What KidCheck Offers
Guardians create a free KidCheck account online, where they upload photos, contact information, any medical or allergy alerts, as well as information about who can (and sometimes, who cannot) pick up the child. That information is accessible to our staff when each family checks in. This eliminates the need for our staff to handle data entry, which saves time and ensures that information is accurate and kept current. Allergies or other key info is kept with a discreet inside the child’s KidCheck account.
With their (parent’s/guardian’s)
phone number, parents and
guardians can check their children
in at a computer station.
KidCheck Notifications
We will add a notification to your
account for items like payment
due, lunch trip, lunch trip
reminder, sunscreen need, water
bottle needed, incident/discipline
reports, etc. The notification will
pop up after you enter your phone
number on the IPad.
KidCheck is able to send text
messages.
GROUPME
GROUPME is another way the
camp communicates with the
parents. It is a group messaging
app that is free. Simply download
the app from your app store.
The supervisor will give updates on
field trips, if the pool is closed for
any reason or if parents will need
to pick up at the community
center.
The camp will post pictures and
sometimes videos on GROUPME of
what the camp is doing. We have
found this is the best way for
parents to see what is going on
quickly.
Keep in mind, if parents reply to
everything, everyone will get
notifications of everything. Please
don’t reply, as other parents will
mute their account and they will
miss when important messages
happens. The camp will have 100
campers, there will likely be 2
parent for each camper maybe 4
depending on camper’s
circumstances. So, the numbers
will increase a lot.
Bad language on GROUPME will
not be tolerated. If this happens
those individuals will be deleted
from the group immediately.
Things to do before Summer
Camp Open House:
1. Create an account with
KidCheck at:
http://go.kidcheck.com
Enter all information
needed on yourself, your
child, health/allergies and
the pick-up people. The
pick-up people will go under
a tab marked Guardian,
parents will need to add
themselves. If there is
anyone not allowed to pick
up your child, put them
under unauthorized person.
2. All campers must have
immunization records on
file and they must be
current. If there is a custody
agreement on file, a copy
must be turned in as well.
We need to have all records
turned in no later than the
Parent Open House.
Check in/Out
The camp uses KidCheck to sign in
and out of camp. This is why every
camper must create an account.
If you already have an account
because your child/children
attended the ASP or mini camps
we have had during the school
year, there is no need to create a
new one.
The check in place for camp will
be in Rec Classroom 1, this is the
new classroom at the back of the
new gym. The classroom is on the
west side. There will be an
entrance for camp parents from
the outside. The outside door will
be locked, please ring the bell.
The camp opens at 7:30 a.m., not
before, camp ends at 5:45 p.m.,
please be on time to pick up. IPads
will be as you walk in the door for
check in/out.
All campers must be walked in
and checked in every day. Please
do not just drop a camper off
without checking them in.
On Field Trip Days: All campers
must be at camp by specified
times, otherwise they will not be
permitted to attend the field trip.
The time will be displayed on
trifold that week at check in/out.
Pick up continued: If a person picking up a child
displays signs of being
inebriated or in some way
unable to provide safe
transportation for the child, the
staff member in charge will
suggest alternate
transportation with a private
provider to be paid by the
parent. If no arrangements can
be made, DHS and the local
police will be notified.
If we have not heard from you
by closing time, and we cannot
reach you by phone, your
emergency numbers will be
called and one of those
numbers will be asked to come
pick up your child. If neither you
nor your emergency contacts
can be reached, we will keep
your child for a half hour. Late
fees will be to accrue.
Pick Up Policy:
Only authorized adults over the
age of 18 will be allowed to pick up
a child/children.
Authorized adults include
parent(s), guardian(s), or persons
designated as an authorized
person to pick up section under
the guardian tab in KidCheck.
Remember to not include anyone
who is under the age of 18.
Everyone including parents must have an I.D. available when they pick up children until all staff knows and recognizes the pickup people and the child. NO EXCEPTIONS! Tell all of your authorized pick up people that they will need to show photo identification. If the person picking up refuses to show photo identification, walks out of the facility with the child, the Supervisor will follow procedures and contact the proper authorities. If we ask you for ID and not the person who comes in before or after you it’s because we know them. Don’t be offended, we have lots of parents who have attend before, and lots of new parents. No child will be permitted to meet an adult at their car. Please do not ask. This is for the safety of your child.
Camper Ratios
The Mustang Parks and Recreation
Department requires a certain
number of staff that are on duty with
campers during the course of each
day. In general, activities will meet
the following minimums:
Age Staff Campers 5 years 1 6 6 – 7 years 1 8 8 – 9 years 1 9 10 & up years 1 15 Children are grouped by the following
criteria:
❖ Chronological age level at start of program (the age they are when registered is the age group they will be in for the duration of camp, no exceptions will be made)
Children are assigned to groups
according to their ages. This
atmosphere encourages close
child/staff interaction and provides
an opportunity for each child to
express herself/himself, be accepted
by their peer, and learn new skills.
* We CANNOT take special requests
to keep friends, siblings or relatives
together. We also cannot guarantee
your child will be place with a
particular staff member.
Camp Attire
What to wear to camp?
During camp, children should
wear simple, non-restrictive
clothing that you do not mind
getting dirty, muddy or wet, etc.
Children are required to wear
closed toe shoes (a pair of
athletic shoes are
recommended). This is both for
the child’s safety and comfort as
programs are very active. Make
sure to label belongings. Please
do not wear article of clothing
which are not in good taste or
appropriate for camp or
clothing that does not cover the
body.
The camp is NOT responsible for loss of belongings (see LOST AND FOUND)
All campers are to have
lunches, water bottles &
sunscreen daily. You will be
asked daily. If campers do not
have one of these items, they
will be provided one by the
Concession and their account
will be charged accordingly.
The best thing for campers to put
their stuff in everyday is a backpack
– like they use for school.
Campers need the following items
daily:
A cooler type lunch bag w/ healthy
snacks & lunch (peanut free)
✓ Campers should wear simple, non-restrictive clothing. Camp shirts on field trip day
✓ Athletic shoes (open-toe shoes are not permitted)
✓ Backpack or shoulder bag ✓ Swimsuit & towel ✓ Reusable water bottle ✓ Sunscreen ✓ GOOD ATTITUDE & A
SMILE EVERYDAY ☺
Participation Children are encouraged to participate in ALL activities. If they cannot participate for medical reasons, a note from the parent/guardian or doctor is required. Children who refuse to participate in group activities make it difficult for the other children in the group to have an enjoyable time. If a child continually refuses to participate in activities they will not be allowed to return to the program.
Field Trips
Weekly field trips to local
attractions will be taken through-
out summer. All campers must be
at the Community Center at a
specified time. Signs will be posted
the week of the field trip to let you
know what time to arrive. If you do
not show up on time, no one will
be here to watch your child and
you will not be able to meet the
camp at the field trip.
NO EXCEPTIONS WILL BE MADE!
Every camper will get one (1) shirt
to be worn on field trips days, there
will not be any extras to purchase.
The t-shirt identifies the child as
being with the camp. Failure to do
so will result in your child missing
camp/field trip.
All lunches should be packed in an
insulated bag, suitable for
traveling, and easy disposal.
Parents may send money for
snacks and/or souvenirs. Your
child is responsible for their own
money; counselors will not handle
children’s money!
If a field trip is cancelled due to
weather conditions, it will not be
rescheduled. Once a trip has been
cancelled, transportation cannot
be called back.
Transportation
They will walk within reasonable
distance (no more than one mile)
within city limits. The Mustang
School District will provide
transportation and a certified
driver for all field trips. A first aid
box is available on the bus. Each
counselor will also have first aid
supplies and medications (for
children who need it during camp)
available with them at all times.
The supervisor shall carry
KidCheck, forms (emergency,
permission to treat, discipline,
etc.), first aid supplies, and the
camp phone in case of an
emergency.
No counselor or supervisor will be
allowed to transport a camper in
their vehicle at any time.
Parks & Recreation Vehicles
For small trips or excursions that
would require campers to be
transported in P&R vehicles,
campers will be required to wear
seat belts while vehicle is in
motion.
In the event of a motor vehicle
accident, parent will be notified
after emergency responders have
been notified.
No camper will be allowed to sit in
the front passenger seat during
camp.
Library Trips
One day a week various age groups
will be able to go to the library to
check out a book. The campers must
have a library card to do so. If you
do not have a library card, let the
Supervisor know and they will get
you a form. If your child has lost
their card it will be $1.50 to get a
replacement.
The Library trips will usually be
broken down by ages as follows:
5/6 yr. olds - Monday 7/8 yr. olds - Tuesday 9/10 yr. olds - Wednesday 11 yr. & Older - Thursday (IF FIELD TRIP DAY FALLS ON
LIBRARY DAY, THEY WILL GO
AFTERWARD)
If you would like, we will hold on to
your child’s library card during
Summer Camp.
All campers are expected to follow
the library rules while in the library.
Any disruptions will result in camper
not being able to visit the library.
Weather
Rainy days The camp will operate rain or shine. The decision to send your child is up to you. During days of high heat index, field trips may be cancelled if they are outside. Trips will not be rescheduled once cancelled. Activities will be brought inside for the day. If swimming has to be cancelled at the end of the day, all parents will be notified by GROUPME.
Fire & Tornado Drills
We will practice drills throughout
the summer.
Food & Nutrition
The camp does not have a refrigerator or microwave. No glass bottles are allowed. Please assist the summer camp counselors in talking to your child about drinking plenty of water throughout the day. The staff will continue to remind them throughout the summer and provides several water jugs for the campers to fill up their water bottles.
Peanut Free Policy:
Due to the high occurrence of
peanut allergies, the camp is a
peanut free zone. If your child
comes to camp with anything in
their lunch with peanuts they will
not be allowed to eat it. We will
substitute their lunch with a
lunchable, the cost will be
absorbed by the parent. This is for
the safety of the other campers.
Lost & Found
The camp has a lost & found. The
Aquatic Center has a lost & found.
The Recreation Center has a lost &
found. If your child has lost
something, please check with one
or all of the above to see if it is
there. The camp goes through the
lost & found every morning.
Parents are more than welcome to
go through it when you drop off as
well.
Making sure your child’s name is
on everything they bring to camp
will help keep their items out of
lost and found.
Personal Property
Children are not allowed to bring
unnecessary items or items of
value such as electronic hand-held
games, iPods (mp3), trading cards,
animals, or sports equipment
(unless for a special day). This also
includes cell phones, walkie talkie,
iPads, tablets, or any other
electronic device). The camp will
not be held responsible for any lost
or stolen items, so please leave
these items at home.
Children may bring their own
books from home (make sure it is
labeled with their names) for quiet
time.
Daily Sunscreen
Campers need to have sunscreen
every day. When they run out, you
will need to send more.
They need to have a face stick
sunscreen, and have regular
sunscreen for their body.
There are no major benefits of using a spray over a lotion. It is important to use sunscreen no matter what type you choose and use it properly. Always apply 15 to 30 minutes before heading outside to give it time to soak in. Cover every tiny bit of exposed skin. Reapply every two to three hours and more if you are sweating or swimming.
Lotions
Sunscreen lotions are effective in preventing skin cancers. Lotions can provide a deeper coverage since you have to actually rub it in and provide moisturizing effect.
Spray-On
Spray on sunscreens are easy to apply and you may be more likely to use them. They are light weight and dry quickly and feel less greasy on your skin.
Face Sticks
Everyone needs to have a face stick to apply to their face. It doesn’t get in the eyes like sprays or lotions.
Parking at Aquatics Facility
When picking at the pool, please
take the time to park in a parking
spot. The curb is not to be used for
parking when picking up your child.
THE CURB IS FOR EMERGENCY
VEHICLES ONLY!!! If any staff
member asks you to park in a
parking spot please do so. After all
if there is an emergency,
emergency vehicles NEED access to
the front entrance of the Aquatics
Facility.
If we are not at the pool, the
classroom or gym is where the
camp will be. A GROUPME
message will be sent to all parents.
If someone other than the parent
will pick up, please let that person
know where to pick them up.
Aquatic Center
Campers will be able to go to the
Aquatic Center almost every day.
Summer camp Counselors are on
hand watching children as well as
lifeguards AT ALL TIMES.
Swim test
All campers are required to take
a swim test regardless of age,
height, or ability.
If the child is unwilling to take
the swim test, they will be
permitted to swim in the bucket
area only, no exceptions.
The levels are as follows:
• Level 1 – Can only swim in the beach front entry and the bucket area. NO DEEP END. Level 2 – Can swim in Level 1 and can go down the slide. NO DEEP END.
• Level 3 – Can swim anywhere
If you feel more comfortable
having your child wear the life
preserver, they will only be
allowed in the bucket area.
All rules of the Aquatic Center are
to be followed and all children
are expected to listen to the pool
staff at all times. If a camper
continually gets into trouble at
the pool the camper’s swim level
will automatically go down one
level, and the parent will be
notified. Usually in a couple of
days of having the swim level
being taken down, it takes care of
the problem.
Medical (continued)
Injury
All staff are certified in CPR and First Aid. If your child
sustains an injury more severe than our skills allow,
the staff will take whatever steps are necessary to
obtain emergency care including but not limited to
the following:
• Attempt to contact a parent/guardian using
all numbers for persons on enrollment forms
• If injury warrants, we will call 911 for
assistance and have the child taken to the
closest emergency facility in the company of
a staff member.
Communicable Diseases
1. Please notify the Parks and Recreation Department – Camp Supervisor 850-5155 in the case of any communicable diseases (Chicken Pox, Lice, Ringworm, impetigo, etc.). We will notify all parents. Please note: the name of the child and parent/guardian will not be made public.
2. All children will be observed as they enter the program for signs of communicable diseases. The staff is trained in recognition of signs. 1. The following precautions are taken for children
suspected of having a communicable disease.
• A child with any of the following conditions will be immediately isolated and discharged to his/her parent/guardian.
a. Diarrhea or vomiting b. Severe coughing c. Difficult or rapid breathing d. Yellowish skin or eyes e. Conjunctivitis f. A temperature of 100 degrees g. Untreated infected skin patches h. Stiff neck (signs of meningitis)
i. A child isolated with possible symptoms will be: 1. Cared for in an area away from
other children. 2. Within sight and hearing of an
adult at all times. 3. Observed for worsening
condition. 4. Discharged to parent or guardian
upon decision of Supervisor.
Medical Information
List any and all medical conditions your child has in
KidCheck. The staff will need to be aware of all medical
information related to your child. Be sure to list special
conditions and what the staff should look for, how to
handle when something occurs.
If your child requires medicine administered, staff will ask
you to fill out a form giving them permission and providing
them with instructions for that medication.
If your child has any kind medical procedure done that will keep them from participating in camp, please do not send them that day. All campers will receive medical attention while in the care of Camp Mustang Staff. In the event of a major injury, a call to 911 will be made and the parents will be contacted.
Counselors are required to review registration forms of all
children in their group that they are responsible for during
training. The Health screening forms will be handed out by
the supervisor the first day that your child attends the
program to ensure the safety and health of your child
Particular attention will be paid to allergies, diet
restrictions, and any other pertinent health conditions.
Please keep staff updated and verify any new health
conditions while your child attends the program.
Illness
The health & safety of your child is a priority for us. A sick
child is to be kept at home. If your child becomes ill in our
program, we will call you. You must then make
arrangements to pick up your child immediately. If we
send your child home with an illness, they may not return
until they have been without an illness for 24 hours. Please
call the camp by 9 a.m. on any day when your child is ill or
will be absent from camp.
Harassment Policy
The City Of Mustang firmly believes that all
employees and program participants have the right
to work and participate in an environment that is
free of harassing, abusive, disorderly, or disruptive
conduct. The City Of Mustang is committed to
providing an environment that is free from
harassment based on gender, race, color, religion,
national origin, age, disability or any other legally
protected status. Harassment is prohibited by any
person doing business with the City or participating
in any City program. Violation of this policy by the
parent/guardian or participant will result in
suspension or termination of the child’s
participation in the program.
Search and Removal
A child, and/or the child’s belongings may be
searched by supervisors at any time whether it is
to help look for misplaced items or whenever staff
have a reasonable suspicion that the child has
violated or is violating either the law or program
rules bearing on order or safety and that the search
will produce evidence of the violation (i.e. child has
in their possession either stolen items, weapons,
alcohol or drugs, matches/lighters, or other items
not allowed at camp). The child will be invited to
be present for the search when feasible. Any items
found in violation of the law or program rules, will
be confiscated and may be turned over to the
appropriate authorities. Our primary concern is to
maintain the integrity of the program environment
and the protection of our children and staff.
Anti-Bullying Policy
Bullying is when one or more people repeatedly
exclude, physically harm, or verbally abuse another
person with the intent to hurt another. Bullying
happens when a person or group of people want to
have power over another and use their power to get
their way, at the expense of someone else. Parents
note: bullying can also happen through cyberspace,
through the use of emails, text messaging, instant
messaging, and other less direct methods.
At summer day camp and school age programs,
bullying is inexcusable and we have a firm policy.
Every child has the opportunity to feel a sense of
belonging, making achievements, create positive
friendships with children, and meaningful
relationships with staff. We work together as a team
to ensure that children gain self-confidence, make
new friends, and go home with great memories.
We have a ZERO TOLERANCE POLICY for any sort of
bullying (this may include but is not limited to name
calling, singling out, hitting, shoving, and aggressive
behavior). Zero Tolerance means your child may
have to be picked up immediately if any sort of
bullying occurs. This zero tolerance police includes
parental behavior towards staff. The child may not
be allowed in the program if there is poor behavior
from anyone (including parents/guardians).
Unfortunately, people who are bullied may not have
the same potential to get the most out of their camp
experience. Our staff takes all incidents of bullying
very seriously and encourages communication so
that all campers feel comfortable alerting us to any
problems throughout the summer program. Every
person has the right to expect to have the best
possible experience, and by working together as a
team to identify and manage bullying, we can help
ensure that all children and staff have a great time.
Discipline
We encourage positive methods of disciplining children in the program and do not allow parents or staff to
use abusive language, physical punishment or emotional maltreatment. We have rules, which all children
are expected to adhere to. Please remind your child that when they are in the program they must show
the same respect to our staff as they would to any authority figure. If discipline problems re-occur,
termination of participation in the program will take place.
Positive behavior is always encouraged by the counselors. The program will incorporate these six basic
values: trustworthiness, respect, responsibility, fairness, caring and citizenship, of “Character Counts” into
each weekly theme. We will use assertive discipline guidelines when dealing with the children. Children
displaying unacceptable or disruptive behavior will be instructed by the staff to take a “time out” and be
isolated until acceptable behavior is restored. “Time-Outs” are 5-10 minutes in length. Corporal
punishment is forbidden.
A discipline report will be written whenever a child’s unacceptable behavior has not been corrected
following a verbal warning or a “time out”. A copy of the discipline report will be given to the parent. A
child exhibiting disruptive or unacceptable behavior may be expelled from the program if all alternate
methods including parental involvement have failed. If a child is expelled from the program due to
discipline problems they will not be able to participate in the programs for a period of one year.
FIRST OFFENSE
Warning – Discipline Report Written
Timeout, loss of privileges, staff counsel, parent notification
SECOND OFFENSE
Two day suspension – Discipline Report Written
Timeout, loss of privileges, staff counsel, parent notification, and/or parent conference required
THIRD OFFENSE

FOURTH OFFENSE
Dismissal from Program
Cannot participate in the Summer Program for 1 year
Certain actions such as, but not limited to, fighting and stealing are grounds for immediate dismissal from
the program. Any racial slurs/remarks are also grounds for immediate dismissal from program.
Immediate dismissal will result should a child strike a counselor, staff member or speaker.
All violations are subject to immediate dismissal at the Administration’s discretion. No refunds will be
given to campers who are dismissed.
All efforts will be made to guide children to appropriate behavior. Respect for your child will be
demonstrated at all times, and the same respect will be expected from your child for his/her peers and
to the camp staff. Children are made aware of the rules and expectations while at the camp.
Redirection, suggestions from parents on what they have discovered work at home, as well as natural
consequences may be used when appropriate.
Appeals on Suspensions and Dismissals
If your child has been suspended or dismissed from the program due to discipline problems, you may
apply for an Appeal Process. This process will allow parents to meet with the Director of Parks &
Recreation, the Site Supervisor to discuss the situation. The Appeal Process does not guarantee that
your child will be reinstated in to the program but it will give all parties an opportunity to discuss the
situation in more detail.
List of Offenses
➢ Disobedience (refusing to listen or follow instructions) ➢ Disruptive Behavior (behavior that interferes or prohibits others from participating) ➢ Profanity (cursing or using inappropriate language) ➢ Vandalism (damaging facilities or property of others) ➢ Theft (stealing staff or other students) ➢ Verbal threatening of another child or staff (statement of intent to cause harm) ➢ Written threat of another child or staff (statement of intent to cause harm) ➢ Battery of another student (beating, hitting, biting, pushing, kicking, choking) ➢ Leaving site without permission (refusing or failing to remain within designated areas) ➢ Sexual harassment (repeated unwelcome verbal, visual or physical sexual advances) ➢ Use or possession of weapons ➢ Use or possession of drugs, alcohol or tobacco ➢ Engaging in fighting as the only means to solve a problem ➢ Intentionally injuring another child ➢ Refusing to remain with the group during outings ➢ Refusing to follow the basic rules of the program ➢ Refusing to stay seated or wear a seat belt during transportation ➢ Throwing any objects or placing any body parts out of the vehicle windows ➢ Failure to pay on a timely manner, refusing to pay any late fees that are imposed ➢ Parent(s)/Custodial Guardians harassing Parks & Recreation staff members ➢ Parent(s)/Custodial Guardians refusing to follow Policies in Parent Handbook will result in
