Cascade had a simple goal whendeveloping Workflow – to make it easy touse so that our clients could use itthemselves. However, our clients took whatwe developed and had many goals. Some ofthem simply wanted to manage holidayrequests or training requests. Some wantedto send tasks to people when thingshappened. More recently HR departmentshave begun to think about pro activeworkflows which guide users throughprocesses, delivering forms andinstructions, screens and decisions to theright people at the right time.
Whatever flow of work you need to manage;Cascade is flexible and intuitive and willprovide the ideal workflow solution.
Imagine a manager needs to recruit a newmember of staff. How do they go about it?Which form? Who do they ask? Whoauthorises the request? Who creates thevacancy? How does it get advertised?
Now imagine a process whereby themanager can click ‘Authority to recruitrequest’ and then sit back as Cascade’sWorkflow tells the manager what to do.Request forms, online and within thesystem, are delivered as are instructions onwhat to do. When completed theyautomatically go to the right person toreview and add comment or accept/reject.Cascade will even create authorizedvacancies and, if required publish themonline (see Recruitment and OnlineRecruitment in this brochure).
This process is one example. All of theprinciples here can be applied to any givensubject or process your HR team require.

Line Manager capabilities are in-built into the Cascade system, giving anybody whohas the responsibility for managing staff the ability to view the status across thewhole team for:
• Holidays (including outstanding requests which need approving, rejecting or amending)

By opening up this bigger picture to Line Managers, they are suddenly able to seethe overall capacity of their team and make accurate judgements as to how tobalance holiday requests without compromising the productivity of their team.Appraisals are also less likely to be repeatedly re-scheduled as Line Manager andEmployee are given more notice and time to prepare.

Once information access profiles havebeen set for each employee by the HRteam, they then have the capability to viewand update their personal details, such asaddress, bank details, next of kin etc.Users simply log on via their browser andthe simple to use interface guides themthrough the process step by step - notraining is necessary and you'll find staffstart to use Cascade as their touchstonewith the HR team for ordinary requests.
So, how many days holiday have I gotleft?
Using Cascade, self-service holidays canbe viewed and booked on-line withautomatic progression through to therelevant authoriser (in most cases, theLine Manager). Employees can see thestatus of their holiday request at any time.Should a request still be pending, thesystem will automatically remind theauthoriser via e-mail that their decision isrequired.
We understand that some organisationswould prefer employees not to be able tomake changes to a live system, especiallyif there could be the potential for data tobe entered incorrectly, and so differentauthorisation routes can be specified. Thesystem also provides a full data trail auditshowing which user has made changes,the time of change and who authorisedthem.

Vacancies, created in the back officeRecruitment module, are uploadedautomatically and specific onlineapplication forms, with questionsdependent on the vacancy type,

Self Serve Timesheets offers a simple touse but flexible and powerful solution forcollecting hours directly from employees.Through their Employee Self Serveaccess, where employees requestholidays, view their own details etc, anemployee can now add their hours eachday including additional work. Holidaysand other attendance categories areautomatically added. Once completed thetimesheet is submitted and typically goesthrough an authorisation process, whichis user definable.
Group Timesheets offer the facility forManagers or Area Managers to accessone or multiple locations and edit/add
hours per day across all of the employeesat relevant locations in bulk. Through aneasy to use interface a Manager can nowreview, update and submit timesheets formultiple employees on a single screen in avery short amount of time.
Both approaches to gathering employeetimes offer the facility to monitor hourswithout huge amounts of paperwork anddouble entry of data. Timesheet data canbe shared seamlessly with the CascadePayroll module through our sophisticatedPayroll Integration Interface which allowstimesheet data to be reviewed by Payrollor HR prior to its inclusion in payroll.

Cascade’s HR module comes with ourunique System Designer module includedas standard. System Designer ensuresyou always record data how you want it tobe recorded by allowing any employee orapplicant record screen to be edited oradded to with unlimited fields, renamingof fields and screens, changes to fieldtypes and a whole range of powerfulfeatures. It even allows you to import datafrom MS Excel straight into a blank tableand it will design the fields and populatethem automatically.
Our design methodology at Cascade isthat all functionality should be designedand written by us. Therefore we don’t useany third party plug ins which means wesupport all of our systems ourselves. Thisis no less true with reporting and analysis.Cascade includes a powerful set ofanalysis tools which allow you to do muchmore than just report on data.
Before you begin to use the reporting toolsthey are already helping you get the bestfrom Cascade. As you login you will bepresented with your unique userDashboard. The Dashboard allows eachuser, either self configured or set by HR,to view the information that is importantto them each day through graphs, listsand tables. It is updated automatically andwhere relevant can be drilled down.Attendance, training, payroll, recruitmentand workflow data is presented to you asyou need it removing the need for manyreports you may manually run.
Additionally reports are integrated toWorkflow. This means that instead ofrunning a report, for example, to see whohas Bradford Factor scores of a certainlevel and then manually taking action,Cascade will monitor the criteria you setand start the process automatically,informing you at the outset what hashappened (Workflows are fully userdefinable).

When you eventually come to write reports yourselfCascade’s Query Builder makes it as easy as it canpossibly be. We realised that users knew where fieldswere because of their location in records so selecting afield for a report in Cascade uses the same look and feelas finding one in a record. This makes reporting as easyas it could possibly be. Double clicking a field adds itinstantly and once added, simple drop downs allowcriteria such as date ranges and even ranges usingplain English (between 7 days ago and today forexample) to be added for each field.

Running the query presents an onlinereport, within the HR interface, which canbe sorted and graphed with single clicksof your mouse. At this stage the data canbe further filtered and sorted or exportedto Excel.
The most powerful feature in Cascade’sreporting suite is the facility to run areport and take action on the informationwithin it. For example, this means that areport could be created and with a singleclick of the mouse you can take action onthe employees within it. This might be toemail them, write to them or many othertasks including start a process.
Cascade recognises that many reportsand the subsequent actions may need tobe automated. It is therefore possible toset the report as a filter on the workflowwhich checks for matches every day.Should a match be found to the report’scriteria, the workflow beginsautomatically.
This approach actually reduces the needto use reports as many operationalactivities become automated vastlyreducing administration and eliminatingerrors and omissions.
