tailored to fit the needs of your group. Our experienced Sales and Catering staff will guide you through every phase and detail of the planning to ensure that we meet our goal – your complete satisfaction.
Our capabilities are not restricted to the following menus. Our Executive Chef will custom design a menu to complement any special occasion or theme and we will gladly accommodate any special dietary request any member of your group may have.

GENERAL INFORMATION AND HOTEL POLICIES
ALCOHOLIC BEVERAGEAll beverage functions are arranged through our Catering Department. The Jekyll Ocean Club is responsible to abide by the regulations of the Georgia State Beverage Commission. Alcoholic beverages may not be brought into the Hotel from other sources. At the conclusion of your beverage function an inventory is taken of the liquor remaining and charges are made on a basis of the amount consumed. We welcome your review of these records to ensure your satisfaction with their accuracy. Cocktails are calculated at 26 drinks per liter. We serve 1-1/4 ounces of liquor per cocktail. Twenty-one years is the legal drinking age in the State of Georgia. Your younger guests may be asked for identification. We reserve the right to refuse service to any guest. Georgia State law prohibits the sale of alcohol on Sunday before 12:30 p.m.
MENU SELECTIONThese menus are meant to be a guide; however, we welcome the opportunity to create a special menu for your function. All menu selections should be made with your Catering Manager at least 30 days prior to your groups function(s). This is in order for us to assure the availability of requested items. Menus selected after this date will be subject to approval of the Executive Chef. Health regulations prohibit any remaining food to be removed from the Hotel upon conclusion of the event. Buffet menus require 10 people or more.
GUARANTEESThe Catering Department requires a guaranteed attendance for all food and beverage functions ONE WEEK prior to the function. We shall, in turn, prepare 5% over your guaranteed figure. The actual charge will depend on the final number in attendance or your guarantee, whichever is greater. Please note if your guaranteed numbers are larger than your contracted space can hold, and the hotel accommodates you in a larger space additional site fees will be applied.
DEPOSITSThere is an initial deposit due at the time the sales and catering contract is signed which will be equal to the sum of all the site fees, 50% of a package with add-ons, or a flat fee depending on group specifications. A second deposit will be due at the time that all the banquet event orders are completed which will be equal to 50% of the estimated food and beverage for all events. The remainder of the estimate will be due 7 days prior to your event. Any outstanding balances will be taken care of at the end of the function or when the contact checks out of the hotel.
SPECIAL ORDER ITEMSThe hotel has an exclusive contract with Beachview Tent Rentals. Please see your catering manager for a list of these items or visit www.beachview.net. All specialty items must be ordered in through the hotel. All specialty items must be canceled no less than 60 days prior to event or full amount will be owed.
OUTDOOR FUNCTIONSIn the event of a forty-percent or more inclement weather forecast, the Hotel reserves the right to decide four hours prior to the event to relocate the function indoors.
DAMAGE AND LOSSThe Jekyll Ocean Club assumes no responsibility for any items placed in a function room prior to or during an event or left afterwards by guests or vendors. Each sponsor of an event is responsible for any damage other than normal wear and tear caused by guests or any independent contractor hired.
SPECIAL SERVICES AND LABOR CHARGESFunctions sometimes may require additional labor set-up or service charges above those normally needed (i.e. hang-ing lights, etc.). They are charged on an hourly basis for setup and take down. Please see your Catering Manager for pricing.

SERVICE CHARGE AND TAXAll food and beverage and other miscellaneous charges will be subject to a service charge and applicable Georgia State sales tax.
EXHIBITSThe following procedures will apply:• You must make arrangements with your exhibitor(s) to cover all shipping and receiving charges.• There is a charge for exhibitors requesting extension cords and/or power strips.• Exhibitors must be able to place their complete exhibit on a standard 30"x6' tabletop.• Tables will be clothed at the outset. Skirts will be added before exhibits are set-up. If they wish to skirt the table with a banner or other promotional material, they may do so.• The hotel does not allow retail sales by any exhibitor.• There is a one-time charge to your organization of $25.00 per exhibit table.• Exhibitors needing phone lines, electrical or internet service must schedule with the Hotel at least two (2) weeks in advance at an additional charge.• Please refer to our Parcel Center Information Sheet with regard to Shipping and Receiving information.
CONTRACT SERVICESAny contracted services must be approved in advance by the Hotel. We require all contracted services to provide cer-tificate of insurance naming the Hotel as additional insured. Your catering contact can answer any questions you have. Outside rental or audio visual companies are not allowed.
MUSIC AND ENTERTAINMENTOur referral list will assist you in securing artistic talent to add a festive atmosphere to your function. All entertain-ment will have to conclude no later than 10:30 p.m. This is for the respect of the Hotel's other guests.
FLOWERS/GREENERYWe will be pleased to provide you with a list of local florists who will be happy to assist you with all your floral requirements.
PHOTOGRAPHYOur Catering Department will be pleased to recommend a photographer to take photos at any party, meeting, wedding reception, or we will provide you a comprehensive list.
WEDDING CAKESWedding cakes are our Pastry Chef's specialty. A portfolio is available to serve as a guide and to allow you to see the skills and artistic creations of our pastry staff. Wedding cakes or grooms cakes may not be brought into the hotel from another source.
MEETING ROOMS AND RENTALBanquet and meeting rooms are assigned according to the anticipated number of guests. If there are fluctuations in the number of attendees, the hotel reserves the right to re-assign the banquet or meeting room accordingly. The hotel reserves the right to charge a labor fee for the set-up of meeting rooms with extraordinary requirements and last-minute changes.
FIREWORKSFireworks at your event may be arranged in advance with your catering contact. Fireworks do require a special license and permits from both Glynn County, Georgia and the Jekyll Island Fire Department and must conclude no later than 10:30 p.m.. Copies must be on file with the Hotel one week prior to event. Unauthorized fireworks on Hotel property will be charged a $1,500 fine. Fireworks displays must be cleaned/cleared by contracting vendor. If vendor does not dispose of debris, Hotel will charge the group contact a $200 fee. The above requirements are just a partial listing. Please contact the Sales and Catering Office at (912) 635-2600 x 1070 for a complete list.

OUTSIDE VENDORS - RULES AND REQUIREMENTS
The following rules apply to, but are not limited to the following outside vendors: 1. Music and Entertainers (Bands, D.J.'s, Trios, Quartets or Solo Musicians) 2. Florists and Decorators 3. Wedding Coordinators 4. Plant and Greenery Companies 5. Hairdressers and Make-up Artists 6. Massage Therapists 7. Photographers 8. Fireworks
• All Vendors are required to provide the Jekyll Ocean Club with a certificate of liability insurance which names the Hotel and it's owners as additional insured no later than fourteen (14) days prior to the event. If insurance is not provided, hotel reserves the right to purchase and add cost to master account.
• All Vendors must contact the following person(s) no later than three (3) days prior to their function.
• All Vendors will be required to set up no earlier than four (4) hours before the start of the groups first function and must be completely finished with set up no later than one (1) hour before said function. - (the only exception will be musicians moving from site to site with the flow of the event.)
• Musicians and entertainers may not be contracted any earlier than 11:00 a.m. and no later than 10:30 p.m. at any function site.
• The Jekyll Ocean Club does not provide dressing rooms for musicians or staging areas for florists or decorators. Any vendors requiring these areas should make arrangements for rooms with the client or hotel reservations at their own expense.
• All vendors must remove their items at the end of said function. The Jekyll Ocean Club does not provide overnight storage and is not responsible for any items left overnight. If special circumstances occur that items have to be left overnight, permission must be granted by above contact person 3 days prior to the start of the event. Overnight storage fees may apply.
• Musicians and Entertainers with special power or equipment needs must contact The Jekyll Ocean Club seven (7) days prior to the start of the event.
• All outside vendors upon arrival on the grounds must coordinate their schedules around the hotel set-up staff and check with the function captain about the readiness of the vendor areas before beginning any work.
• No trucks, vans, or cars will be permitted on the property unless said vendor is a guest at the Jekyll Ocean Club.

WARRANTY• No warranty is offered unless stated in writing• Any loss, damage, error, or malfunction of equipment must be reported immediately or no credit will be issued. If there is a problem, call as soon as possible.
PRICES• Orders placed for same-day delivery may incur a $45 delivery charge.• No credit will be issued for unused equipment.• Sales tax will be added to all AV prices.

• The front desk lobby area has a computer station set up with a printer for guests to use. Located next to the concierge desk.
• Wired high speed internet access may be set up for $150.00 per day, based on 1-5 users. If a multi user switch is required, the price is an additional $10.00 per port, per day.
• Onsite Technician available to network, troubleshoot and give desktop and connectivity support at $75.00/hour. Two-hour minimum.

PARCEL CENTER: SHIPPING AND RECEIVINGGENERAL INFORMATIONPlease contact the Hotel Parcel Center for the information on shipping items via UPS, FedEx, or USPS. We provide pick-up and transfer of materials to any internal areas of the hotel. In addition, our services include: packaging, boxing, taping, and securing your items for shipment. Our pricing is listed below. You may direct your charges to your master account, your room folio (guest bill), or any major credit card. Should you require extended service hours, additional costs will be incurred. The Manager on Duty may be contacted after hours or on Sundays when prior arrangements to do so have been made.
SPECIAL SERVICES"Fast Pack Station"For groups with large quantities of outbound materials (boxes, cases, etc.), we will be happy to set-up at any location in the hotel. Set-up cost is $150.00, which includes a person staffed at the table with sup-plies, tape, labels, air bills, jackets, etc. Extra manpower is required for this type of set-up, therefore we require 48 hours notice for provisions to be made. If, for any reason, "Fast Pack" is to be cancelled, we require 24 hour notice. If cancellation occurs and we are not notified, the Parcel Center will then charge half the cost for set-up to cover extra labor expenses.

If there is more than one on-site location, label the boxes with their specific delivery locations and times. It is preferred that a written advance notice to the Catering and Conference Service Manager to be made with regards to the number of boxes shipped, how they were shipped, when they are supposed to arrive, where the boxes should be delivered upon arrival, the size, weight, and other information that will assist the Parcel Center to facilitate in-house delivery.
SHIPPING FROM HOTELIt is preferable that parcels be brought to the Parcel Center prepacked and ready for shipment. If not, the Parcel Center will assist you with packaging for a fee. Fees depend on size and contents of parcel, but a price is available on request. The Hotel will not take responsibility for damaged parcels. We highly recommend insuring valuable contents.
