:a)      Target date: 11/04/2016 ,  please mark it in your calendar and start  communicating on it in the way  you can (we may need to post it in the event page, noting there is more detail to come).

b)      Location:   Crown Plaza  location 290 and 183  (already reserving the date. 

c)       Baseline budget estimate to help us start planning:  $9600.

d)      This is under the option of paying $5000 for speaker(s).

e)      Below is the a basic breakdown cost, based on 2015 event  we are using as a start reference point. It may vary according to  the selected speakers and some other decisions as we move forward

ASQ AUSTIN EXECUTIVE BOARD MEETING Mar 7, 2015         Tom Singer , a suggested speaker, will charge the $5000.00 (our whole budget for speaker)  for delivering only   the key note (one hour),  this is considering an audience of 50 to 70 for ASQ and in Austin. 

a.       Will members be willing to pay  a related  price?  The price per ticket  can be more than $200 if we need to pay at least an honorarium to other speakers (that likely we will need).   

b.      Members usually want to learn something else related to their profession, especially if they may need to justify their attendance to the event. 

         Suggest to continue reviewing other options as we  have been discussing  in Education committee.

         If some of our members know of a good speakers from whom our audience can benefit learning something of interest, please approach him/her  inquiring his/her availability information and about their honorariums,  inform/ update the education committee with status.

         Note: the other sections do not pay speakers, they provide a $25.00 certificate.

2)   Students engagement  with  ASQa)      Need to  drive interest among students considering the long term sustainability of ASQ;  San Antonio and Dallas have student section (per 2/7 meeting).

b)       A requirement is that a Lead student needs to have a sponsor from his/her school.

c)       Need help from other members in the board in this/ Membership  to raise awareness , even when he/she cannot personally search for students and their potential sponsors.

d)      Mike will discuss with his ACC contacts on options with ACC, but there are many more schools in Austin.

e)      This initiative can be part of community work as well,; expecting some actions out of the meeting

b)      Several good questions were made to Jane

c)       There was a  4 questions feedback survey  (using free version of Monkey Survey as a trail) for this event, 5 surveys were complete  and results are shown in the graph below.  

d)        A person that appears not being in the  registration list  is inquiring certificate, Cindi to confirm this attendance; last month there was other person inquiring certification that  did not appear to be registered.

webinar  receive RUs. 

e)       We let a student attend for free (should be part of the 12), we need to attract students joining ASQ.

f)        Event was recorded, Mike to confirm if he could view/ listen without problem

3)      Regarding  Processes, keeping track of registration process (part to be discussed to reach consensus  on 3/7 education committee slot) 

a.       Cindi to send the e-RU to registered members who attended the event after the event (Norma will  issue the RU file to Cindi  in the same day after the event ends); Cindi may verify with Norma if a particular attendee claiming credit and registered for the event was present. 

b.      Event attendees need to demonstrate they attended  the event using the name they use to register  (continue re-iterating in the sessions but it appears no all attendees may be providing their name).

c.       We need to add  a note  in the event web page on the following:

i.      Policy for refunds if no attendance (to be discussed in 3/7 meeting)

ii.      Emphasize there needs to be attendance to the webinar  after being registered for the event; attendees need to demonstrate they were in the event to receive e-RU credit.

d.       Encourage students to join without cost  (in registration have them identified as students, perhaps providing their student id?)., if it is agreed in 3/7 meeting that we will students join the webinars

e.       Goal is to have information about the Webinar at least a month ahead (unless we find good speakers in a very timely opportunity); several speakers will not commit with long time in the horizon.  There is no new webinar planned at the time, exploring a couple options towards end of March or early April (many events in March)

It is helpful to iron the items above before the next one. An education committee meeting was planned on 3/2 but only Mike and Todd could attend separately; I am already incorporating what we discussed in the relevant sections above.
