1. Data Entry

1.1. Data Entry Exercise

Exercise 1 – Entering data

Enter the two new records detailed on the registration forms on this and the

following page.

Start by entering the patient data, then run person search to see if this patient has a

potential duplicate in the database. Then enter the tumour information and source

information and then run the data quality checks by clicking “Checks”. Save the

records.

In the “Browse” module of CanReg5, use the Filter, Range, Table and Sort by

controls as described…

Exercise 2 – Basic Browsing

A. Find patients in the database with family names beginning with the letter ‘M’.

The short name for the Family Name variable is “FamN”.

1. We want to look at the number of patients, and the FamN variable is in the the

Patient table so we need to pick the Patient table in the Table selector. We go to the

Filter box and type:

FamN LIKE 'M%'

(where the sign % means “followed by anything else”)

2. Tick “Use Filter”, then click “Refresh Table”.

How many records are there? (look at “Records shown” box). _____________

The next task is to find how many women in the database that have a name beginning

with ‘M’:

The short name for the Sex variable is “Sex” and the code for female is ‘2’.

1. Add to the Filter box:

FamN LIKE 'M%' and Sex = '2'

2. Click on “Refresh Table” again.

How many records are shown now? __________________________________

How many records are Males with family name beginning with ‘M’? _______

B. Filtering colon cancers on ICD-10 codes

The short name for the ICD-10 variable is “I10”.

1. We want to look at information on ICD-10 and Sex. Since the first is in the Tumour

table and the latter is in the Patient table we choose to work with the

“Tumour+Patient” table.

2. Set the Sort by to “ICD-10” and click “Refresh Table”

What are the first and last ICD-10 values in the table? ____________________

2. Using the Range part of the browser, pick ICD-10 as the variable for the Range and

set “start” box to C180 and “end” to C189 to select only Colon cancers cases.

(Please note that ranges are inclusive, both the start and the end values are included.)

Click on “Refresh Table” again.

How many cases are there? _________________________________________

3. Use the “Filter Wizard” to further specify filter only male cases.

How many cases are there now? _____________________________________

(This tells us how many Male Colon cancer records there are.)

C. Find cases from a certain period reported by a specific source.

1. Pick the “Source+Tumour” table. Set the “Sort by” to “Incidence date”.

What are the first and last incidence dates in the table? ___________________

2. We want to select all records for April, 2000: Select “Incidence Date” as the

variable for the Range. Set start to 20000400 and end to 20000499. Refresh the table.

How many cases are there? ________________________________________

3. Use the “Filter Wizard” to further specify that the source is Hospital Araujo Jorge.

How many cases are there now? _____________________________________

many records there are with:

Exercise 5 – Adding information to records Find the record specified by using Filter and Range, then click on “Edit Table

Record” to update the record and save it.

1- Find the record for Incidence date is 20011115 and morphology is 8070.

Add the Path Lab number "B613/94" to the source of the record

2- Find the record for First Name is EVELYN, Family Name is COSTA.

Add the Maiden name GOMES and Birth Date = 19510601

3- Find the record where Morphology is 8000, Incidence date is 20030131 and first

name is OLWA. Update the record with: Morphology = 8120 and, in fact the full first

Exercise 6 – Finding potential duplicate patients

Use “Edit” on the following records by filling in the Registration number, and

clicking on “Edit patient ID:”. Then perform the Person Search on each one.

1.4. Import Data

Exercise 7 – Importing data from files In this exercise we will import the data from 2006 to our database. To do so, we have

prepared three files:

- One with the patient information,

- One with the tumour information and

- One with the source information.

1. Go to File, Data Entry, Import data.

2. You will be asked if you have all the data in one file. Click “No”.

3. The first step is to choose the files we want to import. We need to specify our

three files one by one.

A. First the patient file, by clicking Browse and choosing

”patients2006.csv”,

B. then the tumour file by going to the tumour tab and clicking “Browse”

and choosing “tumours2006.csv”

C. And last, the sources that can be found in “sources2006.csv”.

4. Click “Next” to go to the associate variables tab. Verify that all the variables

are mapped to their corresponding variables in CanReg for the patient table,

the tumour table and the source table.

5. Click “Next” to set the options for the import. We want to update the database

with this new data so we choose “Update” for the discrepancies. We untick

“Do checks” - under CanReg data.

6. Change the name of the import report if you want. Click import.

2.2. Reports

Exercise 9

Go to the “Analysis”, “Export Data/Reports” option and produce the following

output:

A. We want to export cases reported by Araujo Hospital in the year 2000.

1. Choose the table “Source+Tumour”.

2. Pick the “Incidence Date” as the Range variable, and set Start and End values for

2000 only.

3. Set the Filter to include only cases from the Araujo Jorge Hospital.

4. Tick the following Variables to export: Age, Topography code, Topography

Category, Morphology code, Incidence date.

5. Click “Refresh table”

6. Select “Comma Separated variables” as the file format.

7. Click on “Export” and write file name “Report2000.csv”.

8. Open this file with Excel.

B. We want to export children with a certain address code.

1. Choose the table Tumour+Patient and specify Sort by: ICD-10.

3. Set the Filter to select only children from “Chac. Quinta Sohos” (=74000).

4. Choose Variables: Registry Number, Sex, Age, Race, Topography code,

Morphology code.

5. Click “Refresh table”.

5. Select “Comma Separated variables”.

6. Click “Export” and write to file “Children.csv”.

7. Open this file with Excel.

“Training”, 2000, 2001 and 2002 as follow:

3. Management

3.1. Quality Control, Duplicate Search

Exercise 13

Perform the Duplicate Search with the following parameters:

Registry Number Start: 20020000

Registry Number End: 20020100

This will take a little while to run.

How many possible matches are found? _____________________________

Go through each pair in the results tab by double clicking on the record numbers

involved and decide if some of them are duplicate patients and merge them if they are.

Which ones are Multiple Primaries?_________________________________

3.2. Login Administration

Exercise 14

You have a new member of staff who will work as a Registrar. His name is David.

Add him as a new user to CanReg.

Log out of CanReg5.

Now pretend that you are David. Log in to the program as him, using his temporary

password.

See if you can add a new password for him: “spinach”.

Verify that he cannot change your dictionary codes.
