Canadian Addressing Guide

CCanada Post’s computerized systems

can decipher a wide range of

addressing styles -- from handwritten

notation to typed and printed labels,

but studies show that a consistent

approach to mail addressing leads to

more efficient handling. For our

customers, large and small, this

translates into better service and lower

costs. Consistent and accurate address-

i n g eliminates the need for extra han-

dling, and/or redelivery by Canada Post.

S t a n d a r d i z e d addressing ensures that

mail is consistently “delivered on time,

the first time, every time.”

The Canadian Addressing Guide promotes

the most technologically efficient

formats for addressing, however it does

not limit mailers to any one format. In

some cases, because of individual pref-

erence or other considerations, mailers

may not be able to follow the formats

that this Guide presents.

General Information

C • Non-proportional fonts (characters

which occupy the same width) only

should be used (ex.: OCR B, Letter

Gothic, Elite, Lotus Line-Draw, MS

Line Draw, Courier, Courier New,

Pica, Copy Pica).

• Addresses must be less than 40

characters per line, including spaces.

• All characters must be larger than

2mm and smaller than 5mm from

the top to bottom (10 to 12 point).

Return addresses may use smaller

characters and must not be larger

than the destination address.

• The municipality, province and

postal code should always appear on

the same line.

• Space between address lines must be

at least 0.5mm but no more than one

blank line between lines of addressing.

• Characters in the address block must

not be underlined.

• Addresses should be upper case;

however, mailers may wish to use

lower case due to individual prefer-

ence or other considerations.

• All lines of an address should be

formatted with a uniform left margin.

• Punctuation should not be used

unless it is part of a proper name,

( S T. JOHN’S). However, mailers

may wish to use punctuation due

t o individual preference or other

considerations.

• Accents are considered to be an

integral part of language and are not

considered to be punctuation.

• Return addresses should be formatted

in the same fashion as the destina-

t i o n address, and located in the top-

left corner of the mail piece, clearly

separated from the destination

address, or on the back of the mail

piece at the top.

• Postal codes must be printed in

upper case with the first three

elements separated from the last

three by one space (no hyphens).

• The # symbol or the French

equivalant, no, must never be used as

part of the address.

When a Civic Number Suffixis present, there is no spacewhen it is alpha (140A), andthere is one space when it is afraction (123 1/2).

The Street Name is the official name recognized by eachmunicipality and cannot be translated. (Ex.: Main is notPrincipale.)There is no space between a numerical street name with anordinal, or an alphanumeric character. (Ex.: 2ND ST 36A ST)When the street name is numeric, there is only a space (no hyphen) between the civic number and the street name.(Ex.: 123 22ND AVE)

The official Municipality name, as provided to Canada Post, the official abbreviation of the municipality,or an official alternate name, must be used and cannot betranslated.(Ex.: TROIS-RIVIÈRES is not THREERIVERS.)

The Street Type is provided by themunicipality. Common abbrevia -tions should be used. See “Stre e tTy p e s ” for a complete list. In someinstances, the street type is also thes t reet name (THE PA R K WAY ) .

The only street types that may betranslated are: ST = RUE

AVE = AVBLVD = BOUL

A French street type is placed before the street name, unless it isordinal (1re, 2e) or cardinal(PREMIÈRE, DEUXIÈME).

Additional Delivery Informationis optional data that a mailerwishes to include, i.e. Attentionline, title, floor, etc. It is alwaysplaced above the civic address.

The Civic Number isthe official numberassigned to an addressby the municipality.

A Unit Number is placedbefore the civic numberwith a hyphen between,OR after the street type,using an acceptable unitidentifier (ex. APT 10). See “Unit Designators” for a list.
