INTRODUCTION

During this unprecedented COVID-19 pandemic, there is a lot unknown. As businesses across Lancaster County begin to reopen, it is important to create the safest possible environments for our employees, vendors and clients by implementing public health mitigation activities aligned with current federal and state guidance.

Recovery Lancaster, as part of the Lancaster County Economic Recovery Plan, is dedicated to helping small businesses succeed during this transition period. The COVID-19 Supply Kit is designed to help your workforce take the first steps to establishing safe, new operating procedures. This booklet is intended to offer general suggestions for creating best practices for your work place.

MASKS

TO TAKE OFF

• Remove by ear loops or ties, folding outside corners together.

• Put reusable masks directly in wash. Throw disposable masks away, preferably in a closed trash can outside your home.

• Wash hands with soap and water for at least 20 seconds.

TO PUT ON

• Wash hands. Keep mask away from dirty surfaces. Try to handle mask by the ear loops or ties.

• Fit snuggly against the sides of your face. Secure under your chin.

• Make sure you can still breathe easily.

• Once mask is on, try not to touch or adjust. Do not wear on forehead or around neck. Do not share masks.

• Make sure to cover both nose and mouth.

Masks are required in all workplace environments where interpersonal interaction occurs. Depending on the situation, individuals may be asked to wear either reusable or disposable masks.

REUSABLE MASKS FACE SHIELDS

REUSABLE MASK CARE

• DO NOT SHARE. These are designed for individual use.

• Wash cloth face masks after every wear. • Follow specific instructions included with mask. For

most: hand wash with soap in hot water, and lay dry. • Store in clean, dry bag until use.

DISPOSABLE MASK CARE

• DO NOT SHARE. These are designed for individual use. • Only use each mask once. Throw away after every use. • Ideally, dispose of mask in closed trash can,

to prevent additional exposure.

Ideal for office settings and interpersonal interactions. Each individual should have 2-3 reusable masks, to allow for proper cleaning after use.

Ideal for use in higher risk locations, such as health care, hot environments or dirty worksites. Plan to utilize 1-2 masks per person per day.

Face Shields are useful for additional coverage in high exposure situations. Disposable or cloth mask should still be worn underneath the face shield.

FACE SHIELD CARE

• DO NOT SHARE. These are designed for individual use.• Disinfect after every use with alcohol-based wipe. • Throw away if shield has lost its

shape, is cracked or damaged.

Ideal for those taking temperatures during entry screenings, employees who can not easily social distance, as well as manufacturing work that requires them for safe operations. Must be evaluated based on specific operation environments. See CDC recommendations for guidelines.

THERMOMETERS

THERMOMETER CARE

• Each thermometer is unique. Please look up specifi c directions and warnings for this model (included in your Supply Kit.)

• Store in clean, dry spot. Do not keep near a heating or air conditioning unit. Do not rest in direct sunlight.

• Thermometer may need to be calibrated before use. Check reference manual for directions.

• Do NOT touch infrared sensor with fi ngers or other materials. Sensor should be under careful protection, or the accuracy will be affected.

• Do not use rechargeable batteries.• Clean the device with a cotton ball, lightly

moistened with a 70-75% alcohol solution. Do not let liquid into the device.

HOW TO OPERATE

• Forehead of individual being tested should be clean, dry and unblocked. Ideally, let time for individual to acclimate to interior temperature before testing.

• Individual must remain still.• Tester must hold thermometer perpendicular and centered

on the forehead. Do not touch device to the skin. • Push and release button. Slowly move device toward

individual’s forehead until sensor indicates a reading. • Suggested one minute wait between

measurements. If touchless thermometer, no need to change gloves between readings

USEFUL TIPS

• Person operating thermometer should have mask, face shield or barrier, and gloves. Wash hands prior to use.

• Head coverings, extreme temperatures, and other environmental conditions may affect reading. If there was an error in your reading, wait a few minutes and retest.

• If transported, thermometer should be allowed 5 min to acclimate to the room before use.

Temperature checks are strongly recommended for every person who enters the workplace. Designate process and individuals responsible for this task.

Note: In response to COVID-19, temperatures should be reported at less than 100.4 F, per CDC recommendations. If a case of COVID-19 is reported in your workplace, mandatory temperature checks will need to be implemented, if not already.

PREVENTION

ENTRY SCREENINGEvery on-site individual should under-go a daily wellness check. Create a plan for screening employees, vendors, clients and visitors arriving at your facility. These expectations should be clearly communicated at your place of work.

WELLNESS CHECK SAMPLE QUESTIONS

• Is temperature under 100.4 F? (This should be confirmed by touchless temperature check.)

• Has the individual shown any recent symptoms of COVID-19? Symptoms may include:

+ Shortness of Breath + Cough + New Loss of Taste or Smell + Chills + Muscle Pain/Aches + Headache + Sore Throat + Nausea or Diarrhea

• Has the individual tested positive for COVID-19 in the past 14 days?

• In the past 14 days, has the individual had contact or shared a household with anyone with a confirmed case of COVID-19?

• Individuals who answered “yes” to any of the above would not be cleared, and should be sent home.

ENTRY PROCESS DOCUMENTATION

• Documenting this entry process is very important in the work place. In the case of a COVID-19 case, these records will help with contact tracing and reporting.

• It is important to maintain employee privacy, per HIPPA laws. Have a private area designated ahead of time, for any necessary follow-up.

• Do not record individual bio-metrics, such as specific temperatures. Simple “Yes/No/Cleared” forms are fine. The goal is to track who was on site, and in the case of a COVID-19 case, be able to help specify when symptoms began.

• These records should be kept confidential, and treated like other HR paperwork. Please plan for private storage and disposal.

USEFUL TIPS

• As a best practice, anyone feeling sick should stay home.

• Please maintain employee privacy, per HIPPA laws. Have a private area designated ahead of time, for any necessary follow-up or in case anyone is sick.

CLEAN & DISINFECTDOCUMENTATIONIncreased sanitation efforts will be needed to maintain a clean working environment. Personal and public work spaces should be cleaned and disinfected often, embracing as many touchless options as possible.

HELPFUL TIPS

• Make a new cleaning schedule for each area of your building. Make sure to focus on high-touch surfaces like faucets, handles, switches, railings, doors and trash areas. Don’t forget less obvious locations, such as vending machines, shared printer/copiers, and water fountains.

• Individuals should wipe down work areas frequently, especially between users.

• Look at the specific cleansers used. Find an EPA approved cleaner proven to combat COVID-19. There is a difference between various cleaning products. Please use as directed.

• Plan ahead for what will be needed in your specific work space. Assign someone to keep stock of what’s needed, as well as ordering additional resources.

STOP THE SPREAD

• Wash hands frequently with soap and warm water, for at least 20 seconds. If soap and water is not available, use an alcohol-based sanitizer. Especially focus on washing after using the bathroom, taking out the garbage, interacting with packages, before/after you eat, etc.

• Wear masks at all time, when in public. Try not to touch your face and/or mask during the day. Follow appropriate mask care suggestions.

• Do not share office supplies or work areas. If necessary, wipe down objects/space between users.

• If you feel sick and/or show any COVID-19 symptoms, stay home. Refer to CDC guidelines, as well as your HR team, regarding return to work.

• Oversee entry process. • Create process plans for various “what if”

scenarios regarding sick or exposed employees, such as quarantine space, cleaning procedures, reporting process and steps to return to work.

• If a case is reported, track and notify exposed individuals. The CDC defines “exposure” as interaction at less than a 6 ft distance for more than 10 minutes.

• Communicate necessary information with work force. The more information that can be shared in advance the better. It helps for employees and guests to understand the policies and plans for your workspace.

• Watch for continued changes regarding process and regulations.

Each workplace location must assign a Pandemic Safety Officer to oversee safety efforts for your company. Examples of this person’s responsibilities include:

A lot has changed in a very short period of time. It is important to communicate any new expectations to employees. It is suggested that companies hold “training sessions” even before their teams return to work.

Trainings may include information on new workflow procedures, entry process, seating arrangements, client interactions and more. These sessions should include training time assigned to PPE and prevention.

As there will be a lot of new information presented, it is important to designate time for questions. Larger workforces should think about their process for taking employee inquiries.

Specific training should help for anyone asked to take on new responsibilities during this time. For example, if someone will be asked to help with daily entry screenings, all necessary process information should be explained.
